Overall I am super happy with MyMusicStaff. It is not an expensive tool to use and does everything I wanted it to do and a lot more.

Pros

There are a lot of things I love about MyMusicStaff but the one thing that is the best is the ability to automatically bill families in the beginning of the month. It is the greatest thing. I used to do it by remembering myself or the families and I would always feel like I am undercharging or overcharging. But this way I know that it is exactly right. It is so easy to set it and forget it and see that money coming in every month.

Cons

Sometimes it seems like the software is a little glitchy. Sometimes it charges twice and you have to do some tricks to get the amount that the family owes you to be correct. When the software works, it really works well but then when it does not it is kind of a pain to get it to be correct.

I've been using MMS for over 10 years now, and I remember wishing I had switched much sooner. I was so stuck thinking I had to actually manage my calendar and billing on paper. But once I took the time to give it a try and learn how to set up my calendar, billing, and more, it opened a whole new world of possibility and ease! It is easily one of the most valuable investments I've ever made in my studio. Hands down.

Pros

MMS adds incredible value to my music studio at aVERY reasonable rate. I love that I can put a very professional "foot forward" with all of the automations and integrations MMS offers. I can automatically invoice families via AuotoPay with Stripe, give them portal access to manage their account and calendar, send mass texts and emails, among other things. I LOVE that MMS added the ability to create multiple versions of sign up and contact forms, both for those using their but-on website builder and for those hosting a website externally. The forms can be customized to do exactly what I need and make my life so much easier because all the data is collected for me! This is a feature I begged for from customer service... They constantly listen to their users and improve and add features. MMS is truly a game changer and sanity-saver for this independent studio of one....I can focus on the teaching and not so the admin with that I would be doing. And the monthly cost is so low and affordable, especially compared to the competition. Absolutely LOVE it!

Cons

I wish for a fully supported mobile app! They rolled one out in Beta a while back, but it is no longer available. Someday I hope. But the web experience, both on PC and mobile is great; it just has to be within a with browser instead of openings as a stand-alone app on my phone.

At first it was great when my business was in its infancy but as I grow and need more from my tools it's become clear that MMS simply cannot deliver without a ton of manual work also.

Pros

Has many good basic features that improve efficiency for invoicing, payroll, the registration widget is decent. Overall, it was a good tool for a while.

Cons

Beyond the bare bones, anything I try to achieve with MMS is not possible. Want to integrate with other tools? Can't do it... no open APIs and functions through Zapier are so limited. Want to get data to help make informed decisions? Can't do that either. The reports are so limited and require hours of work on spreadsheets using formulas and pivot tables in order to import into a better system. This data is of course all static because you can't feed it properly to create dynamic data. Want to allow customers to book their own lessons through your website? The booking widget is so limited and can't be customized to meet your needs. AVOID AT ALL COSTS if you want a software that you can scale and grow with. Lately every function I try to achieve is not possible with MMS. To say I'm frustrated and disappointed is an understatement.

The staff at are always prompt to reply to any questions or technical support that I need and they are always super helpful! My overall experience with My Music Staff has been nothing short of superb!

Pros

has completely streamlined the way that I operate my studio! The monthly membership is VERY reasonably priced (especially for all of the features that you get!). With 4 teachers on staff, we love the ability to post sheet music and tracks to the online resources for our students' weekly home-practice (with the ability to see when and how often they have accessed the resource). Bulk billing, bulk invoicing and payroll features have saved me hundreds of hours each term! Last but not least is Studio Communication: One of the main reasons we use MyMusicStaff for all studio communication is that every email and announcement is stored directly in your MMS message history, making it easy to go back and find information in one organized spot rather than searching through a busy inbox!

Cons

If I had to choose one area for improvement, it would be the lack of built-in two-way communication within the platform. While is excellent for scheduling, invoicing, attendance, and organization, I would love to see an internal communication feature similar to WhatsApp or group messaging. The ability for teachers to create class or studio groups where parents and students could communicate directly within the platform would make it even more convenient and eliminate the need to use multiple apps for studio communication. Even if this was a "tiered" feature where you had to pay extra for it - I would be more than willing!!

It took me a little while to figure out the software and set everything up, but then it is just really easy to use! I love that new updates and features are added over time, with helpful videos explaining how they work. I thought that my studio families would use the Portal more often, but they really don't. Just when I ask them to register for something extra like a recital or summer lessons. Some parents find the Portal difficult to navigate, although they have also said that they are not very computer literate to begin with. Overall, I love and it's one of the best decisions I've made for my studio!

Pros

I love how it keeps track of all invoicing and payment info, and sends reminders to studio families. Parents are impressed by how organized my studio is, and that's because I use ! There are so many helpful features, and the free website is perfect for my needs. A really great value for money, and wonderful customer support if I get stuck. It makes the business side of things so much easier! The calendar is also amazing, so much better than any other system I tried before to schedule and keep track of lessons.

Cons

I really wish there was a to-do list feature. A place where I could keep a running to-do list that I can check off tasks on, as well as daily, weekly, and monthly to-do lists that recur. And being able to add tasks that come up once per year, etc. I imagine the current list/s would be on the Home page, as well as a tab for managing them, and also being able to add to-dos to the calendar.

So far, so good, MMS covers all our needs...it has all a music school needs. The customer service support is very good.

Pros

It is affordable, simply, easy to manage. We tried several other service and MMS covers all our needs. We have been working with MMS for more than 8 years

Cons

Bugs with make up reports, and lack of information on the general reports. Most of the reports have confusing data, complex to understand.

### "Massive EFFICIENCY Gains"

Over all I can say that it has been positive. It really has. I would not be able to run my business as efficiently, or really at all, without it. The cost is really negligeable for someone that has even 4-5 students. When you get to the point where your teaching 20 kids, the cost savings in time is hundreds to thousands of dollars. I haven't really had to work with customer support, so I can't speak to that. The user interface is reasonable. Some of the items could be more efficiently placed, like the lack ability to send emails without going to the student list. If you don't know where something is, you'll be able to find it within a couple of minutes.

Pros

I love the automatic invoicing and billing options. I'm a solo music teacher running a studio of 45 families on my own, and the main reason i sought out was because I was spending 20-30 hours a month manually creating invoices and sending them out by email. The last time I did that was when I had 25 families, and it was unmanageable. 45 families would not be possible without my music staff to help me.

Cons

One of my main issues is with the html wigits that you can use on your website. A while ago, there were a couple calendar wigits released to make "client self scheduling" possible. For someone who only wants clients to be able to schedule lessons for them selves, that's great. For me, it's not, because I only allow clients to start taking lessons from me once they've gone through a free consultation where we talk about policies, procedures, billing, and scheduling. I would only want to allow people to "self-schedule" for consultations. but even if I change the available timeslot on the calendar to say "consultation" for some reason the html wigit will not only say its a "consultation" but also a "lesson". which means people would show up confused about what kind of session they're doing unless i scheduled them manually. This is a clarity issue that I could not allow on my website, so I had to stay in a manual scheduling setup. there also doesn't seem to be a method of integrating a physical POS into . If I take a payment from someone using a credit card, NO I do not want to have to input that data manually after the fact. And NO I do not want everyone to pay through the portal. I shouldn't have to force a client to pull out there phone and click a bunch of links to be able to pay and have the payment tracked automatically. This is a feature that would make my life INFINITELY easier. But I also doubt it's coming in the next year or 2. I won't leave because it's not there, but I will be sitting here with a constant level of 3/5 satisfaction.

Excellent experience! Website works great. I just wish I could get my parents and students to use it. I have no complaints.

Pros

This service makes my piano teaching life so much easier! Keeping track of each student, payment and billing, and even having a repertoire list is so helpful! I have used one other service that wasn’t nearly as good and before that I did everything by hand. It is very easy to use and I rarely have a problem. When I do there is quick, personal help available. So worth the money I pay each month!

Cons

I wish that Mac would allow me to use all the symbols available. If I’m not mistaken the problems that I tend to have are Mac related.

Overall i am really happy with this software. I can see all my studio classes from all my teachers on one page, scheduling is so easy. Ive been using it now for almost 4 years and dont plan on changing it anytime soon. I know there are now other software packages around that do the same things but i feel "If it aint broke why fix it"?

Pros

I love the fact that i can send weekly notes to students AND parents. Communication is a key factor in my studio ethics.

Cons

I dont use the accounting side of the program as i find it too clunky. It would be good if it worked with external accounting software like Myob. It would also be good if it was developed as an app as opposed to a webpage.

My studio was growing and becoming a bit of a shambles in the back end of the operation. I was losing track of what students owed, and on occasions I was double booking lessons. Now everyone gets a reminder for lessons times (& a reminder invoice if they’re overdue in paying). I am now running what conveys as a professional studio (as a sole trader), with students respecting my time and professionalism by arriving on time and paying by the due dates. Students are often surprised there isn’t an admin team involved in my business, my workflow has improved and my stress levels of keeping up with accounts etc has decreased enormously. I can concentrate on my teaching! I’d recommend anyone considering the platform to jump on board, you won’t regret it!

Pros

I love the Payment and billing, lesson scheduling, business reports, and the studio management tools.

Cons

not the fault of MMS, but occasionally reminders just stop being sent for lessons. In the early days, customer support was quicker with replies.

I get alot of use with the calendar, scheduling, makeup lessons and rescheduling. I am able to keep track of what I assign to my students. I also discovered some learning downloads, which have been very useful.

Cons

I have not used the invoicing portion of the program...I used it for one month, but mad a mess of the billing.

Overall, I am so glad we made this shift to MMS, we have been able to focus on interacting with our employees more about teaching music and less about the business of it. It has freed our time up to work on growing our business.

Pros

We have cut our time spent tracking attendance and therefore invoicing by 75% It’s really easy to use and customer service has been impeccable. They are quick to respond and helpful when they do. Plus there is a Facebook group available for community - other users of MMS where often answers are found with a quick search in the group

Cons

I do wish there was an app currently available, but the website functions great on my mobile device in the meantime.

Pros

The calendar is so handy to see my week at a glance. The invoicing is convenient and easy to use. My students appreciate it. Definitely great value for your money.

Cons

The only real con I have would be the lack of a mobile app, but the website works well on mobile, so it's not too much of an issue.

Has enabled us to grow- taken hours of admin off our hands, reduced problems such as double booking. Customer service is always quick to rapid and very helpful. Very happy with it. W just need to get better at using it!!

Overall ease of use. It's well organised, has a great facility for students and parents, and keeps our studio running without error (only our own human errors!). It was a breath of fresh air when we joined several years ago and it's been great to see the product grow and develop. Couldn't be without it.

Cons

1\. That it doesn't integrate with Xero2. That new students can't see current availability and book themselves in.

It's fantastic. I love that there is never any bugs in the system. The fact that I can rely on it to perform the way intended is worth everything to me.

Pros

The flexibility and customization features stand out the most. Many businesses have slightly different approaches to the way they run their businesses and I have never found a circumstance where the needs of my businesses quirks were able to be implemented. It's very easy to use, understand and has always been exceptionally reliable. I rarely come across a bug in the system.

Cons

I don't really dislike anything but I also don't use the invoicing portion of the system as I don't invoice clients. I do direct debit.

After I switched to teacher zone I moved back to because teacher zone was not reliable and had too many bugs. Honestly. I loved their combination of features better but the ease of use and reliability provided provided by my music staff was better.

It's easy and quick to email lesson notes to parents and students. No excuses for not knowing what to practice!

Pros

MMS has simplified my admin by a huge amount. There are loads of features that I use daily, and more that I haven't explored yet.

Cons

It is only set up for individual, regular students. You can add students to a group, but you can't then give individual feedback (unless things have changed since I last tried to use that). You can't bill anything unless there is a person set up in the system. I provide accompaniment services as well as tuition, but I can't use this system to bill my one off accompaniments; I have to create a profile, then add them to the calendar, and only then can I bill them. I'd like an option to create a charge/invoice without a client being attached to that. I've worked around this by creating a fictional student named "Rehearsal" who gets billed for every accompaniment, and if I need to email an invoice rather than just adding it to my income stream I go in a change the individual email.I'd also like an auto reminder system for overdue invoices so I don't have to go in manually to see who hasn't paid. I do like that there are templates for invoices and reminders.The other feature I'd use every day if it existed would be the ability to create a lesson plan for individual students that they cannot see until I publish it. I lesson plan sometimes several days in advance and like to edit it to become their lesson notes. I can review previous lesson notes but if I edit it it is immediately able to be seen by them.

MMS was set up specifically for my industry, and compiles several features into one product. Not just for accounting, the online uploads are something I'm starting to use more and more, and the lesson notes email system I use every day.

When I started my music studio, I was doing everything with Google forms, docs, and organizing everything on an outsourced web site developer. But can provide everything that a music studio needs which is an amazing benefit. That way everything is in one place, it isn’t scattered everywhere, and I can bring is to a business owners mind.

Pros

When I was looking for a music studio software, that tracked attendance, registration, easy to use, Calendar, and a payment system, was available and able to do that! It is very easy to use, and makes my job as a music, studio owner very easy!

Cons

Even though has a lot of amazing features, some features I would love to have are creating forms, detailed lesson progress, so that the music teacher can easily track the progress of the students, and payroll in the system instead of using an outside source. I know the last one might be a challenge but it would benefit Music studios soo much to have everything in one place.

We've been using MMS for over 4 years now. When we first found this program it was the all-in-one solution we were looking for but unfortunately, as the years have progressed, the site has gotten much slower to work with, updates made are off-point and not helpful and the program is falling behind in offering features that are standard with others. Most noticeable is the lack of an activity feed or notification system. While other customer management and team work platforms have made this piece a base offering, has no way to indicate who is making changes in the database, when changes are made or a way to be notified. They occasionally roll out new features which are of little use. The Beta Attendance update, still in Beta after more than a year has more steps than the original method and makes the routine more cumbersome instead of streamlining. Despite being around since 2013, My Music Staff is still lacking an application made specifically for your phone further hindering their usability. While we'd really like to continue using this program, the lack of investment to keep up with development and customer needs puts it on the verge of being outdated.

Pros

Ease of set it and forget it weekly lesson management and invoicing for clients.Calendar is user friendly

Cons

Not responsive to feedback, input. No feed or alert for user changes in any way makes it extremely difficult to track if a teacher makes a change or someone has changed something that will impact your client's billing.The adjustments they do make seem to glitch the system at times.

If so, please send an email to support@mymusicstaff.com :) This major upgrade gives us a better foundation to add new features (like the recently added lesson note templates and auto-save lesson notes) and be able to adapt it into a downloadable mobile app. In the meantime, we did specifically focus on the mobile experience as part of the redesign so using the new version on mobile should already feel more like an app.

I particularly appreciate the calendar, attendance, and invoicing system, which have significantly automated my manual processes, saving me a considerable amount of time.There are lots of features which cover all of my needs for teaching and organising students in one place, I like the calendar feature, attendance, and invoicing system which really automated a lot of my manual processes and saves lots of time.

Cons

It would be beneficial to update the appearance of the platform and have a corresponding mobile application. Additionally, adding more features to the calendar, such as the ability for parents to switch lesson times with other parents, would be useful. It would also be helpful to have features that allow me to monitor my students' progress, reward positive behavior, and discipline negative behavior. Currently, I am using Class Dojo for this purpose, but integrating these features into would be ideal since Class Dojo is not directed for use by music teachers.

Love the invoices section. I still feel the need to double check all the automatic invoices made before sending them out, but they allow me to get paid regularly with the correct amount whereas before, I relied on parents to remember to pay me and for what amount.

Pros

Before, I was planning everything through Google Calendar which was fine with a small studio. As I grew, I needed to juggle more students and this was a shift necessary to look more professional. I felt so organized once moving to MMS. I love there is a login system for the parents to use, whenever they do use it, which makes me seem professional. My most used features are student management, calendar, attendance, and invoicing.

Cons

A direct way for parents to register for specific events. I don't like needing to direct them to login, go to calendar, find the event, then click to register. Seems too much work for them and they'll never do it.

MMS is a great product. I'm thrilled I found it. It's cheap, easy, visually appealing, and all-in-one program. Couldn't ask for more. Might be interesting to see if a studio sells products if something like that could be incorporated into it as well.

Pros

I like that it is an all-in-one product. In my other business, I had to have five different products to manage everything. I also enjoy that you can see the balances owed right on the home screen so that I don't have to go looking for it or forget about it when student shows up.

Cons

I wish that when you open to take attendance on a lesson that the notes of the lesson and the attendance/payment were in a horizontal space instead of vertical, so you could see it all at once, then the previous lesson notes could be in a row beneath it. The calendar could resize too to fit the screen so we don't have to scroll through the whole thing. More opportunities to try the features. There are so many features and I have no idea how to use them or even get started. I've tried looking up tutorials, but they're very generic and not sure how to fit them to my studio. It's also hard to get students to practice. On the student side, could there be an opportunity to motivate kids to practice? Like... for every 10 mins they practice they get points and they can build those up at their studio for a prize (presented by the teacher?) Or even do more of a community thing where the whole studio group of students works to get 1 big prize for the studio from MMS?
