As rapidly growing company we recognised that using Excel documents and paper was not sustainable. We went out a number of companies but shortlisted CIPHR due to the cultural fit that we felt as team was best suited to us. We wanted to be able to give our staff and managers the freedom to be able to manage their work life as they needed to without having to run everything by HR - the self service function has enabled this and within the first day of our launch we had over 90 employees log in and make changes to their records. All in all a brilliant system and is valued by those that use it!

Pros

Tech support are fantastic - all issues are resolved within 24 hours and the teams knowledge is incredible. The on-boarding functionality that we have recently launched for all new joiners have proved to be incredibly valuable and really helping to start their journey with us once they have have been recruited. System is super easy to use and if you are looking to have a system that when pulled out of the box can do everything you need it to but can be customised as and when you need then look no further.

Cons

Reporting can be complicated if you aren't an Excel whizz but the training that is offered can help minimise this.

Since its launch four years ago, the system's functionality has evolved considerably. During this period, the company has also undergone internal restructuring. Overall, we are pleased with our current relationships and the status of our contract.

Pros

The Ciphr Learning Management System (LMS) offers the essential core functionality and flexibility required to create the learning environment we envisioned for our users. It also provides our dealer management team with the necessary reporting capabilities and tools to manage team training effectively. We've also noted recent improvements in the system update process and related communications.

Cons

In the past, we faced difficulties with prolonged resolution times for system issues. Nevertheless, we now recognise that company-wide improvements have fostered more efficient concern resolution and established more robust processes for addressing system-related problems.

Nice. But expensive and slow.

Pros

End users lover it. Browser based, cloud based. Access on or off site. Access on mobile devices. Very easy to use.

Cons

Slow. HR have to access via a remote desktop connection to a CIPHR data centre machine which runs very slowly. You have to wait for screens to refresh. Think modem days! :)

The system is user friendly and contains everything you need for the employee life cycle. It provides value for money and the customer support is invaluable.

Cons

The reports section is difficult to use and there needs to be a level of support between the initial training and then putting this into practise.

SHG had very challenging timescales in which to implement the HR system and Ciphr were willing to work with us to help us achieve that goal. Ciphr have been easy to work with and the support and guidance through implementation has generally been very good.

Pros

Ciphr is generally easy to use and employee satisfaction for self-service features is high. We have found Ciphr to be flexible both from a system configuration perspective and the willingness of the team (consultants, technical support) to assist and help provide solutions to issues.

Cons

There are a few areas which are either not well integrated, easy to use or well featured as we would like. In particular, Paylink configuration is complex, holiday entitlements are laborious to set up and Timesheet functionality is limited.

Pros

System reliability is strong, allowing consistent functionality for users and integrations from our ATS and into payroll. Report writer is extremely useful, with adaptable and powerful configuration options without needing coding knowledge The ability for HR system admins to configure new areas of the system enables increased functionality without additional cost investment. We have therefore been able to create areas to help us achieve our DEEI and ER priorities without additional cost.

Cons

Not many cons. It is a good system. The service desk response times can be delayed during busier periods.

My overall experience with Ciphr is that it is a reliable, supportive HR and payroll system that keeps improving and makes day‑to‑day processes smoother.

Pros

What I like most about Ciphr is how proactive and helpful their customer support team is. Every interaction I’ve had with them has been genuinely positive. The system itself is easy to navigate, with plenty of resources to help you along the way (not that you need them). It’s also really flexible—there’s lots you can configure, and it handles a wide range of scenarios like absence management without any fuss. Ciphr are clearly focused on further modernising and improving the platform. The planned updates really show their commitment to making things even more user‑friendly and keeping them ahead of the game.

Cons

Honestly, I’m struggling to find any negatives – I’ve always been able to find a solution with help from the Customer Services and Payroll teams. One thing I’ve learned is that just because you think the system can’t do something, doesn’t mean it actually can’t. Just reach out to Ciphr, and they’ll come back with a solution every time.

Pros

The overall set up of the HR system was very well explained and we felt fully supported throughout the entire process, especially given we went from having no HR system at all. \[sensitive content hidden\], our HR implementation consultant, was extremely helpful and always went out of his way to support us and answer any queries, making sure that the system was tailored to our needs. Our project Manager, \[sensitive content hidden\], was also really great and helped keep the process running smoothly, despite the amount of changes we had to make due to re-starting our payroll implementation. We also really like the new interface, it's really easy to use and have had good feedback from staff.

Cons

I think it sometimes take a while to get a response to tickets, however we have found that this has improved massively as of recently.

### "CIPHR is a great HR system solution"

I have worked closely with CIPHR for many years and the company and product has evolved in a great way.

Pros

CIPHR is a great HRIS. The system is easy, intuitive, adaptable and smooth and I have seen the product really develop and evolve over time. As a system admin, the level of control over the system is brilliant and the support offered to me from CIPHR is excellent whether it be from the customer experience manager, the account development manager or the front line support technical people; the dedication and solutions-focus is exactly what you would want. I find that the system is easy to train HR people on as it makes sense and the system can be adapted to suit your internal processes. We also have other systems for other HR areas but these can be linked up with CIPHR - for example our LMS has a link to CIPHR which we worked on with CIPHR to implement and that third party integration has been seamless and super efficient for us. The mobile app is also brilliant and this is crucial for us so employees can do all the normal HR processes whilst on the move.

Cons

Sometimes support tickets which require a more complex solution can take time to resolve but where I have raised this with my customer experience manager, these will get escalated and reviewed so it's just about having a good line of communication and making sure they are aware of your priorities.

Overall I've had a positive experience with CIPHR and its great to see they regularly engage with their clients to ask about their needs and change their priorities for improvements based on feedback.

Pros

I have always received great customer service and left my needs and concerns were being listened to. Implementation of the payroll system was very well supported and was launched on time. System setting are fairly easy to navigate and use once trained. Good value for money.

Cons

Absence not linked to payroll means there is a lot of manual work and its open to errors. i-Recruit needs to be be improved with only one portal to login to rather than a separate assessor portal. Better dashboards and easy access stats should be standard i.e. managers can easily see days lost to sickness for their team members, Bradford factor etc.

We switched from ADP to CIPHR payroll in 2022 - better value of money and better customer service.

What I like most about Ciphr is the ease of use of the system and the value it brings in improving the efficiency of our HR processes. Overall, I think we have a great account manager and I feel supported in my role. I had no handover of the system but I have worked on a similar system previously which definitely helped me understand the system. However, \[sensitive content hidden\] has been amazing in helping with my confidence on the system. The cons seem to be longer than the pros but these are just things that we as a team see day in and day out when using ciphr and would be great to have solutions for these.

Pros

Ciphr is user intuitive for those with system knowledge. The Articles in the knowledge base are also really useful and 90% of the time I have been able to find the answer to my query without having to raise a ticket. I have also found our account manager, \[sensitive content hidden\], to be super helpful and always happy to help me when needed. As well as \[sensitive content hidden\] being helpful with any technical queries I have.

Cons

My cons for Ciphr are only small bugbears, but when you make a change in the system for an employee, you have to go into their current job and end the job, it would be useful if this ended automatically when you insert the new job record. When you have ended the job and create a new entry, it doesn't detect the end date of the previous job, so you have to populate this. In the policies, we can't search keywords in a document, this would be useful to have access to. When we upload personal documents, we always add a description in the notes but this doesn't pull through onto the main screen so if the file name isn't something that relates to the document eg File1234, we are having to resave files to see what they are on the main screen. Personal Development area isn't user friendly, we get a lot of queries on how to insert objectives, probation reviews etc. For tickets, its frustrating that these auto resolve if I don't respond within so many days but some of my tickets can take a month to be responded to without an update.

Overall a positive experience! \[sensitive content hidden\] who supported me in implementing iRecruit was great - he was very communicative and ready to offer support whenever he could. He spoke in a language we could understanding (ie non-technical) to ensure we fully understood each step of the process.

Pros

User-friendly and easy to navigate, making it simple for employees to access their personal data. The system is highly accessible, and the customer service is supportive. Ciphr continually improves the platform and provides excellent short learning tutorials to help us make the most of its functionality.

Cons

The implementation process at times felt longer than necessary, and there were periods where progress could perhaps have been streamlined. On occasion, response times from customer support have been slower than expected, which has temporarily delayed our ability to fully utilise all system functionality.

I would say it was mixed, a few hurdles however overall we're a lot more settled with the system now, if we'd looked back we may have changed the order for some areas as the system began being implemented eg Reporting possibly nearer the end rather than earlier on however most people were very supportive and more than happy to help when needed. There would be a few details I'd probably spend a bit more time on at the time if I'd known but our teams seem engaged and it's helping us build on more streamlined processes across the business.

Pros

I felt that the support and response from Mel the project manager was done really well and would always action queries as quickly as possible. The guidance and support for the LMS was great; Beth was fantastic and really encouraging when getting to know the system and how it works, especially helping get areas set up for future work.

Cons

I found sometimes the general responses to questions could take a longer time and some details asked I didn't feel would be so complex for the system but seemed to be a little more challenging at the time. I do find some of the CIPHR system quite clunky and feels things could be a little smoother and done in less steps or actions as a back end user. There was times things were communicated and then when queried it would be a different response and sometimes it would differ to the original comment/ discussion.

### "A much improved experience"

Initially there have been issues with customer support, however the change to the pods has improved things. However there is still the issue of 'dead air' on tickets that have been open a while. As was pointed out at the event, there will be things going on behind the scenes, but all we hear is silence. When we have big events such as the API shutting down then this is frustrating. Even if there is no news, an update to know we haven't slipped under the radar would be good

Pros

The LMS is a straightforward system to set up and use with a lot of features behind the scenes which can combine to make it a very powerful piece of software to use. The rules and learning plans allow to customisation of training plans by role or individual. However it can be a simple database of learning if required. The big plus for me is the API which links the databases from CIPHR HR direct to the LMS. Single sign on, no password resets, and automatic change of training plans when people change roles saves a massive amount of time.

Cons

There are some small features that could be changed which would enhance the user experience. The badges are of little use as they are not transferable, ie: Open Badges, as is the case with other LMS's (Moodle, Tottara, etc). The league tables are of little use in modern day workplace. Customisation of colours beyond one base colour would make for a more enhance experiance as would being able to import your own icons for labels etc. Adding delegates to couses after the event and sorting of the delegate list would be useful as well. A "rule building" wizard would enhance the rules further. These are not show stoppers but would enhance the experience a lot further than we currently have.

### "Great all in one HR systems provision"

We had a great implementation experience, and the customer service are responsive whenever we need anything. They engage us with upcoming improvements and everyone we speak to is genuinely nice.

Pros

They have an effective module for everything we need in one package, which just works much better than having 6 different systems as we did previously. Each of them has all the customisation options we need to make the system work really well for our processes. The new core UI makes it really easy to see everything in one place, and employees rarely need help finding what the need. The payroll integration works really well and saves us upkeeping two different sets of employment data. The bureau are really responsive and knowledgeable.

Cons

The recruiters portal is hopefully next on the list for a UI refresh as it's a bit dated but it does everything we need. Self service of changing the email notifications is apparently coming which will be better for us to more frequently update them.

We use Ciphr for both our payroll and benefits services after they recently acquired Avantus. The team at Ciphr are nothing but helpful and supportive, no matter the query and they are incredibly responsive.

We have recently implemented Ciphr Payroll and the experience was made seamless thanks to the outstanding support from the team, in particular \[sensitive content hidden\] From day one, they guided us through the setup process, patiently answering all our questions and ensuring everything was configured perfectly for what is a very complex payroll. Their professionalism, responsiveness, and deep knowledge of the software made the transition smooth and stress-free. They went above and beyond to ensure our team was comfortable with every feature, and their hands-on approach truly made a difference. Even though we are in the early stages of implementation, I would highly recommend Ciphr to any business looking to modernise their payroll operations, especially their support team—they are 1 of the reasons our implementation was such a success!

Pros

Ciphr Payroll - importing timesheets is quick, efficient and accurate. The system is user-friendly and processing is faster overall thanks to HR integration.

Cons

Ciphr Payroll - The reporting side seems complicated, likely due to limited training following the recent implementation. This would have been a useful exercise to cover during the implementation period. We have avoided the rollback process as it feels long-winded and it is not possible to switch to the next person when in query mode.

### "Customer Support really good!"

I have mainly used Ciphr support for iRecruit issues, and a few My Trust issues. The experience has always been positive and the people in the support team are reactive and very helpful.

Pros

When it comes to iRecruit, Hassan is a godsend, and is always able to understand our requests and action those that he can help with very quickly. He has also advised us when some of our suggestions have been put to the development team, which is helpful. He includes screenshots and clear information, to help us understand and guides us when there are things we can resolve for ourselves.

Cons

Having to put in a service ticket rather than being able to pick the phone up quickly (especially when something is super urgent and potentially a very quick resolution) - it's not made easy to get through to a person quickly.
