Pros No one wants to answer RFPs; it is an outdated industry practice. Responsive makes this easier by providing a central repository for all RFP responses and enabling collaboration among team members, which improves productivity by allowing people from different teams to work on proposals in parallel. May 20, 2026 5.0 I'm very happy with Responsive because it saves a lot of time and resources for my team and I. I feel like I can rely on it both for reusing past answers and for drafting new ones. Once you're aware of how the app works –because you do need some training, as with every other specialized tool–, it becomes very easy and dynamic to interact with. I would definitely recommend it to RFX teams who are looking for saving time. Pros I love that it can use our Knowledge Base, Content Library and past projects to draft new answers or recycle past ones. I also love that it can draft and translate content in different languages. It is think it's very useful for project tracking, specially if you're working with different team members. If you're working against the clock, it's an incredibly useful and fast tool to answer RFXs. You can finish a large project in just a couple of hours. The power of the platform is a clear win...the flexibility and options to manage and review content is second to none. Once familiar with the platform, it offers amazing flexibility to a power user. Pros The rich feature set and flexibility around managing content is excellent. While it's a little intimidating at first, the amount of functionality is one of Responsive's strong points. Cons Occasionally there's bugs and glitches. I think the downside of having so many features and functionality is the risk that code clashes sometimes and bugs are present. Responsive is very errr...responsive with bugs and addressing support tickets which is a plus, however, it would be good if bugs weren't present in the first place of course. We couldn't do our job the same way without it. Pros Progress tracking is one at the top of the list. The amount of hours it saves our proposal managers on tracking the progress of a project is massive. That lone is worth the value. In addition, the accountability it holds with associates in reviewing their content. Without a system like Responsive's content library and review structure, our responses would not be where they are at today. Lastly, employee management - I oversee the proposal team and each morning I review a status on all projects to see where we are and having a dashboard like the Project view, executive dashboards, etc. it's extremely helpful. Cons Exporting into templates. My team spends a considerable amount of extra hours cleaning up the formatting when it doesn't export well or when we export into our template, but want to align with the clients RFP format - most times, it doesn't export that way, so the proposal managers spend countless hours cleaning this up. I have addressed this in the past. I would love it if there was a way we could have some sort of sequential author answering in the project. Today, we have multiple people that could contribute to one response. When one person is done, there is no way to track their progress, so what we have to do is create a manual process for tracking. It’s transformed our QA library from a messy fragmented and non contextual database into a resource we actually trust, which has made the day-to-day feel way more manageable and a resource we can trust. The AI is truly a life saver, I don't know what I'd do if my company ever looked to remove this tool.... Probably look for another job! Pros Before leveraging responsive, our team would spend hours or days hunting through old spreadsheets and pestering subject matter experts for the same five answers just because the question wasn't worded exactly the same. Now, the AI handles that first pass for us, and it’s surprisingly accurate. It actually pulls the right context for our security questionnaires and RFPs, which has cut our initial drafting time down to almost nothing. Cons Sometimes the collaboration with guest accounts can be a bit iffy if I need to involve someone who is not on the platform, I don't always know if they've received the question or reviewed it. As already mentioned above, the tool is easy to use, and the account management is very helpful. Pros Responsive has an easy to use and easy to learn UI, which makes it easier to onboard new members/teams to the tool. It provides us an opportunity to create and leverage an answer library and collaborate with multiple teams at the same time, helping save a lot of time. Another great aspect is the value for money that the tool provides, compared to similar tools available in the market. Lastly, the account management team is very helpful and responsive (pun intended) and it is always a pleasure to work with them. Cons The answer suggestions that the tool provides while working on a questionnaire are incorrect a lot of times because sometimes the tool does a simple keyword match and because of the nature of questions, although the keywords may match, the answers suggested do not match the question at all. During such times, we rely on the human expertise and experience to search for the correct answers in the library. We had to do a quick migration to RFPIO so we would not be locked into a contract with our previous vendor. THey worked with us and helped us get the training we needed as fast as possible to have an MVP. Pros RFPIO has helped streamline the RFP process in our organization. We are able to include more SMEs in the RFP process with little to no training. The previous software we used, was very hard to figure out and manage, which resulted in necessary people not wanting to engage with the tool because it was too complicated. RFPIO changed all of this for us and has made it easy for our teams to collaborate. Cons We had some issues integrating with Salesforce, and the reporting aspect is still not what we want it to be. We have custom roles, and because we only use SSO we cannot 'impersonate' other roles for training and development purposes. The final issue that led to the switch was having a production issue for over 4 months that kept us from being able to complete RFPs and resulted in a lot of re-work. Cons Sometimes its too jumpy and doesnt allow the user to click where they want or on what they want without spazzing out a bit. Pros The collaboration features, the Auto Respond feature, the mapping of projects and easy export into the source document. Cons Not a con as such, perhaps an inherent limitation of source files, but I would like some more accommodation of trickier source documents that e.g. have conditional questions (e.g. if Yes, reply to next question, if Not, do not) or documents that show or hide questions depending on how you previously answered to the questions above. If it comes to other formats, the tool has its shortcomings which the user has to solve. The reuse of reliable and up-to-date content from previous projects is a very clever idea (known also in other branches like e.g. the translation industry). Pros \> Supporting team collaboration through clear assignment of sections/questions/tasks > Clear dashboard function that shows the tasks, progress and status of each question > The export function helps to create bid documents with a uniform look/formatting. Cons It is not possible to - search for possible Q/A-pairs in all completed projects (that are not part of the Answer Library) - reliably update the source file - to import read-only word/pdf-files with preset text-boxes to fill It is difficult to collaborate with clients and/or vendors on an RFP, if they have more than one question to answer. Pros What I liked the most about Responsive is that it enables collaboration between various teams without the need to rely on external software. Its integration with Slack also enabled me to stay on top on any meaningful changes to RFPs I'm involved in. Cons The most problematic aspect of the software is its notification scheme. Most companies I know still use manual processes for the same and keep on having to redo the same work over and over again. Responsive provides an easy workflow, enterprise level access control and ability to build up a strong database of knowledge bits to semi-automate the necessary tasks and get answers to customers in a much faster way. Pros That it was very easy to start working with, and that we have all the previous content in a very accesible way. The reports we receive are great, as we can have an overview of the projects and create stats on how we are working. Cons We need to work very hard to keep everything updated. We have too many products and sub-companies, and therefore it is very difficult to use the AI automatic answers. We've been able to calculate massive returns on investment in using their software, and I've enjoyed working with their team so much. RFPIO didn't just introduce me to a proposal tool, they introduced me to the proposal community. Pros RFPIO has the best document import in the business. It's flexible enough to handle almost any format of document, but still offers plenty of time-saving shortcuts. The export functionality is also very good--it almost always results in a clean, tidy document. I also love the flexibility of the Answer Library. Features like merge tags, intelligent tagging, custom fields, collections and categories mean that the Library is more than capable of handling just about any business case you can throw at it. Cons My computer tends to have some latency issues when trying to work with large projects, and everything takes maybe just one more click than I'd like, but I also think that the payoff there is an interface which really does not need to much explanation for end-users. It has allowed us to bring all of our SMEs into the system and saved us from countless versioning, passing Word docs around, copying and pasting updates into a master, etc. Our team can communicate and collaborate with ease. It is tremendously cost-effective in that it frees our technical folks and others to spend more time on their core jobs and less time digging for RFP answers. Pros The ease of collaboration across the company and the ability to manage the RFP process in a far more streamlined fashion than previously. RFPIO allows the user to search for just the right content with ease. RFPIO has truly changed the way we do business -- for the better. Cons Nothing, really. Whenever I have had an issue (all minor) with how the software works (for instance, a notification I wanted to turn off), the RFPIO team helped me with a workaround.
