Overall, monday can be as simple or as complex as you need it to be. It is worthwhile either paying someone to set it up for you, or have someone internally as the champion to set it up. When used properly it can be very powerful, when used poorly, it creates too much admin. It is the closest to project management software I would design if I did it myself (still not perfect though).

Pros

Monday UI is very nice and intuitive to use (if setup properly) and has the ability to be a one stop shop platform. Ease of use has meant adoption from staff has been very good. Automation features are good, templating is reasonable but a bit buggy sometimes. Customer support has been very helpful when you can get to a human, but you often have to go through useless AI bots to get there.

Cons

Monday is very expensive, which means it can be difficult to justify seats for all users. This means that use of the software can be a bit half hearted by your company if only some people are allowed seats. The ability to track resources, time and budget is pretty basic, especially if you've come from something like MS Project. Updates seem to be mainly focused on AI at the moment, which can be frustrating, especially when features the community has been asking for for a long time continue to get pushed. Would appreciate more transparency on the roadmap.

Solid. For us individually as well as looking at the big picture of projects, deadlines, etc. Love the color coded options, how easy it is to set up new clients and projects. The mobile app is helpful for looking up specific items when I'm away from my computer.

The agency I was collaborating with was using Monday as an internal and external board. We had out internal objetives for each client and then the external boards with the Content plan and some automations. The main issue we had was with our clients. They were so lost about how to use Monday and also they received so many notifications so we ended up using another tool.

Pros

What I liked the most about is that I can open different spaces for different clients and use It as my main operacional tool (Content plan, feedback,...). Also their automations system is amazing!! It sabes a lot of time and gives this premium vibe as an agency. Nevera had a bug or any issues with Monday. I just remember one time we couldnt reach to open It because their servidora weren't working and customer supoort vía mail answered me super fast that this was the problem.

Cons

Well, Some clients said that It was quite complicated to understand how to use Monday so I ended up using another tool. Other than that I don't have any complain.

I love it and my team love it. is the best work management tool I've used and it is now our core system for planning and delivery of work.

Pros

It's a very user-friendly platform which is enjoyable to use and has been embraced by our team. There is also so much functionality and AI features and new enhancements being constantly released. We have also just started using the CRM which is much more engaging to use than traditional CRM systems.

Cons

There is a lot of functionality which we didn't use initially, but the more we use it the more we are discovering additional ways to automate and connect our work.

I led a deep review of project management platforms with my former employer, and our execution and use of Monday was so smooth and successful that I have implemented it at my current organization. This will always be my top choice for usability, user friendliness, and a great competetive cost that gives outstanding functionality without breaking the bank.

Pros

We went through a review of various project management platforms and ultimately settled on monday for several reasons. First it has some of the best help files of any software service I have used, ever. The help and instructions site is amazing because the information is available in multiple formats, like text and video, not just one or the other, so the information is available in the manner in which the user learns best. It is also set up so that different preferences can be accomodated. For example if someone tends to work well with color coding, but someone else works best with lists both can be set up. The ability to see the status of multiple tasks or projects at once is really helpful, and now they have expanded their templates and integrated AI so it is even easier and more effective for basic users

Cons

I honestly dont have a lot of downsides. Any issues I have had I have always been able to solve by going to the help files.

Adding new users wasn’t always straightforward, and guest access felt limited — guests were primarily able to view rather than actively contribute. This made it challenging to share boards with colleagues outside of the subscription who simply needed to add input, notes, or comments, without increasing overall costs. As a result, collaboration across different teams or stakeholders could become less efficient and more costly than anticipated.

Os templates salvam muito tempo de setup inicial e a interface é super agradável com o dark mode ativo. Seria uma ferramenta impecável se a seção de tarefas individuais ("Meu trabalho") recebesse uma atualização permitindo filtragens mais avançadas, mas, no geral, ela atende super bem às expectativas e entrega muito valor.

A plataforma é extremamente útil e completa, entregando um excelente custo-benefício para a gestão do dia a dia. From auto-generating task summaries to writing update drafts and surfacing blockers, the AI integration feels purposeful rather than bolted on — which is rare in this category. Powerful automation engine: The no-code automation builder is flexible and reliable. You can set up complex workflows (status triggers, notifications, cross-board syncs) without involving a developer, which speeds up launch coordination significantly. Flexible views and templates:Whether you need a Kanban board, a calendar, a workload view, or a high-level dashboard, Monday handles it. I really like how intuitive and visually organised is. The customisable boards make it easy to track projects and adapt workflows to different needs without feeling restricted. ### "Reliable spreadsheet style system"

It's reliable. The way I see it is that if my company uses , I'd be fine with that, but I wouldn't be overjoyed. If I wanted to manage personal projects outside of work, I'd prefer the Atlassian suite of tools.

Pros

There is flexibility in how you use it, especially through the ability to automate workflows based on a large set of triggers. Where prescribed options don't hit the mark, the AI automation function comes in handy. I also love how the My Work tab aggregates my assigned tasks across all boards I'm involved in, and the customisation options to hide/show items as needed. I've described as "a spreadsheet on steroids".

Cons

I don't love the main item > sub-item structure, despite this being the core structure of the system. It limits usability of the platform to 'spreadsheet style' itemising of tasks. If I really wanted a spreadsheet to customise, sometimes it is easier to use Google sheets. I would use for the ability to automate workflows and the collaboration aspect (e.g., knowing that tagging a team member in an item will reliably send them a notification and there's a clear audit trail of activities). I would prefer boards that offer 'ticket style' itemisation - this is offered to an extent through Kanban views and item cards, but where it falls short is not allowing an item card to absorb fields from other items across other boards. E.g., If I want a templated data field, it HAS to be created as a column, not as a data field within a card. This can also be solved to an extent with Connect Boards, but I've often found that the sum of these features is a clunky experience where no true linkage between cards and boards can be made without significant high-touch workarounds.

My overall experience with has been incredible! I have thoroughly enjoyed this productivity software to the point that I now use it to manage my graduate studies, and I started designing templates. And now with the AI enhanced, I can quickly design a workbook, bring it online and make micro changes as I am building out my project making my days even more productive and efficient.

Pros

I have enjoyed using since first signing on. I was skeptical as to how the platform could help a small non-profit, but was immediately impressed by the templates and features. I was able to quickly build out a communications calendar for our social media and a grants tracking table from their templates and quickly customized it to our needs. I was also able to send out our newsletter to clusters of recipients and track opening and link utilization. It was incredibly easy to onboard my peers, they customized feeds, added comments, and found our tracking of projects more detailed and reliable, especially because we could link our Google drive and quickly attach documents for review and cross communication, not only did they find the platform easy to adapt to, they felt more productive and engaged.

Cons

We have been with for almost three years and just over a year ago we ran into a billing and platform upgrade simultaneously, this caused a problem for us to log in and we had to step back to the legacy product while they worked the big out. That was frustrating. However, customer service worked with us each step of the way until the issue was resolved.

### "Monday is PERFECT for Project Management"

I don’t have much time each day to dedicate to processes, but I do have enough time to mark a task as complete or in progress. Monday’s automations are saving me time, and their templates are saving my sanity. Thank you, Monday, from the bottom of this ADHD-er's heart!

Pros

As a person with ADHD, color-coding my work regarding completeness has been a game-changer. I can look at any project dashboard and immediately know if I’m on time or falling behind. It’s definitely held me more accountable to myself and my Board of Trustees. The templates have been amazing, as has the free non-profit training. I’ve tried other products before, such as Click-Up, and, for me, they can’t hold a candle to Monday. Plus, even little automations make my life a whole lot easier.

Cons

Every product has a learning curve. I hate that, but Monday has made it less of a chore by building an onboarding process into Monday Academy. When you go through the tutorial, it’s easy to set up what you need to get started, and the additional options in Monday Academy really help you fine-tune the product to what you need for your business. In my case, a non-profit public library

While Click-Up is free, it’s also very plain and doesn’t seem to have the complete functionality that Monday does. Plus, Monday is free for non-profits as well for up to 10 seats! If you’re in the non-profit space, I highly recommend it, as Monday also offers more seats and deeper discounts for greater functionality!

What I like most about is its incredible flexibility and automation engine, which provide excellent value for money. For a roll-out project involving multiple locations, the ability to automate status changes and instant notifications is invaluable; it significantly reduces manual work and ensures all stakeholders are aligned. Additionally, the ease of use and the variety of features—like the Gantt and Dashboard views—allowed us to customize our workflow perfectly. We also found the templates to be a great starting point, saving us hours of setup time. It is a remarkably stable platform with almost no bugs or issues, and on the rare occasions we had a question, their customer support was fast and professional.

Cons

As projects scale and the number of boards increases, the navigation and search between multiple workspaces can become slightly cluttered. While the Search Everything tool is helpful, a more streamlined way to manage dependencies across dozens of different boards would enhance the experience for large-scale operations. Maybe that is because my license is Pro and not buisness.

While advanced setups can require ongoing maintenance, it has been very valuable for keeping our processes structured and centralized.

Pros

What I liked most about is how flexible it is for building workflows around the way our business actually operates, instead of forcing us to adapt to a rigid system. At Budd’s, we use it to organize and track multiple parts of the business, and the biggest advantage is the ability to customize boards, statuses, automations, and columns to match our real operational process. It gives us visibility across teams, helps centralize information, and makes it much easier to monitor progress, accountability, and bottlenecks in one place. Another big plus is that it works well as an operational hub alongside other systems. We’ve been able to use monday.com to support workflows connected to quoting, jobs, clients, and follow-up processes, which makes it valuable beyond just project management.

Cons

What I liked least is that as your workflow becomes more advanced, can start to feel a bit cluttered and harder to manage. It is very customizable, but that also means maintaining boards, automations, and integrations can take a lot of ongoing attention. Some processes that seem like they should be simple end up requiring workarounds or extra manual setup.

Overall, I'd recommend it in a heartbeat. It's super versatile, has a pleasant UI, and is really easy to maintain and share with others. I use it all day every day and I'm glad!

Pros

Monday is so versatile - we use it for meetings, progress tracking on projects, tracking bugs, cross-team information visibility, and even our company directory.

Cons

Honestly, I dislike very little. But the two things would be notifications (tend to be overwhelming in quantity and hard to curate properly) and search (I'm not always able to search as targetted as I'd like to be able to).
