Pros The good thing about Promapp is that you can ditch your Vizio or Excel or other tools that you've been using for process mapping. Promapp is interactive and allows multiple people to give input into your process workflow. It allows for commenting and suggestions from people that do not have Promapp accounts and this is crucial because programs that need people to log in are logistical nightmares when you try to share things with others. I would bet that if you are the administrator of a program and you send someone something that requires a login, 9 times out of 10 they will ignore it since it requires the extra step. That's why most successful programs and software don't require login access when simply sharing something. With Promapp, once you share it, they are able to send comments and suggestions and it'll appear right into your inbox about which workflow. With the ability to lay out the entire process, end users can then see and tell if something is required or not. Then with this valuable information, you can start to eliminate mundane steps and save everyone's time and effort and therefore reduce backlog which is essential to how a company runs. Cons It is obviously not as broadly know as a Microsoft product in Vizio so it may catch people off guard when something is sent to them by Promapp. But I believe it just takes a little bit more time and effort to get the news out and people will respond. For this organisation to maintain its operations, it needed a simple, intuitive solution that would help in bringing policy, procedures, processes, glossary, roles and responsibilities and systems list together and make it accessible at the fingertips of all of its employees across Australia. August 8, 2017 5.0 Pros I love that I have the ability to completely automate my foxtrot scripts (schedule a batch file to launch foxtrot, foxtrot unlocks the workstation, performs the task, and re-locks the workstation). Mundane tasks that need to occur on a daily basis but are tedious to our employees are written as foxtrot scripts and scheduled to run in the middle of the night. Also, the wide variety of actions on hand when writing scripts often allows for several ways to accomplish any given task, and the act of writing a foxtrot script is intuitive to users with and without a programming background. We have used foxtrot to solve tiny, one-time issues as well as to aid in much larger, long-term applications. Foxtrot has become an integral part of our daily operations and core maintenance. Cons As a trainer I found it hard to train the customers who have used Visio for long time and are vision oriented. They found it hard when one of the end of decision point had to end. We are documenting process to ensure staff (and the organisation) know what they are or should be doing, to training new people, to capture institutional knowledge, and of course push accountability for process and Risks into the right business area and to the right people Pros Ease of use, presentation of content (except Risk Module), the methodology for content Cons Administration tasks for updating Roles, Users, etc needs to have more bulk load and update functionality. The Risk module is causing a bad name within our organisation for Promapp in general. It is one of the best values for money in the BPM market. It still has a margin for improvement in customization and deployment tasks. Its support team is simply awesome. Pros Easy to learn and use. You can develop professional-grade workflow-based applications in days. Really extensible using its service brokers. Cons Not so easy to master, it is easy to do a lot of things but is also easy to do it terribly wrong impacting the overall performance. Smartforms are not the most beautiful user interface except you want to invest a lot of time, although is really fast to add functionality to a solution is hard to customize it. From a business PoV - K2 has highlighted the many advantages and challenges in automating their processes. From a technical PoV there have likewise been great advantages in being able to deploy another cloud based solution without the hassle that server based solutions have traditionally caused. And inevitably there have been the usual dramas caused by cloud based solutions. Pros \- Considerable investment is starting to materialise with this product becoming more functional and effective. - Unlike Black Pearl - we don't need our own hardware to run this solution - There are quite a few forums and events run by K2 to spread knowledge and techniques Cons \- The K2 support desk people don't seem to be as up-to-speed as you'd expect/hope. - As with all cloud solutions, the deployments and patches are a concern as they have impacted existing solutions. It also helps with handovers, as outgoing staff don't have to write novels on how to do their job, they can just mention 'we have a Promapp for that'. Pros I use it to log and version control processes. Anything from recruitment, to performance management, to procurement, to policy enforcement. We store all of the processes in Promapp so that anyone in the organisation can look up a 'how to' on just about anything. August 8, 2017 5.0 We have automated routine, redundant tasks - not to eliminate headcount, but to free up existing employees to do more interesting and beneficial things for the company. Pros The flexibility of the actions Foxtrot can make against disparate systems is amazing. It does take some thought and trial/error to get things working just right, but in the end you can make Foxtrot almost as smart as a person sitting in front of the machine. The more routine the task, the better, but complex interactions are also possible. Cons The biggest drawback is that Foxtrot still doesn't work against browsers other than Internet Explorer. And browser interactions against sites that use some frameworks on top of html are troublesome to impossible. Even though I am experiencing the "failed to run" errors currently, all of my other workflows run and continue to operate smoothly. I continue to suggest incorporating Nintex workflows into our processes. Pros The Nintex workflows are amazingly intuitive. As long as you have a firm understanding of what you want to happen, the Nintex workflow can make it happen. The functionality is amazing. Cons The workflow breaks. Randomly. Failed to run, failed to start errors when there seems to be nothing wrong. I only see this issue in my most complicated workflow. All others run business as usually. I have mainly used Forms and Workflow within our SharePoint environment and it gives the user power to developer complex processes easily using the Workflow part of it. Forms then allows the user to create modern, sleek, dynamic forms to give a professional look and feel to the generic SharePoint form. Especially when using Nintex Forms for SharePoint online. We have a huge issue with user acceptancy because of this. Loading a form can take over 30 seconds. In addition there are a lot of frustrating issues in the designer: its not possible to modify or even to check the settings on references. You need always to start all over, if you want to change something. Sometimes configured actions brake without any reason. Allows URL links and document links; Can be scaled for different organisational size. Can be used for induction, risk management and health & safety/training. Can be used as a basis for testing. Can share processes with other organisations (even if they don't have the product) and can receive processes from other like- organisations who are prepared to share their processes and then adapt these to your own environment, Cons It is a financial commitment, so small organisations may not have the capital to invest. It still needs internal champions, though it is easier to motivate staff to use promapp than most products and that require data and therefore effort and thought to keep up to date. The system is easy to use, and the feature set covers just about everything we are trying to accomplish. The support team is great, and always very helpful. Cons Debugging workflows and SmartForms could use more descriptive, or even custom, error messages. Citizen developers are often overwhelmed by the more technical aspects of that process. Pros Easy to build workflows. Very flexible and customizable forms. Large library of tools available to build out any process. Easy to make modifications. Great reporting functions. Cons Set up of new K2 Cloud environment requires IT Department to whitelist IPs and Azure Admin to grant consent. The process to do this is not very clear and can be difficult to get your company's internal departments to complete the required changes. The documentation provided is detailed and long which is needed but wish there was a quick start guide of 1-2-3 so company IT and Azure Admins can get it up and running easy and quick. Chief Process Officer Defense & Space Used the software for: 1-2 years ### "Great Process Mapping Software" January 25, 2017 5.0 Promapp is a very user friendly piece of software, and it is excellent at what it does. We have used it in our business to map out all of our processes, and it is easy to use and easy to read and follow the processes after they are entered. A few of the key features of Promapp are the ability to visually see the process on a "map", and see the responsibilities of each functional area on a given process. The ability to use some value stream mapping functions is great as well. It also has the ability to link a process within a process. This allows you to build out separate, smaller processes that may be used in multiple different larger processes, and limits the amount of edits necessary if there are changes to the smaller process. The review and publishing functionality is great as well. The Promapp support is great. They have always been very responsive to our requests. The only reason I give it 4 starts instead of 5 for features and functionality is that there are a few features that we would find very useful that it can't do yet. Such as the ability to turn a process into some type of checklist so we can better track and ensure that people are following the process. There are many very useful features, and Promapp is very good at executing the features that it does have. Pros Process mapping functionality and user friendliness Cons There are some limitations with the software that make it difficult to track and see whether processes are being followed or not.
