### "A truly exceptional digital to-do list"

May 22, 2025

5.0

Todoist is a top-tier one-stop shop for task management. I have tried digital calendaring, as well as using tasks in Outlook, sticky notes on my desk, and fancy Excel sheets in an effort to stay organized -- Todoist has erased my need to try anything else. Being able to configure my dashboard in a way that works for me (calendar, board or list) and sort that down even further by priority, category, and even sub-category has been invaluable. I use it everyday in both professional and personal capacities. Being able to jump from my laptop to my phone, as well as receive timed push notifications has improved my productivity and efficiency tenfold. Todoist is easily my most highly recommended task-management/organizational app.

Pros

Users can easily add, prioritize, and filter through tasks from both a desktop and a mobile app. Upon adding a task, users can optionally "tag" tasks to sort them under customized categories. You can even add a due date with reminders or repeating tasks simply by typing the date, or using prompts such as "tomorrow," "next Tuesday," "every other Friday," etc. My absolute favorite feature is the option for calendar plug-ins, where you can easily create a task from within an email; not only can you create a task with the click of a button, but the task is automatically hyperlinked to the email from which it stems -- incredibly convenient!

Cons

The thing I like least about Todoist is that it has a "karma"/points system that assigns points upon task completion. I can see where this sort of gamifying could be useful for some users -- it simply is not for me though, and I could do without the occasional email notifications. Definitely not a dealbreaker nor a big deal, though.

Reason for choosing Todoist

I liked the look, feel, and ease of use of Todoist. The price was also better.

The UX did not quite meet my needs; I needed a larger array of tasks (and categories) than could nicely fit within the app. The (constant) suggested tasks from my emails were also generally unhelpful.

### " The Only Productivity App I Keep Coming Back To"

August 8, 2025

5.0

I’ve tried countless productivity and task management tools over the years — from Notion to Trello to Things — but I always end up coming back to Todoist. It just strikes the perfect balance between simplicity and power. The layout is clean and easy to navigate, which makes it a joy to use daily. I rely on it for everything from work projects to personal errands, and it never feels overwhelming. One of my favorite features is the intuitive task input — I can just type “Meeting with X tomorrow at 2pm” and it automatically schedules it. The calendar view is also a game-changer for visualizing my week, and the use of labels helps me organize by context (like “urgent,” “waiting,” “calls,” etc.) without clutter.

Pros

•Clean, user-friendly interface that makes planning feel effortless •Natural language input for dates is incredibly helpful •Labels and filters help keep everything organized •Mobile app is excellent — great for taking notes or adding tasks on the go •Syncs perfectly across devices •Calendar view makes it easy to get a clear picture of the week

Cons

•The unlimited plan can get pricey just to unlock features like unlimited projects •You can’t join meetings directly from the calendar inside Todoist — I really wish this were possible

### "Simple and easy task manager "

December 19, 2025

3.0

Convenient and eady. But a bit oversimplified. I love jotting ideas and tasks down in one easy place.

Pros

Easy to use. The speed at which I could throw things on my list was limited only by my ability to think of them.

Cons

Other similar software seems to have more versatility of at least has made me more aware of its versatility

### "Solid Task Manager"

January 20, 2026

5.0

Pros

I have been using Todoist for over a decade to track work and personal tasks. The app makes it easy to categorize tasks across categories, workstreams, and projects, allowing you to stay organized and clutter-free. It integrates fairly well with Outlook, Google, and iOS calendars, as well.

Cons

There is a learning curve with how to best take advantage of the labeling, priorities, and project tags to organize your task manager. The app's calendar features have improved over the years, but there is still room to improve the app's filtering features to see only certain types of tasks at once.

### "Manage Work & Household Chaos - All In One Place"

October 21, 2025

4.0

I am a remote independent contractor who is also homeschooling and also helping to manage my husband's equally crazy pastoring/PhD student/odd jobs schedule. I need to know when I have to do what things. I literally need reminders to wash some dishes every day. And Todoist helps keep me on track! Although sometimes I just reschedule all the outstanding tasks for next week when they're overdue so I don't have to look at them. But it's the easiest way I've ever found for managing all the chaos.

Pros

It helps me keep track of tasks that I need to complete. I have the widget on my phone home screen so I can see today's tasks and upcoming ones. I especially like how it automates recurring tasks. If there's something I need to do daily, or even on a weird schedule like every weekday, it will keep up with that. I like that I can put tasks in at specific times without jumping through a lot of menus; I can just type it in, "9pm move the car for alternate side parking every day but Sunday" and it will just poof! Schedule it and I stop getting parking tickets because I can't remember which side of the road my car has to be on every single night. I like that it's free to use as an individual - what a great value, which has helped with my independent contracting gigs - and the help base is so easy I've never had to reach out to customer support for anything.

Cons

Okay, so it can auto schedule things when you type it in naturally, but sometimes it gets confused and doesn't get it right and I have to manually schedule it for my weird time pattern. The free version also doesn't include early warnings, just time-of-task notifications, so I'm constantly putting in events like "10:15am get ready for your meeting that starts soon" for my 10:30 event so I get the early notices.

Alternatives considered

[Google Calendar](https://www.capterra.com/p/213340/Google-Calendar/)

Reason for choosing Todoist

It's easier to use for a wide variety of things, not just calendar things. I don't need my calendar clogged up with "9pm move the car to the other side of the road because you live downtown with stupid alternate side parking every day but Sunday." Todoist is so much better at those simple things.

### "After Years of App-Hopping, Todoist Finally Stuck - And Changed Everything"

September 14, 2025

5.0

My overall experience with Todoist has been nothing short of transformative. I'm not exaggerating when I say it literally changed my life - and I know that sounds dramatic, but hear me out. Before Todoist, I was that person who tried everything. Every productivity app, every system, every method you can think of. Nothing stuck. I'd get excited about a new app for a week, maybe two, then abandon it because it was either too complicated, too rigid, or just didn't fit how my brain works. Todoist was different from day one. The beauty is in how effortless it feels. You're not fighting the system - you're just capturing thoughts as they come. "Buy groceries Saturday morning," "Follow up with client next week," "Mom's birthday March 15th" - just type it naturally and the app figures out the rest. That quick-add feature with natural language processing is pure magic. What really sold me was how it grew with me. I started super basic - just dumping tasks in there. But gradually, I began organizing things into projects, using tags, setting up recurring tasks. Now everything in my life, work and personal, flows through Todoist. Every meeting, every deadline, every random thought that pops up - it all has a place.

Pros

What I liked most about Todoist is how ridiculously simple it is to get started, yet incredibly powerful once you get the hang of it. After trying literally every task management app out there for years, Todoist was the one that finally clicked. A game changer for me!

Cons

The main thing that bugged me initially was the project limit on the free version, it felt pretty restrictive when you're just trying to get organized and figure out if the app works for you. I ended up upgrading to premium fairly quickly because of this, which isn't ideal if you're on a tight budget.

Pros

Personal and shared projects. iPhone widget works great and shows you the days tasks at a glance. Can share it with other calendars (e.g. Google calendar)

Pros

### "The cornerstone of my time management strategy"

December 27, 2024

5.0

Todoist is the cornerstone of my time management strategy along with Spark Mail and Google Calendar. The integration is perfect with these and other apps, and the mobile app is crucial so I do not miss anything.

Pros

Todoist offers many advantages to my workflow. First of all, it is as simple or as complicated as you want it to be. I usually start jotting down ideas, thoughts, chores, or proper tasks. Then I add context as necessary. I can also input tasks from my smartphone, from my email client, even from Google Calendar which syncs perfectly here).

Cons

My only negative is that the new Google Calendar integration allows me to use only one calendar for all my projects. I prefer to have separate calendars for each project in order to better understand my use of time.

Pros

1st off - the Kudos feature is a great motivation boost. Secondly, I'm in love with its design. It also cheers you when you complete a task, which is a small thing, but it's nice nonetheless. 3. It's great for workflow organization.

Cons

### "Best Task Management Tool"

September 14, 2025

4.0

To be honest, after pCloud, Todoist is the tool I've been using the longest. It helps me add important things and get them done on time. I haven't even considered switching to another tool until now.

Pros

I first came across Todoist around 2014. I immediately liked their simple design. But I didn't switch to Todoist because I was using Wunderlist at the time. I switched to Todoist after Wunderlist was discontinued. I haven't left it since. It's very easy to use and has all the features I need.

Cons

Recently, I've been missing important notifications a lot. Not all the time, but I've been missing quite a few. I've upgraded to the latest version, but the problem still hasn't been resolved.

I have really loved my experience with Todoist as it has made it easy to organize and plan my daily tasks. With Todoist i have been able to have a healthy work life by getting to do the right thing at the right time. Todoist also makes it easy to monitor my tasks and track their progress.

Todoist allowed brokers to stay on top of daily tasks and deadlines, allowing Equatorial Insurance Brokers to enhance accountability and produce client work with fewer missed details.

Pros

Users like Todoist's secure project features and cost-effectiveness as excellent, which makes it easy to manage teamwork, monitor team tasks, and allocate policy deadlines for brokerage purposes.

Cons

The team recognized the feature set, though solid, as being able to overwhelm new users and that implementing full insurance workflows would entail more effort in terms of configuration and customization.

I have used Todoist for a year now and it is still great to run it. These days I’m not a daily user because most of my work is now organized elsewhere

Pros

### "Straightforward To Do Tool!"

A worthy competitor to Asana! It’s definitely a helpful tool, I just think not as good for my purposes.

Pros

Task tracking, good set of project collaboration and other features, and overall value for money. I do like the UI, which is minimalist.

Cons

Compared to Asana, perhaps not as intuitive or not as comprehensive as it could be. Too simplistic? If the features maybe had an ounce more of ability that would be more helpful (Kanban Board).

July 20, 2025

Suffices largely to track the things to do in a day, with a clear interface no more need to dig, the essential is displayed at opening, practical to pass fast to the whole.

Pros

Add a task takes one second and even faster if it is an usual one because we can set models. The mobile app follows and is sync to all the other versions.

Cons

There are some small details missing when we want organise better for example for simultaneous reminders on all devices you must go to the paid formula.

Cons

Pros

Cons

Sometimes the calendar sync feels a bit slow, which can be annoying. I also think it would be nice if they had more templates for different types of tasks or workflows.
