### "The Platform That Changed How My Team Works (Mostly for the Better"

Overall, has been a net positive for how I manage work and lead my team. It brought structure to what used to feel chaotic, and gave everyone (myself included) a clearer sense of ownership and accountability. The learning curve exists, but once the team was up and running, the platform became less of a tool and more of a operating rhythm. Is it perfect? No. But the right tool rarely is. What matters is whether it makes your work life meaningfully better, and for the most part, monday.com does exactly that.

Pros

The visual boards genuinely changed the way I run my team. I still remember the early days of juggling spreadsheets and chasing people down for status updates — it was exhausting. With , I pulled up a board and everything was just there. Color-coded, organized, and instantly readable. My team stopped asking "what should I be working on?" and I stopped dreading Monday morning check-ins. That alone was worth the switch.

Cons

The two areas where still has room to grow are integrations and pricing. Some third-party connections feel a bit surface-level for a platform of this caliber — certain workflows require more manual effort than they should, which can be a minor but recurring inconvenience. On the pricing side, costs do add up as your team scales, and a few features that feel fairly essential are reserved for higher-tier plans. Nothing that would push me away, but worth factoring in before you commit.

I'm wedded to . I use it every day, my whole consultancy and delivery business runs through it, and I'd recommend it to anyone in a similar position. It's the one piece of software I genuinely value — I'd switch search engines, social platforms or office suites without much thought, but project management lives here. My honest worry is the long term: as my data, systems and interlinkages deepen, the cost of leaving rises, and I've already seen functionality removed and pricing creep up. I've made peace with the limitations and built workarounds, but I'd be lying if I said I felt entirely secure as a customer.

Pros

Easy to use and intuitive — the interface is colourful and people generally just "get it", which makes it brilliant for communicating with teams and clients. Customer support is genuinely excellent. The AI chatbot is more capable than most — it once correctly diagnosed three separate software issues from a screen recording I sent. When you get passed to a human agent, they're consistently helpful; one recently sent me a follow-up video tutorial after working through a Gantt rollup problem with me. The biggest win for my consultancy has been capacity planning. Combining timelines, estimated hours and dependencies in the Gantt view, then pulling that into a team capacity dashboard alongside a separate board tracking holidays, sickness and training, lets us instantly spot blockages and have honest conversations with clients about realistic deadlines. That alone has changed how we run the business. The item/subitem structure suits long-running work perfectly — some of our forestry projects span 5–10 years, with subitems as the discrete tasks within them. Linking each item to a single Google Workspace file means I never go to Drive to find anything; I just search monday. Board linking works well, and the timesheet dashboard helps keep productivity visible across teams.

Cons

Time tracking is genuinely poor for a tool that markets itself as team-based. Two people can't track time on the same item simultaneously, and you can't meaningfully export hours by client or subitem, so it ends up being little more than a clock you copy figures from. Dependency assignment in Gantt view is clumsy. Instead of clicking the item above, you have to type its name and pick from a list — painful when you have multiple similarly-named items. Worse, when you duplicate an item with subitems and dependencies, the dependencies in the duplicate link back to the original's subitems rather than the new ones. There's no clean workaround, so we avoid duplicating altogether. Gantt charts don't export to PDF reliably — the view often misaligns and you can't correct it. Labels sometimes pull data you didn't ask for (item names appended to subitem hours), and the table column on the left can't be widened into the Gantt area, so long subitem names get cut off. Inserting new items into an existing dependency chain is also fiddly enough that we plan around it. Performance is sluggish even on top-of-the-range hardware and fast internet — boards take a few seconds to load every time, simple or complex. Pricing feels like a moving target. I'm on Pro and still get features dangled in front of me that turn out to sit on a higher tier (forms, certain map functions). Functionality I relied on has also been quietly removed — postcode-based email logging used to capture replies back into the item, and now it doesn't, apparently to nudge users toward the separate CRM product. Reduced functionality without reduced price is hard to swallow, especially when support insists nothing has changed. The three-seat minimum almost stopped me signing up when I started my business. Plenty of small businesses would benefit and don't, purely because of that barrier. And there's constant noise — non-native add-ons being pushed, AI features being promoted — when I just want to get on with building boards.

Pros

The value is incredible. You can operate your entire business out of one platform. The customizations are straightforward, and the whole platform is easy to use. Tons of automations that save my team and I lots of time on a daily basis.

It can take some thought to set it up properly. If we aren't clear on a process before we build it, the board/process is less effective as a whole.

We migrated from Microsoft Planner for the majority of our projects and everyone across the company much prefers . We have now run many projects through it and I truly believe that managing these projects would have been much harder with Planner. Getting people to use things is hard, but people genuinely enjoy using Monday.com which means we don't have any resistance when adding more projects into it and getting new people onboarded.

Pros

Easy to use for the whole team. It's very visually appealing which is great so that many members of the team like it and actively like using it. It's easy to understand and quite flexible which is nice. I really like being able to house everything in one board - all my tasks, documentation, forms and dashboards, all in one place. The automations are super easy to set up and offer a ton of value being able to dictate logic and have your boards work for you is great.

Cons

I think the pricing structure is a bit annoying at first. We've adopted gradually, but needing to buy licenses in set amounts is a bit annoying. When you connect a board to a column, there's no option for adding all the tasks from the board automatically to the connected column. You have to add them all manually and individually which is annoying. But not the end of the world. The name! You can't just say "Monday" because people have no idea what you're on about and saying "" each time is annoying.

I did a free trial of both, and whilst I hate to say I think personally Asana looked better. I think it was slightly clunkier, especially when it came to connecting boards together. And the automations weren't as good.

My overall experience with has been very positive. It’s a platform I genuinely enjoy using. It's simple, intuitive, visually modern, and great for team collaboration. It offers strong functionality at a reasonable price and it makes managing work feel more organised and engaging. Aside from a few areas that could be more intuitive, like linking and training resources, it’s been a fantastic tool that adds real value to my workflow.

Pros

I really like how easy and intuitive is to use. The fresh, modern interface, clean layout, and overall user experience make it enjoyable to work in every day, and is easily one of the best tools we use. It’s also great value for money, and has nice collaboration features like the comments functionality that make it easy for our team to stay aligned. The vibe webinars are also a great new addition to the platform, and help me work out new functionality and how to better use the platform.

Cons

The main challenge is that linking items and automation can be a bit difficult and sometimes feels less intuitive than the rest of the platform. I also think having more helpful training videos or tutorials would make onboarding even smoother and help with new features, as I don't think the platform is lacking anything (i.e. has a significant template library, easy to use, great overall), but maybe we are not using certain aspects well or at all.

overall experience with has been pretty smooth. it’s easy to get started and doesn’t feel heavy. once things are set up, managing tasks and tracking work becomes much simpler. it handles day to day work well, though it can feel a bit much as things scale. but overall, it does the job without too much friction.

Pros

is pretty easy to start with, didn’t take much time to figure things out. UI is simple and clean so setting up boards and tasks is quick. i like how flexible it is, you can use it for different things without needing any technical setup. automations help a lot with small repetitive stuff. also gives a good view of what everyone is working on so tracking is easier. integrations with tools like slack and google drive work fine. overall it just makes managing work a bit smoother without too much effort.

Cons

can feel a bit cluttered when things scale. pricing gets expensive as team grows. takes a little time to set things up properly. notifications can get noisy if not managed.

My entire experience with Monday has been like a before-and-after. Before, it was amazing that I could use the whole lifecycle of my business: - my kickoff - my projects - my project management - my task management Everything else, too, like my two-week tasks, my payments, and my commissions. On the CRM side, it is amazing to see the lifecycle and the customer journey I can do with Monday CRM. I use the whole Monday ecosystem, and after, with the AI capacities we have now, it is amazing. The AI NoteTaker and all the information Monday has is awesome, and the agents I have been working with are great.

Pros

Right now, the most I like about Monday is the AI capabilities. The Sidekick and the fact that this guy knows everything about my workflow, so I don't have to use other AI platforms, is amazing. I also love: - the general - the task management - the work management - the CRM Everything in one place

Cons

Right now, the least thing is the WhatsApp integration for Monday CRM. I need it. I think so. It's going to be very, very good for Monday CRM and also for every Monday product.

I enjoy Monday- I love the new things it comes up with like the AI add-on's. I appreciate the constant updates and positive changes. I have had our account manager reach out to see if they're able to assist, but I've taken the time to figure things out. Overall, I love it, I rate it four stars because there is always room for improvement, but I recommend this program to most of my acquaintances.

Pros

The automations help keep flows moving. With large or small teams, we can consistently upkeep statuses and update our team where we need more information or something is complete. It's a live environment that is easy to use and easy to keep communication up to date. I love the Monday Vibes and the customization that is at our fingertips.

Cons

I don't find too many cons, but I wish there were more capabilities for notetaking. I tend to get lost with my notes and where things exist. Maybe I haven't found the best way for it. Also don't like that I can't customize my main workspace the way I can other boards.

Overall, I have really enjoyed working with Monday. I do wish there was a cheaper option for help to onboard and set up the system correctly for our company but I think it is a very fair price for what we get currently.

Pros

The ease of use and value for what you get is great. I think once the whole team is onboard and understands how to properly use it, it can be a really powerful tool for our company.

Cons

There is no onboarding or customer service that you can call into, so you have to figure a lot of it out on your own but the platform is very easy to navigate and they do try to make it as intuitive as possible for the users. The AI Chatbot is very helpful as well it just takes a little time to know how to set up your account correctly.

I have used Monday for 6+ years in various capacities, from inventory tracking, to basic CRM functionality. The best part about it is that it's easy to onboard onto, not too overwhelming for first-timers, and very intuitive. The recent AI features continue to surprise me everyday as I find more and more use cases for them.

Pros

I like for the ease of use first and foremost. It's a product that I feel very confident onboarding clients onto because I know that clients from any industry and technical experience level can use it. It's very intuitive for task management and CRM functionality.

Cons

There are some minor restrictions with the subitems feature. For example, In a CRM instance, I prefer to keep the company name as the primary item, with the subitems containing each contact within the account/company. However, Monday does not support exporting subitems, so it has been a bit tricky figuring out how to extract those.

I was on the team that initially vetted and recommended , and I've used it for 4+ years almost daily. It excels with simple project management and offers extremely user-friendly functionality. However, it has serious limitations compared to, say, Jira, or another platform used to manage intricate projects spanning multiple teams.

Pros

The colors, branding, interface, and instructional information provided within the interface are very inviting and non-intimidating for non-technical people.

Cons

It lacks many of the more advanced capabilities offered by Asana, Jira, and other task/project management platforms

Although I didn't PERSONALLY pay for Monday, I worked for clients who were only making $100,000/year to clients who were multi-million dollar companies and Monday worked (and was affordable) for BOTH! Anytime a client is looking for a CRM or project management tool Monday is always my first suggestion.

Pros

I have used a lot of project management softwares and Monday is by far my favorite - it's very intuitive whether you're more of a Kanban type user or would prefer another type of view. I love the fact that you can build in dependencies and it integrates with several other softwares such as Zoom, Gmail, and Slack (to name a few).

Cons

The login situation is a little tricky. I had a few different clients that used Monday and I would get a little confused about how to ensure I was logging into the correct Monday account.

### "Sadly a downfall of a once great tool."

When was new, fresh and innovative we were big fans. Sure, it was a bit pricy, but it matched our needs very nicely. But over time we encountered to many limitations with scale so we had to move away to another tool. which ended in a horrible user experience for all team members due to a daily "Your Account will be blocked" message showing up for the rest of the subscription period. For EVERY employee of the company. HORRIBLE.

Pros

Gerat Design and great feeling when interacting with the modern and team motivating interface. the features it supports feel great for the team members to use.

Cons

we encountered more and more buggy behaviour on Scale using to a point where we canceled the subscription. But then the horror happened. When the plan is canceled EVERY team member (Employee) will see a big warning banner EVERY SINGLE DAY saying: "Your plan's renewal has been cancelled and you will be blocked on August 6, 2025".- this is a huge NO GO and Customer service said there is nothing to do to prevent this from showing to every team member. "You will be blocked" messages going out to ALL employees for the next few months until our migration to another tool is completed is HORRIBLE.

Pros

is very easy to use and quick to set up, even for more complex workflows. The interface is clean and intuitive, which makes managing projects straightforward without a big learning curve. Cons

It can feel overwhelming at first because of the number of options and customization available. We have been using for a while now and overall it does what it promises. It keeps the team aligned and projects on track, which at the end of the day is what matters. We just wish the pricing was a bit more fair for growing teams. If you are a small team or a larger company with budget to spare, it is genuinely worth it. If you are somewhere in the middle, you might find yourself questioning the value every time the renewal comes around.

Pros

Honestly, the visual layout is what got us hooked. Being able to see all our projects in one place with color coded statuses, timelines, and dashboards made a huge difference for our team's workflow. The automations are also a game changer once you figure them out. Things like auto assigning tasks or sending reminders used to eat up so much of our time, and now they just happen. Collaboration feels natural too, everything stays in one place instead of getting lost in email threads.

Cons

The pricing is where it starts to hurt. As soon as our team grew, the cost jumped significantly, and some features we expected to be basic are locked behind higher tier plans. There is also a learning curve. New team members do not just get it right away, we almost had to dedicate time to onboard each person properly. Sometimes the platform also feels a bit slow when we have a lot of boards loaded up.

The AI features can be a little confusing to navigate at times, especially when you’re first getting started. I've been using now for just over a year and a half. My experience has been nothing short of transformative. I used to struggle with a clunky old Gantt chart and now I've got a comprehensive CRM project tracking, communication, and scheduling system, which is quite extraordinary. I forgot to mention also reporting. I now have insights which are incredible. When my accountant asks me a question, I now have an answer at my fingertips. When a customer asks me a question, I now have an answer at my fingertips. My sales team are now able to see in real time their performance, which is extraordinary.

Pros

End to end it's amazing.... Flexibility, automations, notifications, all the things I struggled with previously I can now create. And that's the think. I build it.... No more, sorry that's not on our pipeline for development at this stage. Any time I want something it's there and I can implement it right away. Test it, if it's good I add it in. No good, I simply drop it and try something else.

Cons

There's so much I can do and I don't have the time to learn all about it. Even now with native AI, Vibes, workflows, agents it's everything I need but I simply don't have the time to learn and use. Not much if a dislike sorry lol.

I have used for 5 years and recommend it to everyone I know with a small business. It helps our team stay organized and efficient when creating social media content for 25+ businesses.

Pros

I love how our team can communicate through it and use automations to make us more efficient. The ease of use is so helpful as I invite clients as guests to view their content we create for them. I also feel like you get so much value for your money with and recommend it to a lot of small business owners.

Cons

I wish it had a scheduling feature for social media so we didn't have to copy and paste our content from over to meta scheduling. I wish also the phone view for docs was better as my clients tend to complain about not being able to read the full column or row. They also complain about the board view from a phone is hard to open up the text box and read everything as well.

### "Really good project management app with automation ability"

Overall is a very good project management application. Its feature rich and really good with building workflows and automations. However with all these features, there is a slightly steep learning curve to get everything set up. The app is clean looking and the UI is user friendly. Its convenient that there is a desktop as well as mobile app. There's also a really good list of integrations available from their marketplace.

Pros

The application is modern looking and pretty easy to navigate and use. Its nice that you can create separate "workspaces" for different teams and/or entire projects. The ability to create sub tasks is convenient and move individual tasks around just drag and drop. Good customization of board layouts, columns, projects, and record color coding. There's a web application as well as a desktop app available. SSO is available for both Entra ID and Google Workspace.

Cons

You can only create a parent item and then one level subitem under that parent item. Building complex workflows and automations requires significant setup time. App is billed per seat and can get expensive for larger teams. Free tier only allows up to 2 seats and very limited in features/functions.
