### "Simple & Clean, but training course SHOULD BE attended"

This is the first time I've worked with any kind of payment management software and it's been a really good time for me. PayHOA has set the bar pretty high for any and all subsequent experience I have with other companies.

Pros

The user interface is very clean and doesn't visually overload the user with multiple tabs and buttons visible in one space. The support team is dedicated and friendly when working with the board to resolve issues, and even found an issue I wasn't aware of while we were going through some questions I had.

Cons

While the interface is simple, it does mean there is a learning curve to finding out where all the buttons and features are. I didn't attend a training class since my schedule wouldn't allow it, but I'm sure the struggles I had at the beginning wouldn't have been a struggle if I was able to attend an initial training course. PayHOA does offer the training course, and I believe there isn't an additional charge for it, but like I said, I wasn't able to attend for my own reasons.

### "Great product to manage our community HOA"

My overall experience with PayHOA is very good and I really encourage small community who wants to manage HOA themself to leverage it, it is pretty cheap compare to other software.

Pros

PayHOA is very easy to use, a simple UI with all the features, I like the group broadcast feature a lot, it makes the HOA board member life easier to send announcement to all the members without pasting all the emails. I also don't see any obvious bugs while I am using PayHOA, they have an integrated virtual bot can talk to support and find relevant information on how to use the product.

Cons

One thing I will say is maybe integrate with some private message function within the community itself also use more AI to power the analysis on the community.

Overall, I'm very happy with this product. It's easy and the website has knowledgeable article to help you navigate the system for both the clients and the business owners.

Pros

I can do everything I need to do for my business in ONE website. The security is important to my customers and for my business so it helps to know that there are not bugs and issues that come across.

Cons

Printing out checks, It does not let you edit the check margins so it never prints out create and I have to edit myself in PDF form.

### "Pay HOA- the best for us"

We have a very small community, 29 total condos, and Pay HOA has allowed us to operate without incurring the high costs of a management company.

Pros

Ability to monitor the homeowner’s activities and easily update financials. Seeing all the transactions in one spot is awesome.

Cons

Difficulty finding subjects in the main screen. Some homeowners, due to their age and inexperience, have difficulty entering info.

Pretty good, as stated above staff is responsive good support. PayHoa has been a time saver and it makes managing finances easier.

Pros

Cons

Not sure yet, still working through some issues. Our bank was not able to transmit for a couple of weeks in August which caused our balances to not much.

### "Easy to use complete HOA management software at a great price"

It's been great. The 30-day trial period allowed me to test the functionality and prove that it could meet all of our needs. It was so easy and intuitive to use that I was able to set everything up without needing to call support or even refer to any of the training materials.

Pros

It's a complete solution that allows us to easily manage all of the administration of our HOA. Everything from property and owner record management, dues collection via credit card, budgeting, financial reporting.

Cons

There is nothing I don't like about PayHOA at all. It's a perfect solution for our needs. If anything, it might be nice if there was an option to pay for a full year at a discounted rate, instead of paying a regular monthly fee.

We love PayHOA we dumped our current provider but we still have someone to take care of the platform

Pros

We started using PayHOA about 6 months in production. What we have found is our cost of ownership is a lot lower than we anticipated. The payable module made is super easy to pay vendors and perform reimbursements for board members.

Cons

The only thing I wish the could do is compact some of the views. I understand they want it to look a certain way. Reconciling takes some time to get used to but it not a roadblock by anymeans

Pros

Easily collects and tracks dues payments and expenses. Customer service is great. They answer all my questions and help correct issues.

Cons

Wish I could mail out invoices automatically. Also wish I could access individual income or expense tranactions from reports, instead of having to chase those down

Very easy process to sign up and implement. The team is especially helpful with addressing any questions or issues.

Pros

Customer support is great, real people to talk to over video calls. User interface is very easy to use and understand.

Cons

I would give it 5 stars but they changed their fees during our onboarding process. We do not use all their functionalities as well so I wish it was more a la carte for what functions you need and pay for.

Pros

We converted to PayHOA in 2023. PayHOA gives us centralized management software for both the back end financials and members services and front end membership interface.

Cons

The inability to take credit card payments over the phone or in person.

I'm very thankful we are utilizing Pay Hoa, and thankful for their responsive staff. We've been using them for about a year now and are very happy.

Pros

Having everything in one place from financials and owner invoicing to calendars, management docs, tracked email, banking, transactions and more. Ease of use for owners, and transparency from and for the board. Ultimately this will make it easier for any new board member to transition onto the board. Support staff is fantastic and responsive. Bookkeeping and tax service is an excellent add on service which I can't speak highly enough about. Another timesaving free service is the bank lockbox which scans, reports and credits owners accounts if you use the Western Alliance bank. At the time of this writing, using this bank (specializing in collecting dues) also gives you a discount on your Pay Hoa subscription. The background of the \[sensitive content hidden\] puts Pay Hoa in the forefront of HOA management programs.

Cons

There are some clunky parts. Sometimes I have to wait a few minutes for a change I entered to show up even after the entry pops up as successful. I can only invoice owners, not outside entities I need to invoice. I also wish, within the program, there was a way our property manager could assign a staff member a specific request directly from the individual request.

Customer service= A+ Functionality = A Tiered Pricing = A+ Overall, the experience has been tremendous. I tested several platforms before choosing PayHOA. It is meeting and exceeding my expectations with reporting and options to make the Treasurer job more manageable.

Pros

A one-stop shop for managing our condo community's financials. The ability to send invoices and receipts and the option to set up a website for our community to stay current with FL legislation for a self-managed condo community are crucial. The tiered pricing based on the number of units in the community is beneficial. The reporting will be a huge benefit (once I transition from Excel.) This builds a sustainable platform that can operate with little touch from Board to Board.

Cons

First, I'll state that the support function on PayHOA is TOP NOTCH before I share. There is a bit of a learning curve, so plan a quarter to learn before launching to the community. You are not losing anything by waiting. You are gaining trust and can answer a lot more questions.

It's been mainly positive. We struggle in a 55+ community with an average age of 75 with homeowners being computer literate. Although it seems straight-forward for most people, it is really still inaccessible for many.

Pros

The software centralizes all of our HOA documents, requests, and owner information and makes it easily available for homeowners to access. We mainly signed up for the autopay function for homeowners.

Cons

The price-creep of the auto-payments. It's getting up to the cost where we might have to look for other options. It's hard to convince the other board members that it's worth $2/payment to automate the reception of dues payments. As we have many people who don't use the internet, we still handle paper checks but the other board members see that as a "free" process. The second issue is with reporting. If anyone enters special characters in a request, it makes reporting basically usable.

The platform has positively impacted HOA operations by improving financial tracking, accessibility, and user engagement. While some community members have yet to fully explore the system’s features, those who have used it find it beneficial. A valuable recommendation would be to implement a dedicated contact list for business queries and immediate or ongoing IT support to address any hiccups efficiently.

Pros

We believe that PayHOA has been well received by the office as end users, assisting with providing a streamline path to completing daily activities, and its user-friendly experience for managing HOA-related tasks. The system offers excellent transparency, making it easier for residents and administrators to track payments, requests, and community updates. Many appreciate the accessibility and organization it has brought to Ridgemont in the areas of financial and operational HOA matters has been considered a plus.

Cons

There have been some concerns related to communication, particularly during system downtime or when adjustments and entry changes require turnaround time. This in no way affects our product contact and representative, but this statement is more related to standard image or IT system team as a protocol to update clients, and users of system upload, storage or error delays. While the platform functions well overall, improvements in real-time updates and a structured response process for technical issues would enhance user confidence.

I would say the experience has been pretty good and I usually have all my questions and concerns answered in a timely manner.

Pros

What I like most about PayHOA is that you can access the system at any time and manage all your HOA accounts. It's very user friendly and most homeowners are able to use it without issues.

Cons

I don't like that homeowners have to pay a processing fee to pay their bills online. The whole system for setting up payment is hard for homeowners to do too, especially because a lot of them are older and don't understand how to do it and it has a lot of steps.

Overall, I’m extremely happy with our decision to use PayHOA and I love that you all continually enhance it to provide an even better experience. I’d love to have the ability to see other customer’s enhancement requests and the ability to vote for them. I’d also love to see customer’s bug/errors they’ve encountered and if resolved, what the resolution was or the workaround provided - maybe something like Microsoft Office product’s user community message boards where Microsoft also monitors and provides feedback.

Pros

PayHOA’s customer service is top notch! I love that if I can’t find an answer or need instructions, I can often get a timely response and if I write after hours, I always get a response the next business day. In my (real) job, I’m a functional system administrator and I often have to submit tickets to our system’s vendor and it can take weeks to get a response! Life would be so much easier if every company had such amazing customer support as PayHOA does! I really appreciate how willing and eager you all are to assist, it’s refreshing. I also love the robustness of the system and the ability to link transactions and attachments. It has great transparency!

Cons

I’d like more user security controls allowing us to decide what specific users or roles can see certain data. I would love for our homeowners to have access to most of the tabs/modules in the system. However, I can’t hide homeowner-specific data when I give access to modules, so I have to hide most. If I was able to have more controls at the field level in each module (or even if you focus on one module at a time, e.g. transactions), I could hide the PII, allowing homeowners a full view without seeing who may have paid their assessment late (vs just knowing two homeowners paid late, but no address/name info is visible for it). Additionally, I’d really love the ability to allow view access to reports at the actual report level. Right now, if I give homeowners access to reports, they can see every single one, which again, shows homeowner specific data. So I have to restrict it which is really a shame because it’s a great system with a great user interface. Finally, I’d love to see an app developed for it. Accessing from my phone’s browser is not an easy thing to do. Most of our homeowners would prefer an app as well. For clarification, I am our HOA Treasurer, so I obviously see everything and as a homeowner as well, I’d be upset knowing the data was there, but I can’t see it!

### "The RIGHT solution for our Association"

We have been able to bring our community into the 21st Century by providing a cloud based product that saves time and money. PayHOA was the right tool at the right time, making the bookkeeping/accounting tasks more time effective and not sacrificing or efficiency. Processing and mailing invoices that took days and weeks for our volunteer staff to accomplish can be done by one person is less than an hour. Processes for collecting assessment and recording payments no longer require hours of checking and cross-checking.

It provides our self-managed association to transition from spread-sheets to a modern accounting system that gives us transparency to the our owner/members. We were able to provide individual account status before state law required it! We also take advantage of e-com and mail services to keep our member up-to-date on community events and meeting agendas and schedules

Cons

Accounts Payable module took a long time to develop and I was disappointed that it's pay-to-play.

I’ve used PayHOA for a 78 unit neighborhood and a 12 unit condo association. Performance has been flawless.

Pros

I have instant access to financial data. The association does not have an accountant so we are able to easily and accurately track income versus liabilities. The operating account and the reserve account are both synchronized and visible on one page. End-of-month reports are easily produced and board members have easy access.

Cons

Not much….a minor criticism is the change from personal contact to automated issue resolution.

The best we could find for our small, 43 property, HOA. It does what we want, but I'd love to see ease of use improved

All in one application saving us from spreadsheet hell.

Cons

You became very defensive when I previously said the appp was a little clunky, but it is. Lost of little things, here are a few: No spell checker on emails, no signature blocks on emails, Architectral Request (and other Requests for that matter) do not have majority approval. We use Vendors to maintain a list of Vendors our owners can contact for services' a simple comeent filed and report template to create an eay to view list of vendors would be great. Document folders would benefit from a description field.

### "All an HOA Needs for Powerful Software Support"

We switched from another more expensive HOA management program. PayHOA is so much more powerful and customizable. We love it!

Pros

PayHOA is very intuitive. Thus, the choices offered in any particular task are the ones most every users needs at that point. This helps make it not only very user friendly, but easy to learn. Customization is great. For example, we have added a number of steps to the violation enforcement process to ensure that our violation enforcement follows Florida statutes so we never miss a legal requirement and owners have no excuses.

Cons

The help menus are reasonably good, but there are some aspects that could use more explanation. For example, I know tags could be a powerful tool but I am struggling to use them to their maximum benefit.

It's a great system that organized everything into one place and make it all easy to find. The most difficult thing I think was getting everyone to actually register, which really isn't a PayHOA problem.

Pros

The ease of use of the website is very nice. I also enjoy how it organized all the relevant documents.

Cons

The community calendar could be a little more prominent. Sometimes it's a little bit difficult to find.

### "Must Have for Self-Managed HOAs"

Overall, my experience with PayHOA has been really good. It has help make managing the association more efficient on all fronts. Issuing invoices, collecting payments, the online forms and even adding approval workflows has been a dream!

Pros

As a self-managed HOA, I like how easy it has been to manage the day-to-day of the Association. It has enabled for better record keeping of the financials, unit history, payment collections and even mass communications to the members. Prior to, our Association was doing things manually which took a lot of effort hours each week.

Cons

One change that I have requested and have yet to see is a change to how members pay outstanding invoices. Rather than allowing the delinquent to select which invoices to pay, if a homeowner is past due, I would like to see homeowners not have an option and be forced to pay all fees in addition to balances, unless set up on a payment plan. This is important because Associations frequently tack on other fees, using separate invoices for things such as legal & collection expenses, violations, etc., which should be paid immediately. As it stands, only fees tacked onto a particular invoice is required to be paid, when a member selects to pay an invoice. My stance is any invoice tagged to Fees GL account should be required to be paid in one lump sum, unless unit has been set up on a payment plan.
