As someone who relies on Calendly specifically for client-facing scheduling via my website, it delivers exactly what it promises. Setting it up wasn't complicated, and once it was live, clients took to it immediately without needing any guidance from me. Customer support has been responsive whenever I've had questions, and the platform has been rock solid — no bugs or downtime that ever disrupted a booking. The value for money on the paid plan is solid given how much time it saves on both my end and my clients'. If you work with clients and want a professional, frictionless booking experience on your website, Calendly is the tool to get.

Pros

Honestly, the biggest win for me has been the time it saves. Before Calendly, I was going back and forth with clients just to find a meeting time, now they just click a link on my website and pick a slot that works for them. It's so easy to use that I've never had a client complain they couldn't figure it out, which says a lot. The features like automatic reminders and setting my own availability mean I rarely deal with no-shows or last-minute surprises anymore. For what you pay, the value is genuinely there, especially once you start using it daily. Pros

The ability to create different event types is great, each w/ its own rules, availability, and conditions, makes it easy to handle a wide range of use cases w/o manual coordination. Calendly is most valuable for how flexible it is around scheduling logic. The advanced settings (buffers, limits, availability controls) are useful since I have different needs and types of external meetings. They allow me to protect my time, avoid overbooking, and adapt scheduling rules to different stakeholders and contexts. To sum it up, it reduced back and forth, removed friction from coordination, and made scheduling predictable and scalable, especially in environments, like mine, where calendars are already overloaded.

Cons

There is nothing specific or major that I don't like. On the other hand, currently, I've been using AI tools to manage my calendar.

It stops me from having to chase down a student or client via email for 3-4 days to find 10 minutes to discuss anything. All of the information regarding meetings etc, gets placed into my CRM automatically, no additional steps required. It prevents me from being double booked while I am away from the office. The workshops are kept organized even though the mobile version of the software has some weird design choices.

Pros

The Google Calendar syncing finally works. It sends out the Zoom meeting links and they mostly work (which is a miracle). I am just glad that I do not have to hand enter every invitation anymore.

Cons

I do not like that it does not allow easy management of multiple separate business accounts under one account profile without going crazy. It is far better than that last piece of software I used which caused me to merge two different clients together by accident because both client names were the same. This caused quite the circus.

This is by far the easiest calendar manager app to import events and appointments from all the different calendars. My school uses Microsoft, i use icalendar on my mobile and Google calendar with most of my freelance clients before using calendly.

Pros

Easiest calendar appointment manager I've interacted with. Was great at importing my already scheduled events from Google calendar and from my live account.

Cons

Nothing to dislike that I have found so far but only been interacting with it on a daily level as my main calendar for about 3 months

It's a little clunky on the backend; you can customize things but only so much. The round robin feature is good, but more complicated than needed.

Pros

How you can customize your calendar preferences. I was able to set up my scheduling so that meetings must be a certain minimum number of hours out from the time they are made. This way I don't have any "surprise" appointments.

Cons

Not much really. I think the functionality of the system has improved significantly since it first became available.

extremely useful for booking recurring or one-off group events! attendees can sign themselves up, and give info.

Pros

There's a free version and the paid versions aren't too expensive. Calendly customer support is friendly and they are always updating their product with more features and making it even easier to use. It was easy for the students we had to book their class spots online during covid when we had limited space. It's excellent for trouble shooting and there's no major bugs or issues. It's also nice to be able to share some files with attendees.

Cons

I don't have much negative to say about calendly. it worked easily and i like how often they update their features.

It provided the bare minimum amount of features we needed for daily operations but did not have the level of detail and options I was hoping for.

Pros

For the most part, Calendly is easy to use but I do think a lot of features could be improved to make the platform more efficient.

Cons

The free version does not have many features at all and when you upgrade to a paid version I still wasn't very impressed with the scheduling options for the high volume of scheduling and variety of appointment types we have.

Pros

Calendly makes scheduling a breeze! It is user friendly, easy for clients to use and understand, and making templates for our entire office to use is simple. If I have a question, their customer support team is always responsive and helpful. It has cut down a lot on Admin time scheduling meetings.

Cons

There is quite a learning curve when you first start using Calendly. Some of the settings aren't as obvious as you would think they would be and are difficult to find. Once you learn where things are that you are looking for, it is very easy to use. Just takes some time!

The product is OK but pricey and is missing some features. Support is not great and they refuse to process any refunds no matter what. If you cancel on the renewal day you will be charged the full year and they will not refund you no matter what.

Pros

Multiple event types with individual settings allowing you to set different meeting options like length of meeting and location as well as specific availability for each event type.

Cons

Customer service is not great and has gotten worse since they started using AI. There are limitations if you plan on using this for multiple locations. The price is high compared to some alternatives.

I appreciate having a digital assistant to schedule time for me. It happens across the different businesses I conduct which also is helpful. I don’t have to have separate calendars for separate activities

Pros

I like being able to send people to a place where they can find a convenient time for them that fits my calendar. I rarely, if ever, have conflicts because my schedule has changed and what was once available is no longer available. I also like using it for others, so I can choose a good time in my schedule. The follow up emails are prompt and effective.

Cons

I don’t like having to use a web link, though it’s fine to do so. I have the tool integrated into my calendar, but I don’t use it often, if at all.

As we used the free version, the software was limited in use. Overall, it did a good job scheduling appointments.

Overall, Calendly has been incredibly helpful in managing my, and our teams schedules. We are able to use this internally, as a way to generate meetings passively (by having it on socials, or our email signatures) as well as in external content, such as marketing campaigns. It's also very intuitive to set-up and you can create automation in your workflows by adding Zoom Meetings automatically, and integrating it with Zoom, your calendar and even your CRMS.

Pros

Incredibly easy to share my availability directly to colleagues, or to prospective customers outside of our company. It takes into effect time zones, and time changes and automatically updates my availability based on those zones. This is especially useful for a national team such as ours.

Cons

Editing the Static My Scheduling Page, isn't as easy as it should be in my opinion, and there are multiple options available that can sometimes be confusing on your first time setting it up. This is also not directly Calendly's fault, but once the changes have been made, you'll want to update the link in any signatures or content you have or clicking the link can result in an error for the scheduler in some cases.

I have used Calendly for years and think it is one of the "go-to" on line schedulers available today. It's pretty much number one in the coaching industry.

Pros

I love that I can have multiple calendars with different purposes, colors, and time lengths to distinguish the kinds of meetings I'm having. I also like that I can set the amount of appointments and have automated reminders.

Cons

I used to like the old set up. Since they switched, I don't find things as easily in their menus. I don't think it is as intuitive as it used to be.
