March 3, 2023 4.0 Overall i find box to be a very effective tool for safely storing and managing documents as well as digital assets. Pros The data storage is secure and reliable and so is the documents storage. The task scheduling and updating can also be done within box with very ease. The asset library is also well managed. And the document management and file sharing is also easy. Cons I feel that file sharing need to be made even more smooth and more customization options need to be made available for document management. The plug in ecosystem allow for integration with different tools, and this helps for better support and use cases within the organization. Cons The navigation of the plug in ecosystem could be better, and better clarity in the restrictions applicable to some users would go a long way in solving issues with some users. The Box app is very useful in such cases where we can present recently edited documents to our customers or collaborators without having to upload/download anything simply because everything is synced. Pros We heavily use and love the Microsoft Office integration within box and we use it till today to share and collaborate on different documents within our company. We like to embed some of our documents in our ecommerce to provide documentation from the manufacturer. The collection feature is cool because it's like we are tagging all our documents and we have the organized the entire time making it easier to find them later when we need to use them again. Cons There is nothing to comment here, just that the 10GB could be extended for an individual user, maybe to 15gb like many competitors. As an admin, it's a lot to understand at first, but once you get it, it becomes easy. I like that you can share files or folders with anyone, not just users from your company. I also like that it is accessible from your iPhone or iPad. Cons The permissions are set up like Russian Dolls, so whoever has access to the outermost folder has permission to view all folders within the folder. Once set up, it works seamlessly. It's also easy to share files with other Box users and collaborate on projects where keeping track of various files is a must. It allows for sharing documents that are too big to email and sharing with different groups either by entire folder or by individual document. Box also allows me to see who has edited documents, and revert back if necessary. Perhaps best of all, Box will sync with my desktop and will back-up my documents if something happens to my computer. In many ways, it is a reasonable alternative to Google Drive or even Microsoft Teams; it accomplishes these tasks at least as good as its competitors. Cons Box is a bit challenging to navigate at first, particularly if users are coming from Google Drive. Best advantage of Box is seamless synchronization experience while working with such documents. There many useful synchronization features which are very handy while editing a document. Once I finish editing any document, Box automatically updates file in the cloud. It is very handy tool because such files could be lost in any hardware problem but they are safe in Box cloud server. Box also provides file locking feature while editing any document. Cons There are many files in my Box cloud and sometimes I can't remember all file names. But I can remember some words inside such documents. It would be great if search feature recognized and gave results based on document contents. Pros Box is a great spot for sharing docs/photos/videos/presentations across a team. You are able to invite people to view and/or edit folders. This a great spot for storing things like team policies or information approved for sharing with customers. Information can be made available offline for quicker access. And you can sync your own files with box as needed. Cons Syncing can be tricky. Be careful to only select what you want synced and not all your files. Management of Box is key. Too many hands in Box and you will run out of room fast and end up paying for more than you need in storage. Cons Box sync and Box made me confused for a fee months as I have one in my office and one in my computer and could not figure out what was the difference!
