But the customer service has been excellent, and the tutorials provided are great. I haven't had to search long when I need to find out how to do something new. A live chat with customer support would be nice (or even a chat bot), but they still provide good support via emails. Pros I like that it's a one-stop-shop for everything we need for managing our team - from registration, to website management, to managing meets and events. The best feature I've used this year is being able to create sub groups (roster groups) to place different swimmers in, which helps in management and communication. Cons My least favorite aspect has been that I cannot schedule communication in advance. It would be very helpful if I could write up various announcements that I know I'll need to send out each week, and schedule them in advance to be sent out. The communication feature also does not save messages as a draft, which would also be a helpful feature. As it stands now, I write all my messages in a Word doc and then need to copy/paste and reformat in the Swimtopia messaging system each time I want to send something out. I have already recommended it to several of my friends. Pros Live meet coverage, now I don't have to rush around and see what event they are on to watch my kids swim. With everything live I can make my way to the pool to watch or just to make sure my swimmer is ready to go. Cons It was hard to find, I was using other apps and wasn't too impressed with them. It is a much smoother process to schedule/seed swim meets, upload results, and have families and athletes check in or sign up for events. Pros What I really like about this software program - is that it is a central place for athletes and their families to see any updates or changes in our schedule, any news posted, or to 'check in' with their times and scores from previous meets. Another feature I like about this software is - that admin can upload meet schedules or meet templates; then swimmers can sign up and even suggest what they would like to swim, parents can volunteer for the meets, and coaches have an even easier job seeding the meet than they would with paper and pencil. Cons Some of the meet result formats (sent from other teams) are not supported - and you don't know this until you go to upload them onto Swimtopia. Even though you believe it is in the right format (.hy3, .zip, etc.) it still is not supported through their site. But, on the plus side, each time this has happened - a Swimtopia associate has helped convert the file and completed the process for me. Tech Support has been very responsive when we have needs. Pros I love the "full features" that it provides from hosting a website that promotes the team to actually hosting and running a swim meet. It handles registration & waivers, purchasing of merchandise, fee payment, meet entry, and meet management. Swimtopia has also incorporated the ability to accept entries from teams that use other swim team management software. And it is so easy to use. Cons Any issues that we have had, Swimtopia has been great to make adjustments and fixes. Additionally, in looking at the other products, we did not feel confident that our short term volunteers would be able to drive the software effectively. Pros We chose Swimtopia for our Summer Rec Swim Team ( a non profit, al volunteer board) a few years ago and have loved it ever since. The features are perfect for our needs. On occasion we have asked the company to provide additional features and it seems like we weren't the only ones asking because it happened! Customer support is great via the help articles and emails and by contacting the company. We utilized meet maestro last year for virtual meets and will try to get out league to convert to meet maestro this year too. Overall a great product for our needs. Cons slight learning curve on navigation but help articles are handy. A little clunky with the process for uploading and linking files but doable once you get the routine. The website is easy to use and looks great! Pros The software is so easy to use and set-up. Very intuitive for both administrators and users. Cons Like any software, there is a learning curve and some workarounds. However, the support team is always there and very helpful when I need it. In my experience, they always respond within 24 hours, normally much faster. Swimtopia has a great deal of customizable options and tools that made creating and maintaining the site a breeze. I do like that every year, it seems to get better and better, showing that they are trying to make improvements. Cons Registration does not allow us as much flexibility as I'd like. For example, adding t-shirt size became a free-form field rather than allowing a customized drop down of options. This created a good bit of duplicate work as we had to research and follow up on non-standard answers. Communication is not as friendly as I would like. Our previous software had the ability to see open rates for emails, which, while admittedly not perfect, gave a better sense of whether the message was received. Better mobile usage would be helpful, particularly, the communication tool, so communications could be faster, for example, rain delays, cancellations, etc. Texting would be nice to have as well. It seemed almost too good to be true but it lived up to every expectation. It was so much easier to use than the most popular competitor and much more feature rich than other options.
