Overall, we had a positive experience with VFairs and their format. They were very responsive to us. We were able to deliver a much larger online job fair event than we could have at an in-person event especially during the Covid-19 pandemic. We are hopeful that VFairs will implement some of the suggestions we made as well as continue to improve their product so we can continue to provide this in the future. Good product that just needs to continue to fine tune some aspects. Definitely would recommend it.

Pros

We were very pleased to be able to deliver a virtual job fair to over 50 education employers. VFairs worked with us over a two month period to help us put on our event. The platform was able to accommodate over 50 employers and their staffs along with over 800 registered job seekers. We liked the ability to connect job seekers to employers in this virtual environment instead of an in-person location that could only handle a limited number of employers and job seekers. Graphics were great and the booth set up for employers was also relatively easy.

Cons

We did experience some technical issues that prevented us from using the video interview feature for our event. Several of our employers set up Zoom calls outside the platform and that worked but we'd prefer they not have to do that in the future. We also like to see a potential waiting room where once a job seeker is selected to be interviewed by employer, those interviewing and find them easily in that waiting room. Need to be able to email booth admin and attendees directly from the platform instead of downloading to a spreadsheet and then uploading to a 3rd party mail client Registration with Stripe - Candidates could “register” without payment but weren’t able to log back in and be redirected to finish payment if they came back later. Had to be deleted from the system entirely in order to get back in. Our company was seeing different amounts of job seekers in the chatrooms. Ex. 40 in one but another person sees 150. Chat Feature with Appointments didn’t seem to work well or an improved notification system for employers/job seekers when the appointment time arrives would be helpful. Chat room - Always scrolling which made it hard for some employers to find the person they were talking to. Downloadable spreadsheet of vacancies that employers post to share with job seekers

### "VFairs and me"

From sales to pre event build to post event support it was a smooth and seamless process. Event though we were in different time zones we used this fact to our mutual advantage being able to service our global participants was actually easier. Most importantly our assigned project manger \[SENSITIVE CONTENT\] was stellar and \[SENSITIVE CONTENT\] was also on top of his game when it came to the virtual program schedule and execution of our event.

Pros

The end result was exactly what the client was expecting. There were very few requirements that the team was not able to find a solution for and they delivered at the highest level. Team was creative and had an excellent knowledge of how their solutions worked, if challenged on a new concept they found a way to make it happen.

Cons

There were a few items we brought up in our post event review. I think one of the primary issues was being able to provide a better integration with Interprefy and making that more seamless.

Reason for choosing vFairs

We looked at 5-6 other options and vFairs had the ability to accommodate our client's wish list of features, including a 3 D version within a reasonable budget.

Looked a bit daunting at first, but with my project managers help, wasn't as difficult as I thought it would be. Liked that our vendors/sponsors are able to build their own booths. Very appealing and a great tool in these uncertain times.

Had to clear the cache and refresh the browser after updates to booths for them to showcase properly.

### "Stop searching for a virtual meeting platform - this is it!"

Our first meeting was three short months after the Pandemic began and we had to evaluate available tools. vFairs quickly jumped to the top of the list. They helped us manage our project while learning the tools and implementing them at the same time. We doubled our attendance and engaged a worldwide audience with the tremendous support of the project management team. When it came time to plan our larger meeting, we didn’t hesitate to re-up our contract and hosted 3,000 attendees with over 1,500 presentations and 100 exhibitors for 8 days. Our project manager \[SENSITIVE CONTENT HIDDEN\] was outstanding at working with our team and our customers across multiple time zones in record response time. He helped us customize much of our site to add our proprietary tools Into vFairs secure platform. This seamless integration was a top priority to our community who values open source connectivity. We will continue to use vFairs platform as we move towards hybrid solutions.

Pros

Out of the box the software is able to do almost everything a meeting planner needs to convert a face to face meeting to a virtual event. It includes a visual appealing environment, easy administrative tools, excellent user interface and loads of online resources to help you promote it and educate your audience.

Cons

We easily found a workaround, but it was confusing that some of our members had dual roles as attendees abs exhibitors and were required to have two logins.

Overall, vfairs offers great 2D experience for conducting a virtual/hybrid fair. Customer support was average and costing is way to expensive compared to similar platforms like hubilo, airmeet and careerfair

Pros

The 2D look and feel of the vfairs platform is the best thing which they are offering. Ease of use and great features.

Cons

The customer care is not professional. We had so many hiccups in setting up our event on vfairs platform. Secondly, it is quite expensive for indian users.

Overall, our experience with vfairs was great. The is consistent support and guidance. We met with our account manager weekly for months and they were always attentive and supportive of our needs. Truly an amazing company with wonderful people! I would recommend the to anyone who needs to plan a virtual or hybrid event.

Pros

Vfairs offers an account manager to step you through the entire event planning process on their platform. They help support you as much as you need. When we were new to virtual event planning, vFairs coached us and guided us to help us make the best possible plan for our event.

Cons

Our event planning sometimes is a little complex and there were some hiccups that we would have liked to avoid but all in all - it was not anything that would dissuade us from continuing to use vfairs for all of our virtual or hybrid events in the future.

Overall, we so appreciate \[SENSITIVE CONTENT\] work and find her to be incredibly responsive and helpful. However, we had a number of issues day-of related to session management.

Pros

The best part of our VFairs experience is working with \[SENSITIVE CONTENT\]. She has been incredibly responsive and detail-oriented throughout the process, and we appreciate her willingness to execute our last-minute tasks!

Cons

We were very disappointed in some of the elements day-of. Our biggest issue was during our breakout sessions, when we started "going live" prematurely and thus our hundreds of attendees saw and heard communication that was supposed to be had behind the scenes. Additionally, the VFairs team members assigned to each breakout session seemed to have no familiarity with our show flow and repeatedly asked speakers "if they had slides" which threw everyone off guard. Being that we had sent a show flow to the VFairs team weeks before the event, we expected everyone to have a better understanding of the expectations for each session. Additionally, the VFairs team members in our sessions day-of did not appear to make any judgement calls with regard to changing up Zoom views. Speakers who had finished talking would be left up on screen for minutes after another person started talking, which resulted in folks on the Istrico team needing to take over and switch to gallery view. Because of this, the overall viewing experience looked very clunky and unprofessional, and what our attendees wound up seeing was: 1. Speakers and VFairs staff talking to one another while live 2. Major delays in switching from one person talking to the next

Using vFairs for our online presentations for our annual program gave the program a very professional look and was easy to use for the attendees. \[SENSITIVE CONTENT\] was very patient explaining what we needed to do to have a successful program.

Pros

We had a very knowledgeable and helpful project manager \[SENSITIVE CONTENT\] who explained the processes well and assisted us when we had problems. I felt a bit overwhelmed with the process at the beginning, but once I got started entering the information for the exhibits, I found it was easier to set up that I initially thought it would be.

Cons

I thought it was easy to move around the digital platform to access our recorded lectures and the exhibit hall. This was my first experience using an event software for our program so I don't have anything to compare it to.

Pros

After using the product for 2 years, what I like most is that vFairs is that vFairs listens to their customers and as a result are constantly updating and improving their product. It only gets better with time.

The only thing I like the least about the software is that I can't use it for all meetings/events.

My overall experience with vFairs has been excellent. Our project manager was outstanding in terms of planning, communication, and coordination prior to the event. He also provided necessary training to our key personnel prior to the event and our team felt well prepared leading up to the event. Post event reports also provided insightful data about our event attendees and we look forward to working with vFairs again for our virtual events.

Pros

What I like most about vFairs is that they are friendly, professional, and very responsive. They try to understand the client's needs and are able to recommend solutions. The technology platform is also intuitive and allows end users to adapt easily.

Cons

As with any technology platforms, it has some limitations when it comes to customization but it is nothing to complain about.

We used the vFairs platform to organize a virtual property show with a number of external exhibitors. Exhibitor setup is very straightforward and we are also able to demo all the event's features ahead of the live event which helps with the preparation process for exhibitors. Attendee access and segmentation was straightforward and allowed us for more customisation of the messages sent in the event. The customer support is on point and was crucial for us in delivering a successful event. \[sensitive content hidden\] ensured all our requests were picked up and resolved on time. We are looking forward to doing the next event with the team!

Cons

For marketing communications and booking chat slots ahead of the event, we require external links redirecting to a specific virtual stand or a simplified chat booking system that doesn't involve individual stands. This is not currently possible so, we use an external chat booking system. It would be great to see some solutions in place in this area.

This is my 3rd year planning and executing a 1k person event on the vFairs platform. For the first two years, my event was a single day. While still challenging and full of details, this year, the event had multiple moving parts and the addition of 2 more days. We also had 26 workshops. VFairs was the perfect platform for these events and Ammemah , my rep, was phenomenal. I’ve been able to request and work with her all three times. They always are present, responsive, and professional throughout

The design is our platform, the professionalism, the helpfulness, solutions-orientation and the creative help.

Cons

I truly don’t have a con - the only small not I have is not being able to bulk upload webinars

I had no experience with putting together a virtual event, but with the support of sales and project managers, we held an event for almost 10,000 Hearing Care Professionals across the globe. It was incredibly successful! We've been conducting 5 - 6 events per year since.

Pros

The thing I like the most about vFairs is my project manager. He helps me brainstorm ways to complete our objectives, and most importantly to me, responsive to my requests.

Cons

I have not found any issues with the software that we cannot work around.

The backend, especially the landing page editor could be more intuitive and easier to use for non-html programmers.

I can't think of anything that I didn't like about VFairs. They were professional, kind, courteous, on-time and created exactly what we needed. They were able to take what was in my head and put it into a lovely platform and virtual conference center.

Our not-for-profit organisation looks after the disability workforce and we found vfairs as we were looking for a platform that would be affordable, flexible and user friendly for an audience than spans across many different jobs, age groups and disabilities. We have recently completed our main event day for our virtual conference and are now in a 30-day on-demand phase where all of our presentations are still available to view. Following our big build up to our conference and our event day, we can certainly say that we are very happy with the dedication and customer service of our vFairs contact Anmol and his team. He provided weekly phone meetings with us and emailed us every day to make sure that we were supported every step of the way. He was extremely patient and assisted us with every concern. This kind of dedication and level of support is rare to experience and we hugely appreciate it. As this was the first time we had run a virtual conference, we had lots of questions and had multiple exhibitors and presenters who also had several questions and needed a lot of support. We were really impressed at how vfairs supported us through this and helped facilitate presenters and exhibitors. Visually the platform is extremely impressive, it mimics the physical experience of attending a conference and the attention to detail in the visuals makes the experience fun and interactive for delegates.

Cons

Of course given that this was our first time we had a few things that we needed to experience on the day to assist our internal processes for next time, but there will certainly be a next time! Overall we are really happy with our experience and highly recommend the dedicated and supportive vfairs team and their impressive platform.

The vFairs app and project management team far surpassed our expectations. We recommend this app to anyone in the market. You will not be disappointed!

Pros

Our association has wanted to utilize a conference app for several years. However, the financial costs and time needed to effectively manage an app kept us from moving forward. That all changed when we were introduced to vFairs. They worked with us on securing a price that we could afford and offered a dedicated team to assist with app construction, organization, and deployment. Ammemah was WONDERFUL to work with. She had a great team that was highly attentive to our needs, provided clear and timely feedback/responses, and met with our planning team on a regular basis. The app was a big hit with our conference attendees and we look forward to making it even better next year!

Cons

The only con to vFairs was that we didn't find it sooner

### "Fantastic Customer Service"

If it wasn't for the amazing \[sensitive content hidden\] addressing our last minute and I mean last minute panics from our end then I think I wouldn't have slept at all. \[sensitive content hidden\] went above and beyond to help us achieve and deliver our LAWW with no errors on time and within budget

Pros

From the beginning of our Learning at Work Week platform, \[sensitive content hidden\] provided amazing customer service and was always focussed on our goals. The Platform enabled us to host a wide range of learning activities, from within Booths, to Webinars, with a global reach and no platform accessibility issues.

Cons

Hard to find something to dislike, but perhaps more an area for improvement over time is the chat function from Teams if embedded in platform, but minor for the whole experience our users received.
