## Cost breakdown

Box offers a mix of pricing options, making it a viable tool for individual users as well as those managing larger and more complex teams in an organization or business. Users have a flexible choice of different subscription tiers suited to their team size, required features, goals, and budget.

### Starting price

A Box subscription is billed on a per user per month basis, and team size affects how much the overall cost will be to use the system. There is a free tier for individual users who need only the most basic features available on the platform. The Personal Pro tier is also designed for individual users. It costs $13 per month and includes extra storage and upload capacity.

To use Box with a team of three or more colleagues, one of the company’s business subscription tiers is necessary. Each of these options offers a 14-day free trial before purchase. The starting price of the Business Starter option, designed for teams of three to ten people, is billed at $7 per user per month.

Above this, a Business plan starts at $20 per user per month and is available for bigger teams of users who need unlimited storage and integration with sales and [document management](https://www.capterra.com/document-management-software/) software. Above this is the Business Plus subscription, which provides more admin controls and content management functionality and starts at $33 per user per month.

To enhance the package further users can opt for an Enterprise account which includes more security protections and watermarking features. This plan starts at $46 per user per month. Beyond this, there is the Enterprise Plus option which adds additional AI features. This tier is only available on an annual billing cycle at a price of $49 per user per month.

### Billing options

There are both monthly and annual billing cycles available for Box users. The annual option saves users 25% on the monthly price, making it a more economical choice for those planning longer-term use. However, the monthly option offers an option for teams that only plan to use Box on a more flexible basis.

### Feature differentiation

The Business, Business Plus, Enterprise, and Enterprise Plus tiers for companies all offer unlimited storage and no limits on the number of users. However, each of these tiers provides differing levels of functionality and features:

- **File upload limits:** The Business plan sets a limit of 5 GB per file per upload. Upgrading to a Business Plus account raises this to 15 GB and this can be further expanded to 50 GB under an Enterprise subscription, or 150 GB with Enterprise Plus.

- **App integrations:** A Business account only allows one enterprise app integration, however, Business Plus expands this to ten integrations, while Enterprise and Enterprise Plus plans allow unlimited integrations.

- **External collaborators:** A Business level account allows external collaborators to connect to your Box account only if the user also has a paid account for the software. From Business Plus onward these limits are removed.
- **Advanced admin & controls:** A Business account does not provide advanced admin controls that allow users to control user access or activity tracking. However, Business Plus, Enterprise, and Enterprise Plus options all do.

- **Document watermarking:** Box restricts watermarking for sensitive documents to its highest tier plans. Both Enterprise and Enterprise Plus users get access to this feature.

- **AI tools:** Only Enterprise Plus users can access AI tools for notes, documents, end-user queries, and platform API calls.

## What users say about Box pricing

Our team analyzed over 1,200 reviews on our website from verified users of Box collected during the last two years to understand more about customer sentiment towards the software’s pricing.

User feedback reveals a mixed view amongst customers on this topic. Many users appreciate the pricing when measured against the software’s ease of use, customer support provided, and storage options available. There is also positive feedback of its free version, which suits smaller businesses and individual startups especially well. However, others compare its pricing options negatively against other cloud storage software options available, with some regarding the premium tiers as only affordable to bigger more financially wealthy businesses.[\[1\]](#footnotes)

## Total cost of ownership

When considering using Box for file management purposes, it’s essential to take into account the total cost of ownership (TCO) incurred during its lifetime. This includes a mix of all the initial upfront costs and additional one-off or recurring expenses. Below is a breakdown to help explain all of these possible charges:

### Upfront costs

Users could incur many initial expenses after purchasing a software system. These include additional costs such as installation, licensing, onboarding the platform, and training staff on its use. Setup fees might also include customization, data migration, configuration, and post-purchase installation support.

In the case of Box, there are no mandatory initial setup fees for free or subscription customers as the software is fully cloud based. However, businesses should consider the internal resources available to them and ensure they budget for any extra staff, hardware, or systems needed to run and scale the system optimally.

### Additional costs to consider

Costs such as data migration, training, hardware, and network infrastructure are common additional expenses that can impact business adoption and implementation of a software platform. These are therefore important factors to consider when choosing a platform.

Box does not charge for data migration, although it does limit the size of files that can be uploaded and stored in its cloud drives, depending on the subscription package chosen. For example, users who wish to upload files over 5GB may have to opt for a more expensive subscription tier.

Additionally, there are costs associated with combining some subscription tiers with an add-on package such as Box Zones, Box Governance, or Box Shield. To fully understand these expenses, it is important to carefully assess each plan’s details to determine whether extra costs may arise after purchase.

#### Services needed to implement or manage the platform

Users can access files stored and shared from Box via both PC and mobile devices, meaning there are usually no upfront costs to access the system. Box also provides demos and tutorials within the software that allow users to familiarize themselves with the platform.

However, for larger or more complex businesses, one of the more advanced packages, such as Business Plus upwards, may prove more practical for management purposes. These levels offer more granular controls over file sharing, security, and assigning administration permissions.

#### Internal resources needed for ongoing platform management

For individual users and smaller teams it is unlikely that you will need a dedicated role to manage a Box account, especially when using the simplified lower tiers available. However, firms with more structural layers, managing thousands of gigabytes of content and with much higher headcounts, may benefit from dedicated roles in the following disciplines:

- **System administration:** A dedicated user with IT management, security, and account management experience can prove useful for managing platform permissions, integrations, and security protections.

- **Project management:** An experienced project manager or team lead can support the management of a software platform such as Box, although this may require additional training when working with international teams or when managing documents that must follow important regulations.

## How to choose the right Box pricing plan

There are a number of important decisions to make when considering the best Box pricing plan for your business. We look at these in more detail below:

_Key considerations to choose the right Box pricing plan_

- **Assessing your business needs:** The pricing plan best suited to your business will depend a lot on the size of your business and the software it already uses. Among small businesses, our data shows that 92% of file sharing software users on our website see document storage and secure data storage as their most critical requirements when searching for these tools. Other features such as file transfers (91%) and real-time synchronization (85%) also matter most to businesses selecting a suitable platform of this nature.[\[3\]](#footnotes) Box provides many of these features across its range of subscriptions. However, for more advanced integrations and functionalities one of its more dedicated Business and Enterprise level tiers may be necessary.

- **Comparing plan features:** Box offers many different pricing tiers based on user needs and storage requirements. Most of Box’s subscription levels are differentiated by the maximum file size uploads per single file, however, some of its more advanced tiers also expand the product to manage more sophisticated content management and compliance management features. For smaller companies or more straightforward project requirements, a free or more basic Business tier should provide most—if not all—of the features necessary for effective file management. However, it is better to consider an Enterprise tier subscription if you are managing larger organizations looking for the highest levels of security protection and when managing sensitive documents.

- **Budget considerations:** Before selecting a Box subscription it is essential to plan the budget necessary on a monthly or annual basis. Subscriptions are charged on a per user per month basis so it is best to calculate the number of user seats you will need before making a final decision. If you require add-ons, wish to hire dedicated project managers or digital asset managers, provide extra training to staff, or purchase additional hardware for this task these will also factor into your costs. Running a detailed evaluation of these elements will help avoid overspending and a better understanding of the likely set-up and running costs of a Box account

## How to maximize the value of your Box subscription

Getting the most from a Box subscription requires careful planning to make use of the tools provided and optimize return on investment (ROI). Below are a number of ways that users can get the most out of using the platform:

_Ways to maximize the value of your box subscription_

### Utilizing key features

To manage a plan with Box properly it is important to take advantage of some of its most useful features, such as the following:

- **Secure file storage:** Box provides many security protections as standard within its file sharing platform. However, for larger companies opting for more premium plans, additional layers of protection can be utilized, such as password policy enforcement and more compliance controls.

- **Collaboration and organization:** Box offers tools that help colleagues collaborate on content. This includes the ability to assign tasks, set workflows, and organize files effectively as they evolve and projects progress.
- **Integrations:** Box can connect with over 1000 software systems businesses often use such as Slack, Microsoft 365, Google Drive, and Salesforce. This makes it relatively simple to onboard the system if you’re already working with existing systems in your tech stack, but make sure to pick a plan that allows the number of integrations you need.

- **Sharing permissions:** Users can set controls over who can access files and limit what can be shared without permission externally from the business with other collaborators and stakeholders.

### Customer support and resources

Box provides a wide range of support options for users to leverage to get the most out of new and existing features or when issues arise within the software:

- **Support channels:** Users can contact Box directly from the app or by email when issues occur. Business accounts upwards all offer standard customer support to firms, whilst the most premium enterprise plans also provide access to additional support channels such as phone support.

- **Knowledge base:** Box curates a selection of video tutorials, learning courses, articles, FAQs, forum content, and webinars to help support teams using their software. These are available to help customers with common issues and to help improve their experience using specific features within the platform.

### Tips for getting the most out of your plan

- **Align resources:** Features should align around the resources available and company needs. For example, it may be necessary to upgrade a subscription to allow more enterprise app integrations, or for more admin or customization controls. Alternatively, when resources are underutilized businesses may consider downgrading to save on costs.

- **Training and education:** Companies should regularly train staff on the features provided by a Box subscription to avoid underutilizing the tools available. By taking advantage of Box’s support, free courses, educational content, knowledge base, and webinars, teams can remain up to date on the most useful features.
- **Review templates and permissions:** Companies should regularly check their subscription level meets their requirements for permission controls, as well as workflow and content templates. This is especially important as a company grows or its sharing or content management structure becomes more complex.

- **Regularly review your subscription:** Continuously monitor how your team uses Box’s features to make sure you are getting the best return on investment. If your needs change, consider the possibility of an upgrade or downgrading your plan.

## Is Box worth it?

Deciding whether to pay for a Box plan ultimately rests on the requirements of your staff, projects, and budget. Below we’ve broken down some of the key factors to help you decide:

### Value for money

Box is highly rated by reviewers and features on the [2024 Capterra Shortlist for File Sharing](https://www.capterra.com/file-sharing-software/shortlist/). From our analysis of verified user reviews received over the last two years, we observe that Box has a **value-for-money rating of 4.3 out of 5,** reflecting a price point that is accessible and provides sufficient access to useful features. This high rating also comes from benefits such as the practical tools available to users, ease of use, strong security, and reliability.

### When to upgrade

When using a free version or a lower-level pricing plan through Box, it may be worth considering an upgrade if:

- You wish to collaborate with 3 or more team members

- You intend to upload very large files

- You require the ability to integrate multiple business applications

- You need granular administrative controls

- You want to create specialized content or workflow templates

- You need priority customer support

### Customer support options

Box offers a variety of customer support options to clients. However, the level accessible depends on the subscription plan chosen. This includes the following levels below:

- **Free plan:** Users of the freemium version of Box can access Box Support, which provides all users with knowledge base content, free courses, and community forums. Additionally, Box provides support via live chat, social media, and email channels for free users.

- **Paid plans:** Paying customers of Box can access support via all the channels open to free users whilst also gaining the capability to contact the company by phone directly.

## Is Box right for you?

### Assessing your requirements

To determine if Box is right for your business it’s important to carefully consider the requirements of your organization compared against the software features provided. When starting this process you should begin by assessing the key aspects of your business and project management goals and the needs of staff using the system. It can help in this situation to ask the following questions:

- **Which users will need access?** When choosing a plan from Box, you need to plan around your likely users and collaborators. For firms with few active users, a free or individual plan may suit their needs well enough. In the case of those with bigger headcounts a Business, Business Plus, or Enterprise plan would prove more practical as all Business tiers upwards offer unlimited users. Additionally, paid business plans open up the capacity to share with external collaborators more freely.
- **Do we require many specialized software integrations?** Box provides the ability to connect common collaboration tools such as Slack, Office 365, and Google Drive for all users. However, to integrate specialist enterprise software such as Salesforce, Oracle, or NetSuite, a paid subscription to Box is necessary. In the case of Business plans this is limited to one integration only and rises to ten possible integrations for Business Plus users. For Enterprise plans and above these limitations are removed and users can connect as many enterprise apps as they wish.
- **Do we need unlimited capacity storage?** Free and individual plans limit the amount of storage capacity available to users. For Business plans and above, however, this capacity is unlimited. There are some remaining restrictions on the sizes of files that can be transferred to Box’s cloud storage at this point on files up to 5GB for Business users, 15GB for Business Plus users, 50GB for Enterprise users, and 150GB for Enterprise Plus users.
- **Are admin controls of our files necessary?** If your file storage needs are relatively simple and straightforward and you don’t require specialized permissions for users then an individual plan will fit most of these requirements. For companies with bigger structures, more security requirements, or the need for granular administration and sharing permissions, Business plans and higher allow firms to take more control over these aspects of file sharing.

- **Do we require analytics on our file management?** Analytics provide businesses with in-depth information about how files are managed, user activity and requirements, and whether file storage space is being used most effectively. These tools are available to Box users who use a Business Plus plan or above.

### Making the final decision

Box ticks many of the boxes businesses require to share and manage files in their organization. It boasts an ease-of-use rating of 4.5 out of 5 and an overall rating of 4.5 out of 5. Based on our user reviews it has especially high scores in document storage (4.8) and secure data storage (4.7). With a freemium tier and plans ranging from $7 - $49 per user per month, it receives a value-for-money rating of 4.3 out of 5.

It is vital to assess your specific requirements carefully to decide if Box is the right fit for you. Free plans offer a limited basis for testing specific functions or getting file storage for no extra cost. However, for storage and sharing of more sensitive material, user controls, regulatory compliance, or special software integrations, one of the company’s paid plans is necessary. These tiers provide more dedicated administration tools that ensure security and file sharing is carried out correctly, as well as more integration capacity, the ability to share bigger files, and track user activity. These can be vital for firms in managing file sharing, especially for businesses that operate at larger scales.

All paid plans offer a two-week free trial before a purchase. It is sensible to take advantage of these before committing to a purchase to test that the tools available work in a way that synchronizes well with your staff and stakeholders. These will help make the final decision a little easier when comparing options for file sharing software.

#### Methodology

1. Review excerpts are passages extracted from longer reviews written by verified reviewers. We obtain these excerpts by applying an algorithm that considers factors including, but not limited to, length, topic coverage, and thematic relevance. Excerpts are evaluated for positive or negative sentiment and receive a sentiment score. Excerpts represent user opinion and do not represent the views of, nor constitute, an endorsement by Capterra or its affiliates. Excerpts are not edited for clarity or grammar.

2. Our research team identified these features from vendor websites (as of Nov. 5th, 2024) based on their analysis of what users find valuable or expect from project management software. This list is not exhaustive. For additional features, refer to the vendor’s website.

3. To identify the key features, we asked users to rate, on a scale of “low importance” to “critical,” how important different features are for project management software.
