“The least thing I like about Vagaro is the fact that I cannot do deposits without having the shopping cart purchased so I pay an extra fee just to collect fees to protect my business so that is an unfortunate side of it as well as I do not like that, you cannot customize the amount of a deposit per an appointment that it has to be a set amount per service.“

Overall, it's been a great few weeks. I am about to complete my setup for two different companies under one login, on one platform, streamlined with Vagaro's payment processing.

Pros

What I like most as a business owner is the value for money. While most other platforms charge large fees, Vagaro does not. Their customer support is amazing! While most other EMR customer support teams struggled to understand the obligations I have regarding patient care, they were more than willing to reschedule appointments. Their system's ease of use is beyond comparison. I struggled setting up my own webspace with other products, but their University and help videos, as well as other features such as their payment processing, API, and other technical items, helped save time. So, for $23.99, I get a base plan, but I can add on and delete as my company's needs change! Most of their add-ons are just $10.00. I can use the domain that I have already purchased. Their widgets and links, as well as the software's look and feel, are very professional. They have helped me to create a trusted and branded look and feel for my services and products!

Cons

Nothing. I have not encountered anything that they aren't willing to work on or help me with. I asked that they help me set up SOAP notes, and they were more than willing to walk me through "another" FREE tutorial class!

I’m so glad I chose Vagaro—it truly makes my workday easier and more efficient. My clients love the convenience of online booking, and the seamless checkout process creates a smooth, professional experience from start to finish.

Pros

Vagaro is incredibly user-friendly and keeps my day running smoothly. It helps me stay organized with my appointments and client formulas all in one place, which is a game changer. I also love that my clients can easily book online at their convenience. The automated reminders and confirmations are a huge plus—they save me time and reduce no-shows. And to top it off, the checkout process is quick and seamless.

Cons

I wish it were easier to track retail sales and product usage. It doesn’t integrate well with other programs that offer these features. It would be great if it connected directly with suppliers, allowing me to order products with the click of a button instead of having to do it manually.

### "Vagaro is a great place to start"

Overall, I've had a very positive experience with the software and would recommend it to many people. However, I don't think it is the most suitable product on the market for my company, at the moment - particularly for schedule and appointment management, inventory, and online booking.

Pros

I love that the company has sped up its features/updates release cycle. I feel like it's constantly improving. There is a lot of value for the money. I also think Vagaro has an extremely intuitive and user-friendly interface.

Cons

As a natural hair care salon, I feel like the software makes it evident that the company does not understand our workflows and how they differ (significantly) from cut/color salons. As much as I love the software, this weakness really creates pain points that can't be overlooked or ignored. Additionally, I get frustrated with the fact that Vagaro uses features (i.e. referral tracking/rewards) for its own business, that it doesn't provide to its users.

I’m happy with Vagaro over all. Once you get use to it and all they offer it is very user friendly!!

Pros

I’m still learning all the things Vagaro offers. Everything is super user friendly and it makes my business run more smoothly.

Cons

I wish it was more affordable. You charge for everything you offer. That we can’t write our own memo in the text reminder. Service glitchy at time so I need to keep a secondary credit card machine. Needs to be a better way to void and refund.

I recently switched from Fresha because of their 20% new client fee, which just didn’t make sense for my business long-term. As a small business owner, I work hard to build my brand and bring clients in, so giving up that much of each new booking really started to add up. Since switching to Vagaro, I’ve had a much better experience overall. I really appreciate the detailed reporting and bookkeeping features—it makes tracking my business performance and retail much easier and more organized. The only downsides I’ve noticed are that the system can be a bit slow at times, and I wish there were more customizable category options for the online store, as the current ones don’t always fit my needs. Overall, though, I’m happy with the switch. Vagaro gives me more control over my business without taking a percentage of my hard-earned clients, which makes a big difference.

It’s been a hard switch from scheduling with Schedulicity. It’s hard to schedule an appointment with a deal you created. So I am doing more work.customer support is always there. But sometimes they can do nothing for new updates , just gotta stick around to see if it’s better.

Pros

It’s a known brand. Other businesses seem to like it. It looks very professional. It has a P.O.S. System no interested which makes things easier to day an all in one. Not to expensive.

Cons

My appointments don’t show up. They changed my billing with out asking. My clients have a hard time scheduling so I schedule them most of the time. Simple tasks take a long time. Hey share client info across other businesses.

It's been helpful for my business, but not without it's quirks and intermittent connectivity issues. Possibly looking for a replacement this year unfortunately.

Pros

All in one system (booking, payroll, credit card processing, etc). Mobile apps helpful for my providers.

Cons

Can't book a bundle using 2 different names (for example couples massage, it HAS to have one person's name on both). Register has been very finicky since last update as well. Paypro mini loses connection to paypro every day. Also cannot have 'preferred resources' for providers (Therapist A prefers Resource A, so book that first). Price is very expensive even after paying the credit card processing fees.

Overall, I’m happy I plan to have Vagaro for a long time. As long as they continue to support Stylist and Artist the way they do I will support them.

Pros

I like that it was not just a scheduling app, but it included marketing and CRM. It very much help support you becoming a better business because it includes those things that as a newer artist or stylist, you may not have thought of and as an older Artist and Stylist it just makes it easier so you’re able to do it even when you’re busy with clientele

Cons

I think what I like least about it is the queue. I feel like I will post a promo with a specific time but then by the time it gets put out it’s thrown off the whole time and it doesn’t allow me to edit like if I post something on Sunday to end on midnight, but it doesn’t go out until 9 PM. It’s too late. I also wish that they did more advertising or marketing around highlighting businesses to help us get more clientele. I’ve never received any clientele through the Vagaro app. Every client I’ve had has been one that I’ve pushed through myself.

I love the 24/7 customer service. That feature is fantastic and I think it will lead me to increasing my overall satisfaction with Vagaro

Pros

I like the customization features although I feel there could be more. I like some of the tools like booking widgets that allow for ease of scheduling.

Cons

I feel like some of the customization upgrades should be priced at a lower price for the monthly subscriptions. Maybe packages of upgrades such as allowing for sole proprietors to customize differently than multi-location companies. So I'm not having to pay $10 for this and $10 for that a month and eventually paying over 50 or $60 a month as a sole proprietor to use functions that I have no use for whereas a package that would include things like a waitlist or automatic customer replies for someone that doesn't have a front desk person would be amazing. Just leaning into what each industry user might need at different stages and points of the business

### "I love Vagaro! "

I’ve been using vagaro for 8-9 years now and I don’t think I’ve ever had to call customer service, and had very few frustrations. That’s saying something with today’s technology!

Pros

The ease of scheduling clients, the clean and concise look of the day, week or month calendar. And that it includes SMS reminders- it’s incredibly helpful!

Cons

That you have to pay extra for so many things including soap notes. As a massage therapist, I’d love to find a scheduling app that those are just included in the base price

What I like about using Vagaro for my aesthetics business is how it brings everything I need into one place and makes my day run smoother. I can manage bookings, payments, client records, marketing, and inventory all within the same system, which saves me time and keeps things organized. The online scheduling and automated reminders help reduce no-shows and keep my schedule full, while flexible payment options make checkout easy for my clients. I also like how it tracks client preferences and treatment history so I can provide a more personalized, high-end experience. On top of that, the built-in marketing tools and reporting features help me grow my business and understand what’s working, all while giving me the flexibility to manage everything from my phone or tablet.

### "Couldn’t rave more about vagaro!"

I’ve used a couple other booking systems, and Vagaro has definitely been my favorite overall. It keeps everything organized and helps me run my business smoothly day to day.

Pros

Very easy to use! The interface is clean and makes booking, managing clients, and running my business seamless and efficient.

Cons

Can sometimes be glitchy, and certain features aren’t always the most user friendly for clients, especially when it comes to booking or navigating the system.

### "Good bang for your buck "

Overall- great bang for your buck! Highly recommend using the website builder tool and utilizing the online booking and shopping. Just make sure you are double checking everything after porting over from another company.

Pros

support is great- they really try to help. I also love how easy payroll is. Another great feature is the website Builder.

Cons

It was a difficult transition from Booker to Vagaro due to our memberships. Also you cannot charge a credit card processing fee, which is legal in our state.

Pros

Vagaro has a fairly easy interface for clients and providers alike. There are so many features to help keep your business flowing and increase visibility. I particularly love how seamlessly my website integrates with my booking site. Also the customer service and availability of representatives is top tier, I love that I can call and get someone knowledgeable on the phone whenever I run into am issue.

Cons

The pricing is still something that I struggle to accept. While the à la carte model is beneficial, the features that are optional I find are necessary to add and it increases the pricing exponentially, not even including the processing fees.

### "Over a decade of growth with VAGARO"

My overall experience with VAGRO has been exceptional. I’ve been a loyal user for over a decade—starting with scheduling and payments and now using it for my website, marketing, forms, inventory, payroll, and analytics. VAGARO has helped me grow my business and brand by leaps and bounds.

Pros

What I love most about VAGARO is its ease and affordability for small business owners like me. It’s given me the tools and resources to both launch and scale my service-based business with confidence and professionalism.

Cons

What I like least about VAGARO is that occasionally, after a new update on the mobile app or desktop, there can be brief delays or minor glitches. However, these are usually temporary and quickly resolved.

### "good for small to medium businesses"

It's been good. They occasionally have connectivity issues but seem to tackle them quickly. I appreciate the integrations and the ability to turn off and on features whenever you'd like.

Pros

Vagaro let's me pick and choose what features I need for my business. Scheduling, managing clients, and managing employees is so efficient and just... easy. Customer support is responsive and knowledgeable as well. No waiting for someone else to get a supervisor, they just know.

Cons

Booking online isn't as easy as Gloss Genius and Boulevard. They seem to have an internal feature for easily connecting to the client's account so they don't have to remember a password and login for ONE MORE THING. Very convenient.

### "Overall Great App!"

Overall I would give it an 8/10 for overall usefulness and performance! The glitches make it difficult at times but it is still totally worth it. We’re just hopeful they’ll continue to improve. Simplifying it for ease of use with settings would be helpful too!

Pros

The ease of client management, online booking, and a great value for our money are all factors that we love about using Vagaro!

Cons

The app is glitchy and slow at times. This makes it less helpful as a work tool and very frustrating when we cannot rely on it.

### "Worst Rent Collection Feature "

Other than RENT COLLECTION never works, i love vagaro and wouldn't trade it for the world.. The platform is very useful

Everything except RENT COLLECTION! This is the best platform out and we've tried plenty of them.. Vagaro has everything we need, although the rent collection for employee to add their info never works

Rent collection request for employee to add credit card never works, its very frustrating and this has been going on for years.

### "Great platform if it actually works for you "

My spa used vagaro for a full year and we couldn't wait to switch. While Vagaro offers many features, they up charge for everything and their software is not reliable. The constant bugs with the platform made us eventually switch to Mangomint which we have been very happy with!

Pros

We liked that it was very customizable and also liked that the business gets like a "profile" and the visible reviews were a plus. It was easy for my staff to use as well and it did have a lot of features which were helpful for the business.

Cons

I had constant issues with Vagaro glitching with certain features but the most frustrating one was online booking on the clients end. Many times clients were unable to book an appointment, the website would crash or they'd get an error message. They would send screenshots so I knew it wasn't user error. This happened frequently enough that I questioned if I was losing new business. Clients also had issues logging into their account, or their appointments not showing up on their account, and yes, we would verify that they were using the correct login. I knew other spa owners that had issues as well with both of these problems mentioned. The platform also looked outdated and the client facing software is clunky and frustrating to use. We had other issues but this was the biggest pain point which caused us to switch.

I would give it a 7 out of 10— worst timing when it decides not to work or someone is working on the back end of it…

Pros

The look of it and some features. Cost is good—— popular enough so people use it for multiple businesses.

Cons

Not enough updates- not accurate when running numbers etc. just overall could be more user friendly.

### "It’s my point of view"

I’ve been with vagaro for over seven years and I have been pleased with them for the most of them. So I give them a GOOD JOB

Pros

From jump I loved the price of the service. You pay for what you need and can adjust it as your business grew. I also like the templates that help with email marketing, gift cards, and the vagaro community with daily deals. It helps keep new business coming in.

Cons

The main thing that I never really liked was how hard it is to change or update client information when they created the account. A lot of times the client doesn’t remember how they did it and forget passwords so they wind up creating multiple accounts. I also get complaints that the booking system is difficult for the customer. I just think it’s too many steps for them and they would like an easier process but in the end it gets the job done.

Good value. Customer support is always very helpful. One time all the salon had trouble and in the recording said they had a problem. That was helpful

I love that clients get a text/ email when you book appt and a reminder for appointment. Something I don’t need to do

Cons

I can’t make the words bigger. They go longer which doesn’t help US border line blind people. I would like to stretch it so it all is larger words

### "Glad I found it"

I wouldn’t trade it for the world! It’s perfect for my needs and also has growing brand recognition in the spa industry and is trusted .

Pros

Vagaro integrated seamlessly with my bookkeeping software . It is easy to navigate and managing the back end is handled easily with their tutorials . I can keep all my client purchases and notes in one place as well as uploading any photos or documentation. Employee onboarding is very easy and o it takes minutes.

Cons

The clients complain there’s too many steps to logging in to use it on their end. I wish they could figure out a way to make it quicker and avoid an actual password interface.

My experience with Vagaro Pro has been a mix of professional organization and technical frustration. While it serves as the "brain" of my business, the relationship with the software has become increasingly strained due to its impact on your clients.

Pros

The "Vagaro Pro" app is the powerhouse. It allows you to manage your entire business from a smartphone. While the dashboard is clean, the sheer volume of settings can feel overwhelming at first. However, once you’ve set your working hours and services, the day-to-day calendar management is intuitive, featuring "drag-and-drop" rescheduling.

Cons

A common and significant complaint is that the online booking interface for clients can be temperamental. Users often report the system "acting up" during the final stages of the process—sometimes timing out or failing to process the final confirmation.

### "Mostly runs all the time"

The system prevents billing from becoming a huge mess with auto-billing. Shocked to find that the AI Bot actually booked a customers session by itself today. Decades worth of information in here so it helps keep everything somewhat organized.

Pros

Does its basic job fairly well when checking students in to the yoga classes. Shows each person's class schedule on a calendar and I do not have to worry about remembering what we are scheduled to do. Wifi went out today but surprisingly the payments worked fine. Relieved the staff learned to use the dashboard as I did not want to tell them again.

Cons

Vagaro App is also very frustrating as booking a recurring appointment is an extreme amount of work. The trainers always complain about using this app. Extremely upset I cannot put internal staff notes that clients will see as it makes our studio appear unprofessional. Support told me "that's how it works" and that was extremely helpful, NOT.
