### "Amazing Business Operating Platform!"

April 27, 2026

5.0

Very positive experience. Again, my whole team operates out of one single platform, which is monday.com. And whenever we need help, support has always been quick to respond.

Pros

The value is incredible. You can operate your entire business out of one platform. The customizations are straightforward, and the whole platform is easy to use. Tons of automations that save my team and I lots of time on a daily basis.

Cons

It can take some thought to set it up properly. If we aren't clear on a process before we build it, the board/process is less effective as a whole.

Alternatives considered

Better value - we can do everything in monday.com, or we can cobble together a few different solutions in multiple tools.

### "Indispensable for my business, but not without real frustrations"

April 30, 2026

3.0

I'm wedded to monday.com. I use it every day, my whole consultancy and delivery business runs through it, and I'd recommend it to anyone in a similar position. It's the one piece of software I genuinely value — I'd switch search engines, social platforms or office suites without much thought, but project management lives here. My honest worry is the long term: as my data, systems and interlinkages deepen, the cost of leaving rises, and I've already seen functionality removed and pricing creep up. I've made peace with the limitations and built workarounds, but I'd be lying if I said I felt entirely secure as a customer.

Pros

Easy to use and intuitive — the interface is colourful and people generally just "get it", which makes it brilliant for communicating with teams and clients. Customer support is genuinely excellent. The AI chatbot is more capable than most — it once correctly diagnosed three separate software issues from a screen recording I sent. When you get passed to a human agent, they're consistently helpful; one recently sent me a follow-up video tutorial after working through a Gantt rollup problem with me. The biggest win for my consultancy has been capacity planning. Combining timelines, estimated hours and dependencies in the Gantt view, then pulling that into a team capacity dashboard alongside a separate board tracking holidays, sickness and training, lets us instantly spot blockages and have honest conversations with clients about realistic deadlines. That alone has changed how we run the business. The item/subitem structure suits long-running work perfectly — some of our forestry projects span 5–10 years, with subitems as the discrete tasks within them. Linking each item to a single Google Workspace file means I never go to Drive to find anything; I just search monday. Board linking works well, and the timesheet dashboard helps keep productivity visible across teams.

Cons

Time tracking is genuinely poor for a tool that markets itself as team-based. Two people can't track time on the same item simultaneously, and you can't meaningfully export hours by client or subitem, so it ends up being little more than a clock you copy figures from. Dependency assignment in Gantt view is clumsy. Instead of clicking the item above, you have to type its name and pick from a list — painful when you have multiple similarly-named items. Worse, when you duplicate an item with subitems and dependencies, the dependencies in the duplicate link back to the original's subitems rather than the new ones. There's no clean workaround, so we avoid duplicating altogether. Gantt charts don't export to PDF reliably — the view often misaligns and you can't correct it. Labels sometimes pull data you didn't ask for (item names appended to subitem hours), and the table column on the left can't be widened into the Gantt area, so long subitem names get cut off. Inserting new items into an existing dependency chain is also fiddly enough that we plan around it. Performance is sluggish even on top-of-the-range hardware and fast internet — boards take a few seconds to load every time, simple or complex. Pricing feels like a moving target. I'm on Pro and still get features dangled in front of me that turn out to sit on a higher tier (forms, certain map functions). Functionality I relied on has also been quietly removed — postcode-based email logging used to capture replies back into the item, and now it doesn't, apparently to nudge users toward the separate CRM product. Reduced functionality without reduced price is hard to swallow, especially when support insists nothing has changed. The three-seat minimum almost stopped me signing up when I started my business. Plenty of small businesses would benefit and don't, purely because of that barrier. And there's constant noise — non-native add-ons being pushed, AI features being promoted — when I just want to get on with building boards.

### "Powerful and Flexible but needs Customization for Nonprofits"

April 27, 2026

5.0

My overall experience with monday.com has been very positive. It helped us centralize workflows and improve organization across our nonprofit team. The flexibility, automations, and integrations save a lot of time, but there is a learning curve, especially for dashboards and more complex setups. The CRM templates are also quite sales-focused, so we had to customize them to better fit nonprofit needs. Overall, once set up, it is a powerful tool that really improves efficiency and collaboration.

Pros

I have been using monday.com for a while now to manage operations at a nonprofit, and honestly, it has made a big difference in how we stay organized. What I like most is how everything can live in one place. We use it for tracking leads, managing projects, handling contracts, and even donor tracking. Before monday.com, things were all over the place, and now it just feels much more structured and easier to follow. The boards are flexible enough that we can set them up exactly how we need, which is a huge plus. I also really like the automations and integrations. Once we connected it with tools like Thinkific and Zapier, it saved us a lot of manual work. Things update automatically, and we can see data almost in real time, which is super helpful for reporting.

Cons

here is definitely a learning curve, especially when you try to build more complex workflows or dashboards. Some features (like charts or reporting) are not as straightforward as you would expect, and sometimes it takes a bit of trial and error to get things right. One thing I noticed is that the Monday CRM templates feel very sales-focused. They work well for traditional sales pipelines, but for a nonprofit like us, they do not always fit out of the box. We had to spend extra time customizing and adjusting the structure to better support things like partnerships, program tracking, and community engagement. Also, it can be a little confusing figuring out when to use the CRM side versus the regular work management boards. We had to experiment quite a bit before landing on a structure that worked for us.

Switched from

[Salesforce Service Cloud](https://www.capterra.com/p/136189/Salesforce/)

We switched from Salesforce to monday.com mainly because we needed something simpler, more flexible, and easier for our team to actually use day to day. Salesforce is powerful, but it felt too complex for our needs. It required more setup, maintenance, and technical knowledge, which made it harder for a small nonprofit team to manage efficiently. Many workflows were not as transparent, and it was not always easy for staff to quickly understand or update information.

### "The Ultimate Architect’s Tool for Operational Scalability"

May 13, 2026

5.0

My experience has been excellent. I view monday.com as a "strategic architecture" tool rather than just a task list. It has allowed me to audit and streamline operations for businesses in HVAC, construction, and facility management by providing a central "source of truth." It’s more than software; it’s the backbone of my consulting and operational strategy.

Pros

The sheer flexibility of the platform is unmatched. As someone who builds automated operational systems for various service trades, I find the ability to customize boards for everything from high-level project management to granular lead tracking essential. The automation engine is a game-changer; it allows me to create "hands-off" workflows that ensure nothing falls through the cracks, which is vital when managing multiple business entities simultaneously.

Cons

While the platform is incredibly powerful, the learning curve for advanced features—like complex mirrored columns or multi-board automations—can be steep for new users. Additionally, the pricing structure can feel a bit restrictive for small teams that need "Pro" level features but don't yet have a high seat count.

Switched from

[Google Sheets](https://www.capterra.com/p/169718/Google-Sheets/)

We were outgrowing the manual limitations of spreadsheets. Managing complex operations for service trades and tracking leads across multiple industries became impossible to scale in Google Sheets. We needed a platform that offered real-time automation, relational data between boards, and a professional interface that could serve as a 'source of truth' for both our consulting firm and our clients

### "Solid, easy to use, great for our remote team"

April 30, 2026

5.0

Solid. For us individually as well as looking at the big picture of projects, deadlines, etc. Love the color coded options, how easy it is to set up new clients and projects. The mobile app is helpful for looking up specific items when I'm away from my computer.

Pros

Our team is remote, so it's enabled us to easily and effectively collaborate. We've used it for 8+ years, managing our clients' projects and our marketing projects.

Cons

We have 4 users but our plan is for 5. I'd rather pay for each user, not a minimum. Then I would like to upgrade to the Pro plan!

### "Powerful and Flexible Work Management Tool with Room for Improvement"

April 29, 2026

5.0

Overall, my experience with monday.com has been positive. It is a powerful tool for organizing work, improving team collaboration, and increasing productivity. While there is a learning curve at the beginning, once the platform is properly configured, it becomes a central hub for managing operations efficiently. It’s particularly valuable for teams looking for a customizable and scalable solution.

Pros

What I liked most about monday.com is its flexibility and visual interface. It allows you to customize workflows according to your business needs, which is especially useful for managing projects, tracking tasks, and collaborating across teams. The dashboards and automations help reduce manual work and provide clear visibility of progress in real time. Integration with other tools is also a strong advantage.

Cons

One of the main downsides is pricing, which can become expensive as your team grows or if you need advanced features. Additionally, some automations and integrations are limited depending on the plan. At times, the platform can feel overwhelming for new users due to the number of options and configurations available.

Alternatives considered

[Microsoft Planner](https://www.capterra.com/p/227201/Microsoft-Planner/)

Reason for choosing monday.com

I chose monday.com over other alternatives like Asana, Trello, or ClickUp because of its balance between flexibility, usability, and visual project management. Unlike simpler tools such as Trello, which are mainly limited to Kanban boards, monday.com offers multiple views (timeline, calendar, dashboards) that allow better control of complex projects. Another key reason is its high level of customization. monday.com allows you to adapt workflows, fields, and automations to fit different business processes, rather than forcing teams into a rigid structure. This makes it suitable for both operational and strategic use cases. Additionally, its visual interface and ease of use make onboarding faster compared to more complex tools. Teams can quickly understand task status, ownership, and priorities without heavy training, which is critical for adoption. Finally, the availability of built-in automations, integrations, and customizable dashboards helps centralize work and reduce manual effort, making it a more scalable solution compared to many alternatives.

### "Excellent for project management"

April 28, 2026

5.0

We migrated from Microsoft Planner for the majority of our projects and everyone across the company much prefers Monday.com. We have now run many projects through it and I truly believe that managing these projects would have been much harder with Planner. Getting people to use things is hard, but people genuinely enjoy using Monday.com which means we don't have any resistance when adding more projects into it and getting new people onboarded.

Pros

Easy to use for the whole team. It's very visually appealing which is great so that many members of the team like it and actively like using it. It's easy to understand and quite flexible which is nice. I really like being able to house everything in one board - all my tasks, documentation, forms and dashboards, all in one place. The automations are super easy to set up and offer a ton of value being able to dictate logic and have your boards work for you is great.

Cons

I think the pricing structure is a bit annoying at first. We've adopted gradually, but needing to buy licenses in set amounts is a bit annoying. When you connect a board to a column, there's no option for adding all the tasks from the board automatically to the connected column. You have to add them all manually and individually which is annoying. But not the end of the world. The name! You can't just say "Monday" because people have no idea what you're on about and saying "Monday.com" each time is annoying.

Alternatives considered

[Asana](https://www.capterra.com/p/184581/Asana-PM/)

Reason for choosing monday.com

I did a free trial of both, and whilst I hate to say I think personally Asana looked better. I think it was slightly clunkier, especially when it came to connecting boards together. And the automations weren't as good.

Switched from

[Microsoft Planner](https://www.capterra.com/p/227201/Microsoft-Planner/)

Microsoft Planner looked garbage, was expensive and offered a fraction of the features. Nobody liked it, it integration horribly with everything, had no dashboards or automations and just is an awful, awful product.

### "A clear, well designed tool"

April 28, 2026

5.0

My overall experience with monday.com has been very positive. It’s a platform I genuinely enjoy using. It's simple, intuitive, visually modern, and great for team collaboration. It offers strong functionality at a reasonable price and it makes managing work feel more organised and engaging. Aside from a few areas that could be more intuitive, like linking and training resources, it’s been a fantastic tool that adds real value to my workflow.

Pros

I really like how easy and intuitive monday.com is to use. The fresh, modern interface, clean layout, and overall user experience make it enjoyable to work in every day, and is easily one of the best tools we use. It’s also great value for money, and has nice collaboration features like the comments functionality that make it easy for our team to stay aligned. The vibe webinars are also a great new addition to the platform, and help me work out new functionality and how to better use the platform.

Cons

The main challenge is that linking items and automation can be a bit difficult and sometimes feels less intuitive than the rest of the platform. I also think having more helpful training videos or tutorials would make onboarding even smoother and help with new features, as I don't think the platform is lacking anything (i.e. has a significant template library, easy to use, great overall), but maybe we are not using certain aspects well or at all.

### "Monday AI is king. "

April 29, 2026

5.0

My entire experience with Monday has been like a before-and-after. Before, it was amazing that I could use the whole lifecycle of my business: - my kickoff - my projects - my project management - my task management Everything else, too, like my two-week tasks, my payments, and my commissions. On the CRM side, it is amazing to see the lifecycle and the customer journey I can do with Monday CRM. I use the whole Monday ecosystem, and after, with the AI capacities we have now, it is amazing. The AI NoteTaker and all the information Monday has is awesome, and the agents I have been working with are great.

Pros

Right now, the most I like about Monday is the AI capabilities. The Sidekick and the fact that this guy knows everything about my workflow, so I don't have to use other AI platforms, is amazing. I also love: - the general - the task management - the work management - the CRM Everything in one place

Cons

Right now, the least thing is the WhatsApp integration for Monday CRM. I need it. I think so. It's going to be very, very good for Monday CRM and also for every Monday product.

### "Easy-to-use and flexible project management tool"

April 29, 2026

4.0

Overall, my experience with monday.com has been very positive. It has improved team organization, visibility, and communication across projects. It’s a powerful tool for managing workflows and staying aligned, especially for cross-functional teams. While there are some limitations and cost considerations, the benefits in efficiency and collaboration make it a valuable platform.

Pros

Monday.com is very intuitive and easy to use, even for teams that are not highly technical. I especially like the visual layout of boards and how customizable they are for different workflows. The automation features save time on repetitive tasks, and the ability to collaborate, assign tasks, and track progress in one place is very helpful. It also integrates well with other tools we use.

Cons

Some features can feel limited unless you upgrade to higher-tier plans, and pricing can add up quickly. There is also a bit of a learning curve when setting up more advanced automations or workflows. Occasionally, it can feel overwhelming with so many customization options, and certain reporting or dashboard features could be more flexible.

### "Love Monday.com"

April 27, 2026

5.0

Overall experience with the tool has been great. We appreciate the support, both asynchronous and being able to jump on a call with someone when we can't figure something out or are looking at potential new features. While pricing can feel like a big barrier, it's been worth it for our team. Now if we could only bundle the CRM in a way where only 1 or 2 seats is needed, not the whole team... that would be great! We'd switch from Hubspot in that situation.

Pros

I've been using monday for years. I appreciate the clean interface and ease of adoption. Our teams love the automation, the notifications, and the new AI options to improve workflows. I don't know what we'd do without monday as our backbone of all delivery.

Cons

Not a lot of cons, but it's hard to get a tease of features (especially the AI ones, like vibe) but then have the pricing of using those features be exorbitant for our small team.

### "Monday.com is great for light to medium needs, but you may outgrow it's capabilities"

January 28, 2026

3.0

I was on the team that initially vetted and recommended Monday.com, and I've used it for 4+ years almost daily. It excels with simple project management and offers extremely user-friendly functionality. However, it has serious limitations compared to, say, Jira, or another platform used to manage intricate projects spanning multiple teams.

Pros

Cons

It lacks many of the more advanced capabilities offered by Asana, Jira, and other task/project management platforms

### "My favorite PM and/or CRM tool - very intuitive"

January 22, 2026

5.0

Although I didn't PERSONALLY pay for Monday, I worked for clients who were only making $100,000/year to clients who were multi-million dollar companies and Monday worked (and was affordable) for BOTH! Anytime a client is looking for a CRM or project management tool Monday is always my first suggestion.

Pros

I have used a lot of project management softwares and Monday is by far my favorite - it's very intuitive whether you're more of a Kanban type user or would prefer another type of view. I love the fact that you can build in dependencies and it integrates with several other softwares such as Zoom, Gmail, and Slack (to name a few).

Cons

The login situation is a little tricky. I had a few different clients that used Monday and I would get a little confused about how to ensure I was logging into the correct Monday account.

It has become the most important tool for communicating with my staff and getting projects done efficiently.

Pros

### "A Powerful, Visual Hub for Modern Team Collaboration"

April 27, 2026

5.0

My overall experience with monday.com has been largely positive. It excels as a "Work OS" because it bridges the gap between simple task management and complex project tracking. The interface is vibrant and engaging, which actually encourages the team to keep their status updates current—something we struggled with using more sterile tools. While the pricing tiers can be a bit steep as you scale, the time saved through automations and the clarity gained through custom dashboards makes it a worthwhile investment for teams that value transparency.

Pros

The most impressive aspect of monday.com is its visual versatility and intuitive UI. Unlike traditional project management tools that feel like rigid spreadsheets, monday.com allows for a high degree of customization through various "Views" (Kanban, Gantt, Timeline). Automation Center: The "if this, then that" automation recipes are incredibly easy to set up and significantly reduce manual data entry. Centralized Communication: It effectively eliminates "email silos" by keeping all task-related discussions, files, and updates in one centralized location. Onboarding: The platform is aesthetically pleasing and user-friendly enough that it minimizes the learning curve for new team members.

Cons

While the platform is powerful, the pricing structure and feature gating can be frustrating for smaller teams. Specifically, many essential features—like certain automations or advanced integrations—are locked behind higher-tier "Pro" or "Enterprise" plans, which can become expensive quickly. Complexity in Scale: When boards become overly populated with hundreds of items and dozens of columns, the interface can occasionally feel cluttered or suffer from slight performance lag. Notification Overload: The default notification settings can be overwhelming; if not carefully managed, users can easily lose important updates in a sea of "pings." Mobile App Limitations: While the mobile app is functional, it lacks the full depth of the desktop version, making complex board management difficult on the go.

### "Great Project Management Solution"

April 27, 2026

5.0

Overall very happy with we have been able to build with Monday. The software is pretty user friendly.

Pros

I love how we can set up and customize boards to exactly what we need. The automations allow for a seamless workflow and notification system. When I have needed guidance customer support has always been helpful and they always follow up to ensure issue or questions were resolved.

Cons

Some functions like find and replace a 3rd party app is needed. Would also like to see more sync options with QuickBooks and QuickBooks Time. The Monday app has several bugs and limited functionality, which hopefully is being worked on as field workers tend to use tablets.

### "Great platform with powerful features"

April 27, 2026

5.0

Great experience so far. It’s a powerful platform with a lot of potential once you get the hang of it. There’s definitely a learning curve, but once systems are set up properly, it makes managing tasks, communication, and workflows much more efficient and streamlined across the team.

Pros

Very up to date and constantly evolving with new features. It’s a great platform for organising workflows, automating tasks, and keeping everything in one place. The customisation options are strong, allowing you to tailor boards to suit your business needs, and the integrations make it easy to connect with other tools we already use.

Cons

The AI features can be a little confusing to navigate at times, especially when you’re first getting started. There are so many options and tools available that it can feel slightly overwhelming, and it takes a bit of time to fully understand how everything works together and how to best implement it.

### "But wait... There's more!!"

April 28, 2026

5.0

I've been using monday.com now for just over a year and a half. My experience has been nothing short of transformative. I used to struggle with a clunky old Gantt chart and now I've got a comprehensive CRM project tracking, communication, and scheduling system, which is quite extraordinary. I forgot to mention also reporting. I now have insights which are incredible. When my accountant asks me a question, I now have an answer at my fingertips. When a customer asks me a question, I now have an answer at my fingertips. My sales team are now able to see in real time their performance, which is extraordinary.

Pros

End to end it's amazing.... Flexibility, automations, notifications, all the things I struggled with previously I can now create. And that's the think. I build it.... No more, sorry that's not on our pipeline for development at this stage. Any time I want something it's there and I can implement it right away. Test it, if it's good I add it in. No good, I simply drop it and try something else.

Cons

There's so much I can do and I don't have the time to learn all about it. Even now with native AI, Vibes, workflows, agents it's everything I need but I simply don't have the time to learn and use. Not much if a dislike sorry lol.

### "Powerful but takes time to get right — worth it once you do"

May 18, 2026

5.0

We've been using monday.com for about 14 months across a team of 11 people in a marketing agency. After a shaky first month of setup, it's now the first thing I open every morning. The value for money feels fair at our current plan level, though I do wish the mid-tier included more automation runs. If you're willing to invest a week or two into setting it up thoughtfully, it pays back in clarity and accountability across the whole team.

Pros

Monday.com completely changed how our team tracks work. The visual boards are genuinely satisfying to use — color-coded statuses, drag-and-drop task cards, and the ability to switch between Kanban, Gantt, and list views without losing any data is a huge win. Task management is where it really shines; assigning owners, setting deadlines, and leaving update threads directly on tasks means we've cut our email back-and-forth by a lot. The automations are also a standout feature — once I set up a rule to notify the team when a task moves to "stuck," it just runs itself. Customer support was responsive when I had onboarding questions, and the help docs are actually readable.

Cons

The pricing jumps steeply once you scale up seats, which stings for smaller teams. The free tier is almost too limited to evaluate it properly. There's also a learning curve around process management — building multi-board workflows with dependencies and linked items feels unintuitive at first, and I ran into a few bugs where automations fired twice or didn't trigger at all (though this seemed to resolve itself after a day). New users tend to over-complicate their boards early on, so without proper onboarding, adoption can stall.

### "Great for an online media company"

April 27, 2026

5.0

Overall, we love it. It works great for our media business. We use it for editorial calendars, sales tracking, project management, and more.

Pros

It keeps my team and projects organized. The automations really help to keep my team on track. We also utilize forms for nearly everything.

Cons

I find that it's difficult to train new employees on the Monday.com process. Would love more training videos for users of Monday.com vs owners of the account.

### "Monday.com for every day of the week!"

February 21, 2026

5.0

Overall, I'd recommend it in a heartbeat. It's super versatile, has a pleasant UI, and is really easy to maintain and share with others. I use it all day every day and I'm glad!

Pros

Monday is so versatile - we use it for meetings, progress tracking on projects, tracking bugs, cross-team information visibility, and even our company directory.

Cons

Honestly, I dislike very little. But the two things would be notifications (tend to be overwhelming in quantity and hard to curate properly) and search (I'm not always able to search as targetted as I'd like to be able to).

### "Intuitive Process Management for Entertainment Company"

April 27, 2026

5.0

Overall, monday.com has been a useful organizational and visibility tool for our team, particularly in structuring pipelines and aligning across departments. However, as our business scales, we’ve found that its reliance on manual updates limits its effectiveness as a fully integrated CRM. It works well as a flexible framework, but requires additional systems and automation layers to truly support a high-volume, fast-moving business like ours.

Pros

Monday.com is highly flexible and intuitive, which made it easy for our team to stand up a CRM structure across multiple business lines (nightlife, private events, brand partnerships). The ability to customize boards, pipelines, and statuses allowed us to map our sales process in a way that reflects how our business actually operates. It’s also a strong collaboration tool: teams can quickly understand deal status, ownership, and next steps without needing constant internal communication.

Cons

The biggest limitation is that monday.com still requires a degree of manual input to be effective. For a business like ours — managing a high volume of bookings and conversations — this creates friction and increases the risk of data becoming outdated or inconsistent.

### "Repeat customer - great experience"

April 27, 2026

5.0

Overall I am very happy with Monday.com and would recommend it to others. The customer service is helpful and the system is a huge time saver.

Pros

I have used Monday.com in my last 2 roles and both were able to take manual processes and drive material improvements. The automations make it much easier to drive process flows and it is a very user friendly platform with quick adaptation.

Cons

There are some lags while automations are running which can be a nuisance. Additionally, there are limits in the logic and board structures (such as not being able to use "or" statements). The board structures can be limiting but this is not too much of an issue if you plan accordingly.

### "Small Business gives Monday.com 10/10"

April 27, 2026

5.0

I have used monday.com for 5 years and recommend it to everyone I know with a small business. It helps our team stay organized and efficient when creating social media content for 25+ businesses.

Pros

I love how our team can communicate through it and use automations to make us more efficient. The ease of use is so helpful as I invite clients as guests to view their content we create for them. I also feel like you get so much value for your money with Monday.com and recommend it to a lot of small business owners.

Cons

I wish it had a scheduling feature for social media so we didn't have to copy and paste our content from monday.com over to meta scheduling. I wish also the phone view for docs was better as my clients tend to complain about not being able to read the full column or row. They also complain about the board view from a phone is hard to open up the text box and read everything as well.
