### "PayHOA has it ALL!"

March 5, 2025

5.0

The best part of our decision to switch to PayHOA has been the amazing availability and support of the staff members. We have direct access to highly trained professionals that educate us on how the product works, ensure performance is up to par, and are amazing at helping resolve any hiccups that occur (which are typically due to my own error to begin with). My experience overall has been EXCELLENT!

Pros

I am most excited about having accounting software that integrates our other HOA needs, such as broadcasting, invoicing, violations, requests, etc. It is an awesome ONE STOP SHOP!

Cons

No cons, but a "wish list" item would be to have live reports. That way, you could just click on a figure that doesn't make sense and be taken right to its source. However, it is very easy to maneuver in the system and I do not feel burdened by navigating there manually.

I do not like using QB, I find it to be too complex and cumbersome. I get lost and confused in that software trying to do very simple tasks. Plus, it doesn't have all the other features like broadcasting or requests that we use in PayHOA.

### "A Must-Have for HOA Management"

March 4, 2025

5.0

Overall experience has been fantastic - One of the biggest improvements since switching to PayHOA has been managing finances. The platform automates invoicing, tracks delinquent accounts, and makes online payments seamless for homeowners. It’s saved me hours of manual work, and my boards love how transparent the financial reports are.

Pros

As someone managing multiple HOAs, I was looking for a system that would simplify operations, improve communication, and help me stay organized. PayHOA has been a game-changer for my business, and I can confidently say it’s made my life—and my clients’ lives—so much easier.

Cons

I wouldn't say there is any downside.. but there can be some feature additions that can be added and I am sure PayHOA has it in their Roadmap, something like having an option to create and book amenities within the community.

### "Clear Industry Leader"

5.0

As a homeowner, I was disappointed in the hodgepodge of tech tools our HOA was using so I started looking for options last year. There are a few out there but the difference between most of them and PayHOA was dramatic. I was elected to the board in December and we've been able to self-start with just two of us working on it (VP and Treasurer). Violations and ARC requests were easy to get going, communication with our community is a snap, and we were also able to adopt it to manage our RV parking lot by making parking slots "units."

Pros

PayHOA is where the advertising meets the road. It does exactly as advertised and is one of the most intuitive and well-designed systems I've seen in my 30+ years managing software projects. Even though it spans the entirety of HOA operation, including accounting, anyone with enough tech savvy to order something on Amazon Prime can find their way around this product.

Cons

There's actually nothing to dislike. Whenever I run into something I don't understand, there's an AI help tool in the bottom left corner. If I can't solve it there, I can ask for help. Our account managers are always right there to schedule coaching when needed, and the ability to add things like bookkeeping and Weebly to the package gave us exactly what we needed.

### "Loving PayHOA program"

March 4, 2025

4.0

The support team has been wonderful and incredibly helpful in helping me get my Associations set up!

Pros

It's easy to navigate and follow. Finding customers, addresses, creating invoices, and taking payments; has all been very streamlined for my Associations and easy to figure out and learn.

Cons

The bill pay - printing your checks, however, still learning the program so I may not have all of that figured out yet!

### "PayHOA Makes Communication and Billing a Breeze"

March 4, 2025

4.0

PayHOA brought us from the dark ages of an antiquated and very limited database to a browser-based management and communications tool.

Pros

PayHOA is a great way to store information about each unit and disseminate it to my entire association. PayHOA allows us to quickly and easily process our billing, complete mass mailings, and print out member statements.

Cons

Parts of the platform are changed and updated without notifying customers, which negatively affects the user experience.

### "PayHOA review from a self managed HOA"

March 4, 2025

4.0

Good, I like the functionality, ease of use and the responsiveness from the PayHOA team. It enables us to manage our residents very very easily and provides a simple platform for us and them to use.

Pros

Ease of use and customer support. Ability to send mass emails and texts, violations can be emailed and physically mailed from the system (love the mailing feature) Ability to vote is a major benefit as it keeps the residents involved.

Cons

The payables interface still needs improvement, as we've encountered difficulties getting issues resolved. For example, checks have been canceled without notice, leading to frustration with vendors or for some support issues (vendor page not working) they take far too long to respond. However, PayHOA is clearly committed to progress—they work hard to address problems and actively make changes to improve their system. The banking system they integrate with needs more client interface. I do not like going through Payhoa to talk to my bank and get things done. This should be made clear upon signup that there are limitations (however there should be no limitations as we are the banks customer) The financial report writing is a major bonus as is the ability to 1099 etc through the platform.

### "Best database for HOA management"

March 4, 2025

5.0

Excellent. We spent many hours searching for and testing software that could be a database for our HOA. PayHOA matched our feature list we were seeking without being overburdensome with unnecessary complexity. The learning curve was easy and we are still glad we made the decision to choose PayHOA over other software. We are about 2 years in.

Pros

It's fast. Logging in is fast, navigating between pages is fast, searching is fast, etc. There are many features we like too - texting, email, surveys, tags, violations, and pictures. We imported over 500 properties and the system grabbed Google Maps street view pictures of the houses automatically.

Cons

If you allow the homeowners to login to their account, there is no way to turn off the ability for them to see their violations. We have reasons we would want to keep that internal only.

### "Is it worth it for a couple of advantages versus all the downsides"

March 4, 2025

2.0

Poor to awful. The advantages of a unit based accounting system dose not offset the disadvantages.

Pros

Unit based customer/homeowner creates continuity for income base. Units stay the same even when homeowner changes.

Cons

Many things 1) No plug in to quickbooks. PayHOA is a good tool for receivables but after that it's a toy. 2) Inability to edit templates easily. The wording on reminders is atrocious and just aggravates homeowners. 3) The additional charge for direct electronic payments. This was a complete surprise and we would not have bought into this product if it had been declared up front. 1.5% per transaction is excessive and unacceptable. 4) Very poor support. Can't speak to anyone and they hide behind email support

Hi David, I'm sorry to hear that PayHOA has not been meeting your expectations. I would love to jump on a call to learn more, so that we can continue to improve the platform. I did also want to point out that you can schedule 1-on-1 screen share meetings with our support team anytime. Just click on the "help" icon in the bottom left corner, and scroll down to "schedule 1-on-1 meeting". These are completely free and can be scheduled at your convenience. I also wanted to make sure that you were aware the ACH transaction rate is a flat fee of $1.95 and is not percentage based. The credit card fee is 3.25% + 50 cents, because the card brands charge a percentage for those payments. Please feel free to reach out directly to mike@payhoa.com. I'd really appreciate the opportunity to learn more about your experience and what we can improve. Best, Mike Bollinger CEO | PayHOA

### "Lots of features, responsive support team"

March 4, 2025

5.0

The HOA's treasurer asked to try a new platform for better invoicing, and after free trials on several platforms, we settled on PayHOA as the one that checked the most boxes for what the HOA board was hoping for.

Pros

The platform has a lot of functionality, more so than the previous vendor that our HOA had used. I particularly liked how we were able to import account balances for each homeowner and improve the quality of our invoicing, as well as the fast response from the support team when I encountered an issue in our first month of generating invoices.

Cons

There are still features that I would like to have, such as being able to sort by street name first and address on the street second, that aren't present yet; but I was able to report this to the support staff and they understood the request, so it might get added. I was annoyed to see that the that platform butchered the name of one of the residents in the HOA (it used the wrong character set, turning Muñoz into Muñoz)

Pros

### "PayHOA Superb Customer Service"

October 12, 2025

5.0

The program was easy to learn how to use. I've been amazed at the response speed of customer service. I like having information available for the homeowners in one place.

Pros

Customer service. They are have a fast response time. They help you sort out any issue you have to resolve. It's all included in the small monthly fee. You get a lot of value for the cost. Communications with HOA members are centralized in one place which makes it super easy.

Cons

Sometimes the interface is not user friendly. When a CD is closed out and transferred to another account, it results in double entries, which is annoying.

### "Getting Started on a Positive Note"

July 10, 2025

4.0

Still learning, but it has been relatively easy to figure out. I'm hoping as time goes by I can perfect my custom forms and other things.

Pros

I am brand new to PAYHOA (changing over from Quickbooks) - and I am still in the learning phase, but so far I am loving it. Transitions are difficult, and I have some things to work out. If I only used it for violations, it would be worth it to me! I intend to use it fully, I need time to get it all converted.

Cons

We cannot enter multiple invoices and pay our vendors on one check. I also cannot print checks to the vendors, but I understand that some changes may be coming.

### "Streamlining HOA Management with PayHOA’s All-in-One Solution"

March 5, 2025

5.0

We encountered a few challenges during the transition, but PayHOA’s support team was exceptional, providing clear, step-by-step guidance to resolve every issue. I couldn’t be more satisfied with our decision to use PayHOA as our HOA’s online management solution.

Pros

PayHOA is the most comprehensive online management portal for homeowners associations. Their innovative solution enabled us to seamlessly transition away from our management company, empowering board members to efficiently oversee all aspects of the HOA.

Cons

Change is never easy. Transitioning from a property management company to a self-managed HOA was a daunting task for us. Having been involved in other HOAs, I understood the level of effort required. I only wish PayHOA offered a service or support system to help facilitate the transition.

### "PayHOA is definitely worth a look for self managed HOAs. "

March 5, 2025

4.0

Very positive. The management and IT team are very responsive when occasional technical issues arise and the system has implemented gradual changes and improvements over the last 5 years. I would definitely recommend it as a management tool to other HOA boards

Pros

The ability to track data about units, from ownership to invoicing, payments, custom unit tags and notes, as well as budget and financial tracking. Shifting to self- management using payHOA was a game changer. It has been the single most important and best decision we have made.

Cons

A few of the system features, like the document filing system are a little clunky. Sometimes, you have to learn how to track certain system features so that things like locking and unlocking a units owner from making payments isn’t available as an option on the unit page but wonder the owners tab. It’s minor, but I find new administrative users need time to get up to speed.

Pros

PayHOA allowed us to ditch our expensive management company for our small community (8 units). PayHOA does everything we need it to, and more. Our community has been pleased and the low-fees both for the software and transactions make it a no-brainer.

I like how easy this program is to use. I have been able to figure out how to run reports within certain parameters. Their Support team has been \[sensitive content hidden\]. I've had a few problems and after I indicated that I needed a person to help, they were quick to contact me. It never took more than a day or two to resolve what few issues I've encountered.

Pros

### "The best management solution to instantly start managing your community."

March 20, 2025

5.0

Every interaction I have ever had with PayHOA is positive. They are extremely responsive and all the key features are here. They continue to grow and add new functions that make it even easier to manage an association. I can usually self-service and then the AI responses are excellent. When you need that personalized touch you get quick human responses.

Pros

Ease of use. There are plenty of features but not so many features you are overwhelmed with extraneous seldom or never needed features. Another component of the ease of use is the best customer service I have ever experienced with any association management software.

Cons

Lack of API access. PayHOA is designed to be easy to use and not focused on power users, but some tasks could be more easily automated if you could access and API. As I have grown my business the ease of starting on PayHOA that was crucial at the outset is now running into the need to grow in complexity.

As someone who has been using PayHOA for 4+ years, I have found it to be reliable, easy to use and a great value, especially for a small HOA. I have used other software programs and worked with property management companies. Using PayHOA is a great alternative for a small HOA!

Pros

Fairly easy to use. It allows you to track current and previous homeowners, offers both credit card and bank AFT online bill payments, it has a repository for storing community documents and it offers email communications for receipt of payments, late notices, etc. They have a knowledgeable and responsive support team.

Cons

Creating an annual invoice for my association seems overly complicated. We bill once a quarter and charge a small late fee after 30 days. Late fees continue each month until the quarterly assessments are current. Creating this type of invoice was fairly straight forward. The system allows me to chose a date when to "generate" the invoices. However, none of the invoices are "active" until I say, "activate". TO me, once I've created the invoices and chosen the date to "generate", they should be "active". I don't know why there needs to be a third step.

Reason for choosing PayHOA

Cost, email communication options and online storage of community documents.

Buildium was too expensive and used complex accounting practices.

### "HOA Self-Management with PayHOA"

March 5, 2025

5.0

We switched from an outside service to using PayHOA. The transition was smooth and allowed the HOA Board to save the monthly management fee while providing greater visibility into operations.

Pros

PayHOA automates the billing and collection process for our HOA. It's a big improvement over the service we had been using before. All of our residents now have visibility into the finances of the HOA.

Cons

A division of roles could be helpful. Right now, a single person can add vendors and generate payments.

### "Easy to use and time saver"

5.0

We have greatly enjoyed our experience moving into PayHOA. It has been a great tool moving into a self-managed POA. I did a ton of research comparing the tools on the market and feel confident we made the right choice.

Pros

Ease of use as an administration. This too keeps us well organized and aligned to our budget needs.

Cons

It would be nice to see an App for users in the future. Definitely a want but not a need.

Reason for choosing PayHOA

Pricing and tools- they are very comparable to other tools on the market but the setup is very user friendly

Terminated management company- we did a rfp to determine what we wanted. Pricing, support and tools is how we made our selection. \[sensitive content hidden\] was a great sales rep and love the support team

### "PayHOA is a Game-Changer for Self-Managed HOAs!"

March 9, 2025

5.0

I'm sure there are plenty of other association management software options, but for small self-managed boards, PayHOA is a game-changer! Property management companies charge a fortune for accounting-only services and I think the only thing PayHOA doesn't handle for us is finding better/cheaper alternatives to vendors we currently have LOL.

Pros

I can't even remember what it was like for our HOA before PayHOA! I makes it super easy to handle the regular recurring charges, AP, fines and assessments and gives us all the reports needed for our accountant.

Cons

We have a few issues with duplicates that we log vs. import from our bank. These seem to happen fairly infrequently and require a little extra time, but they are minor inconveniences.

### "PBI PayHOA Review"

March 19, 2025

4.0

Ovderall happy with the features and capabilities of the system.

Pros

Allows us volunteer POA officers to manage our 291 unit POA without a paid management company. Especially appreciate the ability to handle invoices for annual dues and also special events.

Cons

Wish it was able to keep track of the units that are renting. Would be advantageous to have directory reports in multiple sorts.
