I love the product. It is very extensive, but with that comes a large learning curve. I wish there was more training and support in learning the product.

Customer service and lack of training. The time difference between the US and the UK makes it difficult to get an immediate answer.

Cons

We cannot do the payments through TutorCruncher. This is not your fault, as our organization insists we use Shopify for invoicing. It just causes a lot of extra work for us. :-(

It works well. It is very well designed for what we do as a business.

Cons

Not having a mobile app is incredibly irritating. The addition of one would make a huge difference. Additionally, I would love to be able to customise more, particularly for the client and tutor accounts. There is too much information I don't need and then things I absolutely do need.

It does the job, but is clunky to use, their are often bugs and agents are not well trained enough to help and language is a barrier.

Pros

The ability for tutors to do their own invoicing and split payments work well and keep us below the VAT threshold.

Cons

The customer service is terrible. The agents try their best, but language barriers seem to be an issue. The questions don't get answered fully the first time round, there is a lot of back and forth until the agent understands what you mean, often you figure out the answer yourself in the process (by elimination) and I have been given wrong information in the past, such as that it is possible to split payment three ways - it is not!! This then caused issues with tutor payments. It would be good if this feature was available, it looks like it should be - but then it doesn't work with Stripe.

They are polite and friendly and we recieve quick responses, with helpful information and guidance on how we can get the best from the system. With best practices, little tips and tricks, we can meet many of our business needs and digital transformation aspirations with Tutor Cruncher. They also pro actively contact us and offer to walk us through additional functionality which may fit our business set up. I would highly recommend Tutor Cruncher to a Tutoring Company.

Pros

It is clear to see that the system has been designed and developed by someone who knows the tutoring world. The functionality and features are fabulous, we got up and running really quick and the benefits it bought to our team were great. We were working quicker with less errors and better communication with our Tutors.

Cons

We are a small business and cant' afford to pay for the development of our bespoke processes. However, as a start up, there is so much potential for Tutor Cruncher to grow. All of our processes are not currently supported by Tutor Cruncher, however many of our business requirements are met. It is an exciting journey to be on with Tutor Cruncher, as they are open to our feedback and ideas for additional functionality for the system to be driven forward and grow as a product. I cant wait to see additional processes in the future.

The team at TutorCruncher are responsive and provide support in a variety of ways. Their knowledge base is really user friendly and the team members themselves have consistently made themselves available to provide specific support and respond to queries as we have made them. I very much appreciate the collaborative approach, particularly in relation to the development of new features and system improvements.

Pros

TutorCruncher has made a significant difference to our activity as a business - a range of functions that have really helped us to centralise information, run and provide analytics for a range of stakeholders and have robust records for delivery, client payments and tutor payments etc. Functionality such as the creation of enrolment forms that can be embedded onto our webpages has improved customer experience significantly.

Cons

There are some nuances to the software that we didn't necessarily appreciate the value of in our initial set up phase, which we are now backtracking on! It would be great to have the 'availability' function track across all branches within the organisation so that branch managers can see the full picture of tutor availability. Similarly, it would be great if there could be a process of cloning/duplicating JOBS - this would be a major timesaver for the way that we use the system currently.

### "Great for managing money but awkward for independent tutor scheudling"

TutorCruncher is a great product that is generally well-supported and seems to be growing. My company has around 1500 hours documented in the software so far. If you are serious about creating a robust tutoring business I recommend Tutor Cruncher. If you think you may just stay independent I would recommend one of the cheaper tutor management products or just using the Google suite.

Pros

This software is fantastic for documenting tutoring sessions and keeping track of payments from clients and to tutors. If they roll out the UK features of split disbursement and lower credit card fees using a native payment within the app to the US it will be even better. The API and API support is also excellent

Cons

The calendar synch is one-way and delayed. That may not be a big deal for a brick-and-mortar tutoring business using employed tutors. However for my use case (100% virtual tutoring using independent tutors using different calendars and meeting software) the lack of an effective calendar synch means many of the scheduling and availability "features" are actually in the way and confusing to clients. We can only use tutor cruncher on the "backside" of the appointment to document and charge. As an example of a feature that is desperately needed, the availability needs to be able to automatically update when a tutor schedules something on their personal calendar (similar to Google Calendar appointments). As it stands a tutor would need to constantly manage their tutor cruncher availability. It just isn't worth it for tutors who are doing this part time. Another issue is that there is currently no way to have fields that only a tutor sees but are uneditable for the tutor. I would love to communicate various poliies and information to turtors inside their TutorCrucnher accounts, but tutro custom fields are editable by the tutor. Seems like a a relatively simple function to no include.

Best payment processing and robust API. Cost does not scale with the number of tutors.

### "I wish I'd signed up sooner."

We have found the customer service team really helpful in enabling us to role out the use of Tutor Cruncher slowly as we were very nervous we could end up in a digital muddle.

Pros

I had been aware of Tutor Cruncher for over a year but thought it was expensive at first. Eventually, I found myself and my admin spending hours on tasks that were not bringing in any revenue and decided to look into it further. We took the plunge and have never looked back. Tutor Cruncher is literally saving us hours of administration time every month meaning that we can spend more time matching our clients and tutors together. The Client Pipeline feature is fantastic for tracking leads. We were losing leads before due to not having the time to do follow ups. We've also saved money in not having to have a separate mailing system to keep our clients up to date with new products and offers. If you were like us, wondering how it could make a difference, give the free one month trial a go before you get so busy chasing paper.

Cons

I'd love to see an improvement on being able to create sub sets of files in the uploaded documents section.

Good! Apart from the two improvements I wrote about, I love TutorCruncher and I think you did a great job at building it.

Pros

The number of options available and the fact that it simply works. Other types of software don't always work, so I was happy to see TutorCruncher does what it is supposed to do. I like the number of options and the client-student system works really well, as does the invoicing.

Cons

Two things: 1) The software does not work intuitively. Options are difficult to find and are not where a client expects them to be. I'd advise you to work with someone who knows about customer experience in software and who is willing to update the software with your customer in mind. As a client, the software has clearly been designed by someone who is good at building software, but who is not specialised in customer experience. 2) Translations. These options are horrible. There are many words one can translate in TutorCruncher, but once I did, the original English terms appeared on the invoices, still. When I asked about this, \[SENSITIVE CONTENT HIDDEN\] told me the translations are just there 'for you'. For me? I don't get why it works like this. I'd advise you to either a) make sure the translated terms appear throughout TutorCruncher as well as - most importantly! - on the invoice to the client's customers, so that the client won't have to build a new invoice using Moustache. And b), I'd also be interested to work with you to translate the software to Dutch or other European languages. In that way, your clients won't have to translate at all, and it will provide you with the opportunity to start selling the software here in the Netherlands (as there is no Dutch software available atm).

Excellent. I have met several members of the team and the support is very responsive. I am set on using this software now and pleased to see the innovations taking place and know they have ambitious future plans and are keen to listen to user feedback and ideas. Many thanks!

Pros

Once set up and you have got your head around all the functionality the basic day to day processes are very simple. You get great weekly analytics summaries of how the business is progressing (although a monthly summary email would be also really useful!) and the invoicing system works well for tutors and parents.

Cons

Some of the analytics on the dashboard could be more detailed. I would like the option to view turnover and profit figures inclusive of the Stripe fees. Plus the ability to clearly compare a certain period this year with last year's data to aid analysing business progress. (like Xero offers). Finally if there was a way to add a business forecasting feature to see how the business does against projections would also be really useful and save me time and expense having to do all this manually outside of the platform on spreadsheets.

Overall experience is really good. The support team is always available and very responsive. And for the price, TutorCruncher is an amazing investment. All the other softwares that I found online were way more expensive, either charging based on the number of tutors, or wouldn't have all the functions needed. I found that TutorCruncher was the best because it had all the functions I was looking for being a tutoring company with booking, scheduling, tracking, and accounting all becoming automated. It is an amazing software for tutoring companies.

Pros

The best part of TutorCruncher is the accounting. The automatic charging of clients through card payments, along with the auto generated invoice works really well. Clients only have to put in their card once, and after they are automatically charged by the system. The mass emails also is great because it eliminates tedious emails to clients that one would have to send manually, and keeps clients in the loop/up to date. The tracking of how much each tutor needs to be paid works really well so tutors can be paid at the end of the week/month, or whatever time frame.

Cons

The integration was a little difficult, just making sure everyone adjusted to a new system with accounts and booking lessons. It was a big change. However, it is totally worth it because once you transition totally to TutorCruncher, it works really well on a large scale. There are some bugs in the software that can be annoying, but TutorCruncher's customer service is very helpful in resolving issues.

We have had a very positive experience with TutorCruncher, with positive feedback from our tutors and clients too. It has allowed us to manage the lessons that take place, the ones that are rescheduled and the ones that are cancelled. All users are notified and it has streamlined our invoicing process.

Pros

TutorCruncher has streamlined my business by ensuring that all lessons are clearly accounted for, and that parents are able to review feedback in a timely manner.

Cons

A bulk import of tutors and clients would be an incredible feature to save time for users. Unfortunately this has not been available and it has been very time consuming adding multiple students, clients and tutors to the system.

### "Recent bugs "

We recently experienced some bugs in creating a new tutor profile. We hired a few tutors in March and created the accounts of Tutorcrunch for them. However, all of the new accounts registered in March have disappeared suddenly without any record/history left behind. We know there is a function in TC to check the history of any action. But those affected accounts have disappeared and no record. They just liked not being created. Those tutors have to re-do the setup to their account. This is quite inconvenient for them.

Pros

The tutors' availbility is amazing for communicating with tutors in different time zones.

Cons

1\. The calendar only shows one time zone, we need to switch every time in the setting. 2. If the calendar can be default set as showing 00:00-23:59, it would be best, because we need to manually press something to show more time on the calendar.
