Really positive, they were a helpful, innovative team to work with who listened to what we had to say and carried out changes and the creation of the event how we wanted, with \[sensitive content hidden\] being a standout person in managing it all.

Pros

Ease of use, the customisation of the platform, the support we received, \[sensitive content hidden\] went above and beyond with her project management skills in making the process as smooth as possible, no technical issues either.

Cons

Maybe a bit too complicated for what we wanted, lots of features we didn't need and could have got more discount for not using them I guess, also a lot of button clicks to get to what we wanted.

Reason for choosing vFairs

The marketing person was excellent at selling the product to us and did a great job, it had all the features we wanted, the price was competitive and we did get some discount on features that we wouldn't use.

Pros

We use vFairs for our twice-annual virtual career fairs that connect top employers in financial planning with highly qualified job candidates. Our event attendance and user satisfaction has grown in thanks to vFairs. Attendees are most satisfied with the registration process, tech platform and intuitive user interface. I personally work with \[sensitive content hidden\], our Project Manager, and I appreciate her openness to feedback and commitment to making our fair the best possible experience. Thanks vFairs!

Cons

Booth reps and attendees struggle with setting Chat Timings. We'd also like to see more Job Search filter options/columns. We've had some tech glitchs with maximum number of open chats and the resume search feature. I've shared this feedback with our Project Manager, Hibba, and she's been very open to the feedback and eager to problem solve to improve the user experience and actionize on the feedback.

### "Second virtual event with VFairs "

We have just finished our second virtual trade show in 6 months using the VFairs platform. The project team assigned to our second event, \[SENSITIVE CONTENT HIDDEN\] were outstanding. They listened to our brief, implemented all our requirements and ensured our event went live on time. On the run up to the event and during the live days both project managers reacted quickly and professionally to any technical questions/requirements from our exhibitors. They also moderated all of our live sessions in the virtual auditorium which were all delivered without any issues and all recordings of our live content were provided swiftly to upload as on demand content for visitors who may have missed a particular session. Even after the live days the project team was still on hand and available to assist with the event which stayed open for a further 30 days. This meant visitors could return to the virtual event at any time to re-visit the exhibition hall(s)or access any of our on demand content in the auditorium which added value to our event and extended exposure for our sponsors, exhibitors and speakers which you wouldn't get with a physical event.

Pros

The seamless visitor journey from registration to attending the event on the live days and being able to log back in to the event for up to 30 days. The virtual event environments can be fully branded which provides additional opportunities for sponsors and exhibitors. Self service option where exhibitors can design and build their own trade stands. They have a selection of stand templates which they can customise and brand themselves to replicate a physical trade stand. The virtual stands also allow exhibitors to upload documents ,videos and add URL links to external content. Data. The VFairs software provides endless amounts of data for exhibitors, including who visited individual stands and contact information which is all GDPR compliant. As a organiser we also have access to reports and all the event data which provides a valuable insight into the event and if we achieved our objectives.

Cons

Email communications from the VFairs platform tend to land in junk folders which hinders communications with registered visitors when providing updates about the event. The live and private chat room functions have a slight lag on updating and require having a separate page open in your browser for the duration of the event. Engagement is key with any virtual event so these features need to be enhanced to improve the experience for all participants.

When the new protocols for working remotely came into force, keeping up communications with team members and project partners was extremely difficult. One of the effects of the general panic that characterized that time period was that almost everyone had a different conferencing tool they had chosen to use, and were still trying to get comfortable using them. Therefore, it was quite difficult maintaining smooth workflow, but vFairs' seamless integration with the lots o these other products made my job as a coordinator extremely easy. And still allowed me to smoothly manage multiple team members, each with different applications.

Pros

vFairs does extremely well with its virtual backgrounds and customization options. It allows me to quickly generate mental cues in events where I am not too familiar with participants or am meeting them for the first time. Also, the booth system is quite intuitive and manages to create an avenue for more direct communication and overall participation, even in larger events.

Cons

there should be a better and less exhausting way of categorizing and displaying the long list of parallel sessions being managed within the same event. The current format makes is not too user friendly and efficient.

### "Gold standard customer service"

Overall, we have had a very positive experience with vFairs. Our Project Manager took so many things off our plates that we would have had to handle directly ourselves with other apps, that it ended up creating a huge improvement in our work quality of life!

Pros

We have been extremely impressed with the customer support from vFairs. \[sensitive content hidden\] , our Project Manager, has been an outstanding support. She frequently astonishes us with the speed with which she responds to our requests.We previously used Pathable as our mobile app, prior to its being sunsetted by Community Brands. We loved it, and it was heartbreaking when they shut it down. But our heartbreak has been tempered because while vFairs isn't perfect, it's an outstanding app that has a very user-friendly back-end that makes updating the app a breeze. On top of that, \[sensitive content hidden\] helps take care of a lot of the data entry work that we would otherwise have done ourselves with any other app, which has been a real boon, freeing up time in our schedules for other work around our events.The fact that vFairs can link up with Cvent (which we have used as our registration platform for ages) is also a HUGE plus. I frequently say that Cvent has the best customer service of any organization I have ever worked with. But vFairs definitely gives them a run for their money - they are neck and neck for the top spot!

Cons

The app itself is a little clunky on the user side. Also, pairing up the QR codes from the attendees we imported to vFairs from Cvent, with the name badges that we generated directly out of Cvent.While to some extent this was an issue we didn't adequately communicate to our attendees, they also expressed confusion and frustration with the QR code scanning, as they didn't understand that for them to connect the information in their vFairs app profiles with sponsors, exhibitors, and other attendees, they had to scan WITHIN the app, rather than simply using their phone/device cameras to scan the codes. It makes sense to us, having worked in the back end of the app and understanding what information is connected to what, but it took a fair amount of explaining to get that across to our attendees.

### "An absolutely positive virtual conference experience"

vFairs' price was what made our decision for us. Not only was their bid lower than other vendors, their package included features that would have been extra on other platforms. Their team was capable, responsive, and patient. Although vFairs has hosted academic conferences before, they were less familiar with humanities conferences. Our experience with them certainly would help to move their maturation process along. Indeed, it was such a pleasure to work with them that our organizing committee offered to provide them with free advice if they intend to expand their conference clientele.

Pros

vFairs understood our conference needs and they were more than able to provide the essential support and leadership. The platform was tremendously customizable and, together, we were able to convert a business-oriented framework to fit our academic conference needs. Their support through out the entire process was top notch. Emails were replied quickly and problems addressed right a way.

Cons

If there is ever an instance of an embarrassment of riches, it would be vFairs platform. There were so many options that figuring out where a particular adjustment lied was not always intuitive. However, we chalk this up to their lack of experience with humanities conferences. Once our vision was made clear, they were more than able to modify the platform for our purposes.

### "vFairs Rocks!"

We love vFairs! Again, they are a great partner to have. What we've learned by using vFairs and because we started using them prior to the 2020 Covid lockdown, it was an immediate and easy instinct to just use vFairs to continue our events without a blip in our business. It was an instantaneous decision to move from in-person to a fully virtual event in 2020, so while others were struggling, we were just fine and we owe that to vFairs. As a micro-business/social enterprise, they helped us maintain "business as usual" during a very difficult time for all.

Pros

They software is easy to use, and if you need any help vFairs will assist. But more importantly is their professionalism and easy of working with the staff. They are all very helpful, friendly, and will ensure your event will run smoothly. And if any hiccups do occur (it happens with technology), be assured that they will be right by your side as everything gets worked out.

Cons

Actually, I don't have any "cons." I was able to recreate an in-person experience for our attendees in a virtual environment... this is not easy to do and keep the audience engaged. All of the vFairs components were sensory, visual, and allowed the participant to navigate through the virtual environment with easy as vFairs helps us simulate human action and the steps any person would take when they are attending an in-person event. In the end, it was seamless for the attendee.

### "vFairs helps to create a visually pleasing and engaging online event"

vFairs helped us deliver an engaging online event as close as possible to the real thing during the coronavirus pandemic. The benefit it gave us in terms of audience reach is something we are taking forward as we look to plan for in-person events to return. A hybrid approach is likely to be the direction we go in, after launching our annual summit in person and having the second year online we have realised the pro's and con's to both approaches and will look to address this in our third annual event. We would highly recommend their services to anyone looking to create a visually pleasing and engaging online event.

Pros

\- A great solution that allowed us to adapt and press on with an important event - the platform included all elements of our summit when we couldn't be in person, we made use of the auditorium, exhibition hall and networking lounge - as well as linking off to other platforms including an art gallery. - Holding the webinars and exhibition online meant that we could reach a much wider audience, making the summit much more inclusive and enabled us to reuse and repurpose the content for longer unlike at an in person event. - Being able to link to Zoom made life much easier as we were familiar and comfortable with running webinars on this platform. - The project team were always on hand to resolve any issues and found ways of working around any challenge we presented - issues we did come across seemed to be in progress/ under development. - Overall the backend system was simple and straightforward to use. - The animation was great and added another dimension to the online event - we received some great feedback from attendees on this.

Cons

\- The initial options and build of the platform could be more thorough and include everything that is possible to create - working from a blank sheet was quite daunting when we were pushed into the online events landscape during the first lockdown. There were a couple of occasions when we came across this issue (for example, wanting the event to go into people's calendars but at the point we realised it was too late to build this function in) - if this function was in the initial options we would have ticked yes to include. - Not being able to edit and manage the content on the event landing page lead to a lot of wasted time and miscommunication - our event agendas are constantly in need of updates so this was a weakness of the process. - We quickly realised that we needed to show our audience what to expect before we could promote which meant we had to have a demo video created. This delayed event promotion, and couldn't be achieved without some initial design being completed on the platform. A generic video to promote the platform that event planners could use in promotion would be really helpful. - There is a lot of work that goes into setting up the event in the backend of the programme and training on the platform was challenging for some users and exhibitors. Some set emails and instructions explaining how to use the platform would be useful up front.

The most valuable aspect of vFairs is its customer service. Our Customer Support Manager, \[SENSITIVE CONTENT\] , set the tone by understanding our event's objectives and proposing features that would achieve those objectives.We opted to use vFairs as a permanent solution for our global public health conference since the organization was so satisfied with the work of the vFairs staff. This is the third year we have utilized vFairs for our virtual conference, and the experience keeps improving! vFairs has been exceptionally accommodating in customizing the virtual platform to meet the needs of our target audience. In addition, the expertise of our project manager, \[SENSITIVE CONTENT\] , who strived to identify solutions to produce the best user experience, was a significant factor in the success of our event performance this year. \[SENSITIVE CONTENT\] and his team members during our event were also incredibly quick and cordial while answering participant questions and resolving issues. In addition, our event included numerous technological components that demanded countless hours of data entry and user experience design. Nevertheless, the increasing adaptability of the vFairs platform made it simple to navigate these issues as they occurred, and the vFairs team did so with poise and grace.We recommend vFairs to everyone interested in hosting hybrid, in-person and virtual events!

Users will have an easy time navigating the vFairs platform, and both the visual designs and the navigation may be altered to better suit the requirements of your event as well as the expectations of your audience. Also, the integration with HubSpot made it possible for team members to access data regarding attendees easily.

Cons

The possibilities for financial interaction and using an e-check are highly restricted regarding the registration options. Our conference registrants experienced certain difficulties due to our inability to offer flexible payment options.

vFairs helped us solve the problem of how to hold an educational conference for healthcare professionals and consumers during and after pandemic shutdowns. By hosting a hybrid event we kept the in-person element of community building and networking along with the online element of easy international access without travel. vFairs provided a fun and easy to navigate platform for our attendees for a very reasonable price.

Pros

vFairs has been in the virtual event planning business long enough to know how to plan and execute a flawless experience. We found their team to be highly skilled, professional, collaborative, fast responding, and a pleasure to work with. Our project manager, \[sensitive content hidden\] , and Customer Success Manager, \[sensitive content hidden\] , were deeply committed to the success of our event. Throughout the entire planning and execution process we felt well taken care of.

Cons

The vFairs platform is highly customizable; it can be intimidating for inexperienced event planners to create the online platform with content and images. We appreciated the options to use standard templates and the help from our project manager in keeping things moving along when we were paralyzed by decision making fatigue. There were more tasks to setting up the event than we originally thought. The first year using vFairs we left too much to the end and were under pressure finishing.

Reason for choosing vFairs

We chose vFairs because it provided the customization and fun we were looking for with a reasonable price tag. One of our board members had attended a virtual event on the vFairs platform and highly recommended it to us.

### "Hybrid Academic Conference"

In the end, we were highly satisfied with the vFairs platform and plan to use it again to host our hybrid conference next year. If it were not for the initial issues with abstract management/notification, they would have earned a 10/10 ranking for recommending to a colleague. During the conference itself, our experience with vFairs was perfect.

Pros

This is a company that really cares about their users' experience and satisfaction. Our project manager (\[SENSITIVE CONTENT\]) was absolutely outstanding. This was our first hybrid meeting (having been online in 2020 and 2021, and previously only in-person). It was a great success. The support team during the event was fantastic, and the hybrid aspects flowed seamlessly. The website/conference platform had an extremely professional appearance and were easy to navigate. We could make edits and download on the backend ourselves, or these were made quickly upon request to vFairs.

Cons

We had difficulty with the abstract management system, which was a new feature that vFairs was rolling out (and therefore did not charge us to use). In brief, the abstract submission form was not ready in a timely manner, requiring us to set up our own submission system. We then imported these submissions into vFairs, which generally worked (one field was missing from some entries), but then the abstract notification emails did not all send, which required additional manual work. However, we have communicated with vFairs about these issues, and we expect them to improve in the future. Setting up the conference platform for the first time was quite labor-intensive, as there were many decisions to make and these were unfamiliar to us, but vFairs customer service (specifically \[SENSITIVE CONTENT\]) was outstanding and helped us through every step of the way.The 4-star rating for features/functionality is due to the very slow search feature in our poster hall. There are some other features that are less flexible than might be ideal, but these were definitely workable for our needs once they were understood (and many things were quite flexible, just not everything).

### "Full Steam Ahead"

vFairs is always raising the bar, the gamification was a real hit, and helped us measure engagement, the addition of other resources is exciting and we can't wait for social media integration to be fully developed.

Pros

The support team at vFairs is second to none. The user experience at every level was easy, successful and added to our success.

Cons

Creating assets was our biggest challenge, we tried to improve our presentation quality and maybe got to far into the weeds. A good exhibit hall standard and possible graphic support will help us improve our performance for next time.

### "Multi-lingual International Conference"

The vFairs project team displayed exemplary dedication and professionalism, were knowledgeable not only about their platform, but design and managing virtual events. We were assigned a dedicated project manager who walked us through each phase of the development and ensured tasks were completed on-time. If we had a functionality request that was outside of the box, he would take it to the developers to see how it could be accommodated.

Pros

vFairs has experience developing and managing online events. It is not a start-up company that tried to convert a mobile application to a virtual event platform when the events industry was forced to move face-to-face events to online when COVID hit. There were existing integrations that we were able to take advantage of (Zoom, Interprefy).

Cons

When we used the platform, the manner in which speakers were associated to a session and that sessions had to be built in multiples for a multi-lingual event was labour intensive and cumbersome. We provided this feedback to vFairs, and they indicated that it was something their developers were working to fix.

The vfairs platform was a great solution to our exhibition going virtual during the COVID-19 pandemic, it worked well for our partners and our attendees. All feedback was mostly positive from the user experience and we was able to share and use the platform how we need to. I'm not sure how the platform would integrate with a live event to make the whole event as a hybrid experience due to the live broadcasting and not connecting to an app. The team we worked with from vfairs were really helpful and understanding of our needs and managed to get everything we wanted (even with things they had never done before). We have hosted 2 events with vfairs and would use the platform again and would considering using it as a hybrid option if we could integrate the live and virtual elements together

Pros

I found the product easy to use from an organisers experience from the backend access to the frontend user experience. Like all software it takes some getting used to over time which is why this software works for an event user experience if they have never used anything like it. It's simple and easy to navigate it if you make it so for your customers use. In terms of the backend - I found this software easy to use, however that might be because I’m used to using CMS systems. If you aren’t so hands on the vfairs team are there to help along the way.

Cons

I think there are a few vital area's missing from the software when it comes to user interaction on the main page, if the chatroom tab worked within the main software rather than on another tab i think it would be more consistent on for the user experience. Also some features that where added last minute which we didn’t advertise made this difficult to manage expectations of our partners on the live days. I think any updates should be discussed with the organiser prior to implementing them on their platform. Finally the integration with live broadcasting was something that we needed to make our link between pre-recorded and live Q&A work seamless - in the end it worked but when the video pulled through to the platform even though being put at 1080p only pulled through at 720p which made our content look love quality.

Fantastic!!! \[SENSITIVE CONTENT HIDDEN\] was thorough and efficient in his communication when getting me all set up with the software and establishing our client contract. \[SENSITIVE CONTENT HIDDEN\] was incredible with communication, keeping us on task, and delivering on our clients needs at lightning speed. And the design team was incredible at producing all of the customizations, the finishing touches, and building out the environment beyond what we could have imagined. I LOVED my experience working with vFairs, I will absolutely continue recommending this platform to clients of mine, and I hope to have the opportunity to collaborate again in the future!

Pros

What I LOVED about this software was both the user-friendliness of it as well as the advanced features. It can be hard to find something as advanced, and impressive, while still being comfortable for all to use. Much of my client's audience are people who are extremely intimidated by, and new to, using technology and I was overwhelmed with all of the positive feedback from attendees about how easy their user experience was - as well as how impressed they were with the features of the platform itself. I also LOVED the team that I work with.. \[SENSITIVE CONTENT HIDDEN\] in sales, \[SENSITIVE CONTENT HIDDEN\] as my project manager, and the design team behind the scenes that brought my vision to life were all incredible. A team of true professionals and complete stars! Bravo!

Cons

I truthfully only experienced two instances where I felt the software could have been improved: 1. I wish that there was email communication features built into the software to be able to follow up with registrants to send email reminders, important updates, etc. I know that email communications are built in for communicating with booth admins - It would be great if there was also opportunity to perform marketing/communicate with registrants 2. I found that there were some people who were registered as attendees but needed to actually be booth admins, and in order to change their role they had to be completely re-registered. For me, this was when I registered all of the speakers as attendees, but they needed to be booth admins to be able to click and reply to comments in the Q&A chat box. I had to go back and re-do all of these registrations, and re-do communication with those speakers who's passwords may have changed from me needing to manually re-register them. It would be much easier if administrator had the power to simply just change roles of registrants regardless of how they were initially registered.

Very good experience overall, the vFairs team, as usual, was very available to willing to help us achieve exactly what we needed and wanted. They were with us every step of the way to make our event a success.

Pros

vFairs' flexibility and capacity to adapt to the client's needs was very appreciated in this project. They are reactive and willing to help, always full of solutions. We managed to set an online training program on the platform by adapting the tools to our requirements.

Cons

Some features, especially when reworking them to adapt them to our needs, are not always that easy to understand and having the team be so far away makes communication not as clear as one could hope.

Reason for choosing vFairs

Because of the price and the possibility to "design" the software to our needs which made sure we didn't have to use a variety of different tools.

My Project Manager, \[sensitive content hidden\] was extremely attentive and a true champion of our success. He was quick to respond with any questions, concerns, or issues that arose, and always provided clear and concise guidance on how to move forward. He demonstrated a deep understanding of the project goals and was able to effectively execute on all project tasks within a short time frame. His always-positive attitude and willingness to go above and beyond made him a pleasure to work with. Before vFairs, badge printing for our trade show was one of the most difficult and costly features of our event process. We used to print all badges ahead of the show, which was costly and inefficient. vFair's on-site badge printing was easy and fast and made the check-in process a breeze. Both our attendees and our check-in admins were thrilled with the easy and speedy process. The app was a big success for three groups of people: attendees, exhibitors, and our staff. Exhibitors liked how easy it was to scan badges, record notes, and house resources for attendees. Attendees enjoyed how easy it was to navigate the trade show floor, the very fun scavenger hunt, and the push notifications. Staff enjoyed the reporting, badge printing, and scanning into breakout sessions. The app absolutely elevated our event, making venue navigation easy, adding an element of fun with the scavenger hunt, staying on track with push notifications, and having information readily available.

Cons

Would love to see some templates to help with content creation.

### "Avoid vFairs"

After spending weeks preparing for a live 8 AM launch, the platform was not ready on the day of the event. Presenters couldn't get into booths, attendees couldn't get into sessions, the majority of our attendees left. As things were breaking at 8 AM, our dedicated support person left us, leaving us to re-explain our situation mutiple times. Nobody ever explained what went wrong with the event, leaving our event team with no answers for the attendees. 3 weeks later, still no explanation. We signed up and paid for multiple functionalities that never got set up, including chat rooms accessible from the booths, a leaderboard. There's no process to ensure that you get what you paid for. The lesson I learned from this experience: Expect to be abandoned on the day of the event. We would have been better off with a platform that worked. vFairs is still overwhelmed and struggles to deliver on what it promises.

Pros

The sales and service promises made before the event sounded very convincing. The team acted as if they knew how to support a live event. The parts of the platform that we could access ourselves worked, but only a small portion of the platform was available to us.

Cons

It took 6 weeks to sign a contract with vFairs. Every part of the platform out of our direct control broke on the day of the event. Sessions did not start on time, wrong versions of session videos were played, users were unable to access chat rooms, exhibitor booths weren't working. We had complaints about the day-of-event help desk support from attendees in email, on social media, and within the event chat itself. Project management was poor: multiple contracted features were only set up after the end of the live event or not at all. Training is poor; the vendor used other events currently in production to show us functionality and did not have materials that we could share with exhibitors and attendees. Response time is poor: we've spent almost two weeks waiting for a response to our current issues with no answers to missing features and functions.
