Overall, our company is definitely benefitting greatly from MasterControl Qx. There are many modules we have yet to dive into deeper to really get a full value for what our package offers, but it is great to learn slowly what we are missing out on, since what we currently use is great!

Pros

Managing documents as infocards within the system are very easy to do. The creating, collaborating and routing documents are very straight forward and when there are issues, it is very easy to submit tickets and get answers with a quick turn around.

Cons

Implementing AQEM had its bumps in terms of figuring out roles and rights, but the support team does an incredible job helping with getting all actions completely correctly for a successful build in test/prod sites.

I do like that the modules work together or can be linked for easy traceability. Document module works well and consistently with no or few errors.

Pros

I love the idea of the system. The document module works great! Building workflows in Docs and AQEM is very easy and flexible.

Cons

There are inconsistencies. The workflows are great but there are some bugs/defects in AQEM that need resolved. Insights needs to be simplified for use. Training is fine but there is room for improvement.

Overall, the system has many bells and whistles: Enhanced Search, which includes a full text search, linking to related documents, custom approval workflows, and control of which users can view, create, revise and approve documents.

Pros

Qx is user-friendly and provides a home for all of the documents your organization requires. Creation, revision and approval are made easy. The Collaboration process involves multiple users and is key for robust revisions.

Cons

When approving document revisions, the approver has to search to view redlines to confirm what was changed within the document.

### "MasterControl Quality Excellence for Life Sciences"

We've been a MasterControl customer for over 20 years. While the system can work well when initially implemented, it lacks the flexibility to evolve with a growing or changing business. Over time, this leads to accumulating technical debt and diminishing returns. The recent shift to cloud hosting has introduced additional friction, making previously simple tasks more complex or requiring engagement with their services team for additional fees. Historically, with on-prem deployment and concurrent licensing, the system provided good value for money as it offered more flexibility in using the system and designing custom integrations. With the cloud and licensing model changes, we've seen a dramatic increase in licensing fees, while simultaneously losing the ability to implement custom solutions and assign user rights freely. The changes force us to redesign and restructure the system and our processes around their pricing constraints rather than process efficiency. The transition to named user licenses has been deeply disruptive. The model is fundamentally misaligned with how users engage with the system, especially within the Process module, and directly breaks some of our core quality workflows. Restoring functionality under the new model would require a significant financial investment, amounting to nearly a 300% increase in our costs just to maintain parity with the on-prem setup. For long-term customers, this feels less like a product evolution and more like a forced upsell. Although MasterControl has made major investments in developing a next-generation platform, it feels like this has come at the expense of maintaining and improving the current system. Longtime customers are left with aging infrastructure, limited documentation, and training materials that often fall short of demonstrating how to use the system effectively and in a configurable way. As someone familiar with the architecture and database structure, it’s clear that some foundational aspects of the platform stray from modern best practices. While this may explain the decision to rebuild rather than refine, it does little to help existing customers who still rely on the legacy system for critical operations. Better support, accurate documentation, and a genuine commitment to helping customers succeed with the platform as it exists today would go a long way.

\- Strong audit trail and compliance features help meet regulatory requirements such as 21 CFR Part 11 and EU Annex 11. - Provides a unified platform for document management, training, and electronic forms across quality processes. - Includes validation documentation and protocols that can ease system adoption and regulatory readiness. - The Process module is highly powerful for organizations with the expertise to build and maintain custom business processes with web technology (HTML, JS, CSS); otherwise, support or pre-built templates are typically required to get the most out of it. - The Customer Café provides a space for knowledge-sharing and collaboration across the user community. - With the right configuration and internal ownership, MasterControl can serve as the backbone of a quality management system. - Recent product development efforts are the most significant in years and show promise. Many of the current challenges may be growing pains as the platform evolves.

Cons

\- Support is slow to respond and often unwilling to address known issues. - Updates are unpredictable and often introduce new issues. - The shift to named user licensing has disrupted business-critical workflows and imposed significant increased cost to maintain the same functionality. - The move to cloud hosting reduces flexibility, eliminates some custom integration options, and forces design decisions around licensing rather than usability. - Implementation requires deep expertise. The system’s complexity and inconsistent documentation make it easy to create structures that become difficult to scale or maintain. Without careful planning, it can devolve into a digital repository that’s hard to navigate or utilize effectively. - User experience is poor. Updates sometimes reduce usability. Feedback from end users across departments is mostly negative. - Standard reports are unreliable and often blamed on a third-party. - Advanced reporting capabilities require purchasing an additional module, even though MasterControl has acknowledged limitations in the default reporting tools. - Documentation and training resources are often outdated or inaccurate, which can make onboarding and self-support more difficult. - Collaboration within the platform is limited and cumbersome. Many users resort to external tools for effective collaboration. - The system has a steep learning curve. Navigation is not intuitive, and even routine tasks often require multiple steps or significant system knowledge.

MasterControl has been a solid addition to our quality system and it is value for money. It’s made our processes more efficient and has really helped during audits and inspections. That said, it did take time to get everything up and running, and I had to rely on support quite a bit in the beginning. But once you get past that, it becomes a really reliable tool that makes your day-to-day work a lot easier.

Pros

What I like most about MasterControl Quality Excellence is how organized and secure it makes everything. Document control is very solid — we never have to worry about version confusion or audit trails anymore. The automated workflows for things like change control and CAPAs save a lot of time and reduce the back-and-forth emails. Once it’s set up right, it helps keep everything running smoothly.

Cons

The hardest part was definitely the initial setup and learning curve. It’s not super intuitive at first, and unless you have someone to walk you through it, it can feel a bit overwhelming. Also, customizing templates and workflows usually requires help from someone who really knows the system well

It was okay; but just acceptable. There were a lot of challenges that came with use of the system. It was a bit clunky and outdated.

Pros

Master control is very well known in the industry. It has out of the box services which made it easy to implement.

Cons

Constant required updates were a challenge. We found a lot of bugs and their customer service was lacking for the overall cost.

Overall I would recommend MC to other companies. Docs and Training are easy to use and are reliable modules. It’s exciting to hear about all of the other products that MasterControl is rolling out and we are actively looking at ways in which those solutions might be incorporated in our processes to provide efficiency. My hope is that MasterControl will begin focusing advancing Doc’s and Training as they have with their other modules.

Pros

Doc’s & Training Modules make it simple for us to keep our users up to date on the latest docs and keep their training current. Configuration is user-friendly for a business owner, only requiring a basic knowledge of systems but doesn't require any coding knowledge/experience.

Cons

The Doc’s and Training modules have not changed much in the past few years. It would be nice to see more focus on these products for enhancements to make processes run more efficiently.

It's really holistic they nearly all qms needs can be met in one system. The customer support is fantastic and they get solution to you quick. Very customer oriented.

Pros

Very robust software that is part 11 compliant and has lots of configurability to meet your specific needs.

Cons

Because they have a lot of different customers sometimes the common denominator wins out so there are some features that may not be perfect for your situation.

My overall experience with quality excellence is a good one. It gets the job done and the customer service is incredible whenever we need any help.

Pros

As a system admin, what I admire most about Quality excellence is the ability to link different quality events to each other. In the event of an audit, it makes it very easy to search up one event & see that it is linked to others.

Cons

The least thing I like about quality excellence is the implementation and ease of use. Sometimes there are times where the form or QE is stuck and as the sys admin, we have to troubleshoot where or how to progress it forward.

I think MC for me has been a struggle. I know it has a lot of potentials but the way the complaint module is built limits a fast growing group like mine to properly manage our complaints.

Pros

I think MC is great with being able to add other modules like CAPA/NC/Complaints. This gives you the ability to link those investigation together.

Cons

It’s slow and seems to crash a lot. I am mostly in the Complaint modules and it was ok for a small team with under 500 complaints but as my team grows and our numbers increases, MC is harder to navigate and divid up work.

Pros

MasterControl offers a perfect range of modules that focus on the quality compliance needs for our company including document management, learning management, change control and supplier management.

Cons

Not necessarily a con, but the focus on ease of use is a must. There is always work to be done to simplify the user interface and make it as intuitive as possible.

I am satisfied with my experience with Master Control. There are certainly things that could be improved, but they meet my needs and are responsive and supportive as we strive for excellence.

Pros

They provide a well implemented approach to document and training. I have had the full experience of being a newcomer and they supported me through all of my questions. Top notch customer support for my needs.

Cons

Due to the mass amount of services offered it can be quite daunting and confusing when you start out. You will eventually grow accustomed to it, but it isn't easy. Also, there are some pretty intuitive things that you would think you could do that you can't. Many of them are in the works and will be addressed in the future, but right now we have to find workarounds.
