Overall, I’ve been very happy using IntakeQ with my company. It’s made managing client forms, scheduling, and documentation so much easier and more organized. The platform feels professional, user-friendly, and reliable, which has helped our team save time and focus more on client care. I really appreciate the customization options that allow us to tailor everything to our specific workflow and branding. While there was a bit of setup involved at the beginning, once everything was in place, the system ran smoothly. IntakeQ has definitely improved our efficiency and streamlined daily operations. I’ve already recommended to a couple practice owner friends!

Pros

Switching to IntakeQ was truly seamless! The setup process was straightforward, and I was able to start using it right away without any confusion or extra training. Everything about the platform feels intuitive — from creating forms to managing client information. It has streamlined our intake process and saved us so much time on paperwork. I love how professional and easy it looks for clients, too! The transition couldn’t have gone smoother, and I wish we had made the switch sooner. IntakeQ has made our workflow more efficient, organized, and stress-free.

Cons

t can take some time to fine-tune everything and create a customized workflow that fits your specific needs (i.e. our intake forms ect.), but once you do, it’s completely worth it. IntakeQ offers so many options for personalization that you can really make the system work exactly how you want it to. There’s a bit of a learning curve as you explore all the features, but the flexibility and customization make up for it. Once everything is set up, the workflow runs smoothly, efficiently, and in a way that truly supports your practice. It’s an investment of time that definitely pays off in the end.

### "Easy, intuitive, and functional "

I have been satisfied with its functionality. The platform does what it intends to well. It would do well to add a couple of extra features and reduce the price.

Pros

The platform allows the easy creation of documents. My clients seem to have found it easy to use, and I have not had complaints about usability. I find the platform interface simple and intuitive.

Cons

It is a bit expensive. I also would love to be able to create surveys on the platform and/or for clients to be able to upload documents via the platform.

### "Easy and Simple"

I've been using IntakeQ for several months now and I enjoy it more than most other document signing programs. We've decided to leave our last document program to use this full-time. This is by far the easiest I've used.

Pros

I love the customizability. I'm able to easily and quickly write up documents for my clients. It does not take much time to learn how everything works and to quickly make complicated documents which you can also turn into PDFs for clients to do by hand!

Cons

There is no automatic translation button. Each document I need translated into Spanish has to be hand translated. There is also not an option to upload documents that have been filled out by hand.

### "USER FRIENDLY"

So user friendly and I love the website design.

Pros

It's amazingly user friendly and customer service is always super prompt and helpful with their responses. Patients also seem to enjoy it and it interfaces really well with our EHR. Oh and the QR codes are GREAT! My office has genuinely enjoyed this program a ton.

Cons

I wish the intake form header was easier to customize. I had someone at IntakeQ create a header for me and didn't LOVE it (although the designer was super fast to create it, so that was nice). I also wish I had more freedom with my filters to look up patients. ALSO, I find we have to send multiple forms to patients sometimes and that can affect our reports and skew our stats. I wish there was a way to delete duplicate forms without going into each patient chart and deleting the duplicate forms so our reports were more accurate.

Good, I like the customization feature. I think a video or invitation to show already supported clients what can be done additionally with the service provider would be helpful

Pros

Easy to use, secure, customizable - can create your own forms.

Cons

I had a problem understanding signature boxes. Clients were being forced to sign in an opt-out of research box. Was able to rectify with help from IntakeQ.

The form creation is very easy to use and straightforward. Sometimes I have to try a few times to get the boxes how I want them, but it is not too difficult.

Nothing that I can really think of. There might be some additional fields I would like, but overall it works how I would like!

Cons

It allows multiple forms to be created for the same patient and there is no easy way for the patient to come back and finish their unfinished forms. The system does not recognize the returning users and let them start duplicate forms.

I wish I didn’t start with them now that my practice is growing.

Pros

Their forms cost money to generate. After they sell you, they leave you high and dry for setup.

Cons

Customer service is not great. All they do is send you a link to a guide. If I’m paying $6000+/ year per practice, I want to speak to someone when I have technical questions

We use it for new patient intake, progress exam questionnaires, testimonials, and consent forms. Overall we are pleased with the product for the price. We would love to be able to brand the paperwork so it matches our brand.

Pros

Simple to use and customizable! Very affordable and great value for what you pay. Easy to send to patients.

Cons

You can’t save log-in information so it is constantly logging out, which is very inconvenient when you need to review paperwork in a short amount of time.

Pt records easily accessible and HIPPA compliant. I also like the ability to add notes to the different sections. I also really like the convenience of knowing when patient's have returned their completed forms to me.

In the past two years as a user of IntakeQ, they are constantly improving their product. They listen to and strive to meet their customer's needs.

Pros

The responsiveness of IntakeQ's staff when you send an email is fast - usually within a few hours during normal business hours. The client portal is exceptional with the client's ability to self-schedule, view and pay invoices, change credit cards, submit forms and journals, and message the provider. The forms creator, booking module, and billing module are easy to use once you learn the system.

Cons

The task manager can create automatic tasks, but they do not automatically disappear off the task list when completed. There is a learning curve to setting up IntakeQ to meet your specific needs, but that is too be expected when the system is so customizable.

When I first started using IntakeQ, I thought this software must have been written by a practitioner who actually does notes! All the other software I have used was slanted to the computer tech who wrote the program. Then, it all made sense when I found out about the suggestion to change or improve things from the practitioners actually using the software. Thank you for not only asking but for actually continually improving things to make it just that much better!

Pros

IntakeQ has actually allowed me to enjoy doing my patient notes! This has always been the worst part of practice - not anymore! I love the flexibility of making it "my own" with the flexible flows and processes. It truly is an all-in-one from the audio/video appointments, scheduling, appointment reminders, links to put on my website, and the connection to Fullscript, and it documents right in my notes. I love the voice-to-text feature as well. The ease of reading the notes and the professional look is amazing. The messaging is critical to me with the virtual practice and helps me stay connected with my patients.

Cons

Honestly I have not cons. After using so many other EHR's in the past, intakeQ is a homerun for me.

we have been with them almost 2 years, prior to them we were with simplepractice (night and day). We also previously were with TherapyNotes and needed more customization.

Pros

The customization. That they have kept pricing for OGs the same. Great email support. Consistency.

Cons

I wish there was an open API for billing. Their billing is not great for how complex our billing needs are so we have had to create a complicated system- where an open API for billing would be amazing.

### "Patient Data Management Nightmare - Not HIPPA - CANNOT manage your patient data"

Horrific. Caused more problems than it solved. Do NOT use to manage patient data, you will be sorry. You have been warned.

Pros

Was cheap and easy to use, but not worth the headache

Cons

Software uses patients first name and email address to identify them. This is NOT OK for medical patient identification. Unfortunately, the company said there is no way around it, and we cannot use "full name" and "birth date", which is common medical practice to identify patients. What's worse, if a patient makes an appointment with the same first name and email address (like a parent would do when registering their child that has mom or dad's first name, which is very common), the system thinks it is the parent being registered and will overwrite the parents' data. This is completely unusable, completely unthoughtful, and will cause you great stress in trying to (futiley) fix the data management nightmares that could easily be avoided by using name and birthdate. Tech support says there is no way around it and the system is hardcoded for this....completely useless! User beware!

You can most certainly manage your client data, each client has a profile where all of their information is stored. There are various lists, reports, and exports available as well. The issue you noted about clients who have the same email address and first name does exist, as we use the email and first name as the primary client identifiers. The provided color schemes and templates are not only unappealing but also lack the much-needed customization capabilities. Users are cornered into utilizing their default email templates, which unfortunately have a strong spam-like appearance. There's no available option to incorporate personal branding with a unique domain or to employ a white label solution. The support team continually praises the product's adaptability, but their grasp on the actual setup and customization for distinct business applications appears shaky at best. They're quick to spotlight its adaptability, often suggesting that users can tweak it as they see fit. However, the reality is that there's a glaring absence of crucial features and functionalities. My list of its deficiencies could extend for pages.You're limited to setting up triggers or actions based solely on new clients or scheduled appointments. There's no mechanism to automatically add or remove tags based on specific actions, which is a significant oversight. Although they have a feature request section, their response is often sluggish, with a tendency to prioritize trivial updates that don't genuinely cater to user needs. A pivotal enhancement would be to simplify workflows and provide integrations with platforms geared towards selling services, like Shopify. While this platform might suit office functionalities, it severely underperforms for companies aiming to sell their services online and seeking seamless integrations.Moreover,

The customization options for setting up your work flows are pretty good.

Cons

Gross colors schemes and templets that aren't customizable. You're stuck sending there email templets that look like Spam and you can't brand your own domain or white label. The support set-up just likes to talk about how cool the product is but they don;t know how to set it up or optimize it for yor business. ### "Enjoying IntakeQ"

We switched from Practice Better (PB) to IntakeQ in July 2022 and it's saved me on average 8 hours a week just in insurance billing alone. PB does not have an integrated clearinghouse, which meant manually tracking claims via a Google Sheet for every clinician and every client. With IntakeQ, all it takes is 3 button clicks and the claim is submitted, and the integrated clearinghouse options automatically update status and communicate this back to IntakeQ. Such a lifesaver!Note functionality is also much better than PB. Namely I disliked how PB would display every single checkbox and row in a chart even if they were not selected or answered. It made notes extremely long, cluttered, and virtually impossible to read. IntakeQ is customizable to where you can choose to show unselected/unanswered questions or not. There's also loads of options with conditional formatting and the ability to automate a task based on the answer received.The IntakeQ team is highly responsive and they work hard to implement feature requests that are strongly supported by the community. So far we are very pleased!

Pros

Highly customizable forms and features with task automation and pinned notes. They are also very active in their Facebook support group and highly value the feedback they receive from their customers.

Cons

Limited ability to transfer/upload patient records from another system (when transitioning the practice over to IntakeQ); no document library; inability to fax more than 1 document from a patient record at a time; no meds list or allergies function yet.
