Pros No one wants to answer RFPs; it is an outdated industry practice. Responsive makes this easier by providing a central repository for all RFP responses and enabling collaboration among team members, which improves productivity by allowing people from different teams to work on proposals in parallel. Helps track the progress of bids and sets reminders to meet deadlines. Cons The answers don't always pull in accurately for questions we have seen over and over again. Navigating questions can be difficult, or going back to finding an unanswered question is not straightforward. The power of the platform is a clear win...the flexibility and options to manage and review content is second to none. Once familiar with the platform, it offers amazing flexibility to a power user. Pros The rich feature set and flexibility around managing content is excellent. While it's a little intimidating at first, the amount of functionality is one of Responsive's strong points. Cons Occasionally there's bugs and glitches. I think the downside of having so many features and functionality is the risk that code clashes sometimes and bugs are present. Responsive is very errr...responsive with bugs and addressing support tickets which is a plus, however, it would be good if bugs weren't present in the first place of course. We couldn't do our job the same way without it. Pros Progress tracking is one at the top of the list. The amount of hours it saves our proposal managers on tracking the progress of a project is massive. That lone is worth the value. In addition, the accountability it holds with associates in reviewing their content. Without a system like Responsive's content library and review structure, our responses would not be where they are at today. Lastly, employee management - I oversee the proposal team and each morning I review a status on all projects to see where we are and having a dashboard like the Project view, executive dashboards, etc. it's extremely helpful. Cons Exporting into templates. My team spends a considerable amount of extra hours cleaning up the formatting when it doesn't export well or when we export into our template, but want to align with the clients RFP format - most times, it doesn't export that way, so the proposal managers spend countless hours cleaning this up. I have addressed this in the past. I would love it if there was a way we could have some sort of sequential author answering in the project. Today, we have multiple people that could contribute to one response. When one person is done, there is no way to track their progress, so what we have to do is create a manual process for tracking. It’s transformed our QA library from a messy fragmented and non contextual database into a resource we actually trust, which has made the day-to-day feel way more manageable and a resource we can trust. The AI is truly a life saver, I don't know what I'd do if my company ever looked to remove this tool.... Probably look for another job! Pros Before leveraging responsive, our team would spend hours or days hunting through old spreadsheets and pestering subject matter experts for the same five answers just because the question wasn't worded exactly the same. Now, the AI handles that first pass for us, and it’s surprisingly accurate. It actually pulls the right context for our security questionnaires and RFPs, which has cut our initial drafting time down to almost nothing. Cons Sometimes the collaboration with guest accounts can be a bit iffy if I need to involve someone who is not on the platform, I don't always know if they've received the question or reviewed it. Having a place to store and easily access company information collected through previous work efforts is valuable and improves efficiency and reliance on internal stakeholders. Cons Inability to work easily with online portals and challenging formatting. Online portals that do not easily allow for input/export is a manual and time consuming effort that is supported by the Q/A library. The way Subject Matter Experts are involved with keeping the content up to date and the ease of project in and project out really saves days not hours. Pros Responsive is a wonderful tool for holding all the information we use for various responses to RFP opportunities. All users have access to the latest and greatest information at their fingertips. Making team collaboration and staying on top of projects very easy. Cons Currently the export funtion is my least love of Reponsive. There is some difficulty when you export the project back to its original form. Additionally, day‑to‑day use would likely be more time‑consuming for our team than our current process. As a result, we may not be able to rely on the system for daily work and instead would primarily use it for template management, downloading templates into Word and editing from there, which mirrors how our assignments are currently handled. As already mentioned above, the tool is easy to use, and the account management is very helpful. Pros Responsive has an easy to use and easy to learn UI, which makes it easier to onboard new members/teams to the tool. It provides us an opportunity to create and leverage an answer library and collaborate with multiple teams at the same time, helping save a lot of time. Another great aspect is the value for money that the tool provides, compared to similar tools available in the market. Lastly, the account management team is very helpful and responsive (pun intended) and it is always a pleasure to work with them. Cons The answer suggestions that the tool provides while working on a questionnaire are incorrect a lot of times because sometimes the tool does a simple keyword match and because of the nature of questions, although the keywords may match, the answers suggested do not match the question at all. During such times, we rely on the human expertise and experience to search for the correct answers in the library. May 4, 2026 5.0 Great, the AI hallucinates it a bit but it saves so much time when we have large rfps to auto fill then go back and review. Pros That its smart and automates as it learns from movements, responses, question patterns etc. It makes it so much easier to navigate and get from place to place with less clicks. Cons Sometimes its too jumpy and doesnt allow the user to click where they want or on what they want without spazzing out a bit. Pros The collaboration features, the Auto Respond feature, the mapping of projects and easy export into the source document. Cons Not a con as such, perhaps an inherent limitation of source files, but I would like some more accommodation of trickier source documents that e.g. have conditional questions (e.g. if Yes, reply to next question, if Not, do not) or documents that show or hide questions depending on how you previously answered to the questions above. I am currently sorting out our thousands of pieces of content and I find the process enjoyable. Pros There are many options for organizing the Content Library, from tags, to collections, to multiple responses to a question, and more. The project management feature is also useful, especially the option to invite guests to collaborate and not require them to make an account. Cons There are many minor glitches, which after contacting the support team, usually get fixed in a timely manner, but after a while I don't want to report every little thing and wished that the QA team would catch them before going into production. Organizing the framework of proposals is also very easy and sections can be reordered, added, and removed with ease. A great time saver is the ability to use templates and even clone a previous project to get started quickly. Pros What I like most about RFPIO is the ability to store content and knowledge in sections and answer format. Once populated with verified content, it reduces the resources required to compile a standard proposal and the author and reviewer functions streamline team contributions. Custom merge fields, categories, keywords, etc. offer a lot of flexibility over how you organize and retrieve your content. Cons Although RFPIO is a great resource for storing and organizing content and knowledge, it's limited control over the formatting of the content means that exporting proposals through multiple iterations can be time consuming. Word templates do a decent job of providing a base look and feel but working with things such as line spacing, tables, etc. is finicky and image quality from RFPIO to Word document to PDF can result in poor end quality. Once I have compiled the bulk of the project and exported to Word, I tend to continue with Word and then am forced to go back and update any content changes in RFPIO to reflect the final results. Right now it is a central part of our working process, so I cannot see myself going back to no tool, as it was our case. Pros That it was very easy to start working with, and that we have all the previous content in a very accesible way. The reports we receive are great, as we can have an overview of the projects and create stats on how we are working. Cons We need to work very hard to keep everything updated. We have too many products and sub-companies, and therefore it is very difficult to use the AI automatic answers. We've been able to calculate massive returns on investment in using their software, and I've enjoyed working with their team so much. RFPIO didn't just introduce me to a proposal tool, they introduced me to the proposal community. Pros RFPIO has the best document import in the business. It's flexible enough to handle almost any format of document, but still offers plenty of time-saving shortcuts. The export functionality is also very good--it almost always results in a clean, tidy document. I also love the flexibility of the Answer Library. Features like merge tags, intelligent tagging, custom fields, collections and categories mean that the Library is more than capable of handling just about any business case you can throw at it. Cons My computer tends to have some latency issues when trying to work with large projects, and everything takes maybe just one more click than I'd like, but I also think that the payoff there is an interface which really does not need to much explanation for end-users. It has allowed us to bring all of our SMEs into the system and saved us from countless versioning, passing Word docs around, copying and pasting updates into a master, etc. Our team can communicate and collaborate with ease. It is tremendously cost-effective in that it frees our technical folks and others to spend more time on their core jobs and less time digging for RFP answers. Pros The ease of collaboration across the company and the ability to manage the RFP process in a far more streamlined fashion than previously. RFPIO allows the user to search for just the right content with ease. RFPIO has truly changed the way we do business -- for the better. Cons Nothing, really. Whenever I have had an issue (all minor) with how the software works (for instance, a notification I wanted to turn off), the RFPIO team helped me with a workaround.
