Used the software for: Less than 6 months ### "Great practice management tool" February 8, 2018 5.0 Pros The ability to monitor workflow, tag emails to client as well as the specific work being done is priceless. Information doesn't get misplaced and its so easy to stay on top of deadlines. In one view I can see what work is planned, in progress, what is waiting on the client etc. With so many records being electronic you can't just look around the office anymore to see what's physically there, Karbon is the solution to the digital record management. Cons The client tasks need to be little easier to manage. It would be nice to be able to send just a form email rather than a checklist type of communication and changing the date it is being sent should be able to be done within the task rather than the work template. Used the software for: 6-12 months ### "An app that keeps us organized and on top of our workflow" June 7, 2018 4.0 Pros The workflow management using Kanban just makes it so easy to see what needs to be today, tomorrow and in the future. Workflow templates are an awesome way to get organized and allow for an efficient way to get client work done. The checklist format in work templates is great, one of our staff setup a complicated payroll for a client via a template that now anyone can go in and do that client's payroll without wonder if they missed something. Definitely a must have app for accounting workflow. Cons No custom fields ability, we send out birthday cards to our clients and we can't keep track of that in Karbon at the moment. Email scheduler so we can do up an email and schedule to send it out later. Email templates would be a great feature too. It can filter inputs and data of my entire team which makes allocation of files easier and time-saving. Visibility of necessary facts is top-notch. With this software, monitoring of deadlines and schedule reminders is easy and automated. Cons Limited integration is a disadvantage. Since our team uses more than one software for our daily accounting needs, it would really be a great addition for integration with excel or QuickBooks. But this might be included in future updates which we will gladly be looking forward to. November 7, 2017 5.0 Pros The software is so simple but yet so amazingly powerful. You don't have to spend hours and hours getting it set up. You can just jump right in and use it and then add more as you get familiar with the software. So many times I have to invest tens of hours to get an application set up only to be frustrated that it is not functional weeks after purchase. With Karbon you can just jump right in and start using it and refine it as you learn and use the software. The onboarding team is amazing and very responsive. Customer support is the best I have ever experienced. Available 24/7 and immediately responsive. This experience will be the one I measure all others by, from now on everyone must meet the Karbon Standard. It is great that it links to your email so you can add to-dos directly from emails. You can also communicate within the team through notes, and store all communication with clients in one place. From a management perspective, you can slice and dice work items in many different ways (by team member, client, type of work, status of work, etc). This tool will really do most anything you need in terms of project management. Cons I could get nitpicky and say I wish the scheduled work was more flexible in naming conventions and dates (for instance I want this work to be due every 1st Monday of the month). And it would be really great if you could get auto notifications when work or tasks were completed, or if tasks could be dependent on each other. Otherwise, as long as you spend a little time on the front end designing how you want it to work for you, Karbon is great. Review Source MK Mark K. It consolidated two other software solutions I was using. Pros The links sent to clients to upload docs and the automatic reminders that are sent to them. May 25, 2017 5.0 Pros Karbon is the answer to our team's dilemma of managing emails. We are now able to assign emails to the right person, and be able to create jobs/work/to-do lists in one single software package. In addition to that, it has been easier for us to track what each and everyone has been working on, which sort of helped us in capacity planning. What made Karbon more helpful for us is the Client Task functionality where we could send out email reminders/checklists to clients. Karbon is an amazing creation! Staff are able to collaborate and share work more effectively while I see the overall plan of work from beginning to end. I start and end my day in Karbon and could not live without it to run my business. Pros Karbon is intuitive and flexible in it's approach to managing our workflow. Their support is on hand if we need it anytime. Using Karbon has revolutionised our Workflow and enabled us to increase efficiency and visibility over the team. Pros This is not a review of the product function - I couldn't get it to function with Google Workspace, even with their technical help. Technically, it probably does work if you can figure it out, but I'm not that person. Cons Customer service. There's NO way to cancel your subscription if you change your mind. I had to ask them to cancel it through their chat, and then they refused to stop debiting my card until I told them why I was canceling (which I already had made quite clear - I'm not techy enough to work with it.) But no, they wanted me to repeat all that, probably to a "retention" person, which I had no time to do at the time. So they kept charging the next month. So, now I'm asking my bank to change my card and leaving a one star review, because at least THAT will work. No other product compares. The other most loved and most powerful thing is the community its founders and staff members have in place to support you get once you are in the product. The webinars and follow through has and will continue to be a game changer for our bookkeeping business. It's not an easy product to get to know because it is highly customizable there is always more than 1 way to do things but persevere and it will pay off. June 19, 2018 5.0 Pros Get rid of the spreadsheets, reminders, to do lists, annoying pieces of paper lying around- Karbon encompasses all elements of practice management in an easy-to-use, robust and inclusive manner. Features such as scheduling and triage enables work to be assigned to different colleagues, and then kept on top of! Client tasks also ensures that clients are kept in the loop with their tasks and this saves the firm time chasing for info. The support provided by the Karbon team is excellent. Would highly recommend for all accountancy firms. Cons Can take a little while to be accustomed to, however as stated the support is excellent and the features are easy to navigate! I'm a sole trader right in the middle of 52 different financial year end client jobs (I am juggling 52 clients in a 10 day window right now). I am normally out of control at this time of year, but I have found time write this. Each job is scheduled, I know who is waiting for who, how many hours I need and importantly the dollars to flow in. All emails around these jobs are connected to the job. If the jobs have issues (as they are doing as I type), I can move the timing easily and make notes. Generally extra work flows from these jobs and I can now slot that into a future, less crazy time, and it won't be missed. In the past, year end has been a highly stressful, unpleasant time, but I am in control. I've used CRMs before but they were sales focused and I needed work focused. I'm in for the long haul with Karbon. Cons I am looking forward to ongoing product development. I've seen great new features in the first 3 months already. Review Source BW Brooks W. Checklists, client details, projects, work assignments, it's all in one place. There is now no question on who is performing what task and responsible which project, and all the information we need to perform our tasks is right there. I highly recommend Karbon to any company that want's to grow and make things easier for themselves! Cons It will force you to re-think how you work, which is the entire point! Cons \- A bit hard to navigate to information within a client record - simple design mean sometimes there is a lot of clicking - No mail merge/email template database yet - have to keep an external email template database and add to commonly sent emails. - Beautiful design can come at a cost of having to click around a bit. Assigning my emails to tasks so that they don't get lost was HUGE for me! For example, if an client emailed me to adjust their payroll for next pay period, I could assign that email to that task and it would be there on the task when I performing that task. I was able to set up work templates for reoccurring tasks and move them off of my calendar, leaving my calendar only for appointments and using Karbon for projects. Cons Wish it had a calendar view with my appointments as I find that I have to open up Outlook for seeing my appointments. Review Source Emma W. Client communications, tasks, checklists, jobs, priorities; it's all there - amazing! Pros Functionality - not just another emailing platform - we schedule jobs, repeat checklists for repeated work, tick boxes (love that) Complete visibility of where everything is up to - including 'Waiting', 'Planned' and 'In Progress' to 'Complete' So innovative! I love Karbon!! The support is always there and working hard to find solutions/ release new features and keep you up to date with introduced plans! Cons Not enough people know about it! June 21, 2017 5.0 Pros The ability to create various templates that can be used for month end close procedures and IT implementation checks. From the templates, you can create specific client tasks that are then sent to the client so they know what and when to complete them - within the tasks you can hold "conversations"! Perfect, and cuts out so many emails flying backwards and forwards with clients. A true timesaver. Cons It's wonderful that all emails are stored by each contact in Karbon but personally I don't like to see all emails stored by subject, but rather by date. Review Source Israel B. The one feature that stands out for us, is how we can make our emails a work item right after we finish reading it. I no longer leave emails unread, just so I wont forget to do the work Later. Cons We used to work with outlook. It been difficult to get used to the email formats. I would love when they have restriction to what other users can do. It has allowed managers to quickly view communications between staff and clients to ensure work is being handled correctly and up to firm standards. It has also allowed us to work on streamlining our processes in house and to help new team members get up to speed much more quickly. Cons I would like to see more naming options for work in the "scheduling" function. These are training tool and ensure our processes are documented and regularly updated. Also, the ability to schedule repeating work helps make sure nothing falls through the cracks. Cons The contact info isn't seamless. It could be better organized and it seems that we have to enter information in more than one place sometimes. Also, it doesn't seem to me that the contact info is linked to Xero, even though there is a link showing in Karbon, it doesn't work for us.
