### "Possibly, the best task manager."

August 30, 2025

5.0

Pros

Excellent application for managing my tasks, with very advanced features and minimalist design. I love it!

Cons

It may be more expensive than others on the market. From a productive point of view, it's worth what it costs.

I wanted a robust system to manage my tasks and projects, but that wasn't so complicated. That it was efficient and easy to drop a task. Minimalist processes help productivity.

### "Manage Work & Household Chaos - All In One Place"

October 21, 2025

4.0

I am a remote independent contractor who is also homeschooling and also helping to manage my husband's equally crazy pastoring/PhD student/odd jobs schedule. I need to know when I have to do what things. I literally need reminders to wash some dishes every day. And Todoist helps keep me on track! Although sometimes I just reschedule all the outstanding tasks for next week when they're overdue so I don't have to look at them. But it's the easiest way I've ever found for managing all the chaos.

Pros

It helps me keep track of tasks that I need to complete. I have the widget on my phone home screen so I can see today's tasks and upcoming ones. I especially like how it automates recurring tasks. If there's something I need to do daily, or even on a weird schedule like every weekday, it will keep up with that. I like that I can put tasks in at specific times without jumping through a lot of menus; I can just type it in, "9pm move the car for alternate side parking every day but Sunday" and it will just poof! Schedule it and I stop getting parking tickets because I can't remember which side of the road my car has to be on every single night. I like that it's free to use as an individual - what a great value, which has helped with my independent contracting gigs - and the help base is so easy I've never had to reach out to customer support for anything.

Cons

Okay, so it can auto schedule things when you type it in naturally, but sometimes it gets confused and doesn't get it right and I have to manually schedule it for my weird time pattern. The free version also doesn't include early warnings, just time-of-task notifications, so I'm constantly putting in events like "10:15am get ready for your meeting that starts soon" for my 10:30 event so I get the early notices.

Alternatives considered

[Google Calendar](https://www.capterra.com/p/213340/Google-Calendar/)

Reason for choosing Todoist

It's easier to use for a wide variety of things, not just calendar things. I don't need my calendar clogged up with "9pm move the car to the other side of the road because you live downtown with stupid alternate side parking every day but Sunday." Todoist is so much better at those simple things.

### "Well Organised"

July 1, 2026

Pros

Todoist has a good project structure with subtasks and priorities, and a really good reminder system to help meet deadlines.

Cons

Without a clear method. The interface can sometimes be too minimal for some professional uses deeper.

### "Simple and easy task manager "

December 19, 2025

3.0

Convenient and eady. But a bit oversimplified. I love jotting ideas and tasks down in one easy place.

Pros

Easy to use. The speed at which I could throw things on my list was limited only by my ability to think of them.

Cons

Other similar software seems to have more versatility of at least has made me more aware of its versatility

### "Great tool to build and maintain rhythm"

May 22, 2026

5.0

I have used Todoist continuously for about 8-10 years. Back at that point in my life served a very important goal: I wanted to rebuild habits to maintain a right everyday rhythm. As part of that: - I set goals for myself every single day (~ deliver 5 tasks and measure it back) - consciously scheduled activities to OTHER days (so my brain is not busy with them) Todoist is excellent for such setup + its gamification engine helped push that a bit further.

Pros

Mobile-friendly interface Gamification to help habit building Easy synchronisation between web and mobile

Cons

No such things. For me todoist serves as a very simple tool, combining private and business task management.

### "After Years of App-Hopping, Todoist Finally Stuck - And Changed Everything"

September 14, 2025

5.0

My overall experience with Todoist has been nothing short of transformative. I'm not exaggerating when I say it literally changed my life - and I know that sounds dramatic, but hear me out. Before Todoist, I was that person who tried everything. Every productivity app, every system, every method you can think of. Nothing stuck. I'd get excited about a new app for a week, maybe two, then abandon it because it was either too complicated, too rigid, or just didn't fit how my brain works. Todoist was different from day one. The beauty is in how effortless it feels. You're not fighting the system - you're just capturing thoughts as they come. "Buy groceries Saturday morning," "Follow up with client next week," "Mom's birthday March 15th" - just type it naturally and the app figures out the rest. That quick-add feature with natural language processing is pure magic. What really sold me was how it grew with me. I started super basic - just dumping tasks in there. But gradually, I began organizing things into projects, using tags, setting up recurring tasks. Now everything in my life, work and personal, flows through Todoist. Every meeting, every deadline, every random thought that pops up - it all has a place.

Pros

What I liked most about Todoist is how ridiculously simple it is to get started, yet incredibly powerful once you get the hang of it. After trying literally every task management app out there for years, Todoist was the one that finally clicked. A game changer for me!

Cons

The main thing that bugged me initially was the project limit on the free version, it felt pretty restrictive when you're just trying to get organized and figure out if the app works for you. I ended up upgrading to premium fairly quickly because of this, which isn't ideal if you're on a tight budget.

Limited and confusing - the interface feels too rigid with its kanban-style board layout that doesn't adapt well to different workflow needs.

### "A Versatile Task Management System for a Hectic Digital World"

July 6, 2025

5.0

Overall, Todoist is a versatile system that has helped me visualize and better manage a variety of professional and personal projects. One thing I appreciate about it is its ability to function well using a variety of pre-set and custom productivity systems. In my case, I needed it to work with projects involving everything from academic administrative tasks to teaching and grading, writing web content to podcast and video production, social media management to freelance editing, and so on. It can be set up to support all of these tasks through kanban boards, calendar/time blocking structures, tags and priority lists, and project setups you can repurpose at will. All of this make it both well worth the price of admission AND a system I can't imagine myself replacing. Honestly, I wish I had known about Todoist a long time ago. I was originally using two different free competitors, and neither had the reliability and functionality of Todoist even in its free plan (I paid for the pro plan, and it is worth every penny). It is now an indispensable part of my productivity setup.

Pros

1) It is fairly easy to set up for basic and intermediate setups. Learning more complex setups has a learning curve, but it is not as steep as one might think and isn't even required to get the most out of the software. I see this as a huge plus. 2) The interface is fairly intuitive and the integrations (phone app, browser extension, etc.) are easy to use (and useful). Additionally, it syncs across devices, making your tasks accessible from anywhere, which was something I wanted in a task manager when I went looking. All this is seamless. 3) If you have no idea what you're doing with Todoist beyond "use it to manage your projects and tasks," there is a massive wall of help documentation and inspiration in their knowledge database. This helped point me in the direction that, thus far, has worked best for me. They also have numerous templates that you can use as-is or modify for your own use.

Cons

Personally, I would like more help documentation for the more complicated syntax and a better way to automate repeatable projects such as podcasts or video content with set times for creation, editing, and release. You can sort of do the latter with a Kanban board, but not without a few extra clicks that a quick automation could solve. The former is something they do have documentation for, but it would be helpful to provide a stronger range of introductory materials for those who lack experience with syntax that is similar to markdown, etc. I would consider this a minor con, though, as you don't NEED to use the complex syntax or NEED to have a fuller range of automations to effectively use Todoist for most forms of task management.

Microsoft's system, while useful, made integrations with Google Calendar unnecessarily complicated. Since I have two projects that I do not fully own using the Google ecosystem, manually adding tasks to calendars in two different ecosystems didn't make much sense to me. I set up to find an alternative that could do what I needed it to do, and Todoist came out on top for features. I knew going in that I would likely need to pay for a service, and Todoist also won that fight by providing everything I needed at the lowest paid plan. Note: I also tried Google Tasks, but it wasn't versatile enough for my needs (i.e., managing multiple projects with very different types of tasks and time needs).

### "A truly exceptional digital to-do list"

May 22, 2025

5.0

Todoist is a top-tier one-stop shop for task management. I have tried digital calendaring, as well as using tasks in Outlook, sticky notes on my desk, and fancy Excel sheets in an effort to stay organized -- Todoist has erased my need to try anything else. Being able to configure my dashboard in a way that works for me (calendar, board or list) and sort that down even further by priority, category, and even sub-category has been invaluable. I use it everyday in both professional and personal capacities. Being able to jump from my laptop to my phone, as well as receive timed push notifications has improved my productivity and efficiency tenfold. Todoist is easily my most highly recommended task-management/organizational app.

Pros

Users can easily add, prioritize, and filter through tasks from both a desktop and a mobile app. Upon adding a task, users can optionally "tag" tasks to sort them under customized categories. You can even add a due date with reminders or repeating tasks simply by typing the date, or using prompts such as "tomorrow," "next Tuesday," "every other Friday," etc. My absolute favorite feature is the option for calendar plug-ins, where you can easily create a task from within an email; not only can you create a task with the click of a button, but the task is automatically hyperlinked to the email from which it stems -- incredibly convenient!

Cons

The thing I like least about Todoist is that it has a "karma"/points system that assigns points upon task completion. I can see where this sort of gamifying could be useful for some users -- it simply is not for me though, and I could do without the occasional email notifications. Definitely not a dealbreaker nor a big deal, though.

The UX did not quite meet my needs; I needed a larger array of tasks (and categories) than could nicely fit within the app. The (constant) suggested tasks from my emails were also generally unhelpful.

### "(Free) Task management software"

Pros

Personal and shared projects. iPhone widget works great and shows you the days tasks at a glance. Can share it with other calendars (e.g. Google calendar)

Cons

Overall, I had a positive experience with Todoist. It was easy to use, helped me stay organized, and made it simple to keep track of tasks and deadlines.

Pros

Cons

### "Review for Todoist"

March 25, 2026

5.0

Todoist is one of those tools that just works. It’s simple, reliable, and helps you stay consistent without overcomplicating things. If you’re someone who tends to overthink or get overwhelmed, this is a solid choice. Customer Support is also very helpful whenever questions need to get answered. They also have helpful videos if you need more assistance. I purchased a yearly subscription and I am getting tremendous value for the software, thank you!!

Pros

Simple and easy to use This is the biggest win. You can jump in right away without feeling overwhelmed. Clean layout Everything is organized in a way that just makes sense. It’s not cluttered, which helps you actually stay consistent. Great for daily planning Perfect for mapping out your day, setting priorities, and staying on track. Works across all devices Phone, laptop—everything syncs smoothly, so you always know what needs to get done.

Cons

Can feel too basic at times If you’re trying to build out more complex systems or workflows, it might feel a bit limited.

### "Todoist has been a great body double. "

December 30, 2025

5.0

Overall I have been impressed with this app over the past 3 months. I use it for school, work and my small business. This helps me keep things straight for one time tasks or weekly tasks like repeat assignments.

Pros

I love that I can use the app or computer version and they sync consistently. I also like that I can add # to different categories and organize them pretty quickly. Simple reminders help me remember even the daily tasks. This app has been a great body double, keeping me in check.

Cons

Sometimes the daily tasks do not remind me to check them off. So they can build up. This is an easy fix in settings.

### "Great for power users, but too complex for my needs"

June 22, 2025

5.0

I used Todoist for a while and appreciated the depth of features, but eventually I switched to Any.do for something simpler and more intuitive. Todoist is great if you need granular control over tasks, projects, and productivity tracking, but it wasn’t the best fit for my personal task management style. Still, I’d recommend it to someone who wants a highly customizable system with advanced tools and isn’t afraid of a bit of a learning curve

Pros

Todoist is a powerful and flexible task management app with a ton of features for organizing projects, deadlines, and recurring tasks. I liked how easy it was to set up different projects and how you could label and prioritize tasks with filters. The clean interface and cross-platform syncing made it easy to stay on top of things whether I was on my phone or desktop. It definitely feels like a tool built for productivity-minded people who like structure and detail.

Cons

For my day-to-day needs, Todoist ended up being a bit too complex and structured. It sometimes felt overwhelming with all the options, especially when I just wanted to jot something down quickly or manage a simple to-do list. I also found that customizing list views or making quick edits took more taps or clicks than I’d like. While it’s amazing for project management, it’s not always ideal for basic, personal task lists.

Pros

The automation rules make it easy to handle task assignments between our frontend and backend teams, and shared project views make it easy for customers to monitor progress on their builds without frequent status calls.

Cons

### "Experience with Todo"

September 25, 2025

5.0

Todoist isn’t a full-featured management app, so I had to switch to Notion and create my task lists there.

Pros

Todoist let me organize my days for several years with an app available on both my phone and computer. Unlike Notion, which I use today not just for tasks, seeing my tasks and their progress on mobile is more intuitive.

Cons

I don’t really see any downsides. My use was limited to setting tasks and checking them off once I finished with.

### "Simple, and usable to do app"

May 6, 2025

5.0

Super usable. Lots of to do apps become overly complicated and take time to learn and use, Todoist is the opposite of that.

Pros

How I can add metadata elements (due date, tag, project) using natural language; how it's mobile friendly so I can add a widget to my phone home screen; the keyboard shortcut that I can use over any other app; the integration with Outlook - so many things!

Cons

Limitations of the free plan. I've had the paid plan before and it's great, just can't afford it now.

Pros

### "Great lightweight task manager for individuals or small teams - pick it up and get Todo-ing"

March 27, 2025

Overall, it's been positive. It allows me to dump my tasks easily, set up recurring reminders, and communicate with my team effectively, with minimal learning curve.

Pros

Natural language operations, ease of use in a team environment, sub-tasks for larger jobs, recurring tasks work very well

Cons

"Undo"ing a task can be a pain if you accidentally complete a task on mobile in particular. If you have one large task with many subtasks, you need to micro-manage quite a lot. The "weekend" settings need more work. Calendar integrations can get messy quickly.

### "One of the best quick and dirty to-do lists on the market"

April 8, 2025

4.0

This was by far my favorite to do list app and its simplicity and ease of use is not comparable. I really enjoyed the labels and categories as well as the shortcuts to add tasks. Nothing like it that I have found. However, I found it lacking compared to some larger project management tools like Clickup and Wrike. This is great for every day use!

Pros

I really liked the simplicity and feeling of inserting and completing tasks. I thought the color schemes, the built-in language reading software, and project management tools were helpful and easy to use.

Cons

My only con is that it was just missing something. I don't know if it is the lack of views or maybe a functional dashboard, but it felt like it was just missing that one thing to put it over the top. The collaboration tools could use some work too.

Pros

Cons
