Pros

Value for Money: One of PayHOA’s strongest features is affordability. For smaller and mid-sized HOAs looking to self-manage, the pricing structure is very reasonable compared to many competitors. The owner portal, payment processing, communication tools, and accounting features provide a solid foundation without the high monthly management costs. Customer Support: Customer support has generally been responsive and willing to assist, especially during setup and troubleshooting. However, some accounting-related questions can require multiple follow-ups, particularly when dealing with more advanced HOA accounting scenarios such as reserve accounting, prior year adjustments, and bank reconciliation cleanup. Ease of Use: The platform is relatively easy to learn for board members and self-managed associations. Owners also find the portal simple to navigate for payments and account access. Day-to-day tasks like posting announcements, managing owner information, and collecting assessments are straightforward. User Interface: The interface is clean and modern compared to older HOA software systems. Navigation is intuitive overall, although some accounting workflows could be organized more clearly, especially around chart of accounts setup, equity accounts, and reserve reporting.

Cons

Unable to pay vendors via ACH/Electronic Payment. Payment via check is time consuming, can take up to 12 days for vendor to receive the payment. While the platform works well for most daily operations, there are occasional limitations and reporting inconsistencies when handling more complex accounting adjustments. Certain transactions, such as reserve expenses, transfers between accounts, and historical corrections, can sometimes appear in ways that distort financial reports if not carefully configured.

Generally good. This program has great potential and I'm excited to see it develop. Unfortunately, it feels like I'm a tester.

Pros

Ease of use. This is very user friendly and has great potential as a one stop shop for everything related to the HOA

Cons

Financial and bookkeeping. This area still needs work. The system seems to run on a delay and not real time. The bank transactions only update once a day and the reports do not all tie into the same numbers. This area needs a CPA to oversee the final beta testing to ensure accuracy in reporting.

I have been on both the admin side and as a resident. I am sure there are more things to explore and learn, it's just a matter finding the time and patience to learn it for how we need it to be.

Pros

I like that it is very simplistic and easy to learn, once you find your way through things. The AI aspect for support has been a great asset as well for us on weekends.

Cons

There are some issues with the Accounting aspects and frustrations for our Corporate Treasurer and Activities Treasurer are mounting. Our financial reports are unable to be run reliably still (2 months now) and many entries are double entry. The surveys would be nice if we can do analysis with the results as it seems too simplistic. We are currently going to stay with Google Forms as we can create charts and graphs with the information. Next challenge is having fillable forms vs just pdf for the residents to access for things like Architectural Permits, and waivers.

It have been a positive experience for the board as well as a money saver for all our members. Dumping our management company and going to self management with PayHOA is probably the best decision the board could have made. As a long time board member I can strongly recommend PayHoa.

Pros

More control for the management of our hoa while saving valuable dollars. The software program is easy and intuitive for the board members as well as the owners.

Cons

There is a learning curve and more work for board members over our previous management company. The conversion from our management company did take some time and effort.

I hit some bumps in the beginning, some were user error, and some were the system. After the emails or chats, most of the problems were quickly resolved.

Pros

The complete access to what is needed. I appreciate that I can keep all my memos in the same place so that I can review them when I need them.

Cons

I don't like how long it takes to get a personal response though the chat feature, however the information I receive is very helpful.

Pros

The software has all the features a small independent HOA manager needs to run multiple HOA’s efficiently.

Cons

There have been several bank syncing issues and other glitches. Though it was in combination with stripe.

We are very pleased with the aspects of PayHOA we have used & are looking forward to using more. We joined on March 1st, 2026.

Pros

PayHOA has been more than my association could hope for. Their services have saved us money & gives us so many options to add. Our \[sensitive content hidden\] find it easy to join & our board appreciates having access to all parts of the platform.

Cons

In a recent resale it seems disclosure info didn't get where it needed to or the realtors ignored the HomeWise docs. We still haven't received the signed acknowledgement from the buyer. The closing was May 29th.

Pros

Takes time to understand the product, but besides that i think it is a great platform. It covers all the basics we need for property management. For the price this is a great product! I have had only one small issue, that im sure will be an easy fix.

Cons

The invoicing and taking payments is a bit confusing. My deposit do not directly link to an invoice, or when i accept a payment i feel like im having to enter in twice.

On the invoicing and payments piece, that double-entry feeling makes sense. When you record a manual payment (check or cash) and then deposit it at the bank, the deposit comes back through your bank feed without enough detail for us to auto-link it. So you'll see a quick step to link that deposit to the original payment. PayHOA is a great platform but comes with a lot of overhead from the company.. there are assumed items that they just think you know right off the bat where we were left in the dark from our prior management company... it made a very difficult transition. Overall the platform is great but we wish there was a little more customization for communities that our unique like ours.. Overall still enjoy the project JB and the support staff have been great in supporting us since our onboarding.. issues tend to get resolved quickly.

Pros

Easy initial setup with minimal technological knowledge required. The application is also easy to use from a homeowner perspective

Cons

Its hard to manage accounting... balance does not true up the way cash accounting would expect... Lack of support on finances in documented resources

From implementation to use to customer service I was up and running within a day or two. Compared with Platforms like Realpage where it takes them months to stand up a software.

Pros

It has an extremely intuitive design. Making switching platforms extremely easy and straightforward.

Cons

There is only one major drawback to PayHOA and that is the fact my owners cannot make a prepayment via an online payment.

Wonderful support. Very responsive. Easy to find information and access guides. Easy to manage and use among a 5 person HOA board as well!!!

Pros

It's affordable for our small 43 unit HOA. We love the personable interaction and that the customer support and engagement with the company is easy to use, schedule, and feels supportive. It feels very professional and continues to add new features that benefit the effectiveness and efficiency of any size HOA. We have never had any bugs or issues so far.

Cons

The only complaint we have is something we know they're find tuning- the message board doesn't format super well when you post stuff versus when you're designing.

It's helped us organize our work orders and resident communications while offering an easy online payment option for residents. w

Pros

It is very user friendly and offers all of the features we need as a board. We have no issues with reaching homeowners with emergency issues, our work orders are organized, and are able to upload documents for easy access for the residents.

Cons

I wish we were able to use this cooperatively with quickbooks. We have to manually merge information from one format to another.

Overall, the experience with PayHOA has been exceptional, streamlining our operations, ensuring accuracy and transparency in managing our HOA's finances. I highly recommend it!

Pros

As an 82-home HOA that self-manages, switching to PayHOA has been a game changer. The best feature is its ability to automate invoices, bill payments and financial reports, cutting our monthly workload down to just a few hours - a huge improvement over our previous managed service, which was notorious for poor service and inaccurate reports. Homeowners also appreciate the intuitive portal for making payments and managing their accounts, complete with a personalized touch like a photo of their home. Very important for our small community, by converting to PayHOA, we saved 75% of the cost of the previous service.

Cons

My only minor drawback is that I would like to see more options for adding custom uploaded attachments to email invoices, similar to what we can do to mailed invoices. However, this is a small nit in an otherwise well-designed, stellar system.

I wish I could get a person to respond sooner than it usually takes. I will say though, the bot now answers 95% of the questions I have.

Pros

Simple to set up. Any questions I had, the Bot or a person quickly helped guide me. We had always used a management company and just weren't getting value from them. Switching to PayHOA saves us hundreds of dollars each month and let's us be more proactive with our finances.

Cons

I wish deposits got into our bank account faster. Seems very slow. I am sure there is a way to improve this aspect.

Very easy process to sign up and implement. The team is especially helpful with addressing any questions or issues.

Pros

Customer support is great, real people to talk to over video calls. User interface is very easy to use and understand.

Cons

I would give it 5 stars but they changed their fees during our onboarding process. We do not use all their functionalities as well so I wish it was more a la carte for what functions you need and pay for.

Ease of use for owners, and transparency from and for the board. Ultimately this will make it easier for any new board member to transition onto the board. Support staff is fantastic and responsive. Bookkeeping and tax service is an excellent add on service which I can't speak highly enough about. Another timesaving free service is the bank lockbox which scans, reports and credits owners accounts if you use the Western Alliance bank. At the time of this writing, using this bank (specializing in collecting dues) also gives you a discount on your Pay Hoa subscription. The background of the \[sensitive content hidden\] puts Pay Hoa in the forefront of HOA management programs.

Cons

There are some clunky parts. Sometimes I have to wait a few minutes for a change I entered to show up even after the entry pops up as successful. I can only invoice owners, not outside entities I need to invoice. I also wish, within the program, there was a way our property manager could assign a staff member a specific request directly from the individual request.

### "Solid Tool for Self-Managed HOAs"

Overall, PayHOA has been a helpful platform for managing our small self-run HOA. It covers most of the basics we need—owner communication, dues collection, document sharing, and tracking violations—all in one place. The interface is clean, and once you get used to the workflow, it’s fairly intuitive. The automated payment reminders and ACH features have reduced the back-and-forth with owners and helped us stay on top of dues collection. I also appreciate the ability to email residents directly from the platform and store important records in one shared location. That said, the inability to connect our bank account (Salem Five Business) for automatic transaction syncing has added some manual work on the financial side. It’s not a dealbreaker given that the number of expenditures is less thsn 10 monthly, but something to be aware of depending on your bank. All in all, it’s a good fit for small to mid-sized communities that want an affordable and fairly easy-to-use system to streamline day-to-day operations without needing a professional management company.

Pros

PayHOA has been a solid tool for our self-managed HOA. A few highlights: •Security: The platform feels secure and trustworthy, especially for handling payments and owner banking information. We haven’t had any concerns around breaches or unauthorized access. •Value for Money: Compared to other platforms we considered, PayHOA is reasonably priced for what it offers. It covers core features like invoicing, owner communication, document storage, and financial tracking without feeling bloated or overpriced. •Customer Support: Their support team is responsive—most inquiries get a reply within a day or two, and they seem to genuinely try to help. That said, it’s mostly via email and some guides, so don’t expect a full support desk experience. •Information Access: Owners can log in to see their payment history, shared documents, and messages. From an admin side, I like the owner database, the ability to upload and organize files, and the ability to pull reports when needed. •Bugs and Issues: Overall, the platform is stable. There are occasional hiccups or slow loading pages, especially when switching between tabs or viewing financial summaries, but nothing that broke our workflow. •Email: Mass emails to the community are simple to set up and send. It’s convenient to be able to track communication logs tied to each owner. A few formatting limitations, but it gets the job done. •Payment: This is the strongest part. Owners can pay dues via ACH or card, and automatic reminders are a big help in cutting down on late payments. We can also track who’s paid and who hasn’t, export data, and apply late fees when needed. •Banking and Accounts: ACH payouts to our HOA bank account have worked reliably.

Cons

he biggest issue we’ve encountered is that PayHOA’s banking integration does not support our business account with Salem Five. As treasurer, this has been a real limitation—it means I have to manually enter or upload transactions instead of having them synced automatically. It’s a bit surprising that a tool designed for HOAs wouldn’t support more regional banks, especially for business accounts. I’d love to see them expand their list of supported institutions, or at least offer a workaround that doesn’t require duplicate data entry.

### "Great product to manage our community HOA"

My overall experience with PayHOA is very good and I really encourage small community who wants to manage HOA themself to leverage it, it is pretty cheap compare to other software.

Pros

PayHOA is very easy to use, a simple UI with all the features, I like the group broadcast feature a lot, it makes the HOA board member life easier to send announcement to all the members without pasting all the emails. I also don't see any obvious bugs while I am using PayHOA, they have an integrated virtual bot can talk to support and find relevant information on how to use the product.

Cons

One thing I will say is maybe integrate with some private message function within the community itself also use more AI to power the analysis on the community.

Overall, I'm very happy with this product. It's easy and the website has knowledgeable article to help you navigate the system for both the clients and the business owners.

Pros

I can do everything I need to do for my business in ONE website. The security is important to my customers and for my business so it helps to know that there are not bugs and issues that come across.

Cons

Printing out checks, It does not let you edit the check margins so it never prints out create and I have to edit myself in PDF form.

Very rough to start because I could not find training resources. Only after several of our units did not receive dues invoices did I discover by accident that invoicing templates might have expiration dates. An electronic alert would be helpful for such situations. Also, for some reason, expense transactions stopped being listed in transactions although income transactions still were listed. Only after the session with \[sensitive content hidden\] were these items straightened out.

Pros

The live session I had with \[sensitive content hidden\], the head of Customer Support, answered nearly all the questions I had. Before speaking with her, I was ready to recommend our association abandon PayHOA.

Cons

I did not set up PayHOA for our condo association but rather inherited it. The individual that set it up was not available to assist me in learning the system. The only resource I had to learn was a 3 year old intro video that helped a bit but did not provide the detail needed. Until talking with \[sensitive content hidden\], I was not aware of the library of videos available on Youtube. I had done a Google search prior to speaking with \[sensitive content hidden\] but had only found two short videos.

The program was easy to learn how to use. I've been amazed at the response speed of customer service. I like having information available for the homeowners in one place.

Pros

Customer service. They are have a fast response time. They help you sort out any issue you have to resolve. It's all included in the small monthly fee. You get a lot of value for the cost. Communications with HOA members are centralized in one place which makes it super easy.

Cons

Sometimes the interface is not user friendly. When a CD is closed out and transferred to another account, it results in double entries, which is annoying.
