### "A Versatile Task Management System for a Hectic Digital World"

July 6, 2025

5.0

Overall, Todoist is a versatile system that has helped me visualize and better manage a variety of professional and personal projects. One thing I appreciate about it is its ability to function well using a variety of pre-set and custom productivity systems. In my case, I needed it to work with projects involving everything from academic administrative tasks to teaching and grading, writing web content to podcast and video production, social media management to freelance editing, and so on. It can be set up to support all of these tasks through kanban boards, calendar/time blocking structures, tags and priority lists, and project setups you can repurpose at will. All of this make it both well worth the price of admission AND a system I can't imagine myself replacing. Honestly, I wish I had known about Todoist a long time ago. I was originally using two different free competitors, and neither had the reliability and functionality of Todoist even in its free plan (I paid for the pro plan, and it is worth every penny). It is now an indispensable part of my productivity setup.

Pros

1) It is fairly easy to set up for basic and intermediate setups. Learning more complex setups has a learning curve, but it is not as steep as one might think and isn't even required to get the most out of the software. I see this as a huge plus. 2) The interface is fairly intuitive and the integrations (phone app, browser extension, etc.) are easy to use (and useful). Additionally, it syncs across devices, making your tasks accessible from anywhere, which was something I wanted in a task manager when I went looking. All this is seamless. 3) If you have no idea what you're doing with Todoist beyond "use it to manage your projects and tasks," there is a massive wall of help documentation and inspiration in their knowledge database. This helped point me in the direction that, thus far, has worked best for me. They also have numerous templates that you can use as-is or modify for your own use.

Cons

Personally, I would like more help documentation for the more complicated syntax and a better way to automate repeatable projects such as podcasts or video content with set times for creation, editing, and release. You can sort of do the latter with a Kanban board, but not without a few extra clicks that a quick automation could solve. The former is something they do have documentation for, but it would be helpful to provide a stronger range of introductory materials for those who lack experience with syntax that is similar to markdown, etc. I would consider this a minor con, though, as you don't NEED to use the complex syntax or NEED to have a fuller range of automations to effectively use Todoist for most forms of task management.

Microsoft's system, while useful, made integrations with Google Calendar unnecessarily complicated. Since I have two projects that I do not fully own using the Google ecosystem, manually adding tasks to calendars in two different ecosystems didn't make much sense to me. I set up to find an alternative that could do what I needed it to do, and Todoist came out on top for features. I knew going in that I would likely need to pay for a service, and Todoist also won that fight by providing everything I needed at the lowest paid plan. Note: I also tried Google Tasks, but it wasn't versatile enough for my needs (i.e., managing multiple projects with very different types of tasks and time needs).

### "Manage Work & Household Chaos - All In One Place"

October 21, 2025

4.0

I am a remote independent contractor who is also homeschooling and also helping to manage my husband's equally crazy pastoring/PhD student/odd jobs schedule. I need to know when I have to do what things. I literally need reminders to wash some dishes every day. And Todoist helps keep me on track! Although sometimes I just reschedule all the outstanding tasks for next week when they're overdue so I don't have to look at them. But it's the easiest way I've ever found for managing all the chaos.

Pros

It helps me keep track of tasks that I need to complete. I have the widget on my phone home screen so I can see today's tasks and upcoming ones. I especially like how it automates recurring tasks. If there's something I need to do daily, or even on a weird schedule like every weekday, it will keep up with that. I like that I can put tasks in at specific times without jumping through a lot of menus; I can just type it in, "9pm move the car for alternate side parking every day but Sunday" and it will just poof! Schedule it and I stop getting parking tickets because I can't remember which side of the road my car has to be on every single night. I like that it's free to use as an individual - what a great value, which has helped with my independent contracting gigs - and the help base is so easy I've never had to reach out to customer support for anything.

Cons

Okay, so it can auto schedule things when you type it in naturally, but sometimes it gets confused and doesn't get it right and I have to manually schedule it for my weird time pattern. The free version also doesn't include early warnings, just time-of-task notifications, so I'm constantly putting in events like "10:15am get ready for your meeting that starts soon" for my 10:30 event so I get the early notices.

Alternatives considered

[Google Calendar](https://www.capterra.com/p/213340/Google-Calendar/)

Reason for choosing Todoist

It's easier to use for a wide variety of things, not just calendar things. I don't need my calendar clogged up with "9pm move the car to the other side of the road because you live downtown with stupid alternate side parking every day but Sunday." Todoist is so much better at those simple things.

December 19, 2025

3.0

Convenient and eady. But a bit oversimplified. I love jotting ideas and tasks down in one easy place.

Pros

Easy to use. The speed at which I could throw things on my list was limited only by my ability to think of them.

### "Solid Task/Todo/Calendar App that can also help those with ADHD stay organized"

February 13, 2026

5.0

Very positive. I have no reall complaints or issues with the app and continue to use it daily since originally downloading a year or more ago.

Pros

It has a simple clean look to it that doesn't appear childish with colors or over cluttered upon launch of the app.

Cons

The fact that it doesn't have any self help attributes to it at all. It would be pretty simple of them to add in a feature for bible quotes, spiritual quotes or personal improvement quotes to your todo lists to just empower people randomly throughout the day. Sure not everyone would want this feature, but you may save a life from someone that was not doing well and read that one quote that changed their outlook.

### "A truly exceptional digital to-do list"

May 22, 2025

5.0

Todoist is a top-tier one-stop shop for task management. I have tried digital calendaring, as well as using tasks in Outlook, sticky notes on my desk, and fancy Excel sheets in an effort to stay organized -- Todoist has erased my need to try anything else. Being able to configure my dashboard in a way that works for me (calendar, board or list) and sort that down even further by priority, category, and even sub-category has been invaluable. I use it everyday in both professional and personal capacities. Being able to jump from my laptop to my phone, as well as receive timed push notifications has improved my productivity and efficiency tenfold. Todoist is easily my most highly recommended task-management/organizational app.

Pros

Users can easily add, prioritize, and filter through tasks from both a desktop and a mobile app. Upon adding a task, users can optionally "tag" tasks to sort them under customized categories. You can even add a due date with reminders or repeating tasks simply by typing the date, or using prompts such as "tomorrow," "next Tuesday," "every other Friday," etc. My absolute favorite feature is the option for calendar plug-ins, where you can easily create a task from within an email; not only can you create a task with the click of a button, but the task is automatically hyperlinked to the email from which it stems -- incredibly convenient!

Cons

The thing I like least about Todoist is that it has a "karma"/points system that assigns points upon task completion. I can see where this sort of gamifying could be useful for some users -- it simply is not for me though, and I could do without the occasional email notifications. Definitely not a dealbreaker nor a big deal, though.

The UX did not quite meet my needs; I needed a larger array of tasks (and categories) than could nicely fit within the app. The (constant) suggested tasks from my emails were also generally unhelpful.

### "(Free) Task management software"

November 14, 2025

Pros

Personal and shared projects. iPhone widget works great and shows you the days tasks at a glance. Can share it with other calendars (e.g. Google calendar)

Cons

Customised reminders aren't available on a free plan. Sometimes tasks on a shared project don't seem to show up on an asignee's calendar unless task is assigned to them

### "The cornerstone of my time management strategy"

December 27, 2024

5.0

Todoist is the cornerstone of my time management strategy along with Spark Mail and Google Calendar. The integration is perfect with these and other apps, and the mobile app is crucial so I do not miss anything.

Pros

Todoist offers many advantages to my workflow. First of all, it is as simple or as complicated as you want it to be. I usually start jotting down ideas, thoughts, chores, or proper tasks. Then I add context as necessary. I can also input tasks from my smartphone, from my email client, even from Google Calendar which syncs perfectly here).

Cons

My only negative is that the new Google Calendar integration allows me to use only one calendar for all my projects. I prefer to have separate calendars for each project in order to better understand my use of time.

### "It's a very helpful task management software with lovely design."

February 28, 2025

4.0

Pros

1st off - the Kudos feature is a great motivation boost. Secondly, I'm in love with its design. It also cheers you when you complete a task, which is a small thing, but it's nice nonetheless. 3. It's great for workflow organization.

Cons

I find the default daily reminders for unfinished tasks annoying. Like, I know bruh, these are MY tasks. Beyond that, some basic features aren’t included in the free version.

### "Todoist has been a great body double. "

December 30, 2025

5.0

Overall I have been impressed with this app over the past 3 months. I use it for school, work and my small business. This helps me keep things straight for one time tasks or weekly tasks like repeat assignments.

Pros

I love that I can use the app or computer version and they sync consistently. I also like that I can add # to different categories and organize them pretty quickly. Simple reminders help me remember even the daily tasks. This app has been a great body double, keeping me in check.

Cons

Sometimes the daily tasks do not remind me to check them off. So they can build up. This is an easy fix in settings.

### "I’m very happy with how well Todoist helps me keep my team organized"

March 22, 2026

5.0

The radiator in my office is making this strange clicking noise but at least I can see what the development team is working on with regards to the Arctic Ice Thickness Project. We also use Todoist to track our software sprints here and thus far, it has not completely failed us. As a whole, it allows our remote employees to be on the same page without having to have meeting after meeting to discuss who is working on what. I am also grateful that I do not have to use spreadsheets to manually track client hours, nor do I have to manually submit weekly risk reports anymore.

Pros

I like the different views you can use in Todoist, i.e. boards and lists, as a lot of people like to work differently. I think the screenshot/file handling works pretty well, Todoist did not crash today after I tried to complete this. I was surprised that the AI actually broke down a huge task I had created into little pieces for me today, whereas I would normally expect nothing out of these kinds of things.

Cons

When you have thousands of tasks in one project (especially large Web Dev projects that have a ton of subtasks), it can get extremely slow. Another problem I have with Todoist is that you cannot assign a single task to multiple people.

Overall my experience with Todoist has been nothing but positive. It is a perfect tool for me and my team to easily make a list of things that need to get done, assign them out, put due dates on it, and even leave notes within the tasks.

Pros

Cons

### "Best Task Management Tool"

September 14, 2025

4.0

To be honest, after pCloud, Todoist is the tool I've been using the longest. It helps me add important things and get them done on time. I haven't even considered switching to another tool until now.

Pros

I first came across Todoist around 2014. I immediately liked their simple design. But I didn't switch to Todoist because I was using Wunderlist at the time. I switched to Todoist after Wunderlist was discontinued. I haven't left it since. It's very easy to use and has all the features I need.

Cons

Recently, I've been missing important notifications a lot. Not all the time, but I've been missing quite a few. I've upgraded to the latest version, but the problem still hasn't been resolved.

Super usable. Lots of to do apps become overly complicated and take time to learn and use, Todoist is the opposite of that.

Pros

How I can add metadata elements (due date, tag, project) using natural language; how it's mobile friendly so I can add a widget to my phone home screen; the keyboard shortcut that I can use over any other app; the integration with Outlook - so many things!

### "Great lightweight task manager for individuals or small teams - pick it up and get Todo-ing"

March 27, 2025

4.0

Overall, it's been positive. It allows me to dump my tasks easily, set up recurring reminders, and communicate with my team effectively, with minimal learning curve.

Pros

Natural language operations, ease of use in a team environment, sub-tasks for larger jobs, recurring tasks work very well

Cons

"Undo"ing a task can be a pain if you accidentally complete a task on mobile in particular. If you have one large task with many subtasks, you need to micro-manage quite a lot. The "weekend" settings need more work. Calendar integrations can get messy quickly.

Todoist has been really helpful for keeping my life organized. I’ve used it for personal stuff and work, and it’s been great for both. It’s not perfect, but the small issues aren’t a big deal, and overall, it’s definitely worth using.

Pros

I like how easy it is to use. It’s super simple to organize tasks into projects, and the labels make everything clear. I also love how it syncs with Google Calendar—it makes planning way easier. The recurring tasks and priority options are also really handy.

Cons

Sometimes the calendar sync feels a bit slow, which can be annoying. I also think it would be nice if they had more templates for different types of tasks or workflows.
