### "Many options for content organization"

I use this every day as part of my job and I am overall satisfied with the use of the tool and its many features. I am currently sorting out our thousands of pieces of content and I find the process enjoyable.

Pros

There are many options for organizing the Content Library, from tags, to collections, to multiple responses to a question, and more. The project management feature is also useful, especially the option to invite guests to collaborate and not require them to make an account.

Cons

There are many minor glitches, which after contacting the support team, usually get fixed in a timely manner, but after a while I don't want to report every little thing and wished that the QA team would catch them before going into production. Also the customer care team is hit and miss, and we faced some communication issues when it came to billing.

Pros

Responsive's AI add-in has been a game changer for our team. The AI add-in not only helps speed up the response but also automates a lot of redundant tasks that the team had to perform.

Cons

Reponsive has recently changed their licensing model. The current licensing model doesn't support scaling without breaking the bank.

I enjoy using Responsive 99% of the time.

Pros

It is fairly intuitive and have most of the features that I want. Definitely easier to use than another other similar product I've used.

Cons

Would like a little more sophistication in some functions such as excluding certain items permanently from the duplication report. I also still manually load excel workbooks because the program has problems properly sorting complicated worksheets.

I love the various tags, I also appreciate the ability to add questions sets and answers to the library for a reviewer to vet and then place for the entire team to use.

Sometimes charts and pictures do not retain the quality resolution

Pros

I like how it acts as as repository for our Q&As and can also help with projects.

Cons

I don't like the lack of functionality around custom fields. For my company it is really important the AI doesn't give wrong info based on wrong product version.\`

Responsive has helped increase my job efficiency greatly. With the platform, I'm able to easily add and remove Q/A pairings as well as leverage the current pairings we have in the database with ease. The ability to filter for certain things using the tags or collections feature helps me find things a lot quicker and remove any irrelevant items, ensuring the answers always pertain to exactly what I'm looking for. The only critiques I have with it are small ones which can be fixed or a new feature could be added to mitigate the problem. Overall, it's a very helpful platform that I encourage others in the industry to use, to help fill out questionnaires, as it has saved my team and I countless hours a year with the answering process.

Pros

\- Very user friendly - Smooth transitions between tabs and sections - Lots of options for sorting and filtering - "Collections" feature is extremely helpful

Cons

\- Copy and paste function sometimes doesn't work properly - When I'm in a Q/A pair, I'm unable to see what (if any) collection the pair is a part of. You can see this with the tags, so I'd like to see it with collections as well

Pros

It's quite a luxury to be using Responsive when working with RFPs, customer/vendor questionnaires and similar documents that require gathering knowledge and answering inquiries. Most companies I know still use manual processes for the same and keep on having to redo the same work over and over again. Responsive provides an easy workflow, enterprise level access control and ability to build up a strong database of knowledge bits to semi-automate the necessary tasks and get answers to customers in a much faster way.

Cons

While I don't have direct experience with the ETL process that moves questions from customer systems/documents to Responsive, based on what I observe, the platform could be doing a better job of maintaining the question formats (e.g., multiple choice selections, drop-down fields, etc.)

### "Easy to Use! "

Overall, the process has been great. We had to do a quick migration to RFPIO so we would not be locked into a contract with our previous vendor. THey worked with us and helped us get the training we needed as fast as possible to have an MVP.

Pros

RFPIO has helped streamline the RFP process in our organization. We are able to include more SMEs in the RFP process with little to no training. The previous software we used, was very hard to figure out and manage, which resulted in necessary people not wanting to engage with the tool because it was too complicated. RFPIO changed all of this for us and has made it easy for our teams to collaborate.

Cons

We had some issues integrating with Salesforce, and the reporting aspect is still not what we want it to be. We have custom roles, and because we only use SSO we cannot 'impersonate' other roles for training and development purposes.

The product was not user-friendly and lacked many features. The final issue that led to the switch was having a production issue for over 4 months that kept us from being able to complete RFPs and resulted in a lot of re-work. Even after multiple escalations to their development, they could not solve their own issue. Our contract was up for renewal so we made the decision to switch.

### "A Great Content Storage and Organization Resource"

Overall, our experience with RFPIO has been very favourable as it allows us to store, organize, and reuse information repeatedly and efficiently. Organizing the framework of proposals is also very easy and sections can be reordered, added, and removed with ease. A great time saver is the ability to use templates and even clone a previous project to get started quickly.

Pros

What I like most about RFPIO is the ability to store content and knowledge in sections and answer format. Once populated with verified content, it reduces the resources required to compile a standard proposal and the author and reviewer functions streamline team contributions. Custom merge fields, categories, keywords, etc. offer a lot of flexibility over how you organize and retrieve your content.

Cons

Although RFPIO is a great resource for storing and organizing content and knowledge, it's limited control over the formatting of the content means that exporting proposals through multiple iterations can be time consuming. Word templates do a decent job of providing a base look and feel but working with things such as line spacing, tables, etc. is finicky and image quality from RFPIO to Word document to PDF can result in poor end quality. Once I have compiled the bulk of the project and exported to Word, I tend to continue with Word and then am forced to go back and update any content changes in RFPIO to reflect the final results. It is not efficient to make changes and re-export each time.

it's been great, the support and knowledge base have been exceptional.

Pros

The ability to upload our customer templates and answer on the fly, and then download the completed template. Very intuitive to find responses to questions in the library. Auto tagging Questions & Answers in templates.

Cons

There were a few bumps in the new version and a bit of a learning curve but overall a very good software for our needs.

Overall, very positive. Right now it is a central part of our working process, so I cannot see myself going back to no tool, as it was our case.

Pros

That it was very easy to start working with, and that we have all the previous content in a very accesible way. The reports we receive are great, as we can have an overview of the projects and create stats on how we are working.

Cons

We need to work very hard to keep everything updated. We have too many products and sub-companies, and therefore it is very difficult to use the AI automatic answers. There are many applications we are not using because they are limited to the admin, so I dont think we are using the full power of the tool. But that is more on us, I guess.

### "Affordable, comprehensive platform with superior admin / user support"

Hundreds of hours saved in responding to questionnaires and RFPs. RFPIO offers very competitive cost savings over most of the larger RFP software providers. The same functionality at a fraction of the cost of the big guys. Customer support is top notch - all questions or requests for help are addressed within the same day (or within 24 hours at most). Great, direct support from the management team - no call centers, no outsourced product support. You get assistance from people who helped build the product.

Pros

RFPIO's answer library is a miracle with great features. The library provides a way to assign different owners and keep individual Q&A pairs updated in real. Access to our stock answers saves our users and SMEs hundreds of hours each quarter and affords them more time to devote to their primary job functions while spending less time on researching technical responses.

Cons

RFPIO is great for small to moderate sized teams. For larger organizations who complete 20 or more RFPs per month with multiple RFP teams working at the same time, multiple, parallel instances of RFPIO may be needed to best suit those needs on a grand scale.

### "RFPIO New to our Organizaion"

Overall I didn't mind using RFPIO, but did feel it had several issues. The last RFP I had I ended up manually saving after every line as I didn't trust that the information would still be there the next time I looked and sure enough, I required my bid leader to find all the information that I typed as it all disappeared. Thankfully I saved all the time so didn't lose much. The AI was getting better as we were increasing the RFP Data base. I am sorry to say though where there are several things I liked about RFPIO,, at this time I would not recommend it as I want more control over the document.

Pros

1\. the ability of AI to find response recommendations from previously answered questions 2. the ability to tag or invite someone to assist with a1. particular question 3. the notification email that there are still outstanding questions 4. the team collaboration and what their duties are

Cons

1\. Limited view of RFP or the difficulty to reviewing the document 2. Garbage in is garbage out and if there isn't enough responses for a particular question then no data 3. Difficulty of editing, undoing to adding special type functionality 4. Requires automatic save as the solution seemed to consistently delete material and very difficult or impossible to retrieve it. 5. Difficult inserting pictures or cutting and pasting information from other sources.

### "The Most Flexible RFP Tool Available"

As one of RFPIO's early customers, I can honestly say that our experience has been nothing but absolutely amazing. We've been able to calculate massive returns on investment in using their software, and I've enjoyed working with their team so much. RFPIO didn't just introduce me to a proposal tool, they introduced me to the proposal community.

Pros

RFPIO has the best document import in the business. It's flexible enough to handle almost any format of document, but still offers plenty of time-saving shortcuts. The export functionality is also very good--it almost always results in a clean, tidy document. I also love the flexibility of the Answer Library. Features like merge tags, intelligent tagging, custom fields, collections and categories mean that the Library is more than capable of handling just about any business case you can throw at it.

Cons

My computer tends to have some latency issues when trying to work with large projects, and everything takes maybe just one more click than I'd like, but I also think that the payoff there is an interface which really does not need to much explanation for end-users.

### "Pros and cons of RFPIO"

Overall experience with RFPIO have been quite well as it has fulfilled our current requirements of task management and workflow management.

Pros

RFPIO is the amazing tool for task management as well as for workflow management as we in our team has multiple tasks that are assigned independently to other resources and these tasks can be automatically monitored by team lead.Similarly workflow management helped us to follow the pipeline that we built for each iteration of task.

Cons

E-signature feature of this tool is not upto the mark also it don't provide more varieties of docs in customised documents section but we can create different instances of the same using valid methods.

Overall, we have enjoyed using RFPIO and benefited from the system.

Pros

RFPIO provides the workflow automation and a centralized area for customer facing knowledge as expected. The system really has made managing content and bids much more streamlined.

Cons

There are some usability issues (i.e. deleting documents that were previously linked to a Q&A pair, inconstancies with the new and legacy UI functionality, ability to delete comments in the Q&A library, none ideal visibility and filtering for users, etc.). While the system support team is responsive to bug logs, it can take a long time (months) for resolutions or fixes to issues and there is no real proactive communication from our account team.

The functionality looked to be more robust and have all of the necessary functionality for our needs at the time and moving forward.

As stated in the title, RFPIO has really changed how we manage the RFP process. It has allowed us to bring all of our SMEs into the system and saved us from countless versioning, passing Word docs around, copying and pasting updates into a master, etc. Our team can communicate and collaborate with ease. It is tremendously cost-effective in that it frees our technical folks and others to spend more time on their core jobs and less time digging for RFP answers.

Pros

The ease of collaboration across the company and the ability to manage the RFP process in a far more streamlined fashion than previously. RFPIO allows the user to search for just the right content with ease. RFPIO has truly changed the way we do business -- for the better.

Cons

Nothing, really. Whenever I have had an issue (all minor) with how the software works (for instance, a notification I wanted to turn off), the RFPIO team helped me with a workaround. It really works extremely well for us.

### ""I Love RFPIO" - The Words That Come Out of My Mouth Everyday"

My experience has been nothing but positive! So easy to use and when it is not easy, the support team at RFPIO makes it easy for me.

Pros

I do not even know where to begin! RFPIO has changed the way I do proposals forever, and I cannot imagine being without it. It gives me the time to not just meet the RFP requirements, but to actually be able to customize and tailor my responses, something I did not always have the luxury of time to do. It allows me to complete more RFPs than ever before. I cannot even begin to list everything I love about RFPIO, but one thing that stands out is the collaboration aspect and being able to do a first run of answering questions based on what I have in my library, and then being able to assign questions out and follow their activity, It allows me to meet deadlines with a high quality response time and time again. And saves me time!

Cons

I am going to say NOTHING, because anytime I have had an issue or a desire for a new function, the RFPIO team is so responsive and has helped me through or even added a new feature. The one thing I wish it had, and I believe is in development, is a way to check when a draft of an answer is complete, but not marked as answered yet.
