Pros No one wants to answer RFPs; it is an outdated industry practice. Responsive makes this easier by providing a central repository for all RFP responses and enabling collaboration among team members, which improves productivity by allowing people from different teams to work on proposals in parallel. Cons The AI capabilities are still immature, and the generated answers always need to be reviewed, which is time-consuming and undermines the solution's productivity gains. November 3, 2025 4.0 It's been a great experience. A huge step up from our previous platform. The power of the platform is a clear win...the flexibility and options to manage and review content is second to none. Once familiar with the platform, it offers amazing flexibility to a power user. Pros The rich feature set and flexibility around managing content is excellent. While it's a little intimidating at first, the amount of functionality is one of Responsive's strong points. Cons Occasionally there's bugs and glitches. I think the downside of having so many features and functionality is the risk that code clashes sometimes and bugs are present. Responsive is very errr...responsive with bugs and addressing support tickets which is a plus, however, it would be good if bugs weren't present in the first place of course. Look for ways to motivate endusers to think about Responsive for more than just RFIs and RFPs and formal requests for Info... Pros Innovative UI that updates frequently with new enhancements. The AI feature is very promising and has acted as a multiplier when it comes to productivity and speed of responding to RFIs and RFPs. I am also witnessing quality improvements with AI-generated responses over the last 6-9 months. The AI features help me be a rock star at work keep it coming!!! Cons Not flexible enough. Making AI runs seems complicated. Not enough collaborative features. Work on custom options. My manager added some custom fields and seems like we could not do much with them after creation? Helps track the progress of bids and sets reminders to meet deadlines. Cons The answers don't always pull in accurately for questions we have seen over and over again. For example, we can run one AI Draft per project; otherwise a staff member has to clone it to add an additional document. May 20, 2026 5.0 I'm very happy with Responsive because it saves a lot of time and resources for my team and I. I feel like I can rely on it both for reusing past answers and for drafting new ones. Once you're aware of how the app works –because you do need some training, as with every other specialized tool–, it becomes very easy and dynamic to interact with. I would definitely recommend it to RFX teams who are looking for saving time. Pros I love that it can use our Knowledge Base, Content Library and past projects to draft new answers or recycle past ones. I also love that it can draft and translate content in different languages. It is think it's very useful for project tracking, specially if you're working with different team members. If you're working against the clock, it's an incredibly useful and fast tool to answer RFXs. You can finish a large project in just a couple of hours. Cons Sometimes its too jumpy and doesnt allow the user to click where they want or on what they want without spazzing out a bit. It's intuitive, clean, and they are always adding features that are easy to learn and enhance user experience vs. takeaway. I have also enjoyed their new certification program. It has really helped me to utilize the tool better for myself and company. Cons Price, but the sales team is a pleasure to work with and have been very helpful in meeting us where we are. With the platform, I'm able to easily add and remove Q/A pairings as well as leverage the current pairings we have in the database with ease. The ability to filter for certain things using the tags or collections feature helps me find things a lot quicker and remove any irrelevant items, ensuring the answers always pertain to exactly what I'm looking for. The only critiques I have with it are small ones which can be fixed or a new feature could be added to mitigate the problem. Overall, it's a very helpful platform that I encourage others in the industry to use, to help fill out questionnaires, as it has saved my team and I countless hours a year with the answering process. Pros \- Very user friendly - Smooth transitions between tabs and sections - Lots of options for sorting and filtering - "Collections" feature is extremely helpful Cons \- Copy and paste function sometimes doesn't work properly - When I'm in a Q/A pair, I'm unable to see what (if any) collection the pair is a part of. " September 13, 2022 4.0 Overall, the process has been great. We had to do a quick migration to RFPIO so we would not be locked into a contract with our previous vendor. THey worked with us and helped us get the training we needed as fast as possible to have an MVP. Pros RFPIO has helped streamline the RFP process in our organization. We are able to include more SMEs in the RFP process with little to no training. The previous software we used, was very hard to figure out and manage, which resulted in necessary people not wanting to engage with the tool because it was too complicated. RFPIO changed all of this for us and has made it easy for our teams to collaborate. Cons We had some issues integrating with Salesforce, and the reporting aspect is still not what we want it to be. We have custom roles, and because we only use SSO we cannot 'impersonate' other roles for training and development purposes. The final issue that led to the switch was having a production issue for over 4 months that kept us from being able to complete RFPs and resulted in a lot of re-work. If it comes to other formats, the tool has its shortcomings which the user has to solve. The reuse of reliable and up-to-date content from previous projects is a very clever idea (known also in other branches like e.g. the translation industry). Pros \> Supporting team collaboration through clear assignment of sections/questions/tasks > Clear dashboard function that shows the tasks, progress and status of each question > The export function helps to create bid documents with a uniform look/formatting. Cons It is not possible to - search for possible Q/A-pairs in all completed projects (that are not part of the Answer Library) - reliably update the source file - to import read-only word/pdf-files with preset text-boxes to fill It is difficult to collaborate with clients and/or vendors on an RFP, if they have more than one question to answer. I am currently sorting out our thousands of pieces of content and I find the process enjoyable. Pros There are many options for organizing the Content Library, from tags, to collections, to multiple responses to a question, and more. The project management feature is also useful, especially the option to invite guests to collaborate and not require them to make an account. Cons There are many minor glitches, which after contacting the support team, usually get fixed in a timely manner, but after a while I don't want to report every little thing and wished that the QA team would catch them before going into production. Pros That it was very easy to start working with, and that we have all the previous content in a very accesible way. The reports we receive are great, as we can have an overview of the projects and create stats on how we are working. Cons We need to work very hard to keep everything updated. We have too many products and sub-companies, and therefore it is very difficult to use the AI automatic answers. We've been able to calculate massive returns on investment in using their software, and I've enjoyed working with their team so much. RFPIO didn't just introduce me to a proposal tool, they introduced me to the proposal community. Pros RFPIO has the best document import in the business. It's flexible enough to handle almost any format of document, but still offers plenty of time-saving shortcuts. The export functionality is also very good--it almost always results in a clean, tidy document. I also love the flexibility of the Answer Library. Features like merge tags, intelligent tagging, custom fields, collections and categories mean that the Library is more than capable of handling just about any business case you can throw at it. Cons My computer tends to have some latency issues when trying to work with large projects, and everything takes maybe just one more click than I'd like, but I also think that the payoff there is an interface which really does not need to much explanation for end-users. It has allowed us to bring all of our SMEs into the system and saved us from countless versioning, passing Word docs around, copying and pasting updates into a master, etc. Our team can communicate and collaborate with ease. It is tremendously cost-effective in that it frees our technical folks and others to spend more time on their core jobs and less time digging for RFP answers. Pros The ease of collaboration across the company and the ability to manage the RFP process in a far more streamlined fashion than previously. RFPIO allows the user to search for just the right content with ease. RFPIO has truly changed the way we do business -- for the better. Cons Nothing, really. Whenever I have had an issue (all minor) with how the software works (for instance, a notification I wanted to turn off), the RFPIO team helped me with a workaround.
