Pros No one wants to answer RFPs; it is an outdated industry practice. Responsive makes this easier by providing a central repository for all RFP responses and enabling collaboration among team members, which improves productivity by allowing people from different teams to work on proposals in parallel. For example, we can run one AI Draft per project; otherwise a staff member has to clone it to add an additional document. It is not as intuitive or efficient as working directly in Word for day‑to‑day use. Pros From a document management perspective, this system can serve as a centralized repository for our templates with controlled access. It also enables a “build once, use many” approach, allowing us to update shared or redundant sections in one place rather than across multiple templates. Cons At this time, the system does not appear to be very user‑friendly for our company’s needs. Our requirements may be too complex for its intended use. The time investment required to configure and organize our 20+ templates—each with roughly 10 sections or subsections—is substantial, especially considering this represents only a small portion of the overall system shared by three other groups. Additionally, day‑to‑day use would likely be more time‑consuming for our team than our current process. As a result, we may not be able to rely on the system for daily work and instead would primarily use it for template management, downloading templates into Word and editing from there, which mirrors how our assignments are currently handled. It's a great tool and best on the market. We couldn't do our job the same way without it. Pros Progress tracking is one at the top of the list. The amount of hours it saves our proposal managers on tracking the progress of a project is massive. That lone is worth the value. In addition, the accountability it holds with associates in reviewing their content. Without a system like Responsive's content library and review structure, our responses would not be where they are at today. Lastly, employee management - I oversee the proposal team and each morning I review a status on all projects to see where we are and having a dashboard like the Project view, executive dashboards, etc. it's extremely helpful. Cons Exporting into templates. My team spends a considerable amount of extra hours cleaning up the formatting when it doesn't export well or when we export into our template, but want to align with the clients RFP format - most times, it doesn't export that way, so the proposal managers spend countless hours cleaning this up. I have addressed this in the past. I would love it if there was a way we could have some sort of sequential author answering in the project. Today, we have multiple people that could contribute to one response. When one person is done, there is no way to track their progress, so what we have to do is create a manual process for tracking. It’s transformed our QA library from a messy fragmented and non contextual database into a resource we actually trust, which has made the day-to-day feel way more manageable and a resource we can trust. The AI is truly a life saver, I don't know what I'd do if my company ever looked to remove this tool.... Probably look for another job! Pros Before leveraging responsive, our team would spend hours or days hunting through old spreadsheets and pestering subject matter experts for the same five answers just because the question wasn't worded exactly the same. Now, the AI handles that first pass for us, and it’s surprisingly accurate. It actually pulls the right context for our security questionnaires and RFPs, which has cut our initial drafting time down to almost nothing. Cons Sometimes the collaboration with guest accounts can be a bit iffy if I need to involve someone who is not on the platform, I don't always know if they've received the question or reviewed it. Pros The Q/A Library is the tool's best benefit. Having a place to store and easily access company information collected through previous work efforts is valuable and improves efficiency and reliance on internal stakeholders. Cons Inability to work easily with online portals and challenging formatting. Online portals that do not easily allow for input/export is a manual and time consuming effort that is supported by the Q/A library. The way Subject Matter Experts are involved with keeping the content up to date and the ease of project in and project out really saves days not hours. Pros Responsive is a wonderful tool for holding all the information we use for various responses to RFP opportunities. All users have access to the latest and greatest information at their fingertips. Making team collaboration and staying on top of projects very easy. Cons Currently the export funtion is my least love of Reponsive. There is some difficulty when you export the project back to its original form. I like that is easy to flag and assign reviwers. Also, I like how easy it is to manage the content library and flag questions. Cons I would love if it had a "notes" section in each project so everyone could share notes and perceptions about the project. The AI feature is very promising and has acted as a multiplier when it comes to productivity and speed of responding to RFIs and RFPs. I am also witnessing quality improvements with AI-generated responses over the last 6-9 months. The AI features help me be a rock star at work keep it coming!!! Cons Not flexible enough. Making AI runs seems complicated. Not enough collaborative features. Work on custom options. My manager added some custom fields and seems like we could not do much with them after creation? Overall they seem to be responsive to our needs and willing to dig into bugs thoroughly Pros I like how seamless most things are, I like the review workflow, I like that many things are customizable for the organization Cons While most things are seamless, there are still some issues with linking the modules. We often try to find projects in the Recommended search that should be in our archive but these two entities are separate. Also there are spacing issues and formatting issues upon export. Merge tags also seem to add random spaces or make adding text around the merge tag difficult and time consuming. I've tried to float some of these issues to responsive but often they have just let me know that that is a known function of the software. Switched from [Ombud](https://www.capterra.com/p/204190/Ombud/) Ombud was not innovating at all and we could never get any movement on the bugs we experienced. I will admit that sometimes we miss Ombud for exporting and formatting, as Responsive tends to add errors to the final product, but the management tools in Responsive make the switch worth it for us still. We're also hopeful that Responsive will continue to keep our feedback in mind and improve on the product, which was something we were not confident about with Ombud. Review Source EB Elizabeth B. We had to do a quick migration to RFPIO so we would not be locked into a contract with our previous vendor. THey worked with us and helped us get the training we needed as fast as possible to have an MVP. Pros RFPIO has helped streamline the RFP process in our organization. We are able to include more SMEs in the RFP process with little to no training. The previous software we used, was very hard to figure out and manage, which resulted in necessary people not wanting to engage with the tool because it was too complicated. RFPIO changed all of this for us and has made it easy for our teams to collaborate. Cons We had some issues integrating with Salesforce, and the reporting aspect is still not what we want it to be. We have custom roles, and because we only use SSO we cannot 'impersonate' other roles for training and development purposes. Alternatives considered [Loopio](https://www.capterra.com/p/133042/Loopio/) Switched from [Qvidian](https://www.capterra.com/p/6944/Qvidian-Proposal-Automation/) The product was not user-friendly and lacked many features. The final issue that led to the switch was having a production issue for over 4 months that kept us from being able to complete RFPs and resulted in a lot of re-work. As said, I really do think DSR are a real game changer in the provider/client-prospect conversations. Pros That it was very easy to start working with, and that we have all the previous content in a very accesible way. The reports we receive are great, as we can have an overview of the projects and create stats on how we are working. Cons We need to work very hard to keep everything updated. We have too many products and sub-companies, and therefore it is very difficult to use the AI automatic answers. We've been able to calculate massive returns on investment in using their software, and I've enjoyed working with their team so much. RFPIO didn't just introduce me to a proposal tool, they introduced me to the proposal community. Pros RFPIO has the best document import in the business. It's flexible enough to handle almost any format of document, but still offers plenty of time-saving shortcuts. The export functionality is also very good--it almost always results in a clean, tidy document. I also love the flexibility of the Answer Library. Features like merge tags, intelligent tagging, custom fields, collections and categories mean that the Library is more than capable of handling just about any business case you can throw at it. Cons My computer tends to have some latency issues when trying to work with large projects, and everything takes maybe just one more click than I'd like, but I also think that the payoff there is an interface which really does not need to much explanation for end-users. I've worked in the proposal industry for 8 years, however I've only been with Tenable - and worked with RFPIO - for a year. When my boss introduced me to RFPIO, I almost cried thinking about all the time I wasted with other proposal management tools in the past. RFPIO is the best - whenever I'm on a call with my sales engineers introducing them to the software, I make sure to tell them that this is bar none the best proposal management tool I've ever used. Really - phenomenal job! I'm highly satisfied. Pros Generally speaking, everything about this software is incredible. My absolute favorite feature of RFPIO is the Answer Library, specifically the Recommendations toolbar, and how accurate it is. I'd previously worked with Microsoft Sharepoint, which offered no such functionality, and working on proposals was way more tedious and time consuming than necessary. RFPIO fixes that. Cons Sometimes RFPIO has a hard time formatting certain files - which is understandable, seeing as different clients present different RFP formats. My two biggest issues are that certain tables, especially in Word format, have to be formatted in "Table Properties," rather than simply being able to click on a cell and making it a Question, Subquestion, etc. Secondly, I'm often presented with situations where the client's designated answer space is in the same column as the question, just a row down.
