Pros: Note: Our company uses MediaLab for training only, not document control

- Easy navigation of system (straightforward on how to train on documents)

- Easy to input information (personnel information, documents)

- Customer response is quick

- Having the functionality to assign Group Supervisors and assign special employee signoffs

- Great traceability within the system (change history for users and for permission changes)

Cons: Note: Our company uses MediaLab for training only, not document control

- Unable to customize reports (would like to pull reports within specific dates (not full list), list of personnel with their assigned manuals)

-Unable to customize due dates for Performing Employee signoff (we have different requirements for PE

- Assigned dates are incorrect (since we are using the software for training only, it has been problematic that when a document with a minor revision is signed off, the assigned date is changed to the signoff date - our metrics for training compliance is signoff date minus assigned date so we have inaccuracies in our data)

Overall: Benefits include ability to easily pull reports, make changes quickly, assign training and enter documents for training without problems, and navigating the system with ease. However, because we are using the system for training only, it has its limitations.

Pros: You really can't make a mistake in using the system. I particularly like that you can assign users to review the documents and track their usage. Also, it's very easy to send comments back and for to users, for example if a change is requested or a typo is noted. We have staff that are not the best at using computers and this program has been very easy for them to use.

We feel that for the first time that our documents are usable, accurate and great tool to train our staff to.

Cons: No Cons at all. Just recommend taking the time to write and format your documents prior to checking them into the system. This will make the process much smoother.

Overall: I have used several Document Management systems. This is by far the easiest to use. I meets all our regulatory requirements. The support in both setting up the system and ongoing has been wonderful. Any requests have been quickly dealt with. Also, they are very open to suggested changes. We have been so pleased with the Document Management system and are now adding on additional programs, such as Compass and Inspection Proof

Pros: This is an affordable, versatile solution, that aids in keeping all training documentation in compliance. EyeKor uses it to approve training documentation, SOPs, and manage project specific training. It manages all sizes of groups that needs training with easy and the needed flexibility for our company.

Cons: Sometimes there are too many ways to do things, or options to do things are buried too deep. I do not like that I can not require training on minor versions of documents. Many documents I receive externally, I cannot determine how they number, and then numbering on the document does not match the MediaLab number.

Overall: MediaLab Document Control allows EyeKor the flexibility it needs for reviewing, approving, assigning, tracking, approving controlled documents. It fits seamlessly within our existing systems.

MediaLab has been transformative. It has enabled me to better oversee document control.

Pros: Ease of use with regard to using Microsoft Word to create and edit procedures and policies. Customer service has also been exceptional.

Cons: There are some features I would like to see added, e.g., intradocument hyperlinks and the ability for me as a director to more easily convert from minor revision to major revision.

Overall: Before using MediaLab we struggled constantly to manage the hundreds of policies and procedures in our lab. MediaLab has allowed me as the laboratory director to more easily review, edit, and approve all documents. It has also allowed me create more consistent documents in terms of formatting across all areas of the lab. Instead of using copies of copies of copies of forms or worksheets, we now have these in MediaLab, so there is no excuse not to have professional-appearing forms at all times.

This is the best document control system that I have ever used for a laboratory.

Pros: Tracking of revisions and approvals is simplified by far. You can always look up retired documents for retrospective review, changes are tracked and highlighted for quick review, as are all levels of review and approvals. It's easy to get to one's to do list, and the system can be set up to send emails when there are actions for you to take.

Cons: Can't think of anything that I don't like. The vendor is responsive to requests for changes. When we have asked for changes, they have been implemented in a fairly quick timeline.

Overall: This product simplified the review and approval process, and made true document control a reality.

Pros: I like that the software is able to maintain the hundreds of policies and procedures our hospital laboratory has to maintain. One of the best features is the CAP Inspection readiness, this has often kept us in line with what our inspectors are looking for.

Cons: I dislike the clunkiness of the software, it can be cumbersome to move procedures around manuals, its difficult to remove from one manual and place in another. Linking procedures is often difficult and some times time consuming as well.

Overall: inspection proofing for all of our inspections as well as the ability to hold and maintain numerous policies and procedures.

Overall the experience with MediaLab have been very informative

Pros: Overall, I like the system. I enjoy assigning users to review important documents. I like the assessment field and continuing education. The system helps our company with retrieving and maintaining documents.

Cons: Too many screens and it is not easy to toggle back and forth. The Help menu is also hard to get the information that you are researching.

Overall: The experience has been great.We use the software on a daily basis. The software helps streamline the workflow of the organization and it keeps our documents in a centralized location. Employees are able to use the current version of each document. Assigning documents by groups and individual employees is also a great benefit of this system. Being able to assign compency test so Scientists and other staff members can stay informed and current is also a great benefit.

MediaLab is great for document control, continuing education, and readiness for inspections!

I like that it was developed by lab professionals instead of some

Cons: I don't like the limitations with other browsers. You pretty much have to use IE for best results

I don't like the way they handle customer support. I prefer talking with someone on the phone over email.

I don't care for the way you cant just click on a line on a document; It is an image. If you want to click on the actual document, you have to download it for editing.

I use the software extensively to train our students and CLS staff

Pros: The courses offered are comprehensive and excellent quality. We are a teaching hospital and we train CLS students in our laboratory, the ability to create our own custom courses thru Coursebuilder is a great tool for teaching.

Cons: Website navigation is not intuitive. It takes familiarity with the software to find information. We use Document Control for our procedures and it is not that easy to search a topic or procedure. Layout is confusing sometimes.

Media Lab has worked out well for our needs.

Pros: It is easy to download, revise and upload procedures. Inspection Proof is an enormous help with our inspections. We can just sit the inspectors down with a computer and this covers most our inspection because it is very easy for them to go through their checklist from there.

Cons: Sometimes the help tips do not cover what I need to know, even though it seems to me that it should be there.

Overall: We are required to have document control and this serves our needs very well.

I do several sections, Safety, Point of Care and sign off of Dept manual/doc for the entire system

Pros: How simple it is to update a policy and get it sign off. Reminders for updates. Minor vs major revision to help speed up the review process. Easy access to documents and manuals. Validation of sign offs by pathologists and reviewers

Cons: Too many Staff notifications for policy review - however part of that is due to staff not reviewing when they should

Overall: An entire easy to use document control systems that simplifies the process and makes usable.

I utilize MediaLab's Document Control software at my laboratory to ensure compliance with CAP regs.

Pros: The ease of use and comprehensive approach it takes to document control makes the software easy to use and easy to stay in compliance. We also use its sign off features for our off-site Laboratory Director to sign and approve documents quickly.

Cons: I wish the software allowed digital signatures to be applied to uploaded documents rather than just the summary sheet.

Overall: It ensures compliance with industry standard practices and regulations.

Very useful once you figure it out.

Pros: Great for inspections and documentation. We allow inspectors to look at the manuals. Inspection proof is also a very good product. It minimizes the time they have to search for documents.

Cons: Not the easiest software to navigate. The learning curve in my case was not to steep! Some changes to the icons might be helpful especially for us old dudes.....

Overall: I really gives new employees easy access to procedures.

Pros: I like that it has a variety of functionality (i.e. document control, continuing education, competency, inspection proof).

Cons: We are a healthcare system and some of the functionality with the document control process does not lend itself easily to a system approach. Multiple facilities with multiple medical directors with the same policies.

Pros: I am still learning about it. I like that it is shared by so many places. Approvals can be done without passing documents. Once you get familiar it is easier to use. It puts all the documents in one place. I understand there is much more with continuing education that I have not learned yet.

Cons: Not always sure what key words will pull up what I am looking for. Wish there were an index. The font is very small on my computer and I have problems choosing a manual or document at times. I am not sure why we have to approve procedures for everything including stuff we do not perform in our lab. I am not sure about a Help Center or phone call hot line. It would be nice to have something like that.

Pros: The best thing about this software is having one place for all of your documents, and an easy way to track who has read them. I like that you can restrict printing so there are no unauthorized copies floating around the business.

Cons: I find some of the interface a little challenging to use - like the home page isn't totally intuitive. I end up using the search functions more than I normally would because things aren't laid out in a way that makes them easy to find.

Overall: We are readying for a CAP inspection and this tool has helped tremendously to keep us organized.

Find it very useful to keep track of documents and meet regulatory requirements for timely reviews.

Pros: Easily accessible at the bench. space is limited in our lab, so being able to keep documents electronically is a big plus. Especially in Chemistry - no large unwieldy binders to keep on the bench. Also like the feature that requires staff to sign off on procedures when they are updated. It holds them accountable for changes, and is useful in coaching or disciplinary opportunities since you can point out that they signed off, and are thus responsible for knowing where to find information.

Cons: Somewhat time consuming to set up, but once set up its pretty easy to maintain. Would be nice if the uncontrolled copies had a expiration date of 24 hrs on them. Would keep people from hoarding them.

Overall: Easy way to track documents

Pros: Allows integration with other application such as Inspection proof. CLIA and CAP compliance. Allows labs with minimal resources to manage with ease.

Cons: Document collaboration process can be improved. It's nice to have track changes during approval to easily see changes from previous version. It then requires a minor revision before document is effective to accept the changes.

MediaLab is not very user friendly. It's known throughout the company as kind of a pain to use.

Pros: Software keeps SOPs and PRCs updated. I enjoy that I can edit my email settings and that I can add content and DOCLs to assignments.

Cons: Not user friendly or intuitive, changes settings without alerting us often (switching people's permissions, etc), courses can get lost after creation. Reports are not always helpful to pull with courses that have multiple competencies/DOCLs associated with them (exporting the report in Excel does not show status of each portion of assignment, only how many activities have been completed)

Pros: I like most how easy and efficient the software is to use for controlling documents. I have easy access to all policies and procedures within the facility and eliminates a lot of paper documentation.

Cons: I like least how notifications are delayed at times or repeated when activities have been made within the program such as approvals.

Pros: User-friendly features. The help menu on the side of the screen also helps a great deal. So easy to navigate we did not have to train staff.

Cons: Online text editors are glitchy. Advise using Word documents until text editor issues are resolved.

Wish the CE Administration Module had a backup...Would like to move orientation and training into there but there is no backups performed on it.

Overall: Assists with managing polices & procedures. Helps out document control process become more standardized, streamlined, and paperless.

Pros: The inspection module for CAP inspections. It's great that we can answer all the checklist questions, link sops and supporting documents. Also it's great that we can upload the answer to previous inspections.

Cons: Process is time consuming, editing a document can take a while. Wish the emails for updating was better structured.

Setting up document control was a challenging experience, however one well worth it.

Pros: The features and functionality meets all our needs for document management. It's obvious a lot of thought went into programing this software, very impressive. Also, MediaLab's customer service is exceptional. All the customer service personnel are very knowledgeable and patient when addressing our troubleshooting needs.

Cons: Although the functionality is stellar, sometimes I feel there are too many ways to accomplish a single task.

Overall: It has made managing our laboratory documents seamless and paperless!

Pros: Prior to using MediaLab's Document Control we kept hard copies of procedures. ML's Document Control allowed us to go paperless and be able to access all of our documents online which is very convenient. It keeps track of pervious document versions which is nice too.

Cons: So far, no major issues with the software. There was a delay in hearing back from a representative to have questions answered. Once we did get in contact with someone they were very professional and supportive!

Document control with MediaLab has really helped improve life in our lab.

Pros: This product is very easy to use. The ability to assign users to groups and groups to manuals has made it easier to keep up with performing employee sign-off.

Cons: Sometimes if you are adding additional approvers to a document, there is a bug that sometimes inhibits the user being added to sign from seeing the correct version.

Pros: It houses all of our policies in one convenient online place. We can use the Inspection Proof module to link to our policies easily. We also use the competency (Compass) module for our onboarding and competency assessment requirements. We import CAP checklists to use for our self and on site inspections.

Cons: It is quite robust and takes quite a bit of education to use. Our review process is quite lengthy and the to do section could use some revision.

Pros: Very easy system to use, customer support has helped tremendously. I appreciate the quick feedback when an issue has arisen.

Cons: I really do not have any cons about the software. I guess I wish that you could bridge the gap between compass being used for POC and general lab.

Pros: The ability to share documents throughout the lab is useful. It is also a benefit to keep common documents (ie., meeting minutes for lab review)

Pros: Pros: We have over 1000+ documents and MediaLab helps us stay in our CAP regulations. So many functions and the staff from MediaLab is always willing to help us out.

Pros: Very easy to use and requires very little instruction for new users.

Workflows are quick to set up and easy to follow.

Applying quizzes for revision changes.

Very easy to link related or dependent documents together.

Cons: No table of contents for large documents, would be nice to have a ToC that functioned as a navigator to jump to specific section in a document.

Too many windows to click through for some options.

Overall: Made my life 1 million times easier!

Pros: It has many functions that are specific to lab use like Medical Directors review of documents and procedures.

Cons: The access to view other department/facilities menu has to be given instead of just having all document control items viewable to all locations.

Overall: A program that finally has a quick turn around time for corrections in the standard operating procedures. It also, is very easy to load other attachments and only assign the attachments/supplements of a SOP to a group or individual.

Pros: Easy to use, lets you customize permissions for all users.

MediaLab staff makes it easy to work with, always very helpful and they always respond as quickly as possible. I would not use any other program to "control" my documents.

Pros: I find the search function to be incredibly accurate and helpful. Uploading new and revised documents is easy.

Cons: Lack of customization for reports. It would be nice if we were to be able to sort / rearrange the the document list when viewing user sign off for training.

Pros: I most enjoy the ability to automate document review. It makes what would otherwise be a time-consuming and confusing process something that we hardly have to think about once it's set up correctly.

Cons: What I would like to see in this software is an easy-to-use section that reports on emails that have been sent out by the system. Sometimes I am only made aware of certain employees receiving too many emails after they tell me, and I wish there was a way to monitor the frequency within the administrator page for all employees.

Overall: Greater organizational efficiency and streamlined document control monitoring.

Pros: The ease of use and helpfulness of customer support. The email notifications help to keep you a track. I also like the reminder to update the paper version so that it always stays current.

Cons: Having to remember to assign groups, peer reviewers, admins, lab directors, for each manual. It's easy to miss a part that leads to problems.

Pros: Inspection proof: I like that our CAP checklist is imported and it is easy to link procedures to it. We will see how good it is during our upcoming CAP inspection. This will be our first inspection using Media Lab software.

Cons: There is definitely a learning curve with this product. There are some features "hidden" in places that don't seem logical to me. The interface is a little "old school" looking, but maybe that's why it's so cheap. I don't even know where to begin with Compass.

Overall has been useful/fairly simple to use but sometimes locating what you need is a bit difficult

Cons: as an admin it is difficult sometimes to find the task you need (print, assign, upload, ask for a sign off etc...) and you may not have access to a certain task and not realize it.

it has been mentioned that the alerts are sometimes confusing to users about what exactly it is that needs to be completed.

Overall: Standardization of documents and good for preparation of inspections (JC, CAP etc..)

Pros: The software is user friendly and easy to navigate through. Its also very straight forward for new users. I personally like that alerts it sends out to remind employees of pending assignments

Pros: The ability to digitally store, manage, and keep track of your manuals and forms is WAY better than the old method with paper. There are multiple options on editing and modifying a document. No more are the days where you need to hound your lab director, supervisor, or employees to sign a document. The software will remind that person daily and there is a comment box that will inform what changes have been made to the document. You can also link the CAP inspection checklist to the manual so inspectors have an easier time finding the checklist item in question.

Cons: There is a learning curve to understanding and using the software. Still learning different functionalities of the software as I continually update my manual.

Excellent product for the money. Saves countless managerial hours

Pros: The automated approval process is nice. I like that we can link to other SOP's so easily. I also like the ability to customize quizzes and/or sign-offs for documents. So far it's been easy to manage--a bit time-consuming to set up, but it should be easier now that official setup is complete.

Cons: Not sure yet. There's been a learning curve so I don't understand all of it yet, but there haven't been any major headaches that I can think of. Some users have complained about the blurriness of the text (it's not as clear as our former software)--I'm not sure if this was affected by the upload speed or what contributed to this.

Overall: Efficiency--I don't have to manage documents as much because of the approval processes and the continuity (after original setup).

Document Control greatly facilitates document review requirements for regulatory compliance.

Pros: The software's potential is great for us. I hope that it works out. There is a huge learning curve and a huge shift in how our industry traditionally does things. I hope it works out.

Cons: The user interface is extremely confusing. More emphasis needs to be put on which division you are in. All menus are too similar and confusing. There could be a lot of improvement to the user interface. There are too many options for designating properties for employees which makes the whole thing extremely difficult to work with. Inspection proof is glitchy and not very intuitive. We are a huge company with many labs and getting this thing to integrate with everyone is impossible since each lab is different.

This has been a really cost-effective way to organize our lab and maintain compliance.

Pros: Prompts to log in and review documents are very helpful. It's also great to be able to see who has accessed specific documents and for how long.

Cons: The UI feels really old and is very appealing. It is also not possible to approve items in bulk (as far as I can tell).

Overall: This has helped us save an entire forest of trees. It has also improved tracking of our active documents in the lab.

It's been a great help to track versions and get updates out to all who need to review.

Pros: I really like the reminders for when policies are up for review. It includes all those who need to sign off so the policy can be forwarded to the next in line to review/revise.

Cons: Sometimes the policies get assigned to the wrong techs and it's a bit of a pain to get that straightened out.

Pros: MediaLab's Document Control is very intuitive. Within one month of being on the job I was able to to completely rebuild our manual structure on my own.

Cons: There are a few features I have wished for that are not currently available in Document Control that I hope will be in the near future. However, MediaLab support is very helpful in providing what I need if certain features are not available.

I have some administrative rights. It's easy to build new questions. I like the format and ease of adding remediation and feedback.

Cons: The steps to sign off on a document is not user friendly. I'm never quite sure if I've completed the assignment, so I check the Document Control icon to make sure an assignment is no longer pending. I shouldn't have to do that.

I love using Media Lab for our procedure document control.

Comments: I appreciate how user-friendly the MediaLab software is. It serves a range of employees from entry level to Pathologists. It's great for tracking employee compliance as it applies to review new/edits to policies and procedures. With the software, it is also very easy to upload new procedures, edit existing procedures and categorize procedures by type in "submanuals". I appreciate how the software tracks the original upload dates of policies, procedures and forms and then sends email reminders as the next review date approaches. The MediaLab software is versatile enough to allow us to also use it to track research proposal approvals, as well. Overall, I have had excellent experience with the software as well as the customer service team at MediaLab!

Comments: We made the decision to switch to an online procedure manual several years ago in an effort to decrease paper, increase reliability and improve documentation of supervisor review and employee familiarity with our procedures. We have been able to accomplish all this. WE also like the way the system links into MediaLab's Inspection Proof module. This makes preparation for our College of American Pathologist inspections a snap.

Customer support is outstanding, with almost instantaneous responses to my questions.

Pros: I like that our Pathologist can review and approve even though he is not onsite. This is very beneficial if a change needs to be made quickly. I also like that it keeps track of the most recent revision.

Cons: I would like to have more users for the price. We were only allowed to purchase enough for the lead techs. We still have to print copies for the generalists to read. A cheaper cost for non-editing users would be great.

Easy to use, but would be good to have real time ability to make changes

Pros: I think the best thing is the ability to organize documents into manuals and link them both to competencies and inspection proof.

Cons: Documents look pixelated.

I would like the ability to change the docs within document control, have them highlighted for directors so they can easily see what has changed, and then click to sign off on each change--that would be awesome.

Overall: Easy to store and access documents and maintain them in a controlled manner.

Pros: Fairly easy to use. I like the search functonality in which it separtates the different document types.

I am just learning about its functionality for training purposes. I feel the program is fairly easy to navigate once shown how.

Cons: I would like to be able to open a document on one screen and have another part of medialab open on the other. I currently have to sign in every time I would navigate through either screen.

It takes time, but it's worth it!

Pros: Inspection Proof is amazing! I love how easy it is to link a policy to a checklist question.

Cons: It takes TIME. Lots of time! And don't be afraid to play with it. The more you're willing to invest in setting it up, the easier and more useful it will be.

The software is very intuitive and the customer service is extremely responsive to suggestions.

Comments: Began using this software ~4 years ago and gave input for enhancements that were quickly implemented. Have implemented 8 facilities and have received nothing but kudos on the ease of use and intuitive functionality. When issues occur, the customer service is extremely responsive.

Pros: Ease of navigation. The ability to move our documents to the new system appears to be an easy process.

Cons: Once you delete a document...the name cannot be reused. We are still in the process of learning so this may improve once we dig a little deeper.

Overall: Our goal is to have a system that is easy to access for our staff as well as a system to house our documents safely

Pros: Very easy to find everything and upload what I needed to upload. Was very nice to have all the tabs that I needed and could readily find everything.

Cons: The amount of time for everything. Did not like the reminders when I did not have anything to review at the moment.

Excellent document management program, superb support staff.
