Analyst Retail Used the software for: 2+ years ### "The Pros and Cons of Airtable" June 25, 2026 5.0 I would give Airtable a 7.5 out of 10, just because it is a complex software system that requires a lot of trial and error, which can be extremely time-consuming and cumbersome. I believe that if their support team were able to give better advice on how to fix simple issues, ie: having a quick call to discuss, a lot of my troubles would have been solved much sooner. Pros Airtable is an excellent tool for project and task management because it presents information in a way that is easy to understand, visualize, and follow. Its automation features allow teams to efficiently communicate updates to key stakeholders, reducing administrative work for project managers while keeping the broader organization informed and aligned on project progress. Cons One area where I believe Airtable could improve is its customer support experience. I was expecting a better way to organize comparisons across technologies and projects, but it felt limited, so I eventually moved on to a custom solution. Pros Easy to use for creating basic tables. Good for quickly structuring simple information. Fast if you only need a straightforward table output. Can be helpful for initial organization or rough drafts. Cons Too limited for more complex comparison work. Did not help much with organizing technologies, materials, or projects in a meaningful way. I am always thinking "this would be better in Airtable" when I am in a spreadsheet or another database. I have created Bases that run my business, create invoices, track my continuing education credits, budget, CRM's, organize my home, etc. If it can go in a spreadsheet, it can become so much more in an Airtable Base. It is the one piece of software that I don't even think twice about renewing. And now that they have integrated AI into its capabilities, I'm even more excited to try using it for other projects. Pros I love the flexibility of Airtable. You can design the relational database of your dreams with no programming skills necessary. It's easy to use and has terrific automations that can increase the power of your data. Cons There isn't much that I don't like. The one small thing that I can think of is that when you are adding records in a table view, it would be nice if hitting Enter would automatically start a new record instead of giving the popup saying to press Shift-Enter. It especially should not erase the record if you hit Enter a second time. My boss asked me if our CRM could fully replace it and it was a clear "no" from me. Pros Our team uses Airtable to manage dues, track event registrations, and serve as the first stop for member management information. What makes it so valuable is the balance between flexibility and structure as it handles heaps of data while still being approachable for everyday users. I especially appreciate how customizable it is. We’ve been able to shape it around the way our organization actually works instead of forcing our processes into rigid software. It gives us visibility across multiple moving parts without feeling overly technical. Whatever project you're managing, I'm sure you could make Airtable work for you. Cons The biggest caution I’d give is that Airtable works best when users are properly trained. I jumped in assuming it functions like Excel or Google Sheets, without realizing how interconnected the data and fields really are. Learning Airtable was efficient. I appreciated the "drag and drop" capabilities to move text from an Excel format into a format within Airtable to export to PDF. Formatting headers and bullet point lists was a bit slow and laborious. Pros The design was intuitive to use- a coworker was able to show me quickly how to import data from Excel into Airtable and format it, then pull it out as a PDF. I used Airtable to format one-pagers that included headers and bullet point lists. All of this functionality worked well. Cons There is no equivalent of the Microsoft Paintbrush tool for easy formatting; you have to retype the text and reformat it how you want. This makes formatting time-consuming. There are, however, plenty of fonts and text options (bold, italics, etc.) so you have available to you similar functionality to the rest of Microsoft Word. Switched from [Microsoft Word](https://www.capterra.com/p/227146/Microsoft-Word/) Formatting hundreds of one-pagers in Word to then save them as PDFs was incredibly time-consuming. It basically meant hiring a temp for a month per year. Pros I enjoyed the switch to be able to flip back and forth between grid view and gallery view on the swap button, so my older guys could see how they would go with it in a practice setting. I was impressed with how well the AI tool build off of my initial prompt and created a proper starting point for me, it also looked fairly good. Cons The mobile app next to it is slow when many records are there in the loading. Automation Scripting, too many technical terms things normal people could never learn for themselves. The data tab gives you full scope access to a relational database, in a familiar spreadsheet like interface to start with. Pros I like it because it is a no-code app. I love the real-time collaborations. It is easy to update everyone in real-time. I am able to build excellent apps and use them for integrations. Cons Exporting data can be cumbersome and not intuitive. The mobile app needs some love, as it takes a lot of taps to get to the data/tables you use most often — let me favorite tables! And most of all, the inability to merge fields is a huge blind spot. Cons There is a steep user-curve with Airtable. The more tech-savvy members of my team love it, but others have disliked it, even just navigating an already-created Airtable. The ability to see everything in one place was a huge improvement; it’s also incredibly adaptable, easy to use and packed with capabilities that meet our requirements. Pros Meetings, documentation, databases, frontends and backends are the constant in my life. I have all my information spread out in a thousand places: notes, documents, tasks and codes. Airtable has been a complete workspace, not just an app to take notes or manage tasks for me. I can create pages, databases, boards, lists... anything. What I need, I can do: pages, databases, boards, lists, whatever. From team sprints to technical documentation, this has helped me keep everything in one place as a developer. Also, the code integration is great: I can embed blocks of code in your notes and see them with the right syntax highlighting. Cons The mobile version lacks the capabilities of the desktop version, but still works well enough.
