Senior V.P, Oil & Energy Used the software for: 2+ years ### "Simplify your OHS Management System" May 17, 2022 5.0 3 years ago our company set up and began to implement a Safety Management System (OHMS) so that we could achieve COR certification with WorkSafe BC. Early on in the process, we realized that we would need a way to provide two-way communication with our workers (most of whom work remotely from our office locations) and also to record safety-related information relevant to our OHMS. Rather than try to create such a system we looked at several online, cloud-based options that could do the job for us with little or no set-up time and effort involved. Site Docs fit the bill perfectly. The templates that were immediately available to us for such things as incident reporting and investigation, site inspections, equipment inspections, risk assessments and toolbox talks enabled us to get up and running with our system quickly, efficiently and in a way that was easy for our field staff to understand and adopt into their daily work patterns. The system worked so well for us that we achieved our goal of COR certification in record time thanks, in no small part, to the ease with which our auditors were able to see our records. There is no doubt that the adoption of Site Docs into our OHMS has made us a more proactive company with respect to Safety and has helped encourage a much better safety culture among our employees. The numbers don't lie. Our rates of incidents and near misses have dramatically decreased resulting in a safer work environment and lower WCB premiums. Pros Templates for all of the major components of our OHMS such as: - Toolbox Talks Incident reporting and investigation Inspections of sites and equipment Accident investigations Risk Assessments Employee Certifications Analysis of stats Cons It would be great if the system could alert you (instant message/email) when someone has assigned a corrective action to you. What sets SiteDocs apart is its ease of use and customer support. On top of that, the support team is responsive, knowledgeable, and genuinely invested in helping you succeed—whether that’s onboarding, configuration, or ongoing improvement (there are lots of new exciting features on the way). Pros SiteDocs delivers outstanding value for money and has become an essential part of our safety and compliance toolkit. The platform offers a robust set of features—inspections, hazard assessments, corrective actions, document management, and analytics—all in one place, which reduces the need for multiple systems and saves both time and cost. For the depth of functionality provided, and the flexibility of the platform, the pricing feels very fair and easy to justify. Safety Manager Construction Used the software for: 1-2 years ### "Sitedocs is a simple doccumentation platform" October 8, 2025 3.0 Site docs was an adequate platform, they were about mid on value for cost (some are better some are worse), and while I prefer another platform I can see some people finding it to be ideal. Specifically if the user(s) administrating it have a low technical ability on computers or only want the simple features that it offers (no "if" functions or calculations, limited specific notifications or task assignments). The user interface makes navigating to documents forms and certifications very easy for end users in a way I haven't seen replicated as smoothly on other systems. Pros Site-docs was easy to use and had a good interface. Some features I miss compared to other platforms are repeatable segments and common lists. It was extremely easy to pull and review documents for things like audits or to send to customers. Cons The features and abilities were limited. For example while there were sections where workers could upload certificates but no ability to track outstanding certificate renewals and training matrix requirements, site analytics were not helpful in gaining insights or tracking requirements. Tracking and completing tasks created by sitedocs forms was not easy and was not able to work for us in tracking deficiency reports on equipment. There are still some glitches but they are few and far between. Pros How easy it is to use both in the office and the field. Switching between applications is smooth and no loss of information Cons Revising of some of the documents without having to remove them and starting over. Having to sign each and every time there is a change but until each document is reviewed thoroughly it's hard to see what change was actually done. The team is great. As mentioned above, I have used them less often as I have already customized some forms that seem to be ahead of even today's demo. But you are always looking to improve your functionality and I appreciate that. Pros Value for the money, adaptability, customization and customer support. Honestly, I used the CS more last year that this year as I have already customized my forms. Cons The fact that it is only in the last little while that forms and reporting has been tailored towards COR and ISO requirements. Even with today's presentation, I feel I have a much more functional Hazard assesment form - built in SiteDocs, that can flag Corrective Actions, but allows for selection from a list of hazards and then corrective actions, combined with a before and after risk rating system so that it is COR/ISO compliant. I appreciate the effort of the team to help make their product useful for us in the rare times that it isn't intuitive enough for us to discover how to use it on our own. I first started using it at Red Deer Ironworks Inc., back in 2019/2020 I believe it was. I have now joined another team (Outsource Compliance Solutions) which extensively, and exclusively, provides our service through SiteDocs. Pros SiteDocs is a leader in terms of options for providing our team's Safety and Loss Management System to their end users. It's easy to use and the customer support (looking at you, \[sensitive content hidden\]) is top notch. Cons The price is probably the most challenging when compared to other competitors. The needs are always changing so it is very flexible. Cons The equipment setup is very cumbersome to hand over to your tech team to input our inventory in SiteDocs. We do come together as a group about 4 hrs into the shift but that's a lot of the day where we are distributed and Site Docs allows us to provide a cohesive safety message to everyone and keep inspection results in a central location. Being able to schedule weekly inspections and assign them to specific workers also works to ensure accountability. Having everyone's certifications and competencies in one place also makes compliance checks much easier then searching paper in a file folder. Pros Site Docs works great for our company. We have distributed crews who have staggered start times and different locations Using Site Docs allows us to get everyone on the same page with the toolbox, allows the crews to do the daily inspections of their vehicle or vessel. The inspections are logged and can be checked from the office which also allows us to check fuel states for the boats to plan fueling for the day. Being digital means there's no more lost paper. If a feature does not yet exist, the developers have been very receptive to feedback to make it meet the needs of the end user! I primarily use if for uploading company specific resources that can be viewed in real-time by all of the assigned users. It is also how we track employee training (dates & certificates), varying audits (in-house, client, DEQ+), good catches/shared learnings, safety meeting topics & attendance (& who needs caught up by filtering & checking), & with the latest feature of editing how the menu is viewed based on location, I can allow certain documents to be the primary options for the the departments that they serve (so they are not spending field time sifting through every resource & form I have ever uploaded or created). In addition, we customize fillable forms to meet the need of the department (& can make real-time changes based on feedback). We have Project Managers who use it, HR who can reference it, Quality who performs audits on it, Division Managers & Supervisors from our Ironworking, Maintenance, Pre-Engineered Metal Buildings, & Overhead Dock & Door Divisions that utilize it, the Employee Development Manager who can initiate orientations on it, & the Safety Department who has relied on it the heaviest for the longest. It has even been the primary backing & method of single point reference for a thorough client audit that we were spot checked on, & it really streamlined the process! Cons The primary downside in my eyes is that the full metrics is an add-on feature at additional cost. An inconvenience is that when you use an image in a fillable form, it appears as a default in the final signed document, even if that section did not apply & was collapsed. Reason for choosing SiteDocs I began with SiteDocs at a previous employer & helped build it up into the usable format it became at that time. The team is very kind and quick to respond to requests for help. Pros Adaptable product. We have been able to adopt almost all of our paper forms into a digital format. This saves time in filling and record keeping. It also ensures each document is named correctly based on company naming conventions. We have utilized this software to transfer incident reporting, inspections, investigations, and much more into a digital form. Cons The software is missing customizable features that allow you to change the appearance of finished forms. The current style is very blocky and colorless. Allowing the user to customize the finalized forms section headers using hex codes would make the forms easier to read, and appear more complete. Also, having if/than statements in forms would allow more similar forms to be in one, making it easier for the end user to select the correct form. We not only save time, but we also bring more visibility to our safety program. Pros SiteDocs is very easy to use. I also like having the ability to build my own forms. Most of SiteDocs competitors make you send them the info and they build your forms for you, all while you wait days to get the forms built and setup. If you need to make a small change or correction, you then have to send it back and wait again. SiteDocs not only will help you with you forms, but they let you be in control. We dispensed tablets throughout our facility so all employees have quick access to SDS's, company policies, work instructions, etc. (many other features), at the touch of their fingertips. When everyone realized they were all part of safety, they started filling out forms to better our safety program for our facility, which led to breaking our company safety record. Pros Extremely easy to use and gets employees more engaged about safety, you do not have to be "tech savvy" to use this software and the tech support is VERY responsive when you have questions. Cons Small things; not being able to easily switch forms from public to private (you have to rebuild a whole new form), not being able to adjust an employee email without having to create a new profile. To be able to track and analyze the incidents in our large facility has been great for reducing and risk mitigation. I would also like to commend how great the customer service team is. They always go above and beyond to support! Cons It depends on the industry you are in and the settings you use but at times there are situations that arise that can be difficult to appeal to all. For example, when an incident report is signed it is emailed to those you specify.
