November 22, 2016 5.0 Box is the best of breed cloud system in the EFSS (Gartner) space. The natural progression from startup to unicorn company is: 1. Google Drive (max free space) but applications are worthless for Accountants, 2. OneDrive (comes with O365 but doesn't play well with others like NetSuite and SFDC) and need a SharePoint site managed/integrated to get real value 3. Dropbox (great customer features but doesn't play well with others and lacks unlimited storage) 4. Box --best of breed but not the cheapest Pros 1\. Enterprise Edition with unlimited storage plan costs roughly $35/month. For a mature organization spending a large amount on servers/admins for those servers, this is very affordable. 2. Ability to model sharing between departments is priceless. Literally changes the way an organization behaves with information sharing if configured properly (silo killer). 3. Customer service is second to none. 4. Native integration with other cloud apps that charge additional fees for storage quotas. This includes NetSuite, SFDC and Workfront and many more. 5. MetaSearch on Enterprise allows granular searching. Every time someone has ever used a single word is indexed -- INSIDE the documents stored. Cons 1\. More of a learning curve for users because of more features. 2. More robust administrative functionality also requires more learning. 3. Better apps would make it much better and possibly the best in my opinion. Pros We have unlimited box space at work. It’s great for that reason and we store all our research on box. It’s easy to organize and share and easily find past data. Cons The apps are not great. Windows version never uploads correctly for me. My boss with make updates and I don’t see them. It has caused a few issues. The Mac version crashes on me a lot. The app for iOS is ok though. I would personally rate my own experience with Box as a 9 out of 10. It's great for the corporate environment, but as a personal tool you might find google drive or Microsoft OneDrive better suited. Pros I really like being able to share, and export documents to my colleagues in secure way. In addition its nice to have important research and files backed up on the cloud because the additional space is saved on my CPU. Cons Sometimes the system can feel limited, but I think it's not necessarily a bad thing; considering security breaches and hacking that may end up in loosing precious information. As if it were little used in the Box Sync up Box Drive functions, we can manipulate the files directly in the cloud without having to download and upload them again. Pros It has a fairly adequate user interface where everything is in order, everything is in its place and with a good combination of colors that are pleasing to the eye. It has a fairly fast file load so that in just seconds the files you need are loaded in addition to having a large space in the cloud that becomes much larger if it is used only for PDF files. Cons There are circumstantial problems which derive from specific situations within this product, for example, if you store photos in your organization, there are problems when searching for metadata since the option simply does not exist, so it is not the ideal product for this type of records. Cons Multiple people working within one file can be tricky at times and can end up with the same file saved 5 different times under different peoples name on box. Pros My university decided to replace its archaic system of various collective departmental, college, and institution drives and servers with Box. It is a thousand times easier to access from a variety of locations, at almost any time, using almost any communicative medium you wish to employ. In the 21st century the modern mobile educational facility and educator lives and dies on the capacity to not just amass data and research and information but also to retrieve and manipulate it at remote locales in a secure, rapid way. Cons The biggest challenge is that Box has, like many modern softwares, engineered a number of plug ins. I have found that the reliability and functionality of these varies. for example, the general BoxSync application works perfectly but then there is a Box application for Windows 8 and another for Windows 10 which are "store apps" which are not as good at syncing and it is possible you might have both kinds of applications on your machine and that is rather confusing for the user since they have different interfaces and the syncing between them is not as transparent as one might expect. There is a page of these plugins and their descriptions overlap substantially and so it's not always clear which application you should employ in conjunction with your general Box. Pros There are a lot of functions that you can get on Box, one of them being E- Signature where you can send documents for signing online even by signatories outside your organisation. You have unlimited storage when you need cloud storage. You can even request files and documents from other people where you send them a link and they upload directly into a box folder you would have set. In this company, the Box service was used a lot to store all the files of the projects we worked on and since it was confidential information, a cloud storage service that met the highest security standards was required. the integration with MS Office was very helpful, since the work experience was like the one you have with OneDrive. Pros What I liked the most when using box was its security, in addition to its integration with MS Office, which makes it an alternative to Onedrive. I also like that from the Business plan the storage is unlimited. Cons Like any cloud storage service, its main disadvantage is the price, although for a medium or large company this does not mean an expense, for a small company that is just starting out, paying a monthly fee can be a considerable expense. The little free storage also means that better options are found for someone who is just starting out, of course leaving security aside. Also love the desktop version so I can access things from there as needed. Pros My university transitioned to using Box and Box Safer rather than drive based storage. The migration worked well, and we now have single sign on with our university ID linked to Box for added security. I can easily add people to folders in order to share data securely. Works well for sharing registration and enrollment data across departments. The folder structure is also very easy to use. Cons Sometimes hard to see all the folders in the list view that is available, as most people are not used to scrolling to the next page in a folder to view all subfolders or documents. I would say it's also important to have a strategic process for bulk sharing folders across departments, as my school has two administrators who must manually approve each new add to the folder if this isn't done in advance. I like that you can Box Notes to take notes, directly from Box. You can upload multiple versions of the same document, while maintaining version history. This is great for collaboration, as well as making sure people are using the correct file. You can make comments on Box Notes, and tag colleagues so they are notified instantly. You can "favorite" your notes, and see a recent history of open documents. You can customize templates so you can easily use for taking quick notes. We have meeting agendas and project plan notes that we use over and over so this feature is helpful. Cons In Box Notes, the formatting features are limited. For example, there are only a few font color options (9), 4 text types (title, subtitle, body, small), and there are only so many columns you can insert when inserting a table.
