“Calendly enables seamless sharing of availability with clients or teammates to book time without back-and-forth emails, while its integration to popular calendars and video tools like Zoom or Teams works particularly well.“

“Otherwise, I had to arbitrarily offer them only part of the list of possible times, so as not to overlap, and then they wouldn't find what they needed. If I offered students a window (anytime between 4 and 8), they would choose awkward times (such as 5:30) that meant I could fit fewer total sessions in. If students forgot to come to sessions, I had no proof that they had scheduled, which meant I couldn't hold them accountable.“

### "A practical way to manage meetings and availability"

March 24, 2026

4.0

As a remote bookkeeper working with multiple clients across different industries, Calendly has become a regular part of how I manage communication and scheduling. It allows me to handle booking in a more structured and professional way without adding extra administrative work. Instead of manually coordinating schedules, I simply send a booking link for specific services—whether it’s a monthly reconciliation review or a year-end tax preparation meeting. This saves time and also help sets clear expectations for both myself and my clients. It works well reliably with Google Calendar, so my schedule stays up to date without needing constant checking. Different Event Types also help keep meetings structured without making the process complicated. This becomes especially helpful during busier periods like month-end or tax season. While the initial setup requires some effort to align with different service offerings, the long-term efficiency gain is significant. Calendly is a reliable and practical scheduling tool that improves both workflow efficiency and client experience. It feels like a solid 4.5 for how much time and effort it saves.

Pros

Calendly has significantly reduced the time I spend coordinating schedules with clients. What used to take multiple emails can now be handled in a single booking link. I use a couple of different Event Types depending on the situation, such as short calls or longer meetings. I can also create structured event types tailored to my services -like client onboarding calls, monthly bookkeeping reviews, and tax consultation sessions, which helps standardize my client communication. The availability settings are flexible enough to match workload. I can control working hours, add buffer time between meetings so my day feels less packed, and prevent overbooking during busy periods. The Google Calendar connection is the part I rely on most. Once it’s set up, availability updates automatically based on my calendar, so I don’t really need to manage time slots manually. Keeping my working hours defined also helps make sure clients only see appropriate time options. The Workflows feature sends automatic email reminders before meetings, which I set to go out 24 hours and 1 hour before the call. These reminders have significantly reduced no-shows, which is important when managing multiple clients. The confirmation email after booking also helps keep everything clear without extra follow-up.

Cons

The Invitee Questions section works fine for basic details like name and email, but I sometimes need more context before a call depending on the client. The customization options feel a bit limited when trying to tailor intake questions for different Event Types. The basic setup is simple, but adjusting more detailed Availability rules or fine-tuning how time slots appear on the Scheduling Page can take some trial and error to get everything set up the way want. Time zone handling is generally reliable, but I've had a few cases where clients were confused, so I still find myself double-checking with certain clients. It would have been even more convenient if it offered a direct integration with accounting tools like Quickbooks.

### "Great for Simple Scheduling, Limited for Flexibility"

October 2, 2025

3.0

Overall, Calendly has been reliable and simple to use. It saves time and makes scheduling painless, but the limitations of the free version mean it works best for very straightforward use cases. For more nuanced scheduling or professional branding, you inevitably need to upgrade.

Pros

It removes endless back-and-forth emails. The integration with calendars works smoothly and the interface is clean, so even non-tech contacts understand it quickly. For a free tool, it does exactly what it promises: makes scheduling frictionless.

Cons

The free tier feels overly restrictive. You can’t classify different meeting types well, and customizing time durations is clunky. If your scheduling needs go beyond the basic, you quickly hit a paywall.

### "Easy to Use For All"

February 8, 2026

5.0

Pros

User friendly for anyone including those not so tech savvy. It's worth the value for new business owners as well as established business owners. The ease of booking in this tool makes it accessible for both the prospect and the business, which visibility is maintained for all features. The ease of navigating the screens is flawless. I have not encountered bugs or issues while using this. Customer support is quick and responsive.

Cons

So far there isn't anything negative to share. I have been grateful to not have a negative experience or hear negative feedback.

### "A Must-Have Tool for Streamlining Client Bookings"

April 13, 2026

5.0

Pros

What I liked most about Calendly is how simple and efficient it makes the entire booking process—for both us and our clients. From our side, it eliminates the constant back-and-forth of trying to find a time that works. We can set our availability once, customize different meeting types (like consultations, walkthroughs, or onboarding calls), and then just send a link. That alone saves a ton of time and keeps things organized. On the client side, it creates a really clean, professional experience. They can instantly see available time slots, book what works best for them, and get automatic confirmations and reminders. It removes friction, which is huge—especially when you’re trying to convert leads quickly or make it easy for someone to take the next step. Another big advantage is the ability to integrate payments directly into the booking process. For example, if we’re charging for consultations, clients can book and pay in one step, which cuts down on no-shows and streamlines everything on the backend. It also integrates well with calendars like Google Calendar, so everything syncs automatically and prevents double bookings. Plus, the ability to create buffers between meetings, set limits, and automate reminders helps keep our schedule manageable without having to think about it constantly. Overall, it takes something that can be chaotic—scheduling—and turns it into a smooth, automated system that saves time, improves professionalism, and helps move business forward faster.

Cons

There honestly aren’t many major downsides to using Calendly, but if I had to point out a few minor ones, they’re pretty small in the grand scheme of things. Some of the more advanced features—like deeper customization or automation—are only available on the paid plans, but for most basic scheduling needs, the standard features work really well. There can also be a slight learning curve when setting up more detailed workflows or multiple event types, but once everything is configured, it runs very smoothly. Other than that, customization is somewhat limited if you’re looking for a fully branded, built-from-scratch experience—but for what it’s designed to do, it still looks clean and professional. Overall, the “cons” are pretty minimal and don’t take away from how effective and time-saving the platform is.

### "A Must-Have for Client Scheduling — Pricing Could Be More Flexible"

April 16, 2026

5.0

Calendly is genuinely one of those tools that quietly improves your workflow without you having to think about it. For client-facing scheduling, it's hard to beat. My only hesitation is the pricing structure — I'd love a leaner paid option for users with simple, basic needs. That aside, it's a 5-star tool that I'd recommend to anyone who manages external meetings regularly.

Pros

Calendly has completely eliminated the back-and-forth of scheduling client meetings. I just share my link, and clients book directly based on my availability—it's seamless, professional, and saves real time. Setup is straightforward, and the experience for clients on the receiving end is smooth and polished.

Cons

The pricing tiers feel like a gap. The free plan doesn't quite cover everything you need for professional client use, but the next paid tier has more features than I'll ever use—so it feels like overpaying for functionality that isn't relevant to me. A middle-ground option would make it much easier to justify the cost.

5.0

Pros

I have been using Calendly for a while now and it became an important tool in my daily life workflow. It made scheduling very easier for me. I just need to send a link and people can book into my calendar directly.

Cons

I feel like customization can be improved a bit, you can change how your booking page look but it's not very flexible.

### "Very useful tool"

March 26, 2026

5.0

Overall, I really like big spreads that I had with calendly. It's quite versatile and I like how you think.Customize different things.Even down to the the ending of the link, even if you can't change the actual beginning of it, you can change the end.Which is quite convenient for customization

Pros

I like the fact that even on the free plan, you're still able to have one meeting link that you can use for multiple things.Until you need other ones, and it's quite affordable

Cons

I'm I don't like the fact that when you have the meetings like you can't customize the links to be something else like it has to say calendly almost like you can't mask the fact that you're using calendly. But over at all, that's not any real thing that I didn't like

### "Love the idea but too costly for my small business. "

March 19, 2026

4.0

I did find that it is highly efficient but its free plan is limited to one event type, and advanced features like workflows, SMS reminders, and removing Calendly branding require paid subscriptions.

Pros

I appreciate that Calendly is easy to set up has a rofessional appearance with branded pages, automated reminders, and calendar syncing.

Cons

I used the free version but found that the Paid subscriptions are charged per user/month, which can get expensive.

### "Perfect for Start-ups"

March 6, 2025

Calendly was perfect when I started my business, offering everything on the free version I needed. As my company grew, we stayed with Calendly.

Pros

I love that Calendly offers a free option that allowed me to get traction with my startup and as my company grew I stayed with them.

Cons

You can only have one "Event Type" at a time on the free version, and last minute scheduling can be a little clunky. However, the paid options are affordable.

### "Easy to schedule"

November 13, 2025

5.0

Overall, Calendly has streamlined my scheduling process and saved a lot of time. It’s reliable, easy to use, and integrates seamlessly into my daily workflow. Whether I’m setting up client meetings, interviews, or internal calls, it ensures everyone stays organized and reduces missed appointments. While the premium features come at a cost, the convenience and professionalism it adds to scheduling make it well worth it.

Pros

Calendly makes scheduling incredibly easy and professional. It eliminates the back-and-forth emails by letting people pick a time that works for both parties automatically. The interface is clean and intuitive, and I like how well it integrates with tools like Google Calendar, Outlook, Zoom, and Teams. Automated reminders, time zone detection, and customizable meeting types make it ideal for both individual and team use.

Cons

Some of the more advanced features—like group events, round-robin scheduling, or workflow automations—require paid plans, which can get expensive for larger teams. Occasionally, invitees unfamiliar with the platform find the booking process confusing, and customization options for branding or notifications are somewhat limited in the lower tiers.

extremely useful for booking recurring or one-off group events! attendees can sign themselves up, and give info.

Pros

There's a free version and the paid versions aren't too expensive. Calendly customer support is friendly and they are always updating their product with more features and making it even easier to use. It was easy for the students we had to book their class spots online during covid when we had limited space. It's excellent for trouble shooting and there's no major bugs or issues. It's also nice to be able to share some files with attendees.
