August 5, 2019 5.0 We store all sorts of company data on Box, and this allows users to access it from anywhere. The documents that are stored need to be made available to many users and having a single location where anyone can access and use them is crucial. Honestly, I don't know how we would perform our daily tasks without Box. Pros Very intuitive and easy to use. Simple to upload or download documents or applications, and easy to forward to another user. Mobile app is also very good. Cons The user interface was a bit cumbersome before a software update about 6 months ago. Now everything makes sense and flows just as it should. I have several outside groups that I need to share documents with periodically throughout the year and Box makes it easy to share files with them. We are grateful that we had this software in place as we would have had to stop operating. Pros As our business started to grow, we couldn't remain relying on physical communication between employees and the sharing of hard copy papers. We decided to implement Box which apart from improving communication between employees drastically, it also resulted in major cost savings relating to less paper as well as time saving. Cons The software can maybe have different price plans to cater for the needs of different sizes of businesses. Pros Nice user-friendly and aesthetically pleasing layout for file management. Cons File sharing was very difficult. We constantly had people who had issues with file links that wouldn't work. Also, it was more expensive. One of the features I like most about it is that it also allows for collaboration work too on files such as spreadsheets or documents. I like how easy it is to use for both accessing and uploading files. A simple drag and drop of a file/files and it starts uploading immediately. It's easy to keep files organized as it allows you create folders just as you would on your hard drive. Upload and download speeds are good, although this is dependent on the speed of your internet connection of course. Another feature that I like and feel is worth mentioning is that it's very easy to share files or folders with other people, and lets you customize what level of access they have - download only or can edit, for example. There is also an option to receive an email notification when someone accesses or downloads anything you have shared. Cons The only con that I've ever encountered when using Box is that there sometimes seems to be an issue with how it orders you files within a folder if the file names are numbered (for example file names that contain or start with a numerical date). With the Box Drive add-on, files stay online and work with your computer as though they were local through the Finder/Windows Explorer. Cons iCloud Drive and Drop Box offer tighter, easier integration into the Finder/Windows Explorer. For example, deleted files are immediately deleted without going to a recycle bin. Box can also be a huge system hog, particularly since my work location has a super slow internet connection. File naming isn't as flexible as iCloud or Drop Box either— it gives me problems with special symbols that other services have no problem understanding. The Box platform is becoming more of an all-inclusive solution to current workflows that require too many third party modules needed to reach task/project completion. Box strives to become the best way to achieve frictionless workflow and it keeps building upon that to offer solutions to every facet of the business enterprise. Cons The user interface is a little vanilla. Comment(s) functionality needs to have more capabilities. Large file/folder hierarchies are hard to navigate online, users must get comfortable with using the search function. Maximum file size at each price-level should be higher or all the same. It's nice knowing that files are backed up securly in the cloud and I don't have worry about losing anything if my computer were to crash. Overall, it's a nice platform that our entire firm uses to manage client files and internal files. Pros We use Box at our consulting firm to have shared folders with our clients. I like that you can send a shared invite to a client, and it's more secure than exchanging documents via email. I also like that certain people can have access to certain subfolders, which is very helpful when working with multiple people in an organization. Cons Sometimes clients get confused when you send them the link to accept an invitation to a shared Box folder. A few have been unsuccessful in accessing my shared folder, but it's usually my least tech-savvy clients. Review Source Christopher David H. Automatic syncing across multiple devices makes it a seamless integration, and I can allow collaboration on multiple files in real time, so it's perfect for teams, also, the apps are lightweight, and the amount of storage you get starting from free sets it apart from others. So many great features have made it my preferred cloud storage app for the past 5+ years. Switched from [Dropbox Business](https://www.capterra.com/p/143068/Dropbox-Business/) We were not able to use dropbox with our most secure clients - but they accepted box due to its encryption. Box is integrated with office programs therefore creating and sharing any office document is very easy through Box. Best feature of Box is folder upload option in mobile version which most similar platforms don’t allow it. You must create folder by yourself in most platforms. But in mobile version of Box it offers folder and file upload options separately. Box is compatible with any device and it makes file sharing very easy among different devices. Cons I mostly use mobile version of Box and I can view any type of document very easily. But when I need to edit any office document Box offers to download separate program in order to edit desired document. I think mobile version of Box needs some improvements. One of them can be built in file editor which is absolutely essential feature. Pros Having the online access as well as a desktop version allows for different functions based on different needs. The search engine online is excellent. I also really appreciate document recovery, especially when it comes to recovering previous versions; as an office that utilized shared templates, mistakes happen! Cons Original dates of documents were not populated when added to Box. If I am searching for a document and I know the relative date it was created, I cannot look within a certain range because all files' creation dates have been updated to the date they were uploaded. I would like to be able to create a outside-organization link in the desktop access without always having to go online. I like that each individual can hold a certain title within Box allowing permissions and exclusive access to certain documents. For example, if I create a document I can allow someone to edit it, or they could only have permission to view it. I also like that it logs all changes to documents. It will log who made the change and what time, every time something is edited. It will even notify when documents are viewed. Cons The only con I could think of would probably be that you cannot see the old document when something is changed. You can only see who made the change. I’m assuming this is to prevent confusion between documents, but it would be cool if there was a separate file or area to view changes separately from the updated docs. Review Source Ryan P. Pros Box has been the most validated and up-to-date cloud drive which offers the most amazing features related to cloud sharing of files and folders in the organized manner. It can be easily used for content keeping and data saving purposes. We can also easily view docs and access the account anywhere we want to. Cons Box has limited our working because we tough time in connecting with our other employees. The integration of Box with mail and other tools is a bit difficult and complex procedure. Therefore making it an easy task when collaborating as a group and follow up on notifications ,and I can also lock documents to hinder anyone from accessing them without my permission. During collaboration sessions , I get to see everyone who is working on the same document as myself and what document version was updated by each user. Box is a great addition for organizations who have teams spread across different locations. Box is affordable for teams and organizations , allowing them to gradually upgrade as they grow. Cons There have been few occasions when Box just seem to take way too long to open documents for me to view online.
