Pros No one wants to answer RFPs; it is an outdated industry practice. Responsive makes this easier by providing a central repository for all RFP responses and enabling collaboration among team members, which improves productivity by allowing people from different teams to work on proposals in parallel. Helps track the progress of bids and sets reminders to meet deadlines. Cons The answers don't always pull in accurately for questions we have seen over and over again. It’s transformed our QA library from a messy fragmented and non contextual database into a resource we actually trust, which has made the day-to-day feel way more manageable and a resource we can trust. The AI is truly a life saver, I don't know what I'd do if my company ever looked to remove this tool.... Probably look for another job! Pros Before leveraging responsive, our team would spend hours or days hunting through old spreadsheets and pestering subject matter experts for the same five answers just because the question wasn't worded exactly the same. Now, the AI handles that first pass for us, and it’s surprisingly accurate. It actually pulls the right context for our security questionnaires and RFPs, which has cut our initial drafting time down to almost nothing. Cons Sometimes the collaboration with guest accounts can be a bit iffy if I need to involve someone who is not on the platform, I don't always know if they've received the question or reviewed it. Contrasting this with a google docs @ tag, where it's easier to see revisions or they can resolve the tag, I often resort to slack to double check. The power of the platform is a clear win...the flexibility and options to manage and review content is second to none. Once familiar with the platform, it offers amazing flexibility to a power user. Pros The rich feature set and flexibility around managing content is excellent. While it's a little intimidating at first, the amount of functionality is one of Responsive's strong points. Cons Occasionally there's bugs and glitches. I think the downside of having so many features and functionality is the risk that code clashes sometimes and bugs are present. Responsive is very errr...responsive with bugs and addressing support tickets which is a plus, however, it would be good if bugs weren't present in the first place of course. It is not as intuitive or efficient as working directly in Word for day‑to‑day use. Pros From a document management perspective, this system can serve as a centralized repository for our templates with controlled access. It also enables a “build once, use many” approach, allowing us to update shared or redundant sections in one place rather than across multiple templates. Cons At this time, the system does not appear to be very user‑friendly for our company’s needs. Our requirements may be too complex for its intended use. The time investment required to configure and organize our 20+ templates—each with roughly 10 sections or subsections—is substantial, especially considering this represents only a small portion of the overall system shared by three other groups. Additionally, day‑to‑day use would likely be more time‑consuming for our team than our current process. As a result, we may not be able to rely on the system for daily work and instead would primarily use it for template management, downloading templates into Word and editing from there, which mirrors how our assignments are currently handled. I think it is a valuable resource for what it is. It is easy to then also have a document created with a record of how we responded for future reference. Pros I like that it is a one stop shop for all stakeholders in the RFP process where RFP asks, conversations and workflows can all be housed in one spot. It is easy to see what has been answered, what remains to review and easy to assign team members where needed to get the right people on the right questions to keep the workflow moving. As already mentioned above, the tool is easy to use, and the account management is very helpful. Pros Responsive has an easy to use and easy to learn UI, which makes it easier to onboard new members/teams to the tool. It provides us an opportunity to create and leverage an answer library and collaborate with multiple teams at the same time, helping save a lot of time. Another great aspect is the value for money that the tool provides, compared to similar tools available in the market. Lastly, the account management team is very helpful and responsive (pun intended) and it is always a pleasure to work with them. Cons The answer suggestions that the tool provides while working on a questionnaire are incorrect a lot of times because sometimes the tool does a simple keyword match and because of the nature of questions, although the keywords may match, the answers suggested do not match the question at all. During such times, we rely on the human expertise and experience to search for the correct answers in the library. With the platform, I'm able to easily add and remove Q/A pairings as well as leverage the current pairings we have in the database with ease. The ability to filter for certain things using the tags or collections feature helps me find things a lot quicker and remove any irrelevant items, ensuring the answers always pertain to exactly what I'm looking for. The only critiques I have with it are small ones which can be fixed or a new feature could be added to mitigate the problem. Overall, it's a very helpful platform that I encourage others in the industry to use, to help fill out questionnaires, as it has saved my team and I countless hours a year with the answering process. We've been able to calculate massive returns on investment in using their software, and I've enjoyed working with their team so much. RFPIO didn't just introduce me to a proposal tool, they introduced me to the proposal community. Pros RFPIO has the best document import in the business. It's flexible enough to handle almost any format of document, but still offers plenty of time-saving shortcuts. The export functionality is also very good--it almost always results in a clean, tidy document. I also love the flexibility of the Answer Library. Features like merge tags, intelligent tagging, custom fields, collections and categories mean that the Library is more than capable of handling just about any business case you can throw at it. Cons My computer tends to have some latency issues when trying to work with large projects, and everything takes maybe just one more click than I'd like, but I also think that the payoff there is an interface which really does not need to much explanation for end-users. It has allowed us to bring all of our SMEs into the system and saved us from countless versioning, passing Word docs around, copying and pasting updates into a master, etc. Our team can communicate and collaborate with ease. It is tremendously cost-effective in that it frees our technical folks and others to spend more time on their core jobs and less time digging for RFP answers. Pros The ease of collaboration across the company and the ability to manage the RFP process in a far more streamlined fashion than previously. RFPIO allows the user to search for just the right content with ease. RFPIO has truly changed the way we do business -- for the better. Cons Nothing, really. Whenever I have had an issue (all minor) with how the software works (for instance, a notification I wanted to turn off), the RFPIO team helped me with a workaround.
