" May 22, 2025 1.0 My overall experience was exited at first at demo. A bit annoyed that there was no self-help signup and had to wait a week for a meeting. Then after signing up and paying upfront before using the cons started coming out of the woodworks. Consultant not reading emails properly and responding to 1 out of the 4 queries. Extremely poorly trained staff and needed to create a ticket for such changing an email address. The requirement that you must have a Gmail or Microsoft account. Very unprofessional to speaking to your clients from a Gmail account instead of your proper work email. Cannot even get signed up after sending links as consultant do not understand that the email is linked to the signup, and she cannot change the invite linked, even after I explain to them. Instead, they refer you to self-help articles, like you are moron and do not know the basics. Really time consuming and tiring experience. As an accounting firm with limited time on our hands and is looking for a management solution, keep on looking as Karbon is not for you then. Pros Looks like a good application, but let down by the tedious signup process, and have to wait long for the demo meetings? Problems even before getting started and did not get to experience the application. Cons 1\. Must have a dedicated Gmail or Microsoft account (not alias and not been told upfront) 2. Must have a Demo meeting. No easy sign up process and start using. You have to wait 1 - 2 weeks for a meeting before you can sign up. 3. Must pay before even testing the system. 4. Extremely poorly trained consultants - cannot even assist with the basic problem soving. 5. Staff not reading email correctly and not responding to all queries. It helps to keep us all on track and to have a full picture of what is happening in the business and for our clients. I wish I had implemented Karbon earlier than I did. To be honest the only thing that ever held me back was the price. Pros I love that it keeps me and my team on track. We always know where each task is up to and what each team member has completed. We love that we have visibility of everything said and done via the timeline. We love that task can repeat accurately and there isn't any chance of something being missed. I love that we can attach emails to the client timeline which makes it much easier to find emails. I love the search function, it can find emails, tasks, anything in a flash! Cons The price especially when I have 3 part time employees using Karbon for 2 days a week each. I would love to see a pro rata cost for part timers. Support isn't as good as i'd like it to be - this could improve. Also having a presence in the Karbon facebook group to help with situations that pop up. Investing time in initial training is essential to maximise your use of the software. Pros The ease of managing my client communications, workflow and priorities. I have received a lot of positive feedback from clients re the 'comment' feature. Customer support is fantastic, responses are always very prompt and detailed. Cons The inability to create email rules or auto-replies in Karbon. It would be useful to be able to add editable tables in emails. Also, it would be beneficial to be able to add team members to an account rather than having to pay a full subscription for a team member requiring 'basic' functionality. Very useful to be able to manage and allocate work at the beginning of the week through the my week tool. Triage and the ability to assign/tasks/emails/mentions to employees, clients or client specific work. There is also an integration coming with suit files that will be very useful for practices i.e. some features that will come are document signing client portal integrations, and document management. This will help us automate a lot more. Auto-maters are definitely very useful, partially the ability to automatically change job statuses and assign tasks/work to colleges according where the job is in the process. Cons Definitely not being able to independently bulk update tasks without having to pay. Bulk update features are very important but not available (unless you pay the $999 build fee package, which might to expensive for some). The lack of integrations are (most notably, not integrating with Xero or XPM). The best option is if you already have Ignition (this allows content to flow from XPM to Ignition than to Karbon). No integrations into CRM systems. Automated do not have an "IF" functionality where if i.e. the client doesn't need to have more documents requested while the work is completed there should be the ability to tick a box that automatically triggers a different work flow. Reason for choosing Karbon Karbon is a well tested software that really got features like automation, triage, my week nailed. The customer service is excellent, the updates are really regular - the forward focus is good. Overall, happy. Pros Our original investigation into programs like Karbon were based on our massive email issue - clients would email the account manager or the Director (myself) and then we would spend amazing amounts of time cc'ing the right people. We were looking for a program whereby the email trail for a client was easily accessible to all relevant staff. Karbon has sufficient security to ensure its not open sharing, but allowed us to much better service client needs across our growing team. Cons The Kanban/Task Management didn't work well for our company and the way we operate - I think it might work well for many accounting firms in vertical stacks, but we operate on a tier based level and it made using the task management system in Karbon a complex nightmare. Staff became confused with assigning and allocating work tags. We use a different program for project/task management - but it synchronises broadly with Karbon - and we intergrated Karbon with T-Sheets to take care of time monitoring. Karbon is IT. NOthing else compares to this robust, all inclusive system. Forget Twist and Slack, and your gmail or outlook, zendesk and all the rest. This program, while made for the accounting industry, is the perfect solution for any industry, and even a single individual could use it, but it shines with many users. No more multiple things to check and manage, it's all in one place. From Triage, you empty your inbox for email and @ tags from within the system and assign emails to other team members, create work from emails, and all correspondence tracks back to both contacts and pieces of work, so nothing is ever lost or hard to search. This is the most intelligent productivity solution available; I've tried many to disappointing results and now will stay with Karbon and not continue to look further. You can see work for the whole business, for yourself, and separately for your team. You can assign work to others, you can even assign tasks to clients and people outside your team, so they have their own checklist, which has comments and attachments - no more 10k emails! You can break down work into sections with different checklists and assign each task it's own team member and due date. You can drag and drop tasks to different dates. You can have templates for work to make creating work easy. You can make client tasks in these templates and also schedule repeating work. I can't go on, there are too many things that are amazing about this program. Do yourself a favor and try it out. I put it off for 8 months and after 2 days was hooked. 5 months later, it just keeps getting better and easier as we get more proficient using the program to its full potential. AMAZING! Nothing less than Amazing. Nothing slips through the cracks with Karbon. Pros Everything about Karbon. Cons They have both of these on their Fall 2017 roadmap: 1) time clock for job/client/employee time tracking (which is the only other external program we now use and can't wait to only use Karbon for everything); 2) Canned Responses (template emails plug & play). When the accountants in our office need a report or need to know if something has been done and they are too busy to check I can filter All Work in KARBON and bring it down to the file they are looking for in a very short time. I can have their answer back to them quickly and in a manner, they can use. I can check for each client what tasks are overdue and through notes on the file keep all the involved managers and partners aware of timing for their involvement in the file. When you learn to use the filters correctly the information you need is easily accessed and up to the minute. Karbon and I work as a team to send emails, keep notes, report findings, and make sure that "no client ever falls through the cracks - and calls to say "you forgot this - now I have to pay a penalty..." Cons Until you learn that the secret key to Karbon is FILTER - FILTER - FILTER then it is almost too big a program and under-utilized by a number of people. One of our senior partners summed it up like this "Imagine the only way you have to communicate to the office is through the KANBAN view in KARBON" this view teaches you to make notes, share emails, FILTER All Work and generally get as upclose to the file as you can so all the participants can work on any file in the company confidently knowing that they are working with the latest information. The only true Con is the magnitude of the learning curve. But with the seminars and help articles, you can feel supported and know you are not alone. There are many people who can help you out. With Karbon, it is so easy to keep track of what you are doing for each client with all correspondence and documents relating to those jobs attached to each piece of work. You can search for jobs, emails, work etc, create To-Do lists, assign work to colleagues and so much more. I can recommend this app to all professional service businesses, particularly bookkeeping and accounting practices.
