Cons If you want truly unlimited file size and number of files you have to make quite a big leap in price from the standard account. Sr. BIM Modeler Construction Used the software for: 2+ years ### "Box - Pros and Cons" December 7, 2021 4.0 Our company chose this product to provide a cloud based solution for it's content and storage of project specific content. I'm sure there are other products that work just as well but this one works just fine. I was not involved in the product selection process but the personnel responsible did a great job in evaluating this product. Pros Box provides many of the features our company needed and was looking for. The ability to access our files remotely was very important. File and folder read/write permissions was also important. Everything that comes with storing files on the cloud (security, backups, etc.) was also a must. The search feature works great for locating content. I'm sure the large amount of storage space available was another important factor in deciding to go with Box. With multiple offices, setting up a corporate account was very helpful along with all the benefits that comes with it. I was not involved in the implementation/integration of this product but I'm sure it was seamless. Cons The freedom to create folders with a name that one desires is great. However, sometimes the naming of the folders just do not make sense. I don't know if this is possible and not sure how it would be implemented, but if there was a way to display a message at the file naming window to name the folder so that it makes sense and is relevant to the project that would be great. I've seen folders named "Documents". This is not helpful if you are searching for a specific project. Review Source Marie Jeanne E. We have a business account with Box and have been using the same since more than a year. It is fairly simple to use, with updates coming out once in a while showcasing new features. The software interfaces seamlessly with the office suite (Office 365 or others), therefore allowing users to use it via their computer, and not necessarily through the website or app. However, it does consume tons of storage space on your computer, therefore I'd definitely recommend only syncing the files to be used rather than syncing all folders you're collaborating on. Box is undoubtedly a great tool for virtual teams collaborating from different locations as sharing, uploading and syncing data is simple and stress-free. My team and I literally work through Box all day, and are always on the same page when it comes to our projects, as each one of us can view the other's uploaded documents on Box and continue working on the same. Additionally, managing and filing documents in one secure storage have become uncomplicated. For us, it reduces the chances of repeating the same work and error. of course, error; and also saving precious time not looking for files and folders all over. Pros Box allows users to upload all kinds of files of different formats (documents, images, video, drawing packages, zipped folders etc.) to its webpage (or app on phone/tablet) with ease. These uploaded documents can be shared with relevant team members, while also keeping them private from others where necessary. Shareable with the help of the link, Box files are easy to update, one can either edit in the browser itself or download to do the same. It is easy to track the activity of users, like who has viewed, downloaded and edited the files. This is a great tool when collaborating with colleagues through the web as all changes in a particular document/content are updated in real time and everybody working on that project can track changes and updates. I consider Box to be a reliable, simplified and secure software that I am able to utilize abundantly on a daily basis with my team. It is accessible anywhere and everywhere with a stable internet connection. One can simply drag and drop files and folders to Box and it will get uploaded instantly. This works wonders when you are out of office (for example, site or travelling) and your team needs to access the documents you've been working on or vice versa. Also, it is possible to have Box sync (as a standalone app) set up on your computer and aids easy syncing without the need to log in every time. Cons When compared to its competitors (Google Drive/OneDrive), Box does look a bit unappealing owing to its price tag. It offers four plans, the most inexpensive one being Standard (for personal use I presume), followed by Business, Business Plus and Enterprise. Small and medium-sized firms can make do with the average priced Business and Business Plus offerings. However, I don't think that I would invest in it if for my personal use. Secondly, for files such as .dwg and .rar do not open as a preview and have to be downloaded for viewing. This poses a problem for me as I have to review large drawing packages and downloading them just for review is quite a hassle. Would love if these little aspects are fixed for the upcoming updates. Pros What i like the most is how easy the software /app is to find within the different platforms. weather I'm using android, windows, apple, PlayStore, Apps, there is no problem fining this download and logging in to find all my documents, pictures, videos, or whatever I might be working on. It helps me always to save a little bit more time. I always have backups of my docuements on a cloud, and I do not need to be worried about it. Box is excellent! Pros I enjoy working with Box; I use it often at work and while working remotely from home. Box allows me to store my documents on cloud. After uploading my data on the cloud, I make it accessible to my team members by sharing it. It is so fast, secure, and easy to work with. Any of the team members who have persmission to access the file, can comment on, edit the files, or manipulate the data. It is great that I can restrict the access of users any time, and control the permission (as the owner of the docuements). I recommend using Box to all the professionals. It helps you enhance at your business. Cons I do not have so many dislikes about Box. The customer service could have been better. The pricing could be better too. Box you a limited capacity in the free version, and as you move forward you need to buy storage which can be a little pricy. Other than these, I do not have any other complaints. Cons My biggest complaint about Box isn't Box's fault – it's my company's settings. My company chose to have shared file links expire after about 30 days, which is a pain in the neck sometimes. Its storage capacity is fairly large and documents are easy to access and organize. Collaborating (i.e., leaving comments and feedback) is likewise a snap. Cons Two areas box could improve are in ux around their access/permissions language, and their mobile interface. The ability to set access and permissions is very visible. However, the language itself can be a little confusing. And, for mobile, the interface can become a little cramped, eading to some parts of the screen being covered or tough to access. I need to be able to access Box.com at any time and I am thankful that I have not had any issues with the site being down, especially in those emergency situations. Thank you! Pros I like the dashboard, it is easy to navigate and there are little tutorials that pop up showing you how to use the site more efficiently. It also holds large amounts of data. The download speeds are fast which is always good. I like that it has options to collaborate with others who are in my group. I haven't had to use this feature yet but I am looking forward to using it in the future. Cons Even though I like Box.com, when I first logged on to the site I had issues downloading the files correctly. Since then I have figured it out. Also, the company that I consult for had to purchase additional storage space. There was only a few files and I was disappointed that I would have to switch out files after I am finished with them, but they remedied that and now we have plenty of storage. You can leave comments on documents, assign approvals, etc. Cons It took me a couple months to really get comfortable with the various features, but once I did, it made remote work an absolute breeze! It's not that Box is difficult to use, but it does take some time to really unlock some of their most handy features. I wish it allowed users to leave video notes for colleagues, in addition to text notes. Pros Box excels at one thing -- making documents accessible from anywhere. This amounts to benefits of efficiency and freedom to work on the go. Being able to access from any machine, particularly on a phone where other services often fail, enhances my ability to address customer's needs. Cons There's no indication when a file is open by another user. This has led to multiple users editing a document, and those documents don't merge well or at all, leaving a red exclamation point indicating there's an issue or an alternate file. We've lost some work this way. As a small company, this is manageable with clearer communication between employees, but I foresee this being an issue as we grow. PhD Student / Researcher Research Used the software for: 2+ years ### "May not be best for simple/typical uses" May 15, 2020 3.0 I am not a fan of Box's move towards pure network storage as default (Box Drive) from local storage (Box Sync). This seems unnecessary to me for individuals and small organizations. If you're sure network storage is the way to go for your organization, then Box could be a great choice. They have great branding and features selection if you fall within this category. Otherwise, I'm not sure why someone would give up the benefits of local storage. This is especially the case for individuals. (Note: there does appear to be an option to mark individual directories for offline storage, but in my understanding this has to be selected from a menu.) This, together with a couple negative experiences with a buggy sync (see below), lead me to give 3/5 stars overall. But if you're sure network storage is the way to go, then I would probably give close to 5/5. I'm just not sure how many people will actually want to manage their files in this way. Pros I love the Box branding and aesthetic. It's a pleasant backdrop for day-to-day use. They have a lot of features on the enterprise front, and I can see they've put a lot of work into their business model. Cons (Note: This relates to Box Sync, which is the version that stores files locally on your device and backs them up on the cloud. This is in contrast to Box Drive, which stores on the network by default.) There have been at least 2 occasions entire directories have disappeared from my local storage even though I did not delete them on any of my synced devices. In the most recent case, this was >50 GB across thousands of files. I had to figure out how to redownload them, which turned out to be a huge hassle in the online interface. Download size limits at 15 GB (or something on that order) prevented me from downloading the higher level directories all at once. The next best thing was making batch selections of files. This ended up being very nonintuitive and took me a long time to figure out (I had to go to a help board). Another criticism is that Box Sync (apparently?) will be deprecated in the future. If, like me, you are uncomfortable with network storage as the default, then Box might not be the best choice for you. I understand this is their business model -- and I can't speak for everyone -- but to me the upsides of default network storage seem outweighed by their downsides for typical use cases. We moved to Box just prior to the pandemic and it has become a staple for our now hybrid workteams. Pros Documents are easily stored and shared through our disbursed team. Having Box eliminates the need to keep local copies of important documents and allow for better control of versions. We have moved all of our Work Instructions and forms to Box for use within our Finance Team and for use by all company members. You can restrict access to ensure only those who need access can have it. Cons One thing it took us a while to get the hang of, is locking a shared document while we are updating it. If you don't lock the document, multiple people can access it and update it at the same time. Only upon saving would the team members learn that that we now have multiple copies of the same document and that none of them would be accurate. If you have different meetings and need different files in the meetings, safely create a secure cloud space of your files in the box because one day it will come in handy. Having a backup on the secure cloud storage is always life-saving, and experience has shown that floppy disks, CDs, and flash drives and computer headers are not enough for a successful business. Pros I like the simplicity and good features and the appropriate speed of Box platform, you can easily transfer files from any device to the cloud storage space of the box. I like its speed and security, you will not feel any strangeness with the software. E-Signature make it more secure and Integration with lot of apps is wonderful. The cost and price is very reasonable and economical compared to the many features it provides to the user.‌ Data Loss Protection is great. Cons The graphic design of the dashboard should be simpler and more tangible and can be changed to the liking of the admin, Also a feature in the dashboard should be added to display the status of shared files and folders, and the latest status of views and downloads to be clearly and simply visible to the admin. I really should figure out how to use amazon glacier for that, but box makes it too easy and cheap. There's only so many hours in the day. Pros I like that this software just works without a bunch of hassle. I also like that box is not, to my knowledge, google or microsoft. No need to have either of them snooping through my files. At the time I switched from dropbox, I was very happy that box wasn't dropbox. I think Box used to have faster pipes than Sync but am not so sure anymore. Cons I think that Sync.com has a better product for my day-to-day. All I really want is secure storage and for all my computers to sync up certain directories. I don't want to ever doubt that every file is synced onto every computer. I left dropbox because their smartsync made me wonder if I was getting what I wanted. I think Sync is the company that is most focused on giving me exactly what I want. Box is OK, but they aren't focused on the precise thing I'm after. That makes me worry that they are going to go the dropbox route and try to some "smart" thing that makes them useless to me. Also, there was the box hacker exploit discovered in 2019. I think that's when I moved important stuff to Sync. Reason for choosing Box I had tested box and dropbox and selected dropbox. Then dropbox started changing their product from core syncing/storage. I decided to leave dropbox -before- they did me a favor I didn't want. It was a quick decision and I already had a box account. Box was picked purely because it was the fastest path, for me, out of dropbox.
