Better that what we had before and easy to use within it's parameters. Pros everything is linked so many different ways to navigate through options Cons In general, TC can be difficult to use for training of larger numbers (up to 12 usually) and recent export option changes do not work for us. It's difficult to determine if we've outgrown Tutor cruncher because our business has grown or if Tudor cruncher just doesn't have the capabilities that we need or want in a system Pros Tudor cruncher has significantly simplified our invoicing process and saved us time at the end of the month on that aspect of our business. It has also worked well for sharing tutoring needs with our teachers and tutors Cons The limitations around putting multiple parents on one account has caused a lot of headache. Additionally, the lack of clarity and consistency on the billing side has caused frustration and concerns. We've also been frustrated with the system reverting back to stripe when we have set clients up on the direct debit go cardless option and that has caused a client to be charged when they should not have been charged. Further, the ability to make adjustments to a bill once a payment order has been sent has caused us to have to pay fees multiple times because we've just had to delete the invoice and resend it and then it's confusing on the client's end because it looks like they've been billed twice. Additionally, we have locations and tutors in three cities and while many of the jobs are virtual, so open to any team member. But it's still expensive to use and not the most user friendly. Support is great. Pros It has nearly all of the features required to run a tutoring business and has helpful tutorials that I can send to clients and tutors, instead of spending time explaining to them how to use it. Cons Lots of bugs when trying to login. I and my tutors encounter these regularly. I have highlighted these to the admins but they don't seem to think there is an issue. The fees and Stripe Split payments system is very expensive and is too slow to release funds. Tutors are not happy that they have to wait 7 working days to get paid. Their knowledge base is really user friendly and the team members themselves have consistently made themselves available to provide specific support and respond to queries as we have made them. I very much appreciate the collaborative approach, particularly in relation to the development of new features and system improvements. Pros TutorCruncher has made a significant difference to our activity as a business - a range of functions that have really helped us to centralise information, run and provide analytics for a range of stakeholders and have robust records for delivery, client payments and tutor payments etc. Functionality such as the creation of enrolment forms that can be embedded onto our webpages has improved customer experience significantly. Cons There are some nuances to the software that we didn't necessarily appreciate the value of in our initial set up phase, which we are now backtracking on! It would be great to have the 'availability' function track across all branches within the organisation so that branch managers can see the full picture of tutor availability. Similarly, it would be great if there could be a process of cloning/duplicating JOBS - this would be a major timesaver for the way that we use the system currently. I have met several members of the team and the support is very responsive. I am set on using this software now and pleased to see the innovations taking place and know they have ambitious future plans and are keen to listen to user feedback and ideas. Many thanks! Pros Once set up and you have got your head around all the functionality the basic day to day processes are very simple. You get great weekly analytics summaries of how the business is progressing (although a monthly summary email would be also really useful!) and the invoicing system works well for tutors and parents. Cons Some of the analytics on the dashboard could be more detailed. I would like the option to view turnover and profit figures inclusive of the Stripe fees. Plus the ability to clearly compare a certain period this year with last year's data to aid analysing business progress. (like Xero offers). Finally if there was a way to add a business forecasting feature to see how the business does against projections would also be really useful and save me time and expense having to do all this manually outside of the platform on spreadsheets. February 8, 2022 5.0 Overall, while there are always learning curves for all, Tutor Cruncher's team has worked seamlessly with our team to ensure that the transition and daily use is smooth. I, personally, appreciate that I can gather questions from my team and take them to the Tutor Cruncher team and we can dialogue about them. This communication makes for an amazing working relationship! Pros As we grew as a Tutoring Agency, it was great to have a system that already had thought of how such a business operates so that the transition could be seamless for our team and our customers. Cons As with any software, there are improvements that with time can be expected. Our tutoring team would love there to be a built-in spell check for reports and outgoing emails! Reason for choosing TutorCruncher As it was two years ago, I don't have the names of the alternative products that we were considering. That said, at the time, we had built a spreadsheet to compare features and pricing. We set up initial consults with the different companies, as well as did a trial of the product. We found Tutor Cruncher's staff to be the easiest to deal with. We knew this would be crucial during the implementation stage and something we'd still continue to appreciate! In our initial conversation, we appreciated that there wasn't a set script that was "Well, that's just the way our system is set up." The support team are also very friendly. Pros It has everything in one place! Saves me from hours of admin in the long run. The priority support chat is also very useful and has detailed and speedy responses. I also love the automated emails and split payments feature! Cons Lack of flexibility in custom fields e.g. custom institutions (not just educational ones) when creating a tutor's profile, and not being able to get rid of the 'other' category when creating subjects (i.e. it'd be ideal to create new subjects without it having to fall in this category!)
