## What is Responsive?

Responsive is Strategic Response Management (SRM) software built to help teams qualify, respond, and submit RFPs with speed and confidence. AI agents handle the heavy lifting (shredding requests, drafting first-pass answers from approved content, routing work to SMEs, and validating completeness) so your experts can focus on strategy and quality. Guided Projects, Quality Check, and TRACE Score governance ensure responses are accurate, compliant, and on-brand. Responsive’s centralized Content Library provides a single source of truth for approved answers, policies, and proof. Connect your stack (e.g., Salesforce, Slack, Microsoft 365, Google Workspace), give field teams self-serve access to trusted knowledge, and track impact with executive-ready reporting on response velocity, win influence, and content usage. Over 2,000 organizations rely on Responsive to manage RFPs, RFIs, DDQs, and security questionnaires at scale, accelerating cycles, reducing risk, and improving team experience.

I'm very happy with Responsive because it saves a lot of time and resources for my team and I. I feel like I can rely on it both for reusing past answers and for drafting new ones. Once you're aware of how the app works –because you do need some training, as with every other specialized tool–, it becomes very easy and dynamic to interact with. I would definitely recommend it to RFX teams who are looking for saving time.

Pros

I love that it can use our Knowledge Base, Content Library and past projects to draft new answers or recycle past ones. I also love that it can draft and translate content in different languages. It is think it's very useful for project tracking, specially if you're working with different team members. If you're working against the clock, it's an incredibly useful and fast tool to answer RFXs. You can finish a large project in just a couple of hours.

Cons

When I'm answering an RFX inside the Answering Page section, I wish I could Control + F my way through the app so that I could go back to previously mentioned answers and copy paste them into new questions because sometimes RFXs are repetitive. A command like that would be useful.

Overall it feels positive and supportive as a platform. It is something I use every day for work, just about.

Pros

It is a great database to house our boilerplate information and project qualifications. Responsive as a platform is helpful for collaboration and sharing information across multiple people.

Cons

Sometimes the search feature can be a little too broad when typing in the search bar. The tags definitely help with organization but the search could be improved a bit.

very positive experience overall with responsive and would recommend for RFP response project management and drafting needs

Pros

Easy to navigate for our team and centralizes our go to market responses across the various members of our commercial team

Cons

there should be more native AI to query internal databases to pull answers to questions like a chatgpt or claude can do with connectors

Excellent. A nice cloud service. Look for ways to motivate endusers to think about Responsive for more than just RFIs and RFPs and formal requests for Info...

Pros

Innovative UI that updates frequently with new enhancements. The AI feature is very promising and has acted as a multiplier when it comes to productivity and speed of responding to RFIs and RFPs. I am also witnessing quality improvements with AI-generated responses over the last 6-9 months. The AI features help me be a rock star at work keep it coming!!!

Cons

Not flexible enough. Making AI runs seems complicated. Not enough collaborative features. Work on custom options. My manager added some custom fields and seems like we could not do much with them after creation?

Great, the AI hallucinates it a bit but it saves so much time when we have large rfps to auto fill then go back and review.

Pros

That its smart and automates as it learns from movements, responses, question patterns etc. It makes it so much easier to navigate and get from place to place with less clicks.

Cons

Sometimes its too jumpy and doesnt allow the user to click where they want or on what they want without spazzing out a bit. There could also be easier ways to reference recent rfp answers and what gets "saved to library"

The system presents challenges from both an organizational and case‑development perspective and appears to be time‑consuming to set up and maintain. It is not as intuitive or efficient as working directly in Word for day‑to‑day use. That said, its primary strength lies in its ability to restrict update access and centrally manage templates, which provides stronger control and governance than our current approach.

Pros

From a document management perspective, this system can serve as a centralized repository for our templates with controlled access. It also enables a “build once, use many” approach, allowing us to update shared or redundant sections in one place rather than across multiple templates. While we are still working on standardizing and organizing our templates to fully realize this capability, the long‑term efficiency and governance benefits are significant.

Cons

At this time, the system does not appear to be very user‑friendly for our company’s needs. Our requirements may be too complex for its intended use. The time investment required to configure and organize our 20+ templates—each with roughly 10 sections or subsections—is substantial, especially considering this represents only a small portion of the overall system shared by three other groups. Additionally, day‑to‑day use would likely be more time‑consuming for our team than our current process. As a result, we may not be able to rely on the system for daily work and instead would primarily use it for template management, downloading templates into Word and editing from there, which mirrors how our assignments are currently handled.

On a daily basis, the platform actually feels like it was built for the people doing the work, not just the managers looking at the dashboard. It’s transformed our QA library from a messy fragmented and non contextual database into a resource we actually trust, which has made the day-to-day feel way more manageable and a resource we can trust. The AI is truly a life saver, I don't know what I'd do if my company ever looked to remove this tool.... Probably look for another job!

Pros

Before leveraging responsive, our team would spend hours or days hunting through old spreadsheets and pestering subject matter experts for the same five answers just because the question wasn't worded exactly the same. Now, the AI handles that first pass for us, and it’s surprisingly accurate. It actually pulls the right context for our security questionnaires and RFPs, which has cut our initial drafting time down to almost nothing.

Cons

Sometimes the collaboration with guest accounts can be a bit iffy if I need to involve someone who is not on the platform, I don't always know if they've received the question or reviewed it. Contrasting this with a google docs @ tag, where it's easier to see revisions or they can resolve the tag, I often resort to slack to double check.

Overall I have had a good experience using Responsive. I think it is a valuable resource for what it is. It is easy to then also have a document created with a record of how we responded for future reference.

Pros

I like that it is a one stop shop for all stakeholders in the RFP process where RFP asks, conversations and workflows can all be housed in one spot. It is easy to see what has been answered, what remains to review and easy to assign team members where needed to get the right people on the right questions to keep the workflow moving.

Cons

There are sometimes issues with the responses that are automatically pulled in where a question has a auto-response that does not answer the question being asked.

Overall, Responsive is a great tool. It offers many capabilities yet workers need time to learn the product to use it to its full potential. The AI Draft and 'Ask' feature are prime examples of proper implementation of Artificial Intelligence in products. The easy to use UI, constantly updated tracking, and roles and permissions offer a suite of tools to be leveraged to streamline processes.

Pros

Responsive offers a comprehensive platform with an visually pleasing and easy to use UI, great team collaboration with permissions and defined roles for projects, projects are tracked and updated instantly to ensure an accurate depiction of progress. Responsive also implements AI that streamlines lengthy assessments with a draft feature, automating repetitive tasks with accurate answers and referenced source material.

Cons

Responsive offers many capabilities and the opportunity to create more efficient processes, yet needs ample time to be curated to ensure accuracy and replicability.

The customer service and support we have received is second to none. We are committed to getting better and better with how we use the tool and know we need to provide more training to our teams.

Pros

Responsive has helped us become more efficient in our response time and has provided a way for us to improve the quality and relevance of our answers. The new AI tools are great.

Cons

There is a definite time commitment to get things up and running and training our team has been a bit challenging as they are very stuck in the "old way" of doing things.
