### "Customizable software for practices that operate differently from the rest!"

Our overall experience with InSync was great! There were much fewer "disconnects" between what the sales team promised and what was actually delivered than we expected. Their company is highly organized and the process from sales to use was very transparent. In the areas where the software fell short, their team was able to provide a workaround for our practice in the short-term while their development team was notified to make long-term adjustments. The implementation process happened in the midst of the COVID-19 outbreak. Which for us meant moving our on-site implementation to virtual. With that being said, InSync was still able to provide a good implementation for our practice all through Zoom calls - which further speaks to how well trained and adaptable their staff is.

Pros

\- EHR module for mental/behavioral health services is very comprehensive and comes with the ability to automatically integrate patient responses on forms and normed tools right into your notes. - All of the reports are very comprehensive and export to excel with filters already built-in. You can get information as granularly as you need. - Generally, most aspects of the software are highly customizable. - Support and Implementation teams are highly accessible and responsive. - The development team seems to make rapid improvements and feature requests.

Cons

\- In addition to behavioral health, our practice also offers Speech, Occupational, and Physical Therapy services. Many of our patients are receiving services from multiple disciplines. Where this software excels on the behavioral health part of the EHR, it falls short for our other services. It does not have built-in templates/graphs for evaluations of the Allied Health disciplines and InSync does not have clinical professionals on their staff that really understand the clinical work-flow for those services which can make setup and implementation a challenge. We've also found that clinical goals can get shared across providers of different disciplines which can cause the note-taking process to be more cumbersome than necessary. - As this software is customizable you must "purchase" licenses for use. If you are a practice that has a fluctuating number of physicians, the process to get licenses for providers is over-kill. - With a high-level of customization comes many menus and places where changes can be made or things can be found (or lost). For many people, getting around the software is not as intuitive as others we've seen.

1\. The customization for our practice needs is/was excellent. 2. The transition from our past EHR system to this was one was almost flawless.3. The support from InSync/Qualifacts employees has been amazing. 4. The workflow for each department is customizable making the system near perfect for our company needs.5. InSync is extremely intuitive as all systems within the program are interconnected, reducing time needed to move through the system and complete tasks. 7. The reporting functions are excellent.8. 1\. It would be helpful if the Roles and Permissions had greater detailed descriptions as it can be difficult to identify what each permission allows or prevents.2. Some reports don't produce summary/raw data. However, most due and the reports in the system are excellent.

The demo we participated in demonstrated that InSync was a superior product and offered a more effective workflow. The ability to customize anything and everything was a key reason we went with InSync. Lastly, the fact that we would be connected to a support team that responded quickly and can provide support through out our time with InSync.

My overall experience with InSync was a good one as we like to say here at our organization InSync will assist us as we grow and Level up in our services we offer to others and that our impact in the lives and communities we serve will be greater making our city better One Day At A time and one person at a time.

Pros

I like that InSync will enable us to become digital in our work flows and it will connect our programs together across the whole organization. It will cause our organization to grow and become more adhesive in the work we do, and we will be able to track the services we offer and see the effectiveness or ineffectiveness of certain programs enabling us to make changes that are needed to make us better.

Cons

The integration was not easy just more work than I anticipated but to be fair we are really just getting started.

Reason for choosing Qualifacts Insync

We were sold on a product that could be customized to our practice. While this is true, for a very small amount of our dynamic forms which we built ourselves this was not true for parts of the system which were preconfigured. Very convincing sales person and initial implementation specialists (which are no longer with the company). Our current implementation specialist is fantastic and knowledgeable. He has gone above and beyond to help us out of a very detrimental situation for our practice.

I give it high marks overall. I was expecting some of my staff to be challenged using the software but everyone is catching on fast without problems

Pros

After reviewing many other software, we decided on InSync. We found it to be very comprehensive. It is easier to understand and use once we made time to understand the system. My implementer was patient and is a good teacher.

Cons

It is not a software to learn on the fly. You have to devote a time to understand it and it becomes easier to use. Other than that I do not have much against the software.

With all of the above being said, I think \[SENSITIVE CONTENT\] did a great job! There were some hiccups along the way but he helped us walk through them. It is always hard going from one platform to another- you are so used to doing things the old way that you think that is the way the work flow should be. \[SENSITIVE CONTENT\] did a great job of showing us what we are capable of doing in Insync. He would ask "why do you want to do it that way" and the answer 90% of the time was because that was what we were used to. He would then show us how Insync gets to that same end result and why it was done that way. He went to bat for us with support to try and get a few things added/changed- a big one for us was the scheduler. In the old system we had a view where we could see all the facilities schedules on one schedule, we very much miss that view. We know that it may or may not be implemented but he was still willing to do the work to try. I always had lots of questions and he was always willing to answer them and if he didn't have the answer he was willing to spend the time to find the answer. He was a great asset to our implementation.

Pros

(I used all three sections below to describe our overall experience with Insync) I would say that we are too new to the experience with Insync to really comment on if/how it has helped the business/ practice. I would like to comment on our implementation experience. It is my impression that no one really knew what was going on at the start, I do not blame this on any one person. It sounds like the type of training that we decided to do (Insync University with 10 hours of training with a specialist) was a new tier. Doing the training via the University came with its own challenges as it is hard to find space in a full practice for clinicians/ support staff to get training done. It would have been very nice to have an itinerary laid out. (We were given the itinerary for the large market at first and while that looked overwhelming it was nice to see the time frames and what was expected) For instance, week one workbook completed, week two- trainings 1-6 complete (setup reminder configuration), week three trainings 7-12 completed (ECPS done for the providers)..etc.

Cons

There was a lot that needed to be done but I always felt like we were missing something or we were rushed to get stuff done because we didn't actually know it needed to be completed. When it came to training with a certified Insync trainer, we did one 5 hour block where we closed the clinic so everyone could attend the training. We walked away from that with lots of questions, unsatisfied. It may have been untraditional for a clinic to want to do all their clinical training in one setting but that is what worked best for us as a clinic. The trainer went through the initial setup of the EHR 4 different times, totaling probably 4 hours of that training. Each group that we had go (front desk, med providers, therapists) were walked through the basics/ set up of the EHR. We feel as though it would have been more efficient to have the trainer do the basics once and then break it down further with each individual group. Again, I don't blame this on one person, I think there was confusion based on the training package we bought. I hope our experience can help shape a better implementation process for future practices!

### "Better than what we had"

I find that the entire build out and implementation process is backward. During discovery we explained that we did not want to build out exactly what we had in our other EHR, but we first wanted to see what the system was capable of and we wanted to build out our program based on that. We first wanted to know about the reports and build out forms based on reporting. But we were told it didn't work that way and that we needed to send in our forms to be built out. By go-live we still didn't have a good understanding of reporting and we could have developed things differently/better, had we know what the reports could and couldn't do. I don't think that the programmers communicated well with implementation. The people who built out a lot of the forms did a sloppy job and Jenn and our team had to go back in a fix most of them. Inconsistencies in forms/spelling errors/poor formatting. The experience with Sia and building out the OBH module has been disappointing and frustrating. This module was built out specifically for our OBH reporting needs. That team should have met with us for our wish list for this module. The placement of it doesn't work in our workflow (adds additional steps) and it really should be all on the back end. In our lasts system we didn't need to do anything within each note, the data was pulled from the compiled note. This is an added burden to our staff. The onsite trainers were excellent and had wonderful suggestions for improvement. Bring them in sooner!

Pros

customizable, ability to run reports, the modules such as Post Hospitalization and Federal Probation and Parole Like the treatment plan aspect of it Jenn was a pleasure to work with and worked hard to work with us through our many changes. She stayed positive when things were very difficult.

Cons

Many of the modules/functions work independently but don't integrate well within the system. There are many times that we got to a point in the development and then had to change direction because one section couldn't do something. We had to make a lot of work-arounds. Some items that we needed to be customized were not able to be, but what was in the system didn't meet our needs (for example the ASAM). There were times that Jenn told us that the system was not capable of doing something and then we found out later that it could ( I recognize that this could be because updates happened). This caused us to have to change direction multiple times. Treatment plan needs to be able to be sent to multiple providers for co-signature. Don't like that at a glance you can't see documents prior. Each PDF has to opened up. So if I'm going in after another clinician and I need to quickly look at the chart and see what is happening, I can't. It would be nice if you could hoover over the PDF and then see it. ### "Rough start but getting there"

The implementation process was very rough for us as we changed specialists several times and when we went live we were nowhere ready to go live. The oversight of that process was lacking - someone at InSync should have looked at our setup and realized we were not ready. This caused a very difficult and drawn out process after going live. The implementation specialist we got after go live who did stay with us throughout was wonderful and the only reason I gave a 7 as to likely to recommend InSync. If it were not for \[SENSITIVE CONTENT\] I would not only not recommend InSync due to the botched setup/implementation I would recommend against it to others. I hope the positives that come from our situation is that processes are improved to make sure the setup is more complete/on target before going live for other companies in the future. The number will go up if support and new feature implementation goes well in our next few months.

Pros

The flexibility and customization are the best features of InSync. So many other systems are very rigid and not able to be very personalized.

Cons

Some areas there are way more clicks than is necessary, or the area you are in has several options but the one that is automatically open when going there is not the one used most often - so more clicks.

Our implementation specialist, \[sensitive content hidden\] - made the whole process manageable and continues to work hard at resolving any concerns as they arise! He was instrumental in our success and couldn't have been a better reflection of inSync as a whole. He made sure that every person involved was heard and their requests were always fulfilled in a timely manner. He projected his confidence in the system to our end-users - his enthusiasm and positive attitude were contagious!

Make sure that the Integration team is transparent about "Go-Live" does not mean you need to start doing services immediately, that "Transitioning" seemed to be the point of being 100% integrated. Please also inform the users that there will be a lot of work associated post-Data Migration (would have liked a week in between Data Migration and Training to complete set ups correctly so that trainers weren't having to manage that in the moment).Wish that the Claims Processing screen showed more claims at one time when you are searching!Would like if the PT portion of integration started sooner in the overall integration - depending on the Billing Rules certain Encounters were affected and it would have helped to manage that simultaneously.

Very positive, \[sensitive content hidden\] the Implementation Specialist was very helpful, knowledgeable about everything we needed, and was always very friendly throughout. \[sensitive content hidden\] who did our billing implementation was also very helpful and patient with me as I am not as knowledgeable about billing. Overall, a very positive experience in implementation.

Pros

Insync has the most features, and is very customizable to how you want it to be used, based on workflow and they types of services that are specific to an agency.

Cons

Specific to our industry- we will probably be needing what is being called EVV (Electronic Visit Verification). This is becoming popular for companies that provide community-based services in the home. EVV is a GPS verification system that provides proof to insurance companies that a visit was performed. The best way to use EVV, is to have it tied to your EMR system, so there aren't multiple systems being used. It would be nice if Insync could develop something that would accommodate this, as EVV becomes a requirement for us, and probably many other services.

I was initially excited about this new system because of the capabilities that it was said to provide (i.e., customization to meet the needs of the clinic, streamline communication between 2 locations, departments and therapists, ability to complete daily notes quickly and easily, ability to keep up with progress reports and due dates, simple and intuitive user experience). However, from the first day it was a complete nightmare, greatly contributing to my decision to leave the practice and seek employment elsevisor, it was always difficult to review my assistants paperwork remotely. We eventually had to schedule extra time outside of our normal duties just to sit down and go over paperwork face to face. This system caused me to spend countless extra hours working at home and at the clinic just to troubleshoot. My efficiency and quality as a therapist was compromised; More focus and time was needed to deal with inSync, leaving very little time to plan effective treatment sessions and give clients what they need. In turn, this created dissatisfied clients. How could it be improved?: The only way this system could improve is to not exist. I not only lost income and time, but I also decided to leave a great company solely due to this software.

Implementation team was kind and helpful when on site.

Cons

1\. The system was always freezing up causing me to lose paperwork. If it didn’t freeze, sometimes it would take 30+ minutes to load the next page or save when working on things like evaluations. 2. The user interface is very complex to navigate and learn. Requiring countless hours of unpaid work. 3. As a supervisor, it was always difficult to review my assistants paperwork remotely. We eventually had to schedule extra time outside of our normal duties just to sit down and go over paperwork face to face. 4. Whenever there were updates, so many things would change, it was like learning the system all over again. 5. Patient files, names, contact info and important dates were very difficult to access causing many miscommunication between therapist and families. where. 6. Printed documentation was poorly formatted, further impacting my professional image as well as the clinic's

### "This application has the potential to be great with a massive overhaul"

Overall, I believe this application has the potential to be really good though it needs a rather substantial overhaul to be fully brought into the 21st century. For an application that hasn’t been around a decade, some of the features are quite dated and there is zero transparency on suggestions for application modifications and seemingly zero quality control. I firmly believe that many of this platforms limitations is the result of skill (or lack thereof) of the developers as many much older EMRs have the basic functions that InSynch lacks.

Pros

You can add your own forms and documents. (Although said custom document seem to exist pretty much as stand alone documents. There is no way to inject otherwise populate data already within InSynch into said forms thereby requiring lots of manual typing of duplicative data).

Cons

This application has NO test environment. This means when you Go Live and as you continually onboard new staff, you will be playing around in your live system. This matters because there is no way to delete anything in this platform, not even as an administrator. The application is exceptionally slow. There is no global autosave feature which means that there is a huge possibility of loosing data. Pages take a long time loading. The calendar needs a massive overhaul as it is very dated and rather limited. Providers cannot individually set their availability. Availability is limited to the agency hours and no appointments can be set outside of this without resorting to all sort of antics. Client documents must be added one at a time. Actually, very little can be completed in this application in bulk, which is very frustrating and time consuming. Moreover, you cannot download a clients entire chart at once. Each document must be downloaded one at at time which is unnecessarily laborious.

Pros

The customization both with only paying for services used as well as how much the actual EHR can be changed in terms of how a note looks, bringing previous notes to compare plus keep some information if the same.

Cons

I mentioned above about the prescription platform. This is bad enough that I could consider changing EMR once main contract is done. The other issue is lag. There are times it take several minutes to be able to open a page.

The cost compared to the amount of customization. It is nice to be able to only pay for the services used. I also felt the salesman did a great job taking the time and answering all my questions in very timely manner. Very professional and real. I never felt like I was just a dollar sign. Although there are things I don't like about the EHR, I feel I wasn't mislead at all. It's just something you see once start using it.

I only first went live beginning February 2021, with the encouragement of \[SENSITIVE CONTENT HIDDEN\]., my Implementation Specialist. I admit, in the beginning I felt overwhelmed because I am the sole provider I had to learn all aspects of the software. However, \[SENSITIVE CONTENT HIDDEN\] encouraged me to hang in there and promised the support would be there when I needed. I'm very happy I hung in...Insync is going to make my professional life so much easier.

Pros

Insync allows me to bring all facets of my business under one umbrella: program management, submitting claims, client/patient statements, clearinghouse, credit card processing, patient portal with customized forms for progress notes and initial assessment, along with HIPAA and consent for treatment, and telehealth with Zoom that is very reliable. With the portal, patients can make their credit card payments online and send/receive emails that are all HIPAA compliant.

Cons

Setting up insurance companies was a bit of a challenge; however, that is because I forgot to change my address on Medicare website which caused a glitch in processing claims.

Reason for choosing Qualifacts Insync

I actually signed on with AdvancedMD which proved to be too robust for a sole provider, for me anyway. There are way too many functions to learn and process. I ended up terminating after about 4 months. It would be great for a larger business. Insync Healthcare is more reasonable financially than AdvancedMD and Icanotes with all other added aspects of my business as well.

Specifically, aspects of my business were spread out. Program management and electronic billing are included with Icanotes. However, every other aspect of my business was outside Icanotes software: clearing house, the telehealth, credit card processing, initial assessment had to emailed to patient in paper form to be completed and returned to me via email, fax, or snail mail. Patients had to go to my website to make credit card payments. All aspects of my business were too scattered to function smoothly. With Insync, everything for my business in all under one umbrella.

### "Good EHR, Terrible Launch"

It is a very easy to use software that is well designed for mental health

Cons

After purchasing, it took forever for someone to reach us about implementation. After that stage, the person working with us did not understand our practice needs and gave us poor advice. The sales team made us buy hours of training we did not need or find helpful. The person that took over for the first implementation specialist did a great job but had months of difficult work to undo. Even after we are officially launched, we are missing a lot of information and the third party vendors ignored or forgot about us. While the software is good, there is much to be desired in implementation.

### "Worst EHR I have ever used "

Worst, most time consuming and ineffective EHR I have worked with. And I have worked with many including in hospitals, private organizations and for the government. I would gladly go bad to any previous EHR just to avoid working any longer with InSync. This does NOT function well for the providers at our clinic using it. It has been a frequent and regular source of complaint

In theory the idea that it is customizable was appealing. I can't call that a pro because it does not function effectively. I can honestly say that after working with it for more than a year there isn't a single thing I like about this EHR. I hate it. I don't have an option to change as I am part of a group practice that purchased it but all providers there reflect regularly on how displeased we are with InSync

Cons

Constant bugs and problems. It does not appear that it is even checked for basic bugs after changes or updates. There are too many problems to list but something as simple as scheduling is so convoluted and problematic. It seems clear that the coders making the changes have no idea what it is like to use an EHR as a mental health professional, what is needed etc. A year later we are still having problems regularly. It is so incredibly time consuming just communicating with support staff about problems with InSynch - I never try to customize or improve anything because I can't rely on it to work and I can't even take time to think about what would be idea because so much time is spent asking about basic functions that aren't working or surprise problems

### "Got a small practice?... Run away, quick!"

In one word I would say, scammed, we felt we were scammed by insync and their upper management. When signing up originally we were offered two options; a monthly fee, where we wouldn't own the software, or we could by licenses which we would own, and just pay a small monthly maintenance fee. After shelling out $9,000 dollars over several large payments, we were sent our yearly "small maintenance fee", a nearly $7,300 bill! Thinking it was a mistake we didn't pay, we intended to get it corrected. Before we had the chance our software was turned "off", or ut into "read only" mode as they are so fond of doing (they this once before without warning when one of our payments was late). How can they turn off access to software we own? Good question, after a conference call with the \[SENSITIVE CONTENT HIDDEN\], and still no answer to that question. We have moved on to another more reputable EHR , we were never offered our data, so now we login when we need to reference information like which pharmacy a patient uses, etc. But even this is being block, someone up high, no one at the help desk claims they can tell who it was, inactivated one of our 4 employee accounts, so now we only have 3 users able to login even though we have paid for a total of 6 licenses.... We have reported Insync and their slimey business practices to the proper regulatory agencies, trust me if you're a small practice, or a practice of any size...run..

Pros

The software itself is good, aside from the speed which slows every now and then, it is updated regularly.

Cons

Every screen that loads basically has to load twice, once for the actually gui to display then it refreshes and places your data within the GUI, definitely slows things down.

### "Very very good EMR"

I am able to now say to the government that I have an EMR that is certified for MIPS and the other current government requirements, which will allow me to avoid penalties in the future.

Pros

It is cloud based so I don't have to go in after hours to do constant "updates" like I used to on my old EMR. THe presentation of the screens appear professional and the notes are laid out in a professional appearing fashion. I like the lab interface as well and the patient portal is very nice.

Cons

The templates are not as robust as what I am used to. THey only allow you to save pre-clicks in the physical exam templates and I really miss it in the Review of Systems. The medication/allergy modules are a third party and don't interface seemlessly with the software. For instance, if a pharmacy sends me a request for a refill on Joe Smith, I can't just click on Joe SMith's name and be brought to the refill screen automatically. I have to log out of the pharmacy screen, search for the patient's name in the EMR, navigate back to the medicine module, search for the medicine that they requested and THEN finally refill it. This is very inefficient. If the pharmacy is requesting medicine XYZ for Joe Smith, we should be able to be brought to the refill of XYZ on Joe Smith with literally one click and no typing of names. I think they are working on fixing this so I am hopeful it will improve soon.

### "Buyer beware!"

Started out great, sales pitch was obviously exciting. Once we started communicating challenges, the walls went up. They didn't try to compromise at all.

Pros

There's really nothing all that exciting about this software. The only positive is that it's highly customizable, but there's many others that are. This company's biggest claim is that they "sell" you a software license. So once you pay it off, there price goes down.

Cons

They "sell" you a software license that you can never return. If you drop $50k like we did and the program ends up not working, they WILL NOT return your money. After trying to work with their \[SENSITIVE CONTENT\] to get our money back, we were told too bad, the deal is done. As a small PT company try to survive, that was a difficult experience.

The team that was assigned to AGS Programs have been nothing but professional to all of us. We greatly appreciated their assistance with navigating this new system. We are happy to be apart of the InSync Family.

Pros

I like how we could include all of our programs and services to one platform. I also like the client portal because it helps to get information to the consumers fast and secure.

Cons

It has been small glitches that needed to be fixed however it was expected while working through the new system. Nothing negative to report.

Overall our experience has been painful- we had allot of turnover with who we were working with and we had over 9 months of building out our program before it was useable.

Pros

The billing features are well put together.

Cons

All other scheduling features are not user friendly- especially if you have more complex features as a practice. The software lack ability to be customized.

### "Outstanding Development and Implementation"

The different stages I have been in with InSync has far exceeded my expectations. The team I have worked with from \[SENSITIVE CONTENT HIDDEN\] everyone has been not just patient and kind, but knowledgeable and helpful. The customer service alone would keep me with InSync, but the actual product is easy for all of our different types of workers from the more technologically hesitant to those who are more fluent in different EHRs. I was hesitant to change EHRs because I know how extensive the transition can be but I have to say it has gone much much better than I would have ever thought!

Pros

I have had to change systems before just a few years ago and the development and implementation team we worked with for InSync was beyond phenomenal. Not just knowledgeable but really eager to make the system work for us instead of just getting it implemented. We had some big changes for our organization in the middle of it and the InSync team came to us with not just a ton of positivity but with solutions and suggestions to our concerns. Phenomenal team.

Cons

I am currently at a point where I am finding very little that I dislike about the program. There is always the minor hiccup here and there finding things we thought we created right but needing to adjust and that really just comes with any system.

Pricing obviously is always key for a smaller non-profit organization. The ease of the system, it is intuitive and is an every flowing system, not waiting for more builds to be stacked on top of each other to work. The hope for faster response times on problems with the system and also the ability to use the system easily on any browser, the client portal and the overall team we were dealing with.

### "A step up from TherapyNotes"

In the four months leading up to transitioning from TherapyNotes to InSync, I have probably interacted with 10 different staff at InSync--all of whom have been remarkably knowledgeable, helpful and responsive. A special shout-out to Implementation Specialist \[SENSITIVE CONTENT\] who was the primary person helping to configure the software and prepare us to "Go Live" with it on 8/17/21--i.e., the date we stopped using TherapyNotes and began using InSync.

Pros

When our private practice out-grew TherapyNotes, InSync was the "next level" practice management and revenue cycle management management system that we chose to effectively manage a staff of 17 therapists and 3 administrative support at four locations with annual revenues increasing from $800k to a projected $1.2M by year's end.

Cons

The impressive functionality and customization of the software can be a bit overwhelming when configuring to meet the specific needs of your particular practice/organization.
