Pros Karbon has been a valuable addition to our workflow, making it much easier to manage our day-to-day tasks, deadlines, and client work. Previously, we relied on Excel spreadsheets and Google Sheets to track the progress and completion stages of our work. This was time-consuming and often required switching between multiple files and applications. With Karbon, everything is managed within a single system. We can easily update the status of tasks, monitor deadlines, and track work progress in real time. One of the biggest advantages is having all client-related information in one place. We can quickly access past communications, completed work, and historical records without having to search through multiple software programs or files. Another aspect worth highlighting is the excellent support we received during the implementation process. Our Customer Success Manager, \[sensitive content hidden\], provided outstanding support from the beginning of the implementation through to its successful completion. She was knowledgeable, responsive, and always willing to assist whenever we had questions or required guidance. Her dedication and expertise played a significant role in ensuring a smooth and successful implementation of Karbon. Cons One area that could be improved is the email functionality. When sending emails, there is currently no placeholder available to automatically insert the client's name into the email body or greeting. Adding a client name placeholder (for example, "Dear {{Client Name}}") would make email communication more efficient, reduce manual editing, and help personalize emails, especially when sending a large number of client communications. " May 22, 2025 1.0 My overall experience was exited at first at demo. A bit annoyed that there was no self-help signup and had to wait a week for a meeting. Then after signing up and paying upfront before using the cons started coming out of the woodworks. Consultant not reading emails properly and responding to 1 out of the 4 queries. Extremely poorly trained staff and needed to create a ticket for such changing an email address. The requirement that you must have a Gmail or Microsoft account. Very unprofessional to speaking to your clients from a Gmail account instead of your proper work email. Cannot even get signed up after sending links as consultant do not understand that the email is linked to the signup, and she cannot change the invite linked, even after I explain to them. Instead, they refer you to self-help articles, like you are moron and do not know the basics. Really time consuming and tiring experience. As an accounting firm with limited time on our hands and is looking for a management solution, keep on looking as Karbon is not for you then. Pros Looks like a good application, but let down by the tedious signup process, and have to wait long for the demo meetings? Problems even before getting started and did not get to experience the application. Cons 1\. Must have a dedicated Gmail or Microsoft account (not alias and not been told upfront) 2. Must have a Demo meeting. No easy sign up process and start using. You have to wait 1 - 2 weeks for a meeting before you can sign up. 3. Must pay before even testing the system. 4. Extremely poorly trained consultants - cannot even assist with the basic problem soving. 5. Staff not reading email correctly and not responding to all queries. CEO Accounting Used the software for: 2+ years ### "Karbon makes the cracks impossible to ignore" June 25, 2026 5.0 We committed properly to Karbon about 18 months ago, after deciding to stop running work out of inboxes, Teams threads, and tribal memory. We're now 35 people at the end of our second year on the platform. Karbon didn't magically fix our operations. What it did was remove our ability to kid ourselves. Before Karbon, work could disappear quietly: someone assumed someone else was on it, a follow-up lived in an email chain, a deadline slipped because ownership was assumed rather than explicit. None of it felt dramatic in the moment, but it compounded. Karbon isn't for teams wanting something light or forgiving. It's for firms that want clarity, ownership, and fewer dropped balls, even when that clarity is uncomfortable. Software doesn't build discipline, but the right software makes the absence of it impossible to ignore. Would I choose it again? Without hesitation. Pros Visibility, by a distance. Everything is tagged to a client and a work item. We can tag colleagues into emails and chats and they arrive with full context before giving feedback, rather than us re-explaining. We've become reasonably regimented about documenting meeting minutes and decisions in the flow of work, so everyone can see what relates to their clients as it happens. As the owner I spend most of my time in triage and don't personally use a lot of the work-item features day to day, but knowing the team has clear, visible processes to follow is genuinely useful. It helps me sleep at night. Customer support is the other standout. When our 2024 onboarding didn't go perfectly, Karbon's management was highly responsive to our feedback, and that turned a rocky start into a genuinely constructive ongoing relationship. They also keep developing the product, and some of the new functionality coming has me excited. The sense that they listen and keep moving is a real part of the value. Cons Price: it's not the cheapest option in the market, so it's a real consideration, though I can't see us changing at this point. There's also a learning curve for new team members. When someone joins, Karbon is a bit of a behemoth to get their head around at first, but once things start clicking into place they're away. Our own implementation back in 2024 wasn't perfect either, though Karbon's response to that feedback was excellent. The interface is functional rather than delightful, and setup takes real time and follow-through from leadership. Half-set it up and it will half-work. Cons The inability to create email rules or auto-replies in Karbon. It would be useful to be able to add editable tables in emails. Cons The assignment function, my colleagues assign tasks to me but i usually forgot to tick complete and clear the email, which leave the task incomplete in my colleagues view and i cannot search for every email to tick. It is continually getting better and it seems they listen to their users and make changes on what they hear which to me is the best thing a software company can do. Look forward to optimising Karbon more for our practice and definitely see it as a key software in view of the growth we are aiming to acheive. Pros It's very simple to get your head around in the main and comes with a good set of instructions. Love the task list and kanban boards for work management and as a practice manager, it makes my life much easier to be able to see all the work that is happening from one system. It also works wonders with repeating work items where you are able to assign e-mails or notes to multiple timelines and even if the work doesn't start for another year you have got all the information right there at your fingertips. The client tasks are an awesome feature too which have decreased our turnaround time on work considerably. You can start a job and be 100% sure that you have got all the information required right there as all the initial tasks have been checked off. The other side we have found very useful is the collaboration. With a team based in multiple areas this is so key and we find Karbon becomes that one source of truth which tells us exactly what is happening. Cons We have found it harder to get older members of the team onto the software and potentially could have a very simple addon for programs such as outlook and gmail which would let users use the system they're used of but still push the information into Karbon correctly. There has also been issues a few times with integration to Office 365 which when the whole office relies on the system can be a big hit on productivity. The other thing I probably would change if possible is the client portal and make it much more of a place where clients can actually log in and see the progress of their work and get an idea on exactly what is being sorted for them. Reason for choosing Karbon For me it was ease of implementation and what I felt would work best for the staff in our company. Senta came the closest to competition but we found the KanBan board on Karbon a winner and see Karbon as the company with the most potential going forward. Review Source DT David T. Pros Well designed workflow management that addresses most of the aspects of information management that accountants need on a daily basis. I cannot imagine going back to a time without it. Cons No practical option to use custom fields for clients or client groups. Custom reporting is not great if you want to look at your whole database. Karbon is IT. NOthing else compares to this robust, all inclusive system. Forget Twist and Slack, and your gmail or outlook, zendesk and all the rest. This program, while made for the accounting industry, is the perfect solution for any industry, and even a single individual could use it, but it shines with many users. No more multiple things to check and manage, it's all in one place. From Triage, you empty your inbox for email and @ tags from within the system and assign emails to other team members, create work from emails, and all correspondence tracks back to both contacts and pieces of work, so nothing is ever lost or hard to search. This is the most intelligent productivity solution available; I've tried many to disappointing results and now will stay with Karbon and not continue to look further. You can see work for the whole business, for yourself, and separately for your team. You can assign work to others, you can even assign tasks to clients and people outside your team, so they have their own checklist, which has comments and attachments - no more 10k emails! You can break down work into sections with different checklists and assign each task it's own team member and due date. You can drag and drop tasks to different dates. You can have templates for work to make creating work easy. You can make client tasks in these templates and also schedule repeating work. I can't go on, there are too many things that are amazing about this program. Do yourself a favor and try it out. I put it off for 8 months and after 2 days was hooked. 5 months later, it just keeps getting better and easier as we get more proficient using the program to its full potential. AMAZING! Nothing less than Amazing. Nothing slips through the cracks with Karbon. Pros Everything about Karbon. Cons They have both of these on their Fall 2017 roadmap: 1) time clock for job/client/employee time tracking (which is the only other external program we now use and can't wait to only use Karbon for everything); 2) Canned Responses (template emails plug & play). Pros The ability to manage our work schedule. Cons Copy/paste features do not work well. I would like my Grammarly to integrate. I would like to move work tasks to client tasks. I would like to put an internal comment on client tasks. I would like to be above to select all work tasks, copy, then paste to Excel. Reason for choosing Karbon Karbon was the only product (at that time) that allowed team assignment up the chain of command, across and down. Others were only down, some you had to define what roles were assigned to who. Karbon allows the flexibility to manage workflow by teams instead of a hierarchy. The automated aspect of the software is an indispensable quality for our industry and the option to create client tasks which are housed in their own space (outside of email threads where they often end up getting lost or missed) and the automatic reminders that underpin these, have transform our service delivery times and accountability measures. Pros The templates for work items which serve as company systems and procedures as well as project management allows us to monitor staff performance while resting assured that work is completed accurately and timely. We have more visibility than ever before and the software promotes the creation of new work in a way which defines 'how' it should be completed and so we now have operating systems and checklists for all our work. We know exactly what is and isn't being done. Cons Integration with 3rd party applications is still quite limited - we find ourselves duplicating data entry in some areas.
