Director Media Production Used the software for: Less than 6 months ### "vFairs platform completely failed to deliver for our event" May 7, 2020 1.0 We approached vFairs with a view to delivering 3 events for us over a 3 month duration. The initial impression of the platform was very good, and whilst aesthetically it looked a little dated, it was technically capable of replicating the key aspects of our events in a virtual environment. However, the reality is that vFairs completely failed to deliver the service and functionality promised. On the day, the platform wasn’t finished; several of the key features didn’t work, and the UX and client experience was completely unacceptable. On a call, a member of staff intimated that in trying to exploit the rush to virtual events (as a result of the Covid pandemic) vFairs have severely over-stretched their capacity. This was certainly reflected in our experience, and it is clear that the resources vFairs allocated to the project has not been adequate. 4 weeks prior to delivery we highlighted severe reservations about our project management, and the UK team (who negotiated the sale) had escalated our concerns to senior management and the \[SENSITIVE CONTENT HIDDEN\], but despite assurances that additional resources would be committed, they still failed to deliver a functioning platform on the day of the conference. Pros Theoretically, vFairs as a platform is able to replicate the key value of our conferences in a virtual environment. It can: 1. host content, presentations, Q&A and panels, 2. facilitate business engagement between buyers and sellers, 3. Provide delegate interaction. The problem is that these functions simply didn’t work properly. Cons On the day of the event, the platform wasn’t finished and critical features were missing or dysfunctional: the exhibitor booths were incomplete, the chat function didn’t work properly and the competitions didn’t run as instructed. The content delivery was also unacceptable: vFairs streamed the video content in such low resolution that the text and graphics on many of the slides was illegible, while some speakers were barely recognisable. There was not enough vFairs staff to run the event properly, and those that were in charge of hosting the content weren’t properly briefed and equipped to do their job. The vFairs staff didn’t understand the times and format of the sessions; the presentation videos weren’t ready at the required time, and in multiple cases vFairs staff didn’t even seem to know they were hosting the session. In one instance a vFairs representative announced to one of our clients that not only had they failed to get the video ready, but their bandwidth was so low that they weren’t confident they could download it in time for the session starting. Events are all about the user experience, and unfortunately the functionality and service standards were so poor that the UX was severely compromised. I have never worked with a group of people that are so easy to get along with, that know what they are doing and are able to assist you without any delay. She is quick to respond to emails and can get work done on short notice. Grateful for the service we have received all these years. Pros Vfairs makes it easy to put on a virtual event. They offer a variety of options and make it easy to get creative with their constant updates to designs and offerings. The software is easy to use once you've worked on it a few times. The platform has the ability to be as complex as you want or as simple, allowing you to design to your constituents needs. We will continue working with vfairs. Pros The gamification within vFairs is SUPERIOR! I wish I could use vFairs for every event just to use the leader board. Cons The online registration process required us to do more work than was necessary, in my humble opinion. Integration with our existing merchant processing was costly and inefficient. The customer service they provide simultaneously to our own sales reps while communicating to multiple teams under each valued customer, is beyond commendable. We have worked with vFairs as our exclusive Virtual vendor since 2013 primarily due to his teams high level of professionalism, integrity, outstanding customer support and responsiveness. Their accuracy, speed and meticulous attention to detail is incomparable. I have not seen better. Every Virtual vFairs has produced for us has been smoothly run and when difficulties arise, as they do, vFairs Customer Support suggested conference meetings to get entire Teams trained, individual leadership calls, recommended specific, positive changes and in general, a swift ironing out of problems with every question answered and understood to the teams’ satisfaction and managements delight. Their Customer Support team does the heavy lifting answering complex technical questions and has identified problems early heading off deeper issues. They are a truly amazing team and have supported our customers 24 x7 by phone and email! vFairs offers a gentle approach when working with all levels of our clients’ hierarchy. Very appreciated. Pros vFairs creative and sophisticated graphic appeal for customers and our candidates alike. Even though all components did not fit our needs, vFairs was flexible enough to work with us and make an app that would allow us and our attendees to process & deliver information needed. Our Project Manager was very helpful and quick to implement updates needed in order to make sure the app was completed and LIVE in time for our event. Cons I would have preferred to be able to make updates on my own to the app but in the long run it all worked out. Their customer service and attention to detail drive the partnership forward. When we 1st started hosting virtual events through vFairs a couple years ago, I was a novice on the platform with little prior experience in this space. Two years and 4 events later, I am a Project Manager for our dept. for this event and love the experience of bringing a 1,000+ attendee virtual event to our student population. vFairs is constantly improving and updating their product and the expanded options truly differentiate their services to our employer partners. If you are looking for your next (or first!) virtual fair vendor, vFairs is definitely the way to go! Pros For the software, we especially appreciated the ADA accommodations, vFairs attention to detail, customization options, text/video/audio capability options, and mobile compatibility, resume filter options, virtual booth variety, and embedded video capability. Cons The webinar process for exhibitors could be improved. Although this may be challenging given the integration with Zoom, bringing this capability in-house could be a way to improve that aspect. Employer "Leave a Message" follow-up e-mails could use consolidating so that exhibitors are not sent too many applicant e-mails over an extended period. Making chat times mandatory for exhibitors to provide a clearer picture to attendees and administrators. Many products and platforms offer exciting and engaging virtual experiences but the individualized and immediate support we receive with vFairs has left us totally impressed. Great response time to requests and changes we needed. This year we didn't get started as soon as we wanted, but \[SENSITIVE CONTENT\]made it all come together in record time. Pros There was a learning curve the first year we used vFairs for our event, but our \[SENSITIVE CONTENT\] was amazing! We went through weekly training sessions with her. By the end of the training I was able to complete the setup for our event. This time was so much easier. The fact that you can keep the information from the previous event is so helpful! The reports give us everything we need and more. Cons I do not know of anything that needs changing. I would say it would be great to have more access to the backend of the website so I could make some of the edits without bothering the project manager so much. Cons In being a wholesale company, we have restrictions on the exhibitor booths, what vendors can see what booths and who can log into more than one booth. We have a work around but feel is not the most efficient for my exhibitors. Would like a way to be able to have a log in that would not restrict people from getting into more than one exhibitor booth for those that are specifically assigned to it. Pros We where able to easily set up a large quantity of vendor booths, each selling a large amount of products. ISA recently held a hybrid conference in Scotland in which we utilized a mobile app to create the best experience for our in person and virtual attendees. The app for this event included castles, knights, fly in intros & much more. All were beyond impressed with the app. Well done vFairs! His calm composure and confidence on the app ensure we go ahead with VFairs and he even went out of the way to make sure the app and the team was ready before the event timelines which was very short. Let's talk about customer service first. From day 1, \[sensitive content hidden\] has been an absolute pleasure to work with. He is extremely knowledgable and was able to walk me through every step of the process. The timeframe to turn around our first virtual event was very short, but \[sensitive content hidden\] support throughout the entire build made the process so efficient and quick. He's very responsive and is always happy to support our efforts. I can't say enough good things about him - top notch customer service. Next let's review the platform. Prior to vFairs, our old platform was very clunky and it took so much time to set up an event. When I started working on the vFairs platform, I noticed the difference immediately. The amount of time it takes to build out an event is a fraction of what it was taking me on our old platform, and the user interface is so simple and easy to use. I love how our virtual booths are displayed to attendees and I'm even more impressed with how the agenda is presented on the landing page and within the environment. Cons I wouldn't say I dislike this about vFairs, it's more a "I wish I could do this" type of feedback. Researcher Higher Education Used the software for: Less than 6 months ### "Extremely amateurish" July 16, 2021 1.0 Conferences are a very important part of academia, and like everywhere else, we have had to switch to online venues. It is clear that vFairs has absolutely no experience with academic conferences, or that they have ever tried to attend one of the events they organised. The interface is extremely clunky, it is nearly impossible to find other people, it is impossible to share informations with others (like, if you find someone in the chat, you cannot direct them to your presentation because it's not possible to even send a simple link to it). The purpose of a conference is to foster communication, but the Q&A interface next to each poster doesn't allow replying to questions... The live call provided by Whereby is okay, but opens in a new window, so you cannot show your poster at the same time unless you share you own screen... And there is no way of knowing if the live call room is populated before you join, with camera and sound on by default... In short, vFairs is just a collection of pre-existing tools haphazardly put together, without any integration... the live support present during the conference is here only to tell users that the obvious functionality that their looking for is actually not implemented... I guess they convince organisers by showing fancy 3D conference center images... which serve absolutely no purpose.
