I love that it provides a very high security level (we are working with student data, which needs to stay private). I like all of its collaboration features (the fact that multiple people can collaborate on creating/editing a single document, and changes are happening immediately). It has very limited customization options when it comes to the roles of participants/collaborators, but I have been able to make it work with what is currently available there. With no extra charge. Multiple file types supported Cons We had requested flexibility on our licenses since our staff increases and reduces between 90-100 people. Our admin accidentally added licenses before removing some leavers resulting in an accidental increase in the licenses. Box would not reduce the number by 3 licenses even though this was a clear mistake. They tried to make us pay for the remaining period of our 3 year contract. This resulted in a waste of several thousand dollars when we were in cost reduction mode. Canceling. There are many equivalent services with better customer support and lower pricing. I can't work without it. Pros Box is not only EXTREMELY user-friendly, but it's also incredibly consistent. Never have a banged my head against my desk because of this app -- files are so easy to upload, download, sort, and manage. This software is one of the essential tools my team uses to stay on the same page -- we're split between states, so having a central "cloud share drive" is key to our success. I also love the word/excel integrations -- we use the shared document feature a lot since we have key stakeholders across offices. This is one of those programs that is essential for collaborative offices. Cons The only thing I wish box had was the ability to save links quickly and easily in a share folder. I have positive experience with Box. Pros I am using box in a daily manner and I would like to express 2 main points about Box. Firstly, it is one of the best program for shared service workers since everyone who has access to the folders in box could easily open and download the files that you uploaded. And secondly, you can sync it to the the folder in your computer. Cons Once I could not delete a file which I uploaded wrongly since I did not have permission to do it. This could lead to misunderstandings in personal relations. It is easy to store files and communicate to other staff members where those files are located. It has helped improve processes, file retrieval, and collaboration. Pros Box changed the way that I store and collaborate on documents in the workplace! We no longer store our documents and files on the local server, instead my coworkers and I store everything easily in Box. We can then collaborate more quickly, edit faster, and find our files. It is so easy to use and I love that you can edit the files on your desktop. Cons The only con is if you do not lock the file and your coworker also opens it and works on it. Box allows all documents to be seen easily by those that are invited to the folder. Additionally, it share when the document is being edited by someone else, when someone has viewed the document (with a timestamp) and when someone made edits. Cons What I like least about this product in the ability to open a document on your computer through a Microsoft Application versus when that's not available and it can only be opened through the cloud. Outside of that, the main reason to choose Box is its security features. The web interface is clean and highly intuitive. It still is loaded with features to customize it for your users in anyway you want. Cons The big downside I see is the speed. This may be due to the level of security configured, but it's noticeable. There are also some UI design issues that require way too many clicks to get to what you need. However, these are for very infrequently used settings (such as finding out storage usage). But we hit a glitch where some files saved by colleagues on their local computers didn’t sync as expected and they had lost all their data. We started using box and it was the bat choice we had made. All files synched perfectly and the links helped us share the files easily. The best part of all, is the control I had over who sees the file and how they access it. I set permissions and was able to share it with colleagues who work remotely too. Cons It was hard for me to convince the management to initially try this product and that’s because they weren’t aware of its features and usability. This took time to overcome and eventually they had seen how this benefitted the organisation as I started using it for maintaining HR documents where I was able to have links within documents and this created a very good version control for ISO standards. The workflow was also managed efficiently and process documents were streamlined. Seeing this, the company adopted Box for other areas of the business too. Review Source Traoré L. When collaborating cross-departmentally, it means that we can share items with anyone within the entire organization. You can make changes, download files, etc. and things do not get lost. Occasionally, things will become renamed. All-in-all, it does make things easier. Pros The thing I like most about Box is once you put something in there, it is very difficulty to delete it. You can see past revisions of the document or item, and verify who has/has not made any changes. It is quite large, and holds a lot of items. Cons It is not always easy to find out where something has been put or where you left something. After all, it is a Box, and like any box, things get shuffled around, put into other places, different folders, etc. And since others have access to things, you need to agree upon how things should be organized. October 3, 2017 4.0 Quick communication between departments that allow for expedited patient care. The software is easy to use and functions quickly. This software is HIPPA compliant, which allows for a safe environment for us to deal with patient records. Pros I love how simple this software is to use. I had to begin using it as a new employee having never seen it before. It only took a few days before I felt like an experienced user. We deal with healthcare patients, and privacy and security are our top priority. This sofware provides a safe networking environment where we can discuss patient information in a HIPPA compliant way. I use Box for everything, and I have never had it crash. The information I need to access is always available. We frequently use the @ feature to signal when another person is mentioned in a task or comment, this allows for quick communication between departments that are sates away. The task feature allows you to set a "due date" which is extremely helpful when we are dealing with time sensitive issues. Cons Some of the document views are difficult to maneuver. For example, when there is a comment you wish to delete from a document, the toggle is not visible until you hover over comment name. I would rather have everything visible than to have to discover them by accident. Our entire organization is on Box and we have no regrets. Pros Box is very intuitive and, therefore, it's very easy to pick up and use by virtually anyone. When we rolled it out to staff, it required only very limited end user training. In fact, many people were already up and using the system before they were officially trained! Box is also very easy to set up and administer. Again, the features and functions available to admins are fairly intuitive. Cons While Box Support is generally very responsive when you first report an issue, there have been cases where reports of weird, niggling issues seemingly disappear into a black hole and are not addressed.
