Gone are the days of manual coding and scanning! I love being able to send invoices to the email and have them in the portal to quickly code and submit. This software makes coding seamless and easy! Implementation Team was helpful, patient, prompt and kept things on track. Pros Ease of use and fully integrates with our software (MIP Fund Accounting). Implementation Team was awesome! Allowed us to move to electronic approvals and alleviated need to shuffle paper. Documentation readily available as needed with complete audit trail. Cons Could not incorporate distribution codes housed in MIP; work around was found. Implementation training limited to personal data - test data would have allowed for more practice. February 14, 2025 3.0 I have never used it. I just talk to our PM company who hires the contractors. I talk to the contractors who are walking off the property because it takes their accountants days of full time work to get 100 invoices approved by AvidPay. Pros Our property management company who manages our apartment loves it. Cons Our contractors absolutely hate it. They upload invoices - 24 hours later they get denied by Avid-no-Pay as they call it. They get coaching from the PM company, resubmit. They get denied. We have our subcontractors walking off the property because they cannot upload invoices to get paid. Review Source MZ Madge Z. Also support is easy to connect with and very helpful Cons Would be helpful to be able to have separate export for owner bills with avid extracting the markup. Pros It gives me full control and visibility of every bill that's been captured and paid, reducing the amount of time I spend searching for specific bills. Cons To me, the workflows are still somewhat confusing, but considering that I didn't have any training when started using this tool, it is still user-friendly. Indexing and updating has been bad Pros It has been super easy to teach people how to use it. It has been great from an approval standpoint Cons Indexing has been a huge problem. I have used a plethora of AP processing platforms and by far Avid has been the most reliable and easy to use platform. I still have to use others and I dread it far more then when I know I have to process invoices on Avid. I would recommend this platform to anyone in my industry. Pros \-Uploading/Sending invoices to AVID is less than 24 hours -Invoicing History is always available and goes back more than 1 year which can be helpful -Header and distribution lines are easy to use -Codes pull from our chart of accounts making the coding process painless -Save and approval are very easy Cons \-Invoice feed does not separate invoices per property they are all mixed in with each and cannot be organized on our end. This makes it difficult when you are coding per one chart of accounts and then have to switch to another when the next invoice is a different property. -Header dollar amount line when changed does not reflect in line item and creates an extra step to adjust amount in multiple places adding time to coding Review Source CB Cindy B. We don't have to file and store thousands of invoices a month and cut and sign checks for all of these payments. Pros It has streamlined our payables process substantially. All invoices can be located in our Avid module, review and approval of the vendor invoices, and most important, it integrates with our property management software. Cons Everything is good, we really don't have any issues. Reason for choosing AvidXchange We chose Avid since it integrated with the property management software we use. May 6, 2024 5.0 Overall I've had a great experience with Avid, I just wish they would make small changes to Capture. Pros I love that Avid makes it easy to pay invoices but downloading them to a que and inserting all important information. All I have to do is review the invoice and click submit. This saves me a ton of time per invoice. Cons I dislike the capture system. If an invoice is listed as a duplicate and it is not, there is no easy way to get it processed anyways. It is also easy to upload invoices to the system and see its progress until it is finalized. Pros I like the ease of using Avid, it is easy to upload invoices and approve them in the system. If I were asked to keep Avid or switch to another company to outsource payments, I would probably advise that we should switch. We are relatively happy with Avid but could be happier elsewhere. I have used similar services from other companies in my career and Avid is not what I would consider "top tier". Pros I really like the ease in which payments can be made. The integration with NetSuite (which we use as well) is near perfect. We have everything we need to send our payment information to AVID and have the process begin. The avidxchange.com interface is also very easy to use and it is awesome that we get up to date status on each payment. Cons The customer service. I don't have an assigned contact for my team any longer so the only way to speak with someone is to send in an email and hope they get back to you. I need answers right away on issues involving payments and do not get this very often from AvidXchange. When we do get someone to help, they are usually very knowledgeable and end up solving our problems but the issue is getting someone to help. I feel it is an issue with the staffing level and not the actual customer service employees. Also, my team is CONSTANTLY having to send over copies of invoices because the companies don't recognize the payment being offered by Avid, even though the invoice number is listed on your remittance. The ability to not include any enclosures (tax forms, signed contracts, etc.) also hampers our usage of the product; we still have to run some checks manually and if we are doing so, why not just run ALL of our payments this way? February 26, 2024 5.0 Pros I believe the user-friendliness and the weigh lifting it does on our Accounting department is what I most like about AvidXchange. It is easy to use and easy to navigate through the site. Also, the Avid Utilities feature is definitely a must have, that way you don't have to worry about getting late fees on your utility bills. Cons I don't have any cons at this moment. I believe in continuous improvement and finding new and better ways to make the product more valuable. I believe AvidXchange is doing a good job so far. One item that would be good to add is to provide more training support and to have a more broad communication to the people who have access, especially when the system is encountering technical issues. Pros Our Implementation Manager was amazing -- he worked with us to build, fine tune and train through weekly meetings and quick response times. The software does what we need and has become an incredible time saver for our growing organization. Our entire team has easily learned to code and approve invoices, allowing the Finance Team to process and pay quickly. Cons This is a robust website, and our rural Internet is sometimes slower than I'd like ... but no fault of AvidXchange! We were able to eliminate a position and one of the unrecognized benefits of the system is how easy bank reconciliations are using Avid. A true plus when we are doing 40+ per month Cons There are small enhancements that I think could be implemented but it doesn't seem that there is an avenue to suggest these changes. This product is simple, streamlined, efficent, and accurate with the double checks it has. Pros AvidXchange and AvidPay have been an amazing addition to our company. A process that used to take hours for numerous positions to implement, has now been dwindled down to just 1 person a little every day. It made it so our company has been able to streamline accounts payable. The ease of the software and the unbeatable customer service was crucial to the implementation. The onboarding process was smooth and we had people helping us every step of the way. Integration with Quickbooks was done successfully, and even when we hit a few bumps along the way, their team jumped on it and got it done. Cons Honestly, everything is great. The only improvement I could see is a better search tool for AvidPay, more like the invoice search tool, as the current one takes a bit to figure out. That being said, the great customer service from \[sensitive content hidden\], made it so we learned how to use it correctly.
