It's a great system. We use it for tracking clients, running reports, and keeping current with dispositions.

Pros

Reports that are available for grant reporting (VOCA, NCA, CAC). I also like the quick response and how helpful everyone is when I have questions about the system.

Cons

I wish I knew more about all of the aspects of Collaborate. I'm sure we could be using it for additional things than we are currently. I believe there are tutorials somewhere but I haven't accessed all of them yet.

I really like the way the calendar is set up. It is easy to navigate and find what I am looking for.

Cons

The way reports are set up is a little difficult to navigate, especially for mental health and medical referrals.

Collaborate is a wonderful partner in our work to bring equitable case management abilities to all centers in our state.

Pros

This software is a powerful tool through which to manage and track cases and related documents. It captures a vast amount of information, and issues reports on any type of measurements. Most importantly, its customer service and support are top-notch and the best I have experienced in any industry. They are friendly, responsive, and extremely quick to answer any question or resolve any issue.

Cons

There is a bit of a learning curve in terms of understanding how to enter cases and run reports. However, Collaborate provides plenty of training and support to assist with this.

Great. Need more time and staff capacity to dedicate toward maximizing our Collaborate usage.

Pros

Collaborate captures a lot of useful data.

Cons

Having to run multiple reports to get data. I’d like to be able to pull 1 report by staff member (or multiple staff members) that tells us the number of clients and services in an identified period. The Collaborate calendar doesn’t integrate with Google.

Absolutely amazing. From the top down. The staff truly understand their role in helping organizations like the CAC make lifelong impacts in the lives of child and sexual assault survivors.

After learning how to complete the reports that we needed, our organization has been able to create reports to identify the human errors in data entry.

We do like the scheduling capabilities as well as the ease of uploading documents and viewing them. Overall, there have been updates and improvements that have been helpful and at the same time there have been updates and improvements that are not helpful.

Pros

Once a profile has been created, it is easy to navigate. We like the capability of adding documents to case notes and being able to view as opposed to downloading to view the document. We also like how it helps us track data for grants. We also like the report feature.

Cons

Sometimes there are glitches that cause delays for our CAC. We do not like how we are unable to copy another profile from another CAC when we are all under the same umbrella. When preparing for MDT meeting's this causes our coordinator significant delays because we are having to create a brand-new profile for each child when one already exists at another CAC.

### "Collaborate & Me: We are working on our relationship"

When the mental health rollout launched in Collaborate on July 1, I became much more involved in the learning process and in the various meetings and conversations surrounding the transition. I have to say, I’m beyond grateful for the patience, availability, and willingness of the team to continue answering questions along the way. We are a small but mighty mental health agency, and as with any new rollout, we’ve had our share of things that needed troubleshooting and fixing. Not everything or everyone is always working perfectly at the same time, and I will fully admit that I have a hate-hate relationship with technology. So, a huge shout-out to the Collaborate team for being so responsive and patient with me through all of my questions, learning curves, and yes… my fair share of mess-ups! Having people who are willing to walk through the issues, explain the “why” behind things, and make themselves available for follow-up questions has made this transition much more manageable. I genuinely appreciate the support and partnership as we continue learning how to use Collaborate effectively for our mental health services. And a very special shout-out to \[sensitive content hidden\] for his patience, availability, and willingness to help me work through all of the mess-ups along the way. I truly appreciate it!

Pros

Personally, I’ve found Collaborate to be very user-friendly and accessible, particularly when it comes to data analysis, generating and gathering reports, completing HIPAA-compliant documentation, and viewing everything within the scope of mental health services. It’s also the system I was originally trained on, so I’ve had the opportunity to learn and adapt to its different nuances over time. I also regularly pull reports for interns so they can review specific social work-related information, and I was honestly surprised by how easy the data, reports, and information were to navigate and understand—not only for me, but also for my first-year social work interns. That accessibility has been especially helpful when introducing newer clinicians to the system and helping them understand the information they’re working with, as well as using the available data and reports to support their learning and clinical work. That said, I recognize that Collaborate isn’t perfect and there are definitely areas where improvements could be made. However, one feature I genuinely LOVE about it is that it has never deleted my work or timed me out if I step away from the computer for a moment while documenting a clinical case note. That has honestly saved my life more than once when I’ve been in the middle of completing therapy documentation! From a clinical standpoint, that reliability is something I really appreciate. When you’re spending 30–60+ minutes carefully documenting a therapy session, knowing that your work will still be there if you have to step away briefly is incredibly valuable. It’s one of those smaller features that may not seem significant on the surface, but makes a meaningful difference in the day-to-day workflow for clinician

Cons

My cons are pretty simple, and most of them are more opportunities for improvement than major concerns. One thing I do wish Collaborate had was a way to consolidate child advocacy cases when clients return to the agency for additional services. I’ve noticed that the same clients can have different case identifiers when they return in different years. When I first started using the system, I would sometimes put mental health notes under the correct client but accidentally select the wrong case number because the client had previously received services during a different year. That was a brutal learning curve! Having a way to clearly link or consolidate returning clients and their cases would make that process much easier and help prevent documentation errors. Another con has been the text message reminder feature. I’ve attempted to utilize the feature from the dashboard for my therapy clients, but I’ve found it to be somewhat faulty and unreliable. When using a reminder feature for appointments, consistency is really important, so having a more dependable system would be incredibly helpful. I also wish there were options to document military service or military engagement within the demographic section of the intake information. Having that information available as part of the demographic profile could be useful clinically and provide a more complete picture of the client and their background. My last con is related to the new mental health referrals. There are some really great questions included in the referral process, but I do think it would be beneficial for certain clinically important fields to be required before a referral can be submitted. For example, information related to safety concerns and psychiatric history is extremely important when a client is being referred for therapy. In particular, I think having a required field addressing suicidality/suicide risk would be very beneficial. Even if the answer is none reported, having that information documented before the referral reaches the mental health provider would help ensure that important safety information isn’t unintentionally missed and would allow clinicians to have a better understanding of the client’s needs before the screening and intakes begin.

### "SCNCAC Collaborate Review"

Overall, our experience with Collaborate has been positive. The system has been helpful to CACs across the state in managing and entering their data, and we believe it has been a beneficial resource for our network. There have certainly been some hiccups along the way, especially as CACs have learned the system and expanded how they use its different features, but the support we’ve received has made a big difference. Largely, the Collaborate team has been available when we’ve needed assistance, although response times have been somewhat more sporadic at times due to changes in Network Ninja staffing. Overall, the Collaborate team has been open to making adjustments and considering changes to better meet the needs of our CACs statewide.

Pros

I really like that Collaborate gives CACs the ability to move toward a paperless process. Having all of the information in one place makes day-to-day case management much easier and significantly simplifies grant reporting. This also allows us to accurately pull aggregate statewide data at the network level. Scott has also been a tremendous help in troubleshooting issues CACs have encountered and brainstorming effective process flows as CACs gradually begin using more of Collaborate’s features. It’s been great having someone willing to work through the challenges with us and help find solutions that actually work for our CACs.

Cons

There are some process flows that have to be adjusted to work around database limitations. For example, when uploading documents to a service note, users are limited to uploading one document when the note is created at the same time as the service. If multiple documents need to be attached, the note either has to be created after the service or edited afterward to add the additional documents. It’s not a major issue, but it can add an extra step to the process and be confusing to newer staff members. There are also a few limitations with custom forms and the signature module that appear to be related to the current Jotform integration. My understanding is that one of the improvements with the new/upcoming version of the database will be replacing Jotform with built-in functionality, so I’m hopeful that will address some of these limitations. Another area of feedback I’ve received from a few CACs is around advanced reporting capabilities. Some staff would like access to more advanced reporting tools. Previously, this required a separate training with Collaborate before access was granted. Since that training is no longer listed on the training schedule, CACs may not realize that advanced reporting is still an option. It would be helpful to have that training or access option communicated more clearly.

### "Ways to streamline system"

Pros

Reports are very helpful! However, it takes a bit to figure them out. Receiving a quick response when submitting support requests.

Cons

Collaborate is not user friendly and there are things that could be streamlined to make it easier (ie: being able to copy things like allegations, addresses, and phone numbers between associated cases; being able to upload multiple documents at a time, or copy documents to associated cases; instead of having to click through multiple tabs to view all the information on the chart and wait for the page to load, just have it all listed on one page. The DVSA/CAC sides being separated makes it very difficult for dual/tri agencies. It would be helpful to be able to search for clients for things other than just name and chart number (ie: telephone number or address)

Overall, I am glad our state switched to Collaborate. We were using NCAtrak before the switch and it didn't offer the details in the data and reporting that we were trying to capture. I love how we can attach documentation and categorize into folders.

Pros

I like the detail collaborate offers users. I like that we can cross-check client names and DOBs with other CAC sites within the state.

Cons

I feel like there needs to be more training on the Reports features and building reports. Especially if you need to create columns and advanced columns with subfields. It can be really confusing to make sure you are getting everything right.

Sometimes updates are done and we are not notified of the new changes. I believe we get alerts when we log in, but those are harder to follow.

We have found Collaborate to be a practical tool for our brokerage, particularly for keeping our team connected and giving management better visibility into daily operations. We need our teams to communicate effectively and have visibility into ongoing work, and the platform helps support that. The system is most effective when the entire team follows consistent processes and uses it regularly. There is room for improvement in areas such as reporting, but it provides useful functionality for collaboration and organization.

Pros

The platform is relatively easy to learn and provides a straightforward way for our commercial insurance team to collaborate and stay organized. The dashboards give management useful visibility into team activity and provide a quick overview of what is happening across the business. Having information centralized also makes it easier to identify trends, analyze performance, and make more informed decisions.

Cons

Reporting could be more robust, particularly when it comes to creating highly customized reports and extracting information for more detailed analysis. Customer support is generally helpful, although more complex issues can sometimes require additional time and follow-up to resolve.

Pros

I really appreciate the customer service and the ways that they will help adapt the system to meet the needs of the company.

Cons

The system is being improved upon, which means that there are often updates that come with bugs. The team does well on trying to reduce this and fix it as soon as possible, but it can be difficult in the interim.
