Pros

Value for Money: One of PayHOA’s strongest features is affordability. For smaller and mid-sized HOAs looking to self-manage, the pricing structure is very reasonable compared to many competitors. The owner portal, payment processing, communication tools, and accounting features provide a solid foundation without the high monthly management costs. Customer Support: Customer support has generally been responsive and willing to assist, especially during setup and troubleshooting. However, some accounting-related questions can require multiple follow-ups, particularly when dealing with more advanced HOA accounting scenarios such as reserve accounting, prior year adjustments, and bank reconciliation cleanup. Ease of Use: The platform is relatively easy to learn for board members and self-managed associations. Owners also find the portal simple to navigate for payments and account access. Day-to-day tasks like posting announcements, managing owner information, and collecting assessments are straightforward. User Interface: The interface is clean and modern compared to older HOA software systems. ### "Easy to use, gives competitors a run for their money "

We're actually hopeful that this might be something we can use to self manage one day without a management company. Access is simple, paying is simple, we haven't had any issues with finances as the graphs are amazing. And I appreciate that I'm not constantly spammed with marketing emails but helpful support tips and tricks.

Pros

We came from TownSq which was ok, maybe not worth the money. PayHOA does so much of a better job in terms of ease of use, interface, logging in. You really can't mess it up as it is straight forward.

Cons

We've been on it for less than a year, the duplicate accounts and admin privileges were confusing but other than that, there really aren't any complaints.

Overall, my experience with PayHOA has been very positive. While there are some bugs and feature limitations that still need refinement, the platform delivers strong value for the cost and continues to improve over time. The system is user-friendly, well-supported by helpful documentation, and backed by a responsive support team. The ongoing upgrades show that the company is actively developing and listening to feedback, which gives confidence that current issues will be resolved. For HOAs looking for an affordable, functional, and steadily improving management solution, PayHOA is a solid choice.

Pros

PayHOA offers great value for the money. Compared to other HOA management platforms, it provides strong functionality at a very reasonable cost. They have been consistently upgrading their system, and you can really see the improvements over time. The platform continues to get better, which shows they are actively investing in development. The site itself is easy to use, both for board members and residents. On top of that, the help articles have been a tremendous resource for residents, making it easy for them to find answers quickly without needing direct assistance. Their support staff — \[sensitive content hidden\] — are great to work with. They are responsive, knowledgeable, and always helpful when questions come up.

Cons

While PayHOA offers strong overall value, there are still some system bugs that can create frustration. There have been issues with exporting financial statements. PDF exports work fine, but CSV exports do not always match the same format and are sometimes missing information, which requires additional manual cleanup. The voting module also has limitations. It does not allow formatting within ballot descriptions — no spacing, no bold text, and everything appears in one continuous paragraph. Additionally, there is no high-level overview of voting responses. To see how residents voted, you must click into each individual ballot rather than viewing a summary. There have also been occasional instances where transactions were recorded to the wrong account when multiple bank accounts are linked within the system. That said, these appear to be system bugs rather than structural issues, and given their ongoing upgrades, I’m confident these will likely be addressed over time.

### "Good program"

Generally good. This program has great potential and I'm excited to see it develop. Unfortunately, it feels like I'm a tester.

Pros

Ease of use. This is very user friendly and has great potential as a one stop shop for everything related to the HOA

Cons

Financial and bookkeeping. This area still needs work. The system seems to run on a delay and not real time. The bank transactions only update once a day and the reports do not all tie into the same numbers. This area needs a CPA to oversee the final beta testing to ensure accuracy in reporting.

### "So far-so great transition. "

I’d say it’s been pleasant with great customer service and follow-up. There support staff knows the product and is quick with solutions.

Pros

The Customer support by PayHoa is top shelf. My expectation is to get a call back within a day but they normally call back within hours. The chat A-I service also is very intuitive and solves our issue in the fly. Our staff can pick up the phone and normally reach someone live for assistance. I also liked the conversion process from our old systems. We were able to do a massive data dump by exporting into a txt file, formatting into the PAYHOA template and they uploaded into the site for us. There was 30 years worth of member info and It saved us at a minimum of 200 key strokes per member and at 1100 members I calculate the total key stokes at +200,000 and 100s of employee hours.

Cons

I’m not sure why they chose the name PayHoa as once we fully transition we will net a “SAVINGS” HOA and streamline HOA verses the numerous out dated programs we used to have in place. Our member data files were actually DOS based.

We rolled-out our neighborhood PayHOA program in October and have successfully trained and assisted 98% of our homeowners get comfortable with the tools. The PayHOA team are very responsive and dedicated to resolving any programming issues or mis-connections. I've been on 14 different HOA Board of Directors over the years and this is the best, most reliable, and helpful management tool I have ever experienced!

Pros

The PayHOA system has been a critical piece to our young neighborhood self-manage our 121-house neighborhood. For about a $1/household per month, the value for the money we spend is amazing. Quality staff members with a focus on customer service and individual support for our various users. As the President of my neighborhood HOA, the Return on Investment is excellent and we now have tools to run a professional neighborhood HOA.

Cons

We had a couple of early issues in getting the bank accounts connected and to automatically sync. However, the PayHOA Customer Service team were patient and determined to help us resolve those challenges.

### "Love the software but support can improve"

Overall I love the features of the software and the fact I can access it from anywhere and from any device. The reports are tailored to what an HOA needs to deliver to it's residents and the financial features make running an HOA easy. They just need to have a better sense of urgency for their customers when something goes wrong.

Pros

Makes running all financials in our HOA very simple. From invoicing residents to budget reports, it does everything we need. The electronic voting that was recently added was a huge bonus for us as many residents leave for the winter.

Cons

While the support people are very nice to work with it takes a very long time to fix any issue. We lost all of our income and expense categories late last year leaving us essentially down. It took several weeks for a resolution. We currently have no transactions flowing from our bank for the last two weeks and still have no eta.

### "PayHOA: A Complete Solution"

Our board of directors and members have been very happy with PayHOA so far. We enrolled late in the summer of 2025, and the transition has taken several months. PayHOA support has been there with us every step of the way to help us in our transition. Overall, we believe it provides great value for the money.

Pros

PayHOA is the management solution that we have been looking for. The user interface is very intuitive. PayHOA customer support is very responsive by way of phone and email. They also provide a great AI help chat. The communication piece provides instant push messages by way of phone, text and email. Our data is accessed by way of a secure web site. We also use the PayHOA Weebly website builder. We plan on using the Western Alliance banking option as well.

Cons

There is no payroll module with PayHOA. Payroll would make PayHOA truly one-stop-shopping. We decided to go with ADP.

### "Amazing software for HOAs"

It has been fabulous! As the new Treasurer of our HOA, it has made my life so much easier!!!!! Before, we never knew if our bills were being paid. It took the control of the HOA and handed it back to the homeowners.

Pros

It has helped us tremendously! It is user friendly and hold so much information. We were spending hundreds of dollars a year on letting a Property Management Company handle our HOA. It was a nightmare! PayHOA has been Godsent to us on the board. We can easily send out notices, pay bills, email neighbors,keep up with all our documents and so much more!

Cons

There isnt't anything I would actually change about the software. It handles all of our needs except running to our PO Box and checking the mail!

### "Ditch your management company - switch to PayHOA."

Our experience has been fantastic. As I mentioned in what I like most, PayHOA is both a time and money saver for our HOA. And I feel like our level of service has now increased. For 10 years I heard the management company say we couldn't go with electronic communications or we couldn't send payment reminders before late fees were incurred. With PayHOA, we now have all of that and it was just a one time setup which took minutes to do. It is so simple an intuitive to use. I wish we had ditched our management company 10 years ago.

Pros

I like the high level of automation. Previously we used a management company and I as President of the HOA had to keep on top of the management company every step of the way. Switching to PayHOA has significantly reduced my time commitment because we set payment schedules, reminders, workflow for Architectural requests etc. and it all works flawlessly! I save probably 10-12 hours per week since switching to PayHOA. I also like the fact that everything is documented in one online location. With the management company I would have to request hard copies and pay for copying and mailing. All of those expenses are now gone. And I should mention that we save about 90% of our management fees that we were paying to the management company. We get all of the services and none of the problems, and for less cost.

Cons

There is nothing I can think of that I don't like The only thing I can say is why didn't we switch 10 years ago? I can honestly say I love this product.

They helped us set up our bank accounts and link everything and they take time to respond to our questions in a timely manner. ### "PayHOA Saved Summer Wind HOA in a crunch when it needed to invest in a new accounting system"

PayHOA was very responsive by providing online demonstration and education sessions, along with extensive instruction videos and manuals. The software is very intuitive and doesn't require much instruction to use. Onboarding was accomplished easily much of it importing csv files created from QuickBooks export csv files with some manipulation. Support is readily available and issues resolved quickly even responding to enhancement requests when possible. The website builder allowed us to forego annual costs of maintaining a separate website and accounting system and allowed us to use our existing domain name.

Pros

PayHOA affordably met the needs of our 73 Home HOA when we needed a new billing system in 6 weeks. We were able to import most of the homeowner and fiscal data from the previous fiscal year and ready automatic billing in just a few weeks. Some manual entry was required but didn't take more than a few hours total for 12 months of data. Security permissions are robust.

Cons

The website builder is not able to publish links to documents that we want to make available to the general public without a secure login.

Cons

I would like it to update more efficiently. That can be a bit cumbersome. Being able to set up sub-categories more efficiently would help. I did figure out a work around.

Overall, the experience is good. However, the mature clientele of our particular HOA do not understand the portal, nor the process of setting up autopay.

Pros

I found the Video Tutorials and Customer Support lines to be helpful. I've self taught myself as I am the office manager of a bookkeeping firm, and frequently guide HOA members with their payment options.

Cons

I would like to print reports with a filter to select exactly what I want to analyze. Older residents do not like the portal or understand the autopay set up. As a bookkeeping company servicing for an HOA, a high percentage of my time with the HOA we service is talking through the set up and payment system with payHOA.

Wonderful support. Very responsive. Easy to find information and access guides. Easy to manage and use among a 5 person HOA board as well!!!

Pros

It's affordable for our small 43 unit HOA. We love the personable interaction and that the customer support and engagement with the company is easy to use, schedule, and feels supportive. It feels very professional and continues to add new features that benefit the effectiveness and efficiency of any size HOA. We have never had any bugs or issues so far.

Cons

The only complaint we have is something we know they're find tuning- the message board doesn't format super well when you post stuff versus when you're designing.

Very positive. We also use another software provider what has been more complicated and cumbersome to learn. We will be switching that HOA over to PayHOA at the end of the fiscal year.

Pros

PayHOA is a great, easy-to-use platform for managing associations. The layout is clean and uncluttered — very similar to QuickBooks Online — which makes navigation simple and intuitive. The staff is friendly, responsive, and the 24/7 help articles are a big plus. It’s an excellent value for the money. PayHOA listens to user feedback and regularly releases upgrades that make it even more powerful, reducing the need for other tools for things like elections and owner communications.

Cons

There are minor limitations with the balance sheet. Invoices can't be "posted" and then checks cut later, which would assist with accrual accounting.

### "Month 3 with PayHOA.com"

Its been a good software program thus far, and good support. It might take a day to get a response, but they are always helpful in clearing up the problem.

Pros

Having complete control of the invoicing, payables, delinquent accounts, and most is being able to text communication the owners.

Cons

Not having 30-60-90 notices sent out to owners with late charges attached. We can visible see under "Reports" those that have are late payers, but have to scroll through the entire 310 owners to look for the delinquents.

### "Ideal solution for our HOA"

It’s a great tool for our organization. Our HOA is very simple so I was skeptical about needing Pay HOA. I thought it would be more than we need, but it has been exactly what we need. It has more features than we will use, but it is still very cost effective for us. It replaces Quick Books and automates our elections , which was the primary reason for getting Pay HOA.

Pros

The accounting/bookkeeping is so simple and easy to use…much easier than Quick Books, which we had been using. We also used the voting module for our annual election, and it worked perfectly. We’ve used the survey model as well and it has been easy and efficient.

Cons

There really hasn’t been anything that we aren’t happy with. It’s been as advertised in all respects.

### "Organization A+++"

Generally, it has accomplished what we set out to do, however, it provides much more than we asked for, we consider that a bonus. It is a wonderful tool for the office; it's just learning all the little details without having someone to sit and provide training, that is a bit stressful. As we continue to learn all PAYHOA offers we find ourselves becoming more organized and excited about the updates as they come out.

Pros

One place to keep us organized. Every department within our business has all provided us the same feedback. The accounting, once they had better understanding, they found the reporting to be beneficial for providing homeowners accurate ledgers immediately. The mangers are committed to keeping the violations in order along with providing updated calendars for each community. They are able to provide dates for meetings with the expectation of providing an agenda 48 hours prior to a meeting. So far PayHOA has been an endless basket of tools to help us become more organized than we ever imagined. For our office, these are the highlights.

Cons

Not having an actual conversation with PayHOA personnel. They respond to email quickly, however, sometimes it's easier to have that discussion on the phone for a clearer understanding. Having to make an appointment (only for 15 minutes) to speak with a trainer is extremely difficult. Help is generally needed at the time of the problem. Putting the problem or question on hold for a few days is not helpful. In the beginning there was a lot of learning (unnecessary stress) needed, we felt alone in the process.

I was pleased with the presentation by Sahvanna and the follow up. While she answered every question, she still gave me space to make aa decision and did not pressure our decision. She sold the product and did it well. We are Broker's/Sales Associates, we don't want to be pressured, just educated about our decision. She communicated extremely well and knew our desires and followed through.

### "This PM loves PayHOA"

Pros

I love the support they offer me as a PM. It makes mine and our customers day to day a lot easier being able to have the same support reps helping us.

Cons

We need a select all feature for requests so we can save time closing requests in a more efficient way.

### "PayHOA has been a game changer"

It's helped us organize our work orders and resident communications while offering an easy online payment option for residents. w

Pros

It is very user friendly and offers all of the features we need as a board. We have no issues with reaching homeowners with emergency issues, our work orders are organized, and are able to upload documents for easy access for the residents.

Cons

I wish we were able to use this cooperatively with quickbooks. We have to manually merge information from one format to another.

I hit some bumps in the beginning, some were user error, and some were the system. After the emails or chats, most of the problems were quickly resolved.

Pros

The complete access to what is needed. I appreciate that I can keep all my memos in the same place so that I can review them when I need them.

Cons

I don't like how long it takes to get a personal response though the chat feature, however the information I receive is very helpful.

### "Best move ever"

This has proven to be the best move we have ever done. PayHOA does basically everything our small 133 lot subdivision needed without the over-the-top fees management companies charge.

Pros

It is 1/5 the base price of the management company we had before and about 10% of what we were actually paying. Even printing and mailing is half the price.

Cons

We have not figured out the Homewise application yet nor have we done the website and transferred our domain name. These are brand new apps to the cite and free to the HOA, so it is still a huge positive.

Has been a net positive for our HOA. Great communication platform and covers all key operational processes for us. I am a fan!

Pros

Very straight forward tool. We do not have a complicated HOA operation and this tool is very adaptable. Can go deeper if needed but keeps it simple for our operation.

Cons

Delay in bank / PayHOA balance reconciliation process is sometimes delayed. Also, the cost per credit card transactions is a bit high relative to competition.

### "Super easy to navigate "

Overall, the system is excellent. It’s extremely user-friendly and simplifies everything. They also handle all 1099 forms, so there’s no need to worry about that process.

Pros

It’s easy to navigate, which makes the process much smoother and helps streamline collecting information from homeowners

Cons

I believe there is currently no online payment option available for vendors; however, many vendors have indicated a preference for electronic payments over traditional checks.

### "We Can't Live Without It!"

We manage a diverse portfolio of community associations as well as other non-profits and small businesses, and after trying multiple community management software solutions to try to find something that wasn't all consuming, we only wish we'd found PayHOA sooner. It truly streamlined our operations dramatically, improving our efficiency by consolidating numerous functions into one easy-to-use platform. The oh-so-simple design literally allows anyone with even basic computer skills to quickly utilize the system fully with minimal training. This ease of use, coupled with the extensive range of features PayHOA offers, has allowed us to eliminate multiple other programs, simplifying our processes and significantly boosting our productivity.

Pros

The extensive built-in features and seamless integrations are absolutely unmatched. PayHOA has allowed us to eliminate numerous third-party services that previously required separate subscriptions and complicated workflows. The mail room, integrated bill payment processing, public websites through Weebly, 1099 and tax filing services, and robust communication tools—including mass texts and automated phone calls—have streamlined our operations in ways no other platform ever has - even the largest of industry software. Lastly, their customer service is absolutely incredible. They provide genuinely helpful assistance from real-life humans quickly and efficiently.

Cons

PayHOA was originally designed for self-managed community associations, so the only thing we could possibly wish for as a portfolio management company would be more options to seamlessly integrate settings and templates across multiple client accounts. However, this is hardly a complaint—especially since the platform wasn't initially created with portfolio managers in mind—and PayHOA still remains the best solution we've found for our management needs.
