I think the solution has many areas for improvement, particularly in AI and library maintenance, but the core functionality is solid and delivers the key features needed by growing organizations.

Pros

No one wants to answer RFPs; it is an outdated industry practice. Responsive makes this easier by providing a central repository for all RFP responses and enabling collaboration among team members, which improves productivity by allowing people from different teams to work on proposals in parallel.

Cons

The AI capabilities are still immature, and the generated answers always need to be reviewed, which is time-consuming and undermines the solution's productivity gains.

The speed in which I can import projects. The export to original upload format. The AI, the AI!!!!! The wonderful responsive, accurate, helpful support team. The incredible staff, webinars, coffee chats, and community

When I find the hidden incapabiilties, contact the help team, and then realize that it is fact an incapability. For example, we can run one AI Draft per project; otherwise a staff member has to clone it to add an additional document.

Ok. Has some features that simplifies the RFP process, while other navigation features make it harder.

Pros

It automates responses, and aids in seeing past responses. Helps track the progress of bids and sets reminders to meet deadlines.

Cons

The answers don't always pull in accurately for questions we have seen over and over again. Navigating questions can be difficult, or going back to finding an unanswered question is not straightforward.

I love Responsive. It's a great tool and best on the market. We couldn't do our job the same way without it.

Pros

Progress tracking is one at the top of the list. The amount of hours it saves our proposal managers on tracking the progress of a project is massive. That lone is worth the value. In addition, the accountability it holds with associates in reviewing their content. Without a system like Responsive's content library and review structure, our responses would not be where they are at today. Lastly, employee management - I oversee the proposal team and each morning I review a status on all projects to see where we are and having a dashboard like the Project view, executive dashboards, etc. it's extremely helpful.

Cons

Exporting into templates. My team spends a considerable amount of extra hours cleaning up the formatting when it doesn't export well or when we export into our template, but want to align with the clients RFP format - most times, it doesn't export that way, so the proposal managers spend countless hours cleaning this up. I have addressed this in the past. I would love it if there was a way we could have some sort of sequential author answering in the project. Today, we have multiple people that could contribute to one response. When one person is done, there is no way to track their progress, so what we have to do is create a manual process for tracking. It's extremely time consuming.

On a daily basis, the platform actually feels like it was built for the people doing the work, not just the managers looking at the dashboard. It’s transformed our QA library from a messy fragmented and non contextual database into a resource we actually trust, which has made the day-to-day feel way more manageable and a resource we can trust. The AI is truly a life saver, I don't know what I'd do if my company ever looked to remove this tool.... Probably look for another job!

Pros

Before leveraging responsive, our team would spend hours or days hunting through old spreadsheets and pestering subject matter experts for the same five answers just because the question wasn't worded exactly the same. Now, the AI handles that first pass for us, and it’s surprisingly accurate. It actually pulls the right context for our security questionnaires and RFPs, which has cut our initial drafting time down to almost nothing.

Cons

Sometimes the collaboration with guest accounts can be a bit iffy if I need to involve someone who is not on the platform, I don't always know if they've received the question or reviewed it. Contrasting this with a google docs @ tag, where it's easier to see revisions or they can resolve the tag, I often resort to slack to double check.

Overall, my experience with Responsive was positive. It made RFP responses more organized, collaborative, and efficient, especially when it came to reusing content and keeping teams aligned. What I liked most about Responsive was how intuitive and practical it was for real RFP work. The content library made it easy to reuse curated, trusted answers, collaboration was smooth across teams, and the automation genuinely saved time without taking control away. Overall, it reduced friction and made the process feel much more manageable.

Cons

The platform could feel a bit heavy at times. Search and answer suggestions sometimes required a lot of tuning, and if the content wasn’t well‑maintained, the library could get cluttered quickly. Reporting and admin tasks also felt more complex than they needed to be, especially for day‑to‑day use.

I've had a good experience with Repsonsive. I brought the tool to my current company after using with my previous employer. The Q/A database makes the product worthwhile to respond to customer IT assessments and customer questionnaires.

Pros

The Q/A Library is the tool's best benefit. Having a place to store and easily access company information collected through previous work efforts is valuable and improves efficiency and reliance on internal stakeholders.

Cons

Inability to work easily with online portals and challenging formatting. Online portals that do not easily allow for input/export is a manual and time consuming effort that is supported by the Q/A library. Second - customers format their documents differently, and not all are easy to upload in responsive causing duplication of effort.

Overall my experience is great. Made this RFP experience better than any in my past but it still needs a lot of work on ease of use features.

Pros

The content library is the most valuable mechanism. It has profoundly improved our RFP answering process and allows us to submit at least two times as many RFPs.

Cons

Ease of use could use improvements. I want more hot key customizability to move around the software with fewer clicks and more using keys instead of mouse. Also more of the features should be able to be right clicked and opened in a new window. Also the ribbon in the commenting area should be slidable so that different tabs are next to each other. For example, I want comments, activity, recommendations next to each other as my most used but it's annoying when they are far apart and require multiple clicks to go back and forth between them.

Responsive is a great value for the money! The way Subject Matter Experts are involved with keeping the content up to date and the ease of project in and project out really saves days not hours.

Pros

Responsive is a wonderful tool for holding all the information we use for various responses to RFP opportunities. All users have access to the latest and greatest information at their fingertips. Making team collaboration and staying on top of projects very easy.

Cons

Currently the export funtion is my least love of Reponsive. There is some difficulty when you export the project back to its original form. There are many work arounds but it does add some time to the back end of things.

At this time, the system does not appear to be very user‑friendly for our company’s needs. Our requirements may be too complex for its intended use. The time investment required to configure and organize our 20+ templates—each with roughly 10 sections or subsections—is substantial, especially considering this represents only a small portion of the overall system shared by three other groups. Additionally, day‑to‑day use would likely be more time‑consuming for our team than our current process. As a result, we may not be able to rely on the system for daily work and instead would primarily use it for template management, downloading templates into Word and editing from there, which mirrors how our assignments are currently handled.

While my current employer is still rolling it out, I have used Responsive before, and I am excited for the increased capacity it will allow us to have given our lean-team approach.

Pros

Mainly the project management capabilities of the product. The first step of vetting an RFP always takes time, but with Responsive your hard work is rewarded with automation after you get the ball rolling.

Cons

Building the database wasn't as intuitive as I would have liked, though the custom fields being able to be facets alongside tags is a great feature for those who are used to a traditional folder structure.

Responsive has helped increase my job efficiency greatly. With the platform, I'm able to easily add and remove Q/A pairings as well as leverage the current pairings we have in the database with ease. The ability to filter for certain things using the tags or collections feature helps me find things a lot quicker and remove any irrelevant items, ensuring the answers always pertain to exactly what I'm looking for. The only critiques I have with it are small ones which can be fixed or a new feature could be added to mitigate the problem. Overall, it's a very helpful platform that I encourage others in the industry to use, to help fill out questionnaires, as it has saved my team and I countless hours a year with the answering process.

Pros

\- Very user friendly - Smooth transitions between tabs and sections - Lots of options for sorting and filtering - "Collections" feature is extremely helpful

Cons

\- Copy and paste function sometimes doesn't work properly - When I'm in a Q/A pair, I'm unable to see what (if any) collection the pair is a part of. You can see this with the tags, so I'd like to see it with collections as well

Responsive is a very effective and user-friendly tool in many ways if you work with Excel-sheets. If it comes to other formats, the tool has its shortcomings which the user has to solve. The reuse of reliable and up-to-date content from previous projects is a very clever idea (known also in other branches like e.g. the translation industry).

Pros

\> Supporting team collaboration through clear assignment of sections/questions/tasks > Clear dashboard function that shows the tasks, progress and status of each question > The export function helps to create bid documents with a uniform look/formatting.

Cons

It is not possible to - search for possible Q/A-pairs in all completed projects (that are not part of the Answer Library) - reliably update the source file - to import read-only word/pdf-files with preset text-boxes to fill It is difficult to collaborate with clients and/or vendors on an RFP, if they have more than one question to answer.

The overall experience with RFPIO was transformative. It helped our business to move from the old system of QA's where an employee would keep asking the same question over and over again on a chat across different RFPs. RFPIO's knowledge base and vault of ready responses streamlined the process and allowed greater efficiency.

Pros

What I liked the most about Responsive is that it enables collaboration between various teams without the need to rely on external software. Its integration with Slack also enabled me to stay on top on any meaningful changes to RFPs I'm involved in.

Cons

The most problematic aspect of the software is its notification scheme. I often get Daily Task Reports for sections that are 100% complete and require no work from me as a contributor. My understanding is this cannot be limited by any setting.

Overall, our experience with RFPIO has been very favourable as it allows us to store, organize, and reuse information repeatedly and efficiently. Organizing the framework of proposals is also very easy and sections can be reordered, added, and removed with ease. A great time saver is the ability to use templates and even clone a previous project to get started quickly.

Pros

What I like most about RFPIO is the ability to store content and knowledge in sections and answer format. Once populated with verified content, it reduces the resources required to compile a standard proposal and the author and reviewer functions streamline team contributions. Custom merge fields, categories, keywords, etc. offer a lot of flexibility over how you organize and retrieve your content.

Cons

Although RFPIO is a great resource for storing and organizing content and knowledge, it's limited control over the formatting of the content means that exporting proposals through multiple iterations can be time consuming. Word templates do a decent job of providing a base look and feel but working with things such as line spacing, tables, etc. is finicky and image quality from RFPIO to Word document to PDF can result in poor end quality. Once I have compiled the bulk of the project and exported to Word, I tend to continue with Word and then am forced to go back and update any content changes in RFPIO to reflect the final results. It is not efficient to make changes and re-export each time.

Scalable solution that is our central repository for responses and providing product management allows a small team to response to a lot of customer requests quickly and correctly.

Pros

Having a central store for questions that we've been asked in the past and what our answers for those questions are is very important. We get a lot of RFPs/RFIs and Security Questionnaires around our company and solutions and it is a crowdsourced effort across various teams within our company. Giving everyone access to these past responses and the ability to flag what they apply to and when they need to be refreshed is very key for us to response to customer requests quickly and with a high degree of accuracy and completeness.

Cons

We've been using the solution for awhile and we have a lot of data inside. Some needs to be reworded or updated to remain relevant. We plan on using the A.I. capabilities to help with this updating.

Fantastic. I've worked in the proposal industry for 8 years, however I've only been with Tenable - and worked with RFPIO - for a year. When my boss introduced me to RFPIO, I almost cried thinking about all the time I wasted with other proposal management tools in the past. RFPIO is the best - whenever I'm on a call with my sales engineers introducing them to the software, I make sure to tell them that this is bar none the best proposal management tool I've ever used. Really - phenomenal job! I'm highly satisfied.

Pros

Generally speaking, everything about this software is incredible. My absolute favorite feature of RFPIO is the Answer Library, specifically the Recommendations toolbar, and how accurate it is. I'd previously worked with Microsoft Sharepoint, which offered no such functionality, and working on proposals was way more tedious and time consuming than necessary. RFPIO fixes that.

Cons

Sometimes RFPIO has a hard time formatting certain files - which is understandable, seeing as different clients present different RFP formats. My two biggest issues are that certain tables, especially in Word format, have to be formatted in "Table Properties," rather than simply being able to click on a cell and making it a Question, Subquestion, etc. Secondly, I'm often presented with situations where the client's designated answer space is in the same column as the question, just a row down. I don't believe RFPIO can recognize this yet.
