I trialled a number of tools and undertook quite extensive review of options globally to meet requirements for an appropriate tool to support development of organisational business classification schemes, retention &disposal schedules, and information asset inventories. Following this search and evaluation exercise, I consider that a.k.a. is currently the only such tool I would recommend. Now offered as a cloud-based solution (which helps IM professionals avoid issues with installing such software on their organisational estates), a.k.a. is intuitive and enables classification shemes and disposal schedules to be developed outside on-premise applications. As such, a.k.a. provides far more functionality and means to extract and publish associated documentation than would be available in a single ECM/eDRMS/similar tool. Furthermore, it supports a range of import and export functions including support for SharePoint Metadata Term Store and HP RM (and TRIM) compatible formats. As an IM Consultant working with a number of organisations (across federal/state/local government organisations, third sector and the private sector) providing IM in an often outsourced capacity, the only improvement I would like to see is related to another means to procure a.k.a. Perhaps a cloud-based, lower-cost, basic vanilla offering with fewer features to enable me to populate, extract from and handover to clients for their ongoing ownership (and potential later migration/upgrade to a more fully featured offering if their organisation has the appropriate skillset to support it). While I have not yet had an opportunity to fully explore other features of a.k.a. such as its Information Asset Inventory I have been very impressed by the flexibility of a.k.a. to date and with regular enhancements to the software being released can only anticipate it will continue to be useful in future for any organisation wishing to appropriately manage its valuable information assets.

I have creating schema for information environments using aka for many years. While the application started life installed on PCs as a specialized Records Management tool for building business classification schemes, it has now matured into a cloud-based, use-anywhere product that builds every type of scheme you can envisage e.g. classifications, metadata sets, retention schedules, asset registers, folksonomies, glossaries, business architectures to name only a few. The pros for aka are; a) an impressive power to create an array of different schema, b) that it enables logical connections between your schemes, and c) its separateness from the systems into which the various schema might be deployed - effectively providing a single, independent source of truth for all the components of the organization's business/information architecture. The only con I can think of is an unavoidable consequence of its flexibility. The design part can take a while to learn. But the effort is worth it because when it comes to the variety and diversity of the schema it can design and the reports it can produce, the sky is the limit. When subscribing to aka, I urge you to further invest in the education and training offered.

There really is no equivalent product to a.k.a. data governance software. It allows you to create and manage business classification schemes, file plans, retention schedules, thesauri, information asset registers and a whole lot more. It is not the simplest of products to use but that is because it is doing a very complicated job. It is incredibly flexible. It is possible to import and export the information in a wide range of different formats which is essential for this type of work. Any information or records manager, information governance officer or chief information officer should be aware of what this product can do for them and the business benefits it can offer the organisation.

a.k.a. has proven invaluable to our consulting practice when providing IG, IM and even RM advice and services. The pros: It's system independent, so we can use it for any client regardless of their IT environment It's available in the cloud, so we can put it to work regardless of where we're based It's amazingly adaptable - the platform's applications are limited only by your ability to conceptualise them Well supported Cons: It has so many potential applications that it can be difficult to grasp its capacity - it can also be difficult to explain to clients Use overview: Connecting disparate datasets to create information sources independent from the current IT environment: allows for improved understanding of information assets held and creates opportunities to leverage their value

My whole experience with a.k.a has been outstanding. I have heavily relied on customer service to help build databases, give expert opinions on styling and general functionality questions. All of my requests have been actioned either on the same day or have adhered to the time frames agreed upon. This product can be a little daunting to use for someone who has not used databases before, however once you get started it is easily learnt. I use this system daily and would highly recommend it to anyone looking for a 'one stop shop'

I have seen this tool develop over the years - originally starting as a niche (but essential) tool for records managers to develop retention and disposal authorities. It can now do so much more: metadata schemes, file plans, records retention schedules, thesauri, information asset registers, org structures...etc. So much potential, but often still seen as a niche RIM product, when it could be an essential go-to tool for data and information governance.

a.k.a. is an excellent tool that enables information professionals to build taxonomies, metadata schemas, and retention schedules for their information governance programmes. By having a tool to centrally manage these provides consistency in metadata and taxonomies across all systems in an organisation. The support that Synercon provide for a.k.a. is excellent and the team always work hard to find solutions if there are any problems in the system.
