Pros Their OCR engine for purchase invoices has saved us significant processing time, eliminating manual data entry. Additionally, the automatic postings on bank entries have streamlined our financial processes, allowing us to focus on other important aspects of our business. Cons User interface can be more intuitive. Additionally, I found the filters and reports to be less intuitive, requiring some extra effort to navigate effectively. The implementation and integration support was excellent, and the ongoing helpdesk support has continued to be one of the strongest aspects of the service. The combination of a powerful API, highly customisable reporting and strong transaction tracking gives us a lot of flexibility in how we use the system. It is probably more comprehensive than we need in some areas, but the functionality we do use has made our financial reporting and processes much more efficient. Pros The support has been excellent, particularly during the initial integration. We never felt like we were left to figure things out ourselves, and the ongoing helpdesk support has been fantastic. Responses are very quick, and issues have consistently been resolved efficiently. I also really like the API integration and the flexibility of the reporting. Being able to create customised reports and then use an export link to connect them directly into Excel Power Query makes running and maintaining reports much quicker and easier. The reconciliation, GL and accrual functionality is also particularly useful for us, as it gives us a clear way to track and manage where we are with accruals. Cons Xledger is a very detailed and comprehensive system, with a huge number of functions and features. For our business, we don't use a lot of them, so at times it can feel like more system than we necessarily need. However, this level of detail does have its benefits. The ability to track transactions throughout the system and drill into the detail is extremely useful when investigating or understanding transactions. Controller Accounting Used the software for: 2+ years ### "Great alternative for a US subsidiary where foreign parent overseas uses Xledger" May 26, 2023 5.0 Take a look at Tripletex, I think Xledger can learn a lot from them in terms of system user-friendliness. They obviously don't have the international capabilities that Xledger has. Pros I work with US subsidiaries of European companies and it is great to work in the same system as the parent company. I have used Xledger on and off for over 10 years and the level of service has been really great. Cons I find that the user interface is lacking and needs a refresh. For those of us not working in the system every day it is hard to find the exact location in the system for doing certain tasks. The filters and reports are less than intuitive. The team at Xledger who we worked with were brilliant, I can't praise them more. Even post go live if there are any queries they are answered within a timely manor. Xledger has the capability of various things such as complex reporting, budget's and dashboards which are all user friendly once set up. Overall my experience has been really positive. Pros One of the main things I like about Xledger is the reporting side of the system. It is very in-depth so it does take a little getting used to but once the reports are written, it massively saves admin time and manual workarounds. During implementation and post go live, the Xledger consultants were really knowledgeable, their support was amazing and nothing was a silly question. We couldn't have implemented the system as quickly and effectively as we did without the Xledger team on hand constantly. We were on a really quick turn around and were able to go live within the expected plan. Cons One thing which did take a while to get used to was the different areas and how they all feeds together. Coming from a legacy system which was really outdated, it took a while to get used to the system. However, once the team were familiar and confident, the system is easy to navigate. However, once you become familiar with the platform, it is straightforward to use and offers a lot of functionality. It is sometimes challenging to develop the system when you are not a technical expert and short of time so more "default" common reports would be helpful. Pros User friendly and created with accountants in mind. Drill down functions are helpful so you don't have to change screens - the new "back" button is good. Equip has been great tool for the wider team and means that there is less pressure on the super users. Cons One key issue is the help section. Many of the articles are out of date or lack sufficient detail, which means users are often forced to raise queries directly with Xledger support. This creates unnecessary delays while waiting for responses and reduces efficiency in day-to-day operations. There are also concerns around payment processing controls. When processing RAPs, the bank details entered in the “Bank Account” field frequently match those shown on the invoice rather than the details held in the supplier register. This presents a clear risk from a controls perspective. The system should enforce or prioritise the use of verified supplier bank details to ensure consistency and reduce the risk of error or fraud. Xledger has been very slow lately. I often have to close it down and re open it. Sometimes I have to wait quite a long time after I raised a ticket from Xledger support before I hear back. I often have to chase. Actual Vs Budget screen- When I click into a breakdown of a code. It used to always bring the pdf up automatically. July 17, 2017 5.0 Pros What I personally like about Xledger is it's very user-friendly. It has lots of automated features, many things I haven't seen in other packages. Things like prepayment of expenses, automatic loading of invoices, key information loaded overnight and the look and feel are all very nice. It's cloud based, which is a common strategy for a business of our size and it also offers such good value for money and support. The staff takes you on a journey during which your needs are really listened to and factored into future developments. I think it would be very well suited to any organisation using multiple projects. Cons In relation to the software, I would have liked a link to payroll and more integration with people records. The customer service has been excellent, with the team being helpful and responsive whenever support was needed. The migration from our existing software was straightforward and well managed, with minimal disruption to our business. Training and guidance were also available to help us get familiar with the system, making the transition much easier. Pros Xledger has excellent customer support from the start. The sales team are honest and direct you to the correct level for your organisation. It has a user-friendly interface and is simple to get started on. It offers good value for money for the level of reporting you get. It has MTD and VAT features, and therefore is set up for tax management. Xledger automates repetitive finance tasks such as invoice processing, payments, reconciliations and approvals, reducing manual data entry.Approval workflows – Businesses can set up automated approval processes for areas such as purchasing and invoices, helping improve financial controls. We chose Xledger for its scalability as we grow in our various income streams and the complexity of the reporting requirements needed. Cons For smaller organisations it can be expensive, but as I said they are honest from the beginning with what will work for your size organisation and provide a high level of support. Migration can be challenging if moving financial data from an existing accounting system into Xledger can require careful planning and data preparation but lots of support is available and your data is stored safely and securely. Support is excellent with Xledger, they are always just a phone call away and day to day problems are resolved within a couple of hours. The interface is quick to get around and the usability is good. If I were to recommend three things about Xledger; firstly it would be the relationship has been more of a partnership from start to where we are now; secondly how cost-effective it is, the price was extremely competitive compared to others; and thirdly the systems usability specifically reporting and dashboards make this a powerful information tool to the business.
