### "Rotaready Saved My Life"

Outstanding! Making a change in software is always a stress, particularly when the change effects literally every member of staff. Rotaready were there to support us every step of the way during the migration from our old system. Data transfer, training and implementation were all supported by their team. We have been live for over two years and we would not move away from it. Our old system could not provide the functionality we needed, it took ages to turn the data into any meaningful reporting and was time intensive. Staff love the easy of use, from shift swapping to booking annual leave, its all so easy for them. Moving to Rotaready gave us an easy to use system which was quickly adopted by all users, saved us time and money and also allowed us to reduce our operational staffing costs by exposing labour efficiencies. Thanks Roatready - you might just have saved my life!

Pros

We love the way that the software is so instinctive and simple to use - this goes for our staff and managers, who all adopted it with ease. As managers we love the visibility the product gives is across a range of metrics. Costs, hours used, attendance monitoring and custom reports all make our business easier to run.

Cons

Initially the reporting functionality was quite limited, but the guys at Rotaready have worked hard on this to give a range of standard reports and customisable ones which help to extract useful info from the software which we have used to make operational changes in the business. I know they are constantly working on this aspect of the platform which is great for us.

Team are really responsive and helpful. Helping with any issues or requests in a prompt and helpful manner

Pros

I love the split in hours for front of house and kitchen allowing us to pinpoint where we are over spending on hours

Cons

Would be good if the actual hours once signed off showed on the rota so we can see actual start/finish times straight from the rota but that would just be a preference for myself for quick review

### "Disappointed after so much promise"

We have been using Rota Ready for 10 months. Although there is huge potential in its functionality, we have not received the benefit. Our initial set up/training was intermittent leaving us with many questions and resulting in us self-teaching the basics. On the occasions we have contested this and requested more support we are constantly told that 98% of customers are satisfied (which they revert to a lot). When pointed out that we are in the 2% of unsatisfied customers little was done to rectify the situation. When were initially considered cancellation upon obtaining our second site, we were informed that they would "make it their mission" to retain our service. The result, us being charged a further "set up fee" despite us already being a customer and an offer of further training which we should have had at the beginning plus a few links to videos and on getting the best out of the system which we should have had first time around. Yes, the videos are helpful but the customer service is missing the personal touch many new start ups require. After bringing this to their attention, we were told what they had offered was "sufficient". Personally if you are going to make it your mission to retain someones service, you may want to try a little harder than offering the basics and then charging for it. We have now made the decision to move across to another platform and see how they compare. We may be a small two site operation but it doesn't mean we require less support than the bigger guys. If anything we need more. Bare that in mind if you wish to retain your 98% satisfaction rate.

Cons

Lack of training. Poor customer service.

As a start up, we felt the cost and functionality would be sufficient to meet our needs. Unfortunately for us, this wasn't the case.

Great, the team are responsive to support emails.

Pros

Features and easy to run payroll downloads, the team app is intuitive and easy to use. Clock in-out feature is great. Lots of customisations.

Cons

Cannot phone anyone for support, frequent glitches and no square integration is very painful. The payroll exports don;t calculate the holiday pay, just shows the hours and rate, however, it does for usual hours, which makes no sense.

Our experience with RotaReady has been smooth and enlightening from the beginning. We took the decision to move aways from written Rotas and timesheets and find a more controlled and overlooked system to integrate into our businesses. We found RotaReady covered all our needs between the 3 companies and the separate departments. \[sensitive content hidden\] took us through demo, reassuring us and answering our questions, this was followed by \[sensitive content hidden\] whom helped us set up, train and guide our management team through the bespoke system. The whole team has been able to answer any question on hand.

Pros

The communication has always been quick and effective. The use of Chat on the website is very helpful. They work well with us and have plenty of time for our employees.

Cons

Not a Con but more payroll software integrations and reports would be helpful, even a customizable report option to create our own.

Pros

The mapping system for every labour stream, the timesheet system and the payroll export that fully integrates with Brightpay. Another thing I really like is the fast support through the integrated chat.

Cons

Sometimes the clocking in and out system can be tedious in the back end, but that can be improved.

Overall very positive and I can see the potential it has once we're using it more effectively.

Pros

I like the flexibility it affords us and the managers. I really enjoy being able to see who is working at each venue with ease, and the feedback from our managers over the ease of use has been great.

Cons

It is quite 'glitchy' at times and will come up with error warnings frequently- it's not always easy to identify what you've done wrong. It is also sometimes hard to track the progress of some of the bigger 'tickets' i've raised, and things take a while to be resolved. For example- I have been trying to add in a new leave type since we went live, and I have been trying to amend this contract for a few months and it takes a lot of chasing.

Other than starting technical issues, its a good system to use and much better than our previous system.

Pros

Once rota ready is set up the system is quite easy to use. It give accurate sales vrs labour forecasts and actuals.

Cons

When the set up is completed initially - more face to face training would be an advantage (as with most new systems)

Overall very good. Support is decent, majority of features we wanted were there.

Pros

We have many nuances and it was the only system that could cope with those and give us the functionality we wanted.

Cons

Sometimes it isn't the most obvious at telling you when things are missing to work out why something isn't working properly, but the support team are pretty fast at getting back to you.

I've come into the business quite late on to the integration and operational execution however, I'm starting to dig into the system and find it's technology mind-blowing.

Pros

User functionality is very easy. The team are always on hand when needed and always have the right answers! The integrations are second to none also!

Cons

I think some of the reporting could be a little bit better rather than having to download the data, maybe give options to filter better within the system itself.

To touch upon a couple of your other points... our cover shifts feature allows you to schedule team members across multiple sites, for visibility and reporting purposes. Employees will be able to clock-in from any site as they usually would, to ensure that the actual hours they've worked are recorded for payroll purposes. Our break policy tools allow you to define the types of breaks that should be assigned to shifts based on a customisable set of rules, like the scheduled shift length. We hear you and do have plans to enhance this feature in the future to flag scenarios whereby different breaks may be considered, for example, if someone actually works a shorter or longer shift.

You can see the rota details on your phone as well as on a computer/ipad. Clocking in and out for you staff is great. Good for adjusting sales forcasts for the business.

Pros

Easy to set up easy to use and teach people how to use very easy to navigate and find what you need. for payroll exports its really easy as you can just export the exact dates and data needed to send to accountants.

Cons

Only problem we have ever seen is we can't have one member of staff assigned to 2 sites. for example the executive chef has to be under a "covershift" which is annoying for splitting costs

Overall the experience with RotaReady is good. Customer service is fantastic, they reply almost straight away and find the best and quickest solutions.

Pros

The ease of adding new starters, ending employments, scheduling shifts and seeing realtime clocking in and out.

Cons

Hard to get an accurate wage percentage as it doesn't integrate with our till system to pull all the information over.

The all in one hub for employee management , being able to upload documents to complete HR per employee without using a separate drive- together with Scheduling and mobile ability for employees, it's a great product for our business.

It would be good to get a notification (as the manager) when onboarding is complete - i found 6 waiting for review that i had no idea were there.

Pros

Accessible and easy to use for end users and admins alike. Good ability to send documents for signing and quite feature rich.

Cons

Couple of niggles around the currently underway consolidation of Rotaready and RotaReady HQ - RotaReady struggles with more complex integrations like Xero, especially with more complex rotas (multiple pay items, multiple pay calendars) would be ideal to have a live integration that could push new rota ready employees to xero etc rather than having to manage both in slightly different ways

Regarding our Xero integration - this works by pushing your signed-off hours and absence data from Rotaready directly into employee timesheets in Xero, meaning you can eliminate the manual process of importing timesheet data into your payroll system. I'm very happy with RotaReady - it keeps improving and the features are excellent. It really helps having everything in one place and also having less paperwork. I would especially recommend it to multi-site companies.

Pros

Having all staff documents and info in one place. Holiday accrual easily worked out. Less mistakes with wages. Easy for staff to use and request time off. Being able to see all rotas in one place and what attendance issues there are.

Cons

Unable to bulk send out documents for signing - this is being looked into though.

Pros

I'm using RotaReady for about 2 years now from manager/admin position and it makes my job easier. It saved me a lot of time and money. The cost control section is great, there are all tools you need to schedule a timetable or hire new employee. Highly reccomend.

Cons

Some tools are complacated to use for the beginner, I feel like sometimes you can get confused but overwhelmed with amout of information.
