Comments: Sumac is a great resource for Sistema Toronto. We use it to track donations, issue receipts, and keep records of communication with our community of donors. We appreciate how easy Sumac is to use and how helpful the customer support team is when we¿re in need of assistance. We¿re a small shop with a tight budget, so Sumac is a great fit for us.

Pros: Sumac is easy to use, their customer support team is accessible , and the software is affordable for our small shop.

Cons: We struggled to get used to the search function at first, though we're used to it now. I wish I could do a bulk upload of communication records, too.

Good value for the price for not for profit organizations. It does everything that we need it to do.

Pros: Excellent features and value for the price, especially for not for profit organizations who do not have a lot of funds but really need and can benefit from this software. Excellent customer support, not a long wait either.

Cons: Sorting and queries are complicated and not as automated or easy as I would like and there are some limitations.

Sumac is an affordable, customizable system for case management and reporting.

Pros: Sumac provides a customizable platform for managing our programs and services, tracking communications and case management. We are planning to expand our use and utilize more modules and expand our use of existing ones. The software is growing with us as we move a team into an online Case Management model after 30 years of pen and paper. We have set it up so we master uses one at a time and have eased the transition of staff. This has been a blessing as I have worked with other organizations that have lost staff as an out of the can software full of bugs was implemented with little room for transition.

While for some the customization may be a challenge the benefit is huge. If you do not have someone to work with to complete the customizations there is an affordable option available working with the Sumac team.

Cons: The email component does not allow for, (or I have not figured out how to), multiple emails, so we only use it for mass emails as the responses can only go to one address.

Pros: Flexible. Can purchase without being forced to pay a monthly fee. Much better than Fund-Raiser Basic, which is what I have happily switched from. Incredible depth of documentation -- practically unheard of.

Cons: There's really very little to not like about this product, but I have to write 100 characters to satisfy the review system.

Even the easiest of functions are unnecessarily complicated.

Comments: Deeply frustrated with Sumac.

Cons: Sumac is anti-intuitive.Functions do not follow a logical sequence. There never seems to be a video for what I need to do. Support has never recommended a video. The remote support doesn't work. One has to manage the telephone and manage the computer at the same time, while trying to follow instructions. There must be a better way. People learn in different modes, Sumac provides only one. Watching someone complete the sequence is not the same as performing it for a kinesthetic learner.

Comments: After struggling for several years with an expensive database that was not intuitive and did not meet our needs, our organization looked into several others to replace it including Sumac which was recommended to us by another not-for-profit. We scheduled a demo with a Sumac Guru for our entire team and we were all captivated by the ease of use and functionality it offered ¿ almost everything on our ¿wish list¿ (and much more). We then decided to purchase Sumac and have not regretted our decision. While there were a few hiccups with our data migration, overall we have been very impressed. It is very user-friendly, fast, and has features that we are still discovering a year after we started using it. The Sumac team is amazing and has been very responsive, accommodating and helpful when we have needed assistance in using the tool and putting through change requests when we have suggestions and identified areas for improvement.

Pros: User friendly Excellent customer support New releases on regular basis

Cons: Online functionality for some add-ons is very basic (e.g. ticketing) or not available yet (e.g. sales) The User Guide is good at describing each of the many fields in the database but limited in explaining how these are used together (processes)

Recommendations to other buyers: start with basic CRM, add the add-ons at a later date

Allowing this level of customization ensures that tracking of participation across the collaborative meets our exact needs, and lets us retrieve important data easily and accessibly.

Pros: Customization: our non-profit is a collective of 8 partner organizations that each offer their own programming, but unite under one common collaborative. In this, we require our database to operate as 8 separate databases, with the ability for data to be tracked across all partners and programming. Sumac was able to construct a database for us that met this need, with fields customized to manage youth participants in exactly the way we need it. As our collaborative grows, Sumac has enabled our database to evolve with it, always finding creative solutions to meet our changing needs.

Cons: With such a complicated structure for our database, unfortunately it can be tricky to upload our data in the correct format. Files have to be meticulously formatted within a certain file type, and the set of steps from data gathering to completion is sometimes frustrating and unforgiving of minor errors. Pros: Technical support have been wonderful! The Sumac team actually customized a search option to cater to our organization alone.

Cons: Add-ons can be pricey for smaller organizations, however they are worth it if it's in your budget.

Overall: Prior to installing Sumac, our receipting system was disorganized and inefficient, which cost us time and led to some donors being unhappy with their experience. By harmonizing our receipting and donating process through the Sumac software, this aspect of our daily operations has become one of the simplest tasks of running our organization.

The installing process was a breeze, and the software runs smoothly on all of our Windows based computers. The program can seem overwhelming at first glance, but is actually very user friendly once you start exploring it. The search engine is particularly helpful, it allows you to locate donors and contacts very easily, which helps when searching a large database! We are also very happy with the technical support we have received from Sumac, any time we have had a question or concern they have bee there to help.

All in all, we would highly recommend Sumac to other charitable organizations for all of their donor database needs!

Pros: Sumac is powerful and customizable. With a little prep work, we were able to take limited information from our (separate) box office and turn it into a strong patron database that we can slice into innumerable segments for precise messaging and campaigns. I was also quite pleased to see feedback I'd made to Sumac turned into a real product feature.

Cons: The interface is a little cumbersome, but not unusually so for a software in this category.

Recommendations to other buyers: Take Sumac up on their offer to show you some of the features. Get on the phone, share your organizations problems and see if they can come up with a solution. I'm impressed with the personal touch they consistently bring to the table.

Pros: great customer service and they listen to suggestions from their customers on how they can improve their product(s) to make them more intuitive and user-friendly.

Cons: we've only been using Sumac for a short amount of time so we are still learning all the ins and outs. at this time I don't have negative feedback

Recommendations to other buyers: if you are a smaller organization this seems to be a great CRM software solution. you have the ability to add-on features that you need and not get bogged down with features that make your life more cumbersome. having the ability to customize reports, information/data that you'd like to collect combined with great customer service has been a win for our organization.

Comments: Sumac has been a fantastic productivity enhancer that results in us getting more done with less time invested. We are always looking for ways to be more donor centric and this is another great multiplier of those effects. I also have the highest respect for customer focused companies who take the time to actually listen, but when they act on suggestions words can't describe my appreciation. The Sumac team has earned our respect and business for a job beyond well done.

Comments: We are a small, non-profit, educational foundation based in Northern California. Prior to having Sumac, we maintained all our donor records in Quick Books and on Excel spreadsheets. Needless to say, that method made generating reports and extrapolating useful data a tedious task. Since installing Sumac, we operate so much more efficiently now. Multiple users at a time can access data in real time for quick answers to questions that would have normally taken hours, sometimes days, to get. Intuitive isn't usually a word used with databases. It is with Sumac. For the most part, almost anything you need to do on Sumac can be figured out due to it's user-friendly interface and design. And if you can't figure it out, there are hundreds of video tutorials that show you step-by-step how to get the task done. When a video tutorial just isn't enough, we call Sumac's technical support. They are OUTSTANDING. They are knowledgeable, friendly, patient and professional. It's so reassuring to know that if you need help, there is a live person available to walk you through what you need. SUMAC LISTENS TO YOU. Recently we discovered that we had many duplicate records in our database. Batching them together two-by-two to resolve the duplicates was taking a lot of our valuable time. We contacted Sumac to ask if there was a way that this process could be streamlined. Sumac worked on a fix and has now just updated their entire system to be able to accommodate resolving four records at once. Because of a suggestion we made, they rolled out an improvement that will now benefit all Sumac users. This type of boutique service is why we love Sumac and why we are grateful to have them on our team.

Comments: We are a group of non-profit volunteer organizations based out of Quebec who were looking for a robust software to manage over 20 independent organizations.(others potentially to follow) Sumac Platinum stepped up to the plate and found a solution that works for us and leaves our previous inadequate system as a distant memory. Sumac listened intently to our needs and has developed a bilingual solution with the ability to track our statistical data and the option to manage all of our programs, services, events and more. Problem issues were identified and resolved during development and solutions found to satisfy our requirements and stay within the software constraints. The scope of this project resulted in a longer development stage than anticipated but as our project was not an out of the box solutions this was understandable.

For the most part, customer support surpassed my expectations as interpretation of conversations are often problematic. They were able to transition from laymen conversation to their own internal speak and back again for relatively smooth communications.

Tracking of problem issues and designation of responsibilities for specific issues was not always clear. I would suggest a ticketing system to resolve this for the future.

Pros: We started using Sumac for organizing our data a couple of years ago. Before that we were swimming in excel sheets and having multiple users access the same information was problematic. We use Sumac for ticketing, memberships and donations. I like that we have one system that organizes these three aspects, as there is (as one would hope) quite a bit of overlap between those three actions. It is also useful for organizing mailing lists (either hard copy or email) and analyzing data. But most importantly for us, it's an affordable option. There are CRMs out there that are more robust but for a small non-profit we wouldn't be able to afford them. Sumac is a really cost-effective option to suit our needs.

Cons: Sumac has a lot of software updates. These updates don't fundamentally change the look or experience of using it, but the updates often require us restarting our server. The other aspect is, though they are working on this, is that the web integration is not as customizable as one might like. It's difficult to change the look or flow of it to go with our branding. Finally - there are just a lot of pop-ups for any application while using it (do you want to record this, do you want to save this, etc.) which seem unnecessary.

Recommendations to other buyers: It's a really good starter CRM for those who are looking for a robust, affordable option. For small to medium non-profits, it's quite likely it could fit all your needs. Our organization also likes that we are supporting a local company.

Comments: The manual, training and live support have allowed me to learn how to use this tool quickly. We have been SUMAC clients for one year. SUMAC support staff are readily accessed and very responsive. The database is working well for us, with options that allow us to customize. We have not come close to tapping the potential of the database, but I can see where we could optimize. We have been very happy so far, and I can see that SUMAC has even more to offer us. No complaints! Sometimes our needs are so unique that they have not been anticipated by the current version.

We looked long and hard to find appropriate software.

Comments: We are a non-profit ministry and needed software that tracks donors/donations, accommodates product sales, tracks memberships and renewal dates, and handles event tracking. It is VERY CHALLENGING to find non-profit software for a mid sized organization that handles all of these functions. Sumac does all of this in addition to being a very affordable solution. Also, we needed rather extensive custom programming to handle some of our more specialized batch processing functions. Sumac did the custom programming for us. I think one of the most compelling reasons to use Sumac is their customer service and support. I have done business with a large number of software companies during my career and few if any have been as responsive to customer needs as Sumac.

Pros: If support is paramount, Sumac is a great choice. Sumac covers a broad scope of functions, including donations, memberships, sales and events. The software is very easy to use. Built in import functions are very user friendly and very complete. Transferring data into Sumac from another system is not difficult and the error checking before import is very good. Contact history is strong and allows drill downs into all the underlying documents. Contact records allow the addition of extra user-defined tabs and fields which is a great asset.

Cons: Inventory tracking functionality could be more robust. Mail merges currently allow links between contacts and one other view, such as donations, memberships, etc. It would be helpful if more than one additional view would be supported. Reports could be improved, but this problem is easily resolved with a good report writer that links with an ODBC driver.

Comments: We are close to a year in now using Sumac and still we love it! Having been through other excruciating data migrations, I have been thrilled with how effective and responsive the team at Sumac has been. While we've certainly hit [to be expected] bumps, each time Sumac has quickly found a good solution for us. Even more than that, they seem to truly welcome our input re enhancements!

As we continue to delve into doing even more in Sumac we're extremely pleased with how thoughtfully the application has been designed and how user friendly it is.

I would not hesitate for a minute to recommend this product!

Comments: I've been using Sumac for 3 years now. The customer service is amazing and the team is extremely responsive to customer requests both for help and new features. The system is reasonably intuitive and robust. The only thing that keeps me from giving it 5 stars across the board is it is still occasionally awkward to pull donor lists for mailings that don't have both individual members of a household as well as the household itself.

I have recommended Sumac to several other administrators in the not for profit industry. You cannot beat it for bang for buck. Having compared it to larger systems (like RE), I would gladly stick with Sumac for usability, robustness and customer service.

Comments: I can't say enough good things about it. If you are used to working w/spreadsheets this is the best and most intuitive product I've used or seen. Have worked w/Raisors Edge, FIMS, and Giftworks. All of them fall far short in design, flexibility, and the ability to customize it and extract the information you want out plus it is less expensive. Have been working with SUMAC for six years in two different companies and converted a third to it. Customer service is still good, although not as good as it used to be. However, the tutorial videos are very easy to access, use and follow; so most of the time (if it's after-hours or if you are impatient like me) you can figure the question out yourself. Bottom line I think you are doing yourself and your organization a disservice if you don't check it out.

Comments: I learned about Sumac through my graduate course work. To my knowledge, it is the only CRM that offers a free version with everything a startup nonprofit needs. I have been able to easily manage my contacts and donations with the database. The mail merge feature and group emailing capabilities are a huge time saver. I look forward to Ballet Vero Beach growing with Sumac and expanding our capabilities as our needs change.

As an aside, I recently had a problem with my database when an update was installed on the Sumac software. I called customer service and actually spoke with Peter Turk (one of the developers of the software!), Peter spent nearly five hours working with me to make sure my database (of only 40 contacts) was intact and functioning. Where else can you get customer service like that on a free service?

Not only do they have great orientation videos, they have excellent customer service on the phone (very patient, friendly, and efficient). Since we had a changeover in our staff, they were able to give us a online training session to answer all our questions about functionality, and they gave us some great tips.

While we continue to refine how we use Sumac to best suit our organization, I feel more and more confident the more I use it. To have memberships, donations, and general communications all streamlined in one program makes life a lot easier, which makes a big difference in smaller organizations like ours.

Comments: Switching over to Sumac from Income Manager has made things much more productive at the Mississauga Arts Council. It easily manages our membership, donations, events, campaigns, reporting and more. Transition between systems was faster and easier than I could have imagined. Our administration processes have been streamlined in a way that was never possible before. We finally have control over our data and a real picture of everything we do!

Comments: We¿re big fans of Sumac at Cahoots. First, the interface is highly intuitive which is important for a company like ours where we have a lot of volunteers and new faces coming in to update our data. Comments: I love Sumac. It has allowed me to track all of our donor's information super easily. I purchased it originally so that I could issue tax receipts to our donors, but have found it useful to track giving based on correspondence and fundraising events. We started small, but as we grow so does our need to gather information. Sumac is also great because I can manage my contact list for mailings through it. Any questions I have are answered quickly through tech support (either via e-mail or on the phone). Sumac also provides updates regularly, so that means they're paying attention to their customers' input.

Comments: HPCO had been using a third party to manage our direct mail campaign and tax receipting. Switching to Sumac has significantly reduced our preparation time for direct mail and reduced the time between receipt of a donation and the mailing of the thank you letter with tax receipt. We also use Sumac to manage membership renewals, communications to members, and manage all of our other contacts. Sumac is very user friendly and intuitive. Sumac is also easy to maintain and does not require database management training or technical support staff. The data conversion process from our old system to Sumac was smooth. The Sumac team was highly responsive to our needs and very adept in converting our data quickly. HPCO selected Sumac as a solutions partner and endorsed Sumac to our membership because we feel it is the best product to meet the range of needs of our diverse membership.

Comments: After doing extensive research on several software solutions, we chose to go with Sumac because it allowed us to keep track of our clients, donors and volunteers all in the same database. We are easily able to track our clients¿ participation in all of the groups and services that we provide to those who are ill or bereaved in our community. We are able to collect the statistics that we need to report back to the Ministry of Health and Long-Term Care and our Local Health Integration Network. We are able to provide a comprehensive history of our volunteers¿ involvement with our organization including the matching of volunteers with clients. The fundraising and donor management aspect of the database is second to none. We are able to generate our tax receipts from the system and the many built-in reports and fundraising tools has allowed us to analyze data and view donor history to develop a case for support which will help us to continue to grow and support more people who are in need of our services. Comments: Prior to using SUMAC we had dozens of very `un¿ user-friendly Excel documents storing 9 years worth of patron information. As Artistic Producer, I was the only one with enough institutional memory to be able to use these documents, which meant hours of my time sorting to generate useable reports and mailing lists. Since starting SUMAC, accessing and using data has become a staff-wide activity ¿ we are all able to access our database and use it on our daily work whether that¿s identifying donors, quickly finding information on groups and schools who have attended our shows, or managing our email and snail mail lists. It¿s really helped to move our management of data to the next level.

Sumac integrates all areas of our operations, which is something no other database software has been able to do for us. Comments: Before Sumac, we used a custom database built using Microsoft Access. It made it difficult to organize our donors and pledges. Analyzing information for development purposes was almost impossible. When we switched to Sumac, our staff was excited with its ease of use and power. Things that used to take a few days now take an hour or two.

Comments: This year we upgraded to Sumac from eTapestry. We are amazed at how fast and efficient Sumac is compared to a database that resides online. Our daily processing of communications and incoming donations has dramatically shifted from a full-time endeavor to a quick, easy and straightforward task. Furthermore, we love the simple design of Sumac and its visual functionality when managing queries and lists. Before Sumac, the majority of the staff stayed far away from our database because of its over-complicated interface. Sumac has proved to be extremely accessible to everyone working at Sky Works. Comments: There aren¿t enough positive things I can say about Sumac. It has given us a better handle on every aspect of our organization ¿ communications, donations, memberships, and contacts are all far better organized than they ever were with Raiser¿s Edge, which we were using before. With Sumac, data is easier to input, retrieve, and organize. The entire system is remarkably user-friendly. I felt confident using it after only a few days. Of course, that has to do with their customer support, too ¿ if every company provided service as good as Sumac¿s, the working world would be a happier and more efficient place.

Comments: SUMAC wins the prize for the tech company that consistently provides patient, helpful and good advice. We recently had a problem with sending bulk email and Sumac was the only one of the four providers that we dealt that took the time to listen to us and to help us solve the problem. Not only that, our Sumac advisors actually called us and emailed us to ensure that the problem was solved. WE LOVE SUMAC!!

Pros: Support is excellent! Sumac was very responsive to questions and also very responsive to suggestions. I am used to waiting months for changes to be made and with Sumac we see releases quite often that incorporate requested improvements.

Cons: I can't think of any.

Overall: This software is great value for your money. It has great features and is more reasonably priced than other packages.
