Made this RFP experience better than any in my past but it still needs a lot of work on ease of use features. Pros The content library is the most valuable mechanism. It has profoundly improved our RFP answering process and allows us to submit at least two times as many RFPs. Cons Ease of use could use improvements. I want more hot key customizability to move around the software with fewer clicks and more using keys instead of mouse. Also more of the features should be able to be right clicked and opened in a new window. Also the ribbon in the commenting area should be slidable so that different tabs are next to each other. For example, I want comments, activity, recommendations next to each other as my most used but it's annoying when they are far apart and require multiple clicks to go back and forth between them. Look for ways to motivate endusers to think about Responsive for more than just RFIs and RFPs and formal requests for Info... Pros Innovative UI that updates frequently with new enhancements. The AI feature is very promising and has acted as a multiplier when it comes to productivity and speed of responding to RFIs and RFPs. I am also witnessing quality improvements with AI-generated responses over the last 6-9 months. The AI features help me be a rock star at work keep it coming!!! Cons Not flexible enough. Making AI runs seems complicated. Not enough collaborative features. Work on custom options. My manager added some custom fields and seems like we could not do much with them after creation? " April 7, 2026 5.0 My overall experience is positive, I have total control of my RFPs and of everything that is happening in the projects I am the manager Pros I like that is very easy to manage my projects and split responsibilities between the people involved. I like that is easy to flag and assign reviwers. Also, I like how easy it is to manage the content library and flag questions. Cons I would love if it had a "notes" section in each project so everyone could share notes and perceptions about the project. I think it is a valuable resource for what it is. It is easy to then also have a document created with a record of how we responded for future reference. Pros I like that it is a one stop shop for all stakeholders in the RFP process where RFP asks, conversations and workflows can all be housed in one spot. It is easy to see what has been answered, what remains to review and easy to assign team members where needed to get the right people on the right questions to keep the workflow moving. As said, I really do think DSR are a real game changer in the provider/client-prospect conversations. I only have to say that I've not been convinced with the oppening tracker provided by responsive in the DSRs or even in documents. May 20, 2026 5.0 I'm very happy with Responsive because it saves a lot of time and resources for my team and I. I feel like I can rely on it both for reusing past answers and for drafting new ones. Once you're aware of how the app works –because you do need some training, as with every other specialized tool–, it becomes very easy and dynamic to interact with. I would definitely recommend it to RFX teams who are looking for saving time. Pros I love that it can use our Knowledge Base, Content Library and past projects to draft new answers or recycle past ones. I also love that it can draft and translate content in different languages. It is think it's very useful for project tracking, specially if you're working with different team members. If you're working against the clock, it's an incredibly useful and fast tool to answer RFXs. You can finish a large project in just a couple of hours. Cons When I'm answering an RFX inside the Answering Page section, I wish I could Control + F my way through the app so that I could go back to previously mentioned answers and copy paste them into new questions because sometimes RFXs are repetitive. Its simplicity is the best thing. Pros Responsive is one of the best RFP tool I have worked on. Any functionality from RFPIO is top notch be it a UI, export functionality, AI response. I will say RFPIO is the best tool for RFP responses. Cons Some time import of Ariba file doesnt work as it fail to take drop done. Also word template for response also some time create issues. Pros Responsive makes finding content so simple. The recommended answers, along with the ability to search in many different ways (keyword, tags, facets) has made creating responses fast, and as easy as possible. It helped our business to move from the old system of QA's where an employee would keep asking the same question over and over again on a chat across different RFPs. RFPIO's knowledge base and vault of ready responses streamlined the process and allowed greater efficiency. Pros What I liked the most about Responsive is that it enables collaboration between various teams without the need to rely on external software. Its integration with Slack also enabled me to stay on top on any meaningful changes to RFPs I'm involved in. Cons The most problematic aspect of the software is its notification scheme. I often get Daily Task Reports for sections that are 100% complete and require no work from me as a contributor. My understanding is this cannot be limited by any setting.
