It's design is great and looks good on all my screens. It would be my number one practice tool. Pros Karbon is easy to use although very comprehensive in its accounting practice management solutions. I have great visibility over all my work and clients and especially love that I can allocate email to work items via the triage function. Karbon also allows me to create excellent automated checklists and this allowed me to get through and complete work much faster than before. Karbon also has excellent integrations which I am only beginning to explore. Cons Nothing really. It will change your workflow management if used and set up the right way. Pros I like the fact that is just makes my work life much easier in terms of efficiency and feeling in control. Karbon really centralises a lot of things and also just makes filing and finding information way easier. In essence it manages my workflow way better than any other software I've used Cons Nothing really jumps out and comes to mind, but if I had to find something, I'd say there are small things that used to bother me, but I also got used to it or in some cases Karbon updated their software and now the issues were resolved. It also keeps documents and information safe. The way it helps our customer to also upload documents using the link and how customer get the support through it. It has transformed how I manage both email and workflow, giving me much better oversight and control. Even with a few areas for improvement, particularly around CRM features, it remains an indispensable tool in my business operations. Pros I love Karbon, it’s easily the best email and workflow management system on the market. The way it brings structure to client communications and tasks makes day-to-day work far more efficient and transparent. It really helps keep my team and clients on the same page. Cons The CRM functionality could be stronger. While the workflow and email tools are excellent, the client record side feels a little limited, and I still haven’t figured out how to make sure emails from contacts automatically attach to their timeline. This is because of it multifunctional uses. And talk about the intelligence, where you can print out reports on screen to see the organisational performance internally. Pros I like that i can use it for task allocation on a weekly basis to determine what ill be doing in a certain week and also fill in my time sheet. In a nutshell it is multifunctional. Additionally, it sends out a verification code after a certain period of having logged in to ensure that the right user is using the email, this ensures security. There are short videos that are available for users to learn about karbon and guide them, this ensures customer support. It is effective but not efficient as explained below. Cons It takes more time for emails to reflect when using Karbon than when using other platforms such as outlook. They do this without feature stuffing, meaning they carefully reflect what would benefit customers the most, dig through the noise, and deliver things that really matter, not just the things that are requested. Pros It does practice/project management really well, but the best part of it is the people behind support and development. They are continuously improving the product, seeking customer feedback, and are dedicated to a single space. I'm sure at some point some of this might change (looking at you Southwest), but right now I cannot say enough good things about the product or the people behind it. Cons It's a little difficult to propagate changes to template base work items to recurring work items attached to clients. It has many functions and the use of AI inbuilt to summarise emails and communications is a great time saver. Pros Features such as AI summarising communications, emailing clients direct from Karbon, task summary boards, assignees, comment features to collaborate and ask questions to colleagues Cons The formatting in the task sections can sometimes be a bit clunky and you need to select on multiple areas to edit or change a task detail. There are many platforms out there, but few have such great customer service. Even after years of using this platform I know that help is simply a phone call or email away. Cons There is no document management feature. When weighting out options we were bummed that Karbon does not include a way to get KB signatures or document management. Particularly with Xero integration. Contacts integration with Xero XPM is still not seamless. It would be good to be able to create calendar invites from Karbon - full integration to google calendar would be good. Pros The saving emails to contacts, absolutely awesome to find emails. However, sometimes it takes too long to open an email in the past, not sure i encounter it. Cons The assignment function, my colleagues assign tasks to me but i usually forgot to tick complete and clear the email, which leave the task incomplete in my colleagues view and i cannot search for every email to tick. I emailed their billing department and was told by the customer service person that they would be able to help. The billing person told me I had to speak with sales. I tried chatting with sales. Nothing worked out and I wasn't able to sign up for a subscription. Pros N/A their customer service wasn't great. Cons It's weird in 2025 to come across a software that doesn't allow you to subscribe from their website. You have to go through this whole consultation process, which was several days of waiting. I tried reaching out to their customer service and also chatting with the sales team. No one could get me a trial version or order form which I found to be absurd. I'm sure if there's ever a problem you won't be able to get any support for that either so I ended up cancelling the demo and taking my money elsewhere. Review Source KL Kristie L. It is a great place to keep track of your projects, see what other coworkers are working on, who work is assigned to. Being able to talk with coworkers on a work items and it all show in one place is great. Pros Karbon is great for keeping task in order in your "my week" tab. easy to see what needs to be worked on this week and then puts the rest into the prompted categories. Triage is also great for emails and assigning tasks to co workers from an email thread. Also being able to link emails to the clients contact. You can also request documents from a client on the work item. AI feature also allows you to get a bot of a tax return results in email form for the client. Cons Sometimes you can type in the exact name of a contact and they will still pull up a whole list of contacts. I am no longer looking at 4 trello boards, a white board, a daily to do list. I just run thru Karbon. Pros Love the ease of My Week and its integration with Google Calendar. I simply triage all my emails - allocated to my week if needed follow up. Then slot them into Google Calendar to allocate time. My phone even reminds me of scheduled tasks coming up. The templates for work are so easy to use. The client requests are user friendly for the clients and us. All emails are allocated to work or the client. No more scrolling thru emails to find that particular document. Its all in the work. Essential with monthly or quarterly BAS. Or even if a client purchases a new car you simply add that email to their next years tax return! Cons Would love signing to be part of client requests. Its actually essential!Would also like documents to be added to the client rather than work as sometimes you don't have a work item. Pros The most powerful features of Karbon are the automation elements that allow projects to flow seamlessly through the office. Communication between clients and us is solid, and the fact that the system follows up automatically outstanding client issues takes a huge workload off us.
