Calendly has become a very useful addition to the collection of our work management tools and we use it to streamline our experience in scheduling and planning our team meetings. Since we hold most our meetings virtually, Calendly helps us to easily find the convenient time that everyone is available for us to schedule those meetings. With Calendly, we have been able to eliminate the back and forth of trying to ask everyone when they are available for a meeting since we can easily see when everyone is available. Also, Calendly makes it easy to keep all participants of the meeting alert about upcoming meeting schedules by sending them reminders and this ensures that no one misses a meeting because they forgot.

Pros

We work with Calendly to ensure efficient planning and scheduling our team meetings and there has been a lot to admire about it. Calendly has a very user-friendly interface that has made our meeting scheduling experience very easy and convenient. I like how easy it is to set up availability time which help us to know when everyone is available for us to schedule meetings. With Calendly automated reminders, we have been able to ensure that all participants get reminded of the time of the meeting so that they avoid missing them. Calendly provides very advanced security features which help share meeting information and files safely and also help keep all meeting schedules private to only the participants. Calendly allows seamless integration with online meeting platforms which makes scheduling our virtual meetings on those platforms very easy and quick.

Cons

Calendly has been working smoothly for us and we have not had any issues to deal with. It has perfectly integrated into our existing work infrastructure and we have not found any features that has not impressed us.

The biggest advantage has been how effectively Calendly has eliminated scheduling friction. It has completely removed the endless back and forth emails that usually come with finding suitable meeting times by allowing our teams, clients and partners to book directly based on our real time availability. In a role where coordinating project reviews, budget discussions, governance meetings and stakeholder updates happen constantly, this automation has created incredible efficiency. Its sync with Google Calendar and Outlook ensures our schedules reflect actual workload and prevent overlapping bookings. We also appreciate how clean and uncluttered the platform is. Setting up availability, sharing booking links and managing schedules is straightforward and our clients have found it equally easy to book meetings without confusion . The onboarding experience was also excellent. Calendly's customer support team was responsive throughout the deployment and helped our team adopt features quickly across the business.

Cons

After using Calendly for 3years now, we genuinely have very little to criticize. The platform has been reliable and stable throughout our usage and we haven't experienced notable glitches or disruptions. It has consistently helped us to manage scheduling efficiently and remove administrative burden. At this point, it feels less like a scheduling tool and more like a personal assistant that quietly handles coordination in the background so our teams can stay focused on delivering IT projects.

Calendly has helped us to have a smooth transition and make the most of our virtual meetings by making it easy for us to plan and schedule the meetings. We usually have regular team meetings to discuss our design projects and get updates and Calendly has made it easy for us to plan and set time for these meetings. It also allows us to give our clients an easy way to book appointments and schedule meetings for us to discuss our design deals. With Calendly, we have been able to do away with the inconveniences of having multiple meetings scheduled at the same time by making sure that we check the existing schedules on our calendar before going ahead and creating new schedules.

Pros

Calendly has played a key role in our experience of transitioning from mainly physical meetings to virtual meetings, giving an easy experience when planing and scheduling our virtual meetings. It has helped us to streamline and simplify scheduling of our virtual meetings which help us to easily set aside time for our regular meeting discussions. With Calendly, it has been easy to take charge of our calendar activities which allows us to find available time for scheduling new meetings. The user interface of Calendly is user-friendly and we are able to easily navigate it through when setting up new schedules and accessing the existing ones. It also offers very effective reminder notification features which keep us up to speed with upcoming new schedules so that we don't forget to attend the meetings. Calendly's ease of integration with multiple of our conferencing products allows us to have just one meeting scheduling tool for all our meetings even though we hold them on different products.

Cons

We have not seen any issues with Calendly so far and we have not had anything to dislike. Calendly has been helping us to solve the needs we brought it to solve and we have been satisfied with the experience it has given us. There has honestly been nothing to dislike or hate about Calendly.

Keeping my working hours defined also helps make sure clients only see appropriate time options. The Workflows feature sends automatic email reminders before meetings, which I set to go out 24 hours and 1 hour before the call. Overall, the platform offers good value for money, particularly given the wide range of scheduling needs and the size of our IT company.

As the name suggests, Calendly relieves the mess of scheduling interviews and meetings. It's something very useful for our small team that will save time. It's not flawless, there are, for example, time zone bugs and functionality that's beyond what we currently need, but it's definitely a nice addition to our workflow. This is a worthwhile product, particularly if simplicity and lightness are you and simplicity is in your priorities.

Pros

Calendly has been a solid tool to use when scheduling interviews for our team! Being a small business, we can't afford to spend all our time playing the email game and the automated booking has been really helpful. I appreciate the ability to set availability windows, and allow the candidate to select one of those times. We have had integrations with Google Calendar and Zoom, which saves us additional steps and keeps things in one place.

Cons

It's a great service for most of the time, but when I set up a time with candidates from other countries, I've experienced some glitches when it comes to time zones. So frustrating when a meeting is set-up at the wrong time! Additionally, there's a file-sharing feature on the platform to share pre-interview documents instead of on other platforms. These might enable the tool to be more robust for our HR team.

Calendly has been the most convenient scheduling tool I have ever used: shared availability for meetings with multiple people, different scheduling links for different use cases, automatic reminders to people who booked a call.

Pros

When I first tried Calendly, it was a huge relief! I like that Calendly can account for multiple people’s availability, so if someone need to schedule a meeting with three of us, the other person can see our shared availability. I also like being able to create different scheduling links for different use cases, such as urgent questions or client demos. Automatic reminders for people who booked a call are also very useful.

Cons

I now use Notion for many parts of my workflow, and it includes scheduling features too. From a budget perspective, it is sometimes harder to justify paying for Calendly separately when I already pay for Notion and other work tools.

The ability to create different event types is great, each w/ its own rules, availability, and conditions, makes it easy to handle a wide range of use cases w/o manual coordination. Calendly is most valuable for how flexible it is around scheduling logic. The advanced settings (buffers, limits, availability controls) are useful since I have different needs and types of external meetings. They allow me to protect my time, avoid overbooking, and adapt scheduling rules to different stakeholders and contexts. To sum it up, it reduced back and forth, removed friction from coordination, and made scheduling predictable and scalable, especially in environments, like mine, where calendars are already overloaded.

Cons

There is nothing specific or major that I don't like. On the other hand, currently, I've been using AI tools to manage my calendar.

### "Life-Changing, Seamless Scheduling"

"Life-changing" is a big promise for any product, especially software, but that is my honest description of Calendly. As an independent tutor, managing my schedule before Calendly was one of the most tedious and complicated parts of my job. Now, I basically don't have to think about it. That's the short version. If you'd like to know exactly how many problems Calendly solves, read on. Scheduling without Calendly: Every session required back-and-forth communication to see what time might work for both parties. Any time I had to offer multiple student a set of hours to choose from, inevitably they would end up choosing the same hour, necessitating going back to the beginning of the process with one or both. Otherwise, I had to arbitrarily offer them only part of the list of possible times, so as not to overlap, and then they wouldn't find what they needed. If I offered students a window (anytime between 4 and 8), they would choose awkward times (such as 5:30) that meant I could fit fewer total sessions in. If students forgot to come to sessions, I had no proof that they had scheduled, which meant I couldn't hold them accountable. Confirmation via email, or over the phone, had to be manually transferred to my own calendar lest I double-book or fail to remember a session. Finally, I work with students across three time zones, and I regularly forgot to say "Eastern time" when scheduling, leading to students showing up at their local time instead of when I was there. Scheduling with Calendly: I set up Calendly with specific session times for each day of the week, giving me complete control over my schedule. I schedule a 15-minute buffer between sessions for the most efficient use of my available time. I share my Calendly link with new and prospective students. Calendly checks my Google calendar to ensure there are no unusual events interfering with my available times on any given day and offers students only times that I am actually available--and the times are displayed in the student's local time zone. The student chooses a time, registers for it, and both they and I get an email--and Calendly sends the event directly to my Google calendar. Seamless.

Pros

Calendly's best features are perfect integration with Google calendar, idiot-proof time zone correction, and the ability to set session-specific working hours.

Cons

I think the sign-up experience is easy and intuitive, but I have had students fail to take the final step to confirm an appointment (thus it doesn't reach my calendar) but they still think they've confirmed, and sometimes the confirmation email goes to Junk and gets missed. But these are not the norm.

### "Best planner out there"

It stops me from having to chase down a student or client via email for 3-4 days to find 10 minutes to discuss anything. All of the information regarding meetings etc, gets placed into my CRM automatically, no additional steps required. It prevents me from being double booked while I am away from the office. The workshops are kept organized even though the mobile version of the software has some weird design choices.

Pros

The Google Calendar syncing finally works. It sends out the Zoom meeting links and they mostly work (which is a miracle). I am just glad that I do not have to hand enter every invitation anymore.

Cons

I do not like that it does not allow easy management of multiple separate business accounts under one account profile without going crazy. It is far better than that last piece of software I used which caused me to merge two different clients together by accident because both client names were the same. This caused quite the circus.

This is by far the easiest calendar manager app to import events and appointments from all the different calendars. My school uses Microsoft, i use icalendar on my mobile and Google calendar with most of my freelance clients before using calendly.

Pros

Easiest calendar appointment manager I've interacted with. Was great at importing my already scheduled events from Google calendar and from my live account.

Cons

Nothing to dislike that I have found so far but only been interacting with it on a daily level as my main calendar for about 3 months

### "It's Easy to Make an Appointment"

I use it so that students and alumni can easily schedule meeting times with me that meet their needs and fit into my availability.

Pros

How you can customize your calendar preferences. I was able to set up my scheduling so that meetings must be a certain minimum number of hours out from the time they are made. This way I don't have any "surprise" appointments.

Cons

Not much really. I think the functionality of the system has improved significantly since it first became available.

### "Better and automated meeting scheduling"

Very good. It has become an essential part of my daily routine. We do not have to waste time on coordinating calendars, but in fact, we are more focused on building client relationships and closing deals.

Pros

I appreciate how its Round Robin Scheduling feature distributes meetings fairly across our team. Also, our clients appreciate the automatic time zone detection and cancellation/ rescheduling feature whenever we are scheduling international meetings.

Cons

I feel that the analytics dashboard does not offer as many detailed meeting performance insights as it should for being an excellent appointment scheduling platform.

### "Decent scheduling tool but not the best on the market"

It provided the bare minimum amount of features we needed for daily operations but did not have the level of detail and options I was hoping for.

Pros

For the most part, Calendly is easy to use but I do think a lot of features could be improved to make the platform more efficient.

Cons

The free version does not have many features at all and when you upgrade to a paid version I still wasn't very impressed with the scheduling options for the high volume of scheduling and variety of appointment types we have.

### "Calendly is the first booking app i'd want to use"

extremely useful for booking recurring or one-off group events! attendees can sign themselves up, and give info.

Pros

There's a free version and the paid versions aren't too expensive. Calendly customer support is friendly and they are always updating their product with more features and making it even easier to use. It was easy for the students we had to book their class spots online during covid when we had limited space. It's excellent for trouble shooting and there's no major bugs or issues. It's also nice to be able to share some files with attendees.

Cons

I don't have much negative to say about calendly. it worked easily and i like how often they update their features.

Pros

Calendly makes scheduling a breeze! It is user friendly, easy for clients to use and understand, and making templates for our entire office to use is simple. If I have a question, their customer support team is always responsive and helpful. It has cut down a lot on Admin time scheduling meetings.

Cons

There is quite a learning curve when you first start using Calendly. Some of the settings aren't as obvious as you would think they would be and are difficult to find. Once you learn where things are that you are looking for, it is very easy to use. Just takes some time!

### "No refunds even if you cancel on the renewal date."

The product is OK but pricey and is missing some features. Support is not great and they refuse to process any refunds no matter what. If you cancel on the renewal day you will be charged the full year and they will not refund you no matter what.

Pros

Multiple event types with individual settings allowing you to set different meeting options like length of meeting and location as well as specific availability for each event type.

Cons

Customer service is not great and has gotten worse since they started using AI. There are limitations if you plan on using this for multiple locations. The price is high compared to some alternatives.

### "Very good calendar booking tool for businesses"

A really good and popular calendar booking tool. For the extra cost, you do get a nicer looking tool with more features and customization over something that is natively built into M365 (Microsoft Bookings)

Pros

Easy to use and modern looking scheduling tool. Integrates well with Outlook and/or Gmail. Setup is easy to connect to your calendar and then you can either generate a booking link and send it out or embed it into your email signature. Its nice you can generate different booking links for different events or for groups of people. Intergrates with other 3rd party apps well (Zoom, Salesforce, LinkedIn, etc.)

Cons

You need to upgrade to at least the mid tier subscription before you can integrate it with other business apps such as Salesforce and Hubspot. Also need the higher subscription if you want to configure SSO with your IDP (Entra ID or Google Workspace). Pricing is competaitive when compared to other vendors.

### "Calendly saves me so much time!"

Calendly makes it easy to send links to people to schedule meetings. It allows lots of customizations, you can set up one time links for specific situations, it sends reminders to attendees, and allows me to ask questions of the person making the appointments if I want them.

Pros

It's so easy to send links to clients and prospects to set up meetings. And the customizations are amazing!

Cons

I honestly like everything about Calendly! They make it easy to use, easy to customize, and it integrates with several different apps that I use.
