Instead of manually coordinating schedules, I simply send a booking link for specific services—whether it’s a monthly reconciliation review or a year-end tax preparation meeting. This saves time and also help sets clear expectations for both myself and my clients. It works well reliably with Google Calendar, so my schedule stays up to date without needing constant checking. Different Event Types also help keep meetings structured without making the process complicated. This becomes especially helpful during busier periods like month-end or tax season. While the initial setup requires some effort to align with different service offerings, the long-term efficiency gain is significant. Calendly is a reliable and practical scheduling tool that improves both workflow efficiency and client experience. It feels like a solid 4.5 for how much time and effort it saves.

Pros

Calendly has significantly reduced the time I spend coordinating schedules with clients. What used to take multiple emails can now be handled in a single booking link. I use a couple of different Event Types depending on the situation, such as short calls or longer meetings. I can also create structured event types tailored to my services -like client onboarding calls, monthly bookkeeping reviews, and tax consultation sessions, which helps standardize my client communication. The availability settings are flexible enough to match workload. I can control working hours, add buffer time between meetings so my day feels less packed, and prevent overbooking during busy periods. The Google Calendar connection is the part I rely on most. Once it’s set up, availability updates automatically based on my calendar, so I don’t really need to manage time slots manually. Keeping my working hours defined also helps make sure clients only see appropriate time options. The Workflows feature sends automatic email reminders before meetings, which I set to go out 24 hours and 1 hour before the call. These reminders have significantly reduced no-shows, which is important when managing multiple clients. The confirmation email after booking also helps keep everything clear without extra follow-up.

Cons

The Invitee Questions section works fine for basic details like name and email, but I sometimes need more context before a call depending on the client. The customization options feel a bit limited when trying to tailor intake questions for different Event Types. The basic setup is simple, but adjusting more detailed Availability rules or fine-tuning how time slots appear on the Scheduling Page can take some trial and error to get everything set up the way want. Time zone handling is generally reliable, but I've had a few cases where clients were confused, so I still find myself double-checking with certain clients. It would have been even more convenient if it offered a direct integration with accounting tools like Quickbooks.

Cons

Rescheduling and level of control is not similar to say Outlook. It does not show the exact contact information of the prime user.

A really good and popular calendar booking tool. For the extra cost, you do get a nicer looking tool with more features and customization over something that is natively built into M365 (Microsoft Bookings)

Pros

Easy to use and modern looking scheduling tool. Integrates well with Outlook and/or Gmail. Setup is easy to connect to your calendar and then you can either generate a booking link and send it out or embed it into your email signature. Its nice you can generate different booking links for different events or for groups of people. Intergrates with other 3rd party apps well (Zoom, Salesforce, LinkedIn, etc.)

Cons

You need to upgrade to at least the mid tier subscription before you can integrate it with other business apps such as Salesforce and Hubspot. Also need the higher subscription if you want to configure SSO with your IDP (Entra ID or Google Workspace). Pricing is competaitive when compared to other vendors.

Overall, I really like big spreads that I had with calendly. It's quite versatile and I like how you think.Customize different things.Even down to the the ending of the link, even if you can't change the actual beginning of it, you can change the end.Which is quite convenient for customization

I like the fact that even on the free plan, you're still able to have one meeting link that you can use for multiple things.Until you need other ones, and it's quite affordable

I'm I don't like the fact that when you have the meetings like you can't customize the links to be something else like it has to say calendly almost like you can't mask the fact that you're using calendly.But over at all, that's not any real thing that I didn't like

I love how Calendly links with our google calendar to show information in one spot! It helps provide a user friendly way to make admissions appointments for our school.

Cons

Sometimes sending reminders is tricky since we are in a school. If I want to send students a reminder 48 hours before their shadow day, I would like that to be in school days, not counting the weekend.

Would recommend to fellow business owners, big and small. Has been instrumental in staying on top of schedules, planning events, etc.

Pros

Great way to sync schedules, organize events, simplify booking and more. Love it for planning bigger scale events.

Cons

No issues so far. Especially enjoying the app - super user friendly and makes scheduling and organization on the go a breeze.

My overall experience with calendly is wonderful as I’ve been using them for a year and always make my life easier.

Pros

Very good for helping me book and plan for clients and if I need something I know they have great customer service.

Cons

What I don’t really like is this can sometimes be buggy and not a lot of navigating and I hope there can be more.
