Running a shared workspace is a strange hybrid of hospitality, logistics, and air-traffic control. You need software that can keep everything moving without becoming the thing that slows you down. That’s exactly what we’ve found with Optix. The system itself strikes a rare balance: it’s powerful enough to handle the complexity of managing bookings, members, and operations, yet intuitive enough that it doesn’t require a manual the size of a phone book to operate. Once it’s integrated into your workflow, it quickly becomes an essential part of the operation. But what has impressed me just as much as the platform itself is the support team. \[sensitive content hidden\] have been outstanding. Both responsive, thoughtful, and genuinely committed to helping us get the most out of the system. Every time we’ve needed assistance, they’ve been quick to jump in and help resolve things efficiently and as fast as possible. While the software itself may be essential, the human element is what makes all the difference. Optix delivers both.

Pros

Ease of use, practicality, excellent customer service. Custom white-labelled mobile application is a huge part of this software's appeal both to us and to our customers.

Cons

Some helpful features are still under development. Document signing and customization features would be amazing. Add in a more robust CRM, marketing and lead tracking functionalities, and this software would do it all!

Optix has significantly improved how we manage our shared workspace. The platform makes it easy for members to book desks and meeting rooms, stay informed about upcoming events, and communicate.

Pros

Optix has been a helpful tool for organizing COLLAB. It makes booking spaces simple, keeps communication centralized, and gives members quick access to important updates and events.

Cons

My main con is not being able to speak to a live person when needed. However, \[sensitive content hidden\] has been the best in helping me virtually! He's very responsive.

Overall this software has been wonderful for both myself as the admin and my space members who use the app on a daily basis. Onboarding was fast and easy and overall the learning curve to setup and get started was pretty short. I find the support team to be really helpful both in the library of help, and direct feedback from the team. I find it's a software I can grow with both in scale for my business and with new functionality.

Pros

Value for the money, functionality to automate membership and invoicing for users. Ease of use for both admins and members/users. Great support and continued development keeping pace with my business.

Cons

Wish there were more embedded in the web widget functionality and better free automation functionality.

Overall, an overly positive experience. From the moment you onboard, to scaling your space and operating it, Optix is there every step of the way. With new features being added regularly, we're seeing external subscriptions being cut in favor of using Optix built in features, as they're delivering better alternatives than some of the industry standards. We only look forward to continuing with Optix in the future.

Pros

Easy to use dashboard experience, with every mainstream integration that you'll ever need to operate any space. All aspects of the dashboard has as much depth that you'll need that any other CRM and management dashboard simply cannot compare when it comes to being in all-in-one solution, every point of operation is married perfectly. The team at Optix are also very open minded, taking every inquiry, every question with delivering an answer to the best of their abilities. My company in the past has gave a couple of suggestions, and we were proud and even surprised that a tech company in this day and age still listens to customers and adding features that we request to make everyone's lives easier in this industry.

Cons

One of the very few things that can be said that isn't the best is the white label app's customization. Don't get me wrong, it is at the end of the day a very wonderful app that is intuitive and easy to use. We would like to see more customization so that we could make certain amenities or features of our space a little more focused, and when it comes to branding, certain colors unfortunately do not work. Also, as a lover and adamant user of dark mode on almost all apps/websites i regularly use, I'm sure some of our members would like to see something similar, but otherwise not much to dislike about!

Our overall experience with Optix has been incredibly positive. The effectiveness of platform and the customer experience working with the Optix team has been great.

Pros

We were able to configure the platform to not only meed our needs, but also in a way that allowed for us to plan for the future. Our members have experienced very little user experience issues and the mix of tools to simplify and streamline our processes has been very helpful. The app and backend web portal combined have allowed for us to accomplish almost every single objective needed to serve our member/user base.

Cons

Would love to be able to have invoices due and payable the date of the actual use of a resource as opposed to when the resource is booked. Would help cut down on refunds, etc., when a user is unable to come in and needs to cancel without a reschedule date readily available.

Overall, we have been thrilled with Optix. From onboarding, to app set up, to day to day use, integrations and more. The team and software are top notch.

Pros

The onboarding team and overall service team are amazing. Any time we had a question, they responded quickly and were beyond helpful. Optix is constantly building on their product and adding new features which are perfect for growing and scaling our business. The app was incredibly user friendly for our members and we had no complaints. I also love the office hours they host and informative blog posts they put out about the industry in general. I always learn so much from those!

Cons

Mostly nothing - except for random things that pertained to our business specifically. On top of coworking, we also offer wellness services and bookings, so working through the logistics of managing both offerings in the same app had some roadblocks, but the team was amazing with helping us brainstorm and troubleshoot to get it to work as best as possible for our very specific needs.

I have had an overwhelmingly positive experience with Optix. For a small team managing three locations with over 400 active members (and countless drop-in users), I truly don't know how we'd do it without such an impressive platform. If you are a coworking space operator, you know that our needs are varied, can change on a dime, and surprises can pop up 24/7. Having a platform that lets you scale your business and provide a seamless guest experience is invaluable.

Pros

\-Responsive and helpful support team. I have seen features I recommend be added to the platform, and the support team has been amazing at asking clarifying questions. You can tell they genuinely care about the quality of their product. -Great integration with external platforms (CRM, Google Workspace, Zapier, etc). -Ease of use on both the admin and client side. -Customizable user information panel. -Broad range of automation options. I'm still learning to maximize their utility and we've had over \*4000\* actions that would have been manual (sending invoice requests, follow-up messages, changing user types based on behaviour, sending tips and instructions for bookings). -Huge variety of options to fit your space's needs. We can sell products, drop-in services, monthly plans, host events, all through one platform that links easily with our website and external booking services. -It just WORKS. Often when I've wanted to do something and couldn't, asking support to help me out either revealed it was a skill/knowledge-issue on my part, or they worked to incorporate my feedback. -This platform is easy to use, and has been easy for new staff to understand. We use it every day for so many functions — booking, member relations, events, community posts, on-demand booking, even setting up a self-serve shop in our space for members to grab what they need and pay through the app. -I've been surprised by the ease of implementation for new ideas. Often, there is a feature I wasn't using just waiting in Optix.

Cons

The team is constantly updating and improving the service, which means there can sometimes be temporary hiccups either on my side (learning curve) or on their side. However, the support staff is INCREDIBLY responsive, and will always suggest temporary fixes, collect feedback, and work with their dev team to iron out any bugs (or, in some cases, even change the functionality!).

Transitioning from a member management software that was not specific to coworking to Optix has been amazing. It feels purpose-built and they take any feedback / suggestions and run with them.

Pros

Their onboarding and support teams are top notch!

Cons

Navigation to various settings are scattered and not super intuitive. Lack of printing integrations.

I would recommend to people but would warn about invoicing quirks and reporting abilities.

The booking system and live notifications App

Cons

The invoicing system, although accurate can be difficult to navigate, syncing ws XERO was good

Pros

The customer service at Optic is phenomenal. My questions and concerns were always addressed immediately and they were very patient during the on boarding process.

Cons

As a start up, the cost was a bit high. Our members also avoided using the app.

Pros

I've loved the simplicity of it and also that they are able to throw our brand all over it. Every person that sees us is blown away that we have our "own app". I haven't been able to involve the desktop version as much but the app has been great.

Cons

I wish it was a little more customizeable but even the things I've wished it had I was able to get around with other features. So overall very happy with it all!

Pros

It centralizes everything that we need for sales and operations into one tool. The single tool is adaptable and is easily modified for your own company's customization.

Cons

There are not enough POS partnerships other than Stripe and they could use some more third party parters for solutions like Box.com and other business tools.

Simple, smooth and easy. Allows me to keep in contact with my members as well as my team!

Pros

I love that I can edit and make changes to our schedule as needed. If I, or another team member, make a mistake, it is easily resolved. I love that it is very easy to navigate and easy to explain to others when training. I also really like that the support team are quick to respond to any questions that I have and ask if they can use any recommendations for future use!

Cons

There is nothing that I haven't liked so far. I have found it simple and easy to use. Any questions I had on things that I couldn't seem to find were answered and are being used in future Optix updates which is great!

Detailed and Highly User Friendly. The integrations with other platforms help tremendously with the daily workflow. & Again, the Team is so helpful and great at responding.

Pros

The user friendliness and adaptability. The Optix team is amazing about implementing requests and providing helpful tips/tricks.

Cons

Some Bugs are difficult to catch/fix and it is hard to explain the need for certain functions.

Overall, I love Optix. I appreciate having a dedicated specialist available to assist with any questions about the software. I am also grateful for the seamless integration of Optics into our daily operations.

Pros

I appreciate that Optix provides a centralized platform for billing and communication between clients, promoting a seamless experience.

Cons

I wish there was a way to allow us the option of carrying over hours or tokens for our clients. We wanted to change our business model, but the fact that ours does not allow rollover made it impossible to do so. We are OK with sticking to the current model, but if that feature does become available, it would be cool to see how it impacts our business.

The staff were great and support team always ready to help! The on-boarding process was smooth and I could see myself using the app if I had a straight up coworking space

Pros

Visually more minimal made it easier to read and use. I think the location based check in process is genius for coworking spaces.

Cons

It simply was not quite what I needed for my business. We are partly a coworking space but our primary service is a daycare so ultimately we need an app made for a daycare, we were not utilize any of the great coworking options through Optix

Using Optix has made our daily managing of members and bookings a breeze! It's nice to have things work smoothly, with very few hiccups. We've been with Optix for 7 years, considered switching to another software for a month, and then came right back to Optix!

Pros

As an administrator, the interface is really beautiful, user-friendly, and intuitive to maneuver! We used the admin dashboard daily to keep an eye on room bookings, member check-ins, invoicing, and making announcements to members (via the app and and easy checkbox to also send via email). The billing/invoice view is also very easy to filter and you can see instantly on a page view (or set notifications to email you) as to whether credit card payments were successful or declined. It's also very important for us to require a payment method be kept on file, and having that feature as one that can be toggled on during our onboarding of new members is critical to our operations. There is also a widget for your website, that can allow room booking directly connected to the software. There are really so many features, that I'm sure I'm forgetting to mention a few simple but useful options.

Cons

I do wish the Admin Dashboard was more responsive in design to being viewed from a mobile phone. Currently, it is only viewable from a desktop/laptop view.

Pros

The articles written (step by step instructions) are easy to follow. Support Team is also very efficient and able to solve the issues at hand swiftly. I had a good experience with Kelly who had helped me with transferring of the calendar ownership and other matters at hand.

Cons

Suggestion for owners of the app to have the administrative access to choose specific users to use a specific resource under "Configure". To have a list of the tenants names and then select individuals who get access to book the resource without having to provide plans / allowance since my company has their own billing plans and does not follow the ones provided by Optix.

We have been able to book hundred of events and meetings with the ease of use of the scheduling feature. Our members love the autonomy of being able to book on their own accord. Introducing local businesses to state of the art technology via both out space as well as the app has been a huge problem that we are solving.

Pros

Some of Optix's most impactful features are the invoicing & billing features. The calendar/scheduling feature, and the data /visual analytics. All of these features have help streamline our processes and makes things easier for our members.

Cons

Making adjustments to invoices (like changing the date or location) would be an upgraded feature that could be beneficial. The optix to kisi integration has occasionally given issues but nothing that was unmanageable or couldn't be troubleshooted.
